Military on Tuesdays and Fridays only from 11:30am-1:30pm both days. Question 3: What is the current contract price per year? The USB drive may include a digital file (PDF) of your submittal. The submittal in USB drive does not replace the hard copy request. Question 5: Who is your current vendor? Response: The current vendor providing janitorial services is P&C Cleaning. Question 6: What is the estimated cost of supplies for soap, plastics, and paper products required by the RFP?

3 Response: The Center does not have the estimated cost of supplies. Question 7: What is the approximate total number of soap and sanitizer dispensers in all buildings? Response: The Center does not have an estimate of soap and sanitizer dispensers. Question 8: We plan to establish an office very close to the cleaning locations listed in the RFP for hiring and training personnel, equipment and product storage, and ease of access for staff and response times - is this an acceptable solution to no currently having an established office space within San Antonio? Response: Please address your solution for the Center s Janitorial service needs within RFP Attachment A Part Three - Proposed Plan. Question 9: We utilize a Small, Woman and Minority owned supplier - would this qualify towards the five (5) points established for these types of businesses? Response: No. The five (5) points established for certified small business enterprises, minority/women owned business enterprises, veteran owned business enterprises or historically underutilized businesses are for prime respondents only. Question 10: Will the awarded vendor have access to all areas within buildings? Response: The awarded contractor will have access to areas that require janitorial services. Question 11: Do all buildings have janitorial closets? Response: Yes. Question 12: Will you have paper towel dispenser keys? Response: The Center will attempt to get paper towel dispenser keys from current vendor. QUESTIONS SUBMITTED IN ACCORDANCE WITH SECTION 007, PRE-SUBMITTAL CONFERENCE: On September 8, 2017, the Center for Health Care Services hosted a Pre-Submittal Conference to provide information and clarification for the RFP for Janitorial Services. Below is a list of questions that were asked at the pre-submittal conference. The Center s official response to questions asked is as follows: Question 1: Is there an escalation clause? Response: Prices are to remain fixed for duration of contract, including any possible extensions. Question 2: Would your work order system tie into this contract for major and minor issues? Response: No. Major and minor issues will be addressed through your assigned point of contact or contract manager.

4 Question 3: Is the Vendor to provide all consumables? Response: Yes, please refer to Section 003 Scope of Services, No. 8 Contractor Furnished Items and Services. Question 4: Can you clarify schedules for Josephine and Drexel locations? Response: Josephine location should be cleaned Monday through Friday. Hours of operation are 24 hours a day, seven (7) days a week. The hours that janitorial vendor can enter to clean are 9AM 2PM, Monday through Friday. Drexel locations are to be cleaned Monday through Friday. Hours of operation for Building A are 24 hours a day, seven (7) days a week. Within Building A is an Outpatient Clinic. Outpatient Clinic hours of operation are 8:30AM 5:30PM, Monday through Friday. The hours that janitorial vendor can enter to clean Building A are 9:30AM 1:30PM, Monday through Friday and for the Outpatient Clinic after 5:30PM, Monday through Friday. Hours of operation for Building B are 7AM 5PM, Monday through Friday. The hours that janitorial vendor can enter to clean are after 5PM, Monday through Friday. Question 5: Does Insurance need to be endorsed? Response: Please refer to Section 013 Insurance Requirements. Question 6: What are the terms of payment? Response: Please refer to Section 007 Proposal Requirements, last statement of section. Question 7: Who is your current vendor? Response: The current vendor providing janitorial services is P&C Cleaning. Question 8: Were you able to obtain consumable amounts from current vendor? Response: No. Question 9: Is it possible to provide types of dispensers? Response: The Center has a variety of dispensers at its locations. A walk through is scheduled for September 21, 2017, at which time any potential vendor may visually inspect for dispenser type. Question 10: What is the number of Center clients that visit each location? Response: The numbers below are estimated number of clients that visit Center locations per month. 711 E. Josephine W. Response: 601 N. Frio, Building 1 location should be cleaned daily. Hours of operation are 24 hours a day, seven (7) days a week. The hours that janitorial vendor must be present to clean are 7AM 7PM, Monday through Friday and 7AM 12AM Saturday and Sunday. 601 N. Frio, Building 2 location should be cleaned Monday through Friday. Hours of operation are 5AM 5PM, Monday through Friday and 6am-9am, Saturday. The hours that janitorial vendor can enter Building 2 to provide services are 12PM 2PM, Monday through Friday for the dispensing unit and Medical Records as they lock at certain times.
