3 VIVA7s Accredited Deliverers Role Description: VIVA7 s is a fun, free flowing, non-contact form of social Rugby designed to provide participants with a quality workout in a relaxed and social atmosphere. The game aims to increase Rugby participation and awareness amongst new and diverse customer segments, as well as offering a new pathway towards the traditional formats of the game. The accredited deliverer manages the event and staff at each host centre to ensure the delivery of the program is in accordance with ARU guidelines and is accountable for the enforcement of quality control mechanisms. As a VIVA7 s accredited Deliverer you will be responsible for the administration, set up, coordination and satisfactory delivery of the program in a designated region. The deliverer will be the point of contact for the SU/ARU. On match day the deliverer shall roam the fields up-skilling, supporting & encouraging referees, parents and kids to learn and most importantly have fun whilst ensuring the games are flowing and running to time. Also being available to attend to any incidents e.g. first aid, music system and supporting where required. As a VIVA7 s accredited deliverer you will work closely with your State & Territory Game Development staff to initiate marketing and recruitment opportunities in the lead up to the program start date. You will also be responsible to develop and deliver strategic initiatives specific to your program. 2

4 Roles & Responsibilities To promote the VIVA7 s experience through sporting clubs, schools and the community. To actively recruit participants to the VIVA7 s program. To coordinate an orientation night and weekly reviews and inform centre staff of ARU VIVA7 s policies and procedures to deliver a seamless program. To perform administrative tasks and complete reports including budgets, targets and the common delivery on brand and brand promise. Drive team registrations draw, scoring and results, referee scheduling, venue booking and distribution of information to teams. To assist in the recruitment and appointment of on-field staff. To manage staff and volunteers. To liaise with ARU re registration numbers (online registration system) and delivery of equipment. To be positive and approachable at all times when interacting with participants through the demonstration of organisation and communication skills. To ensure customer service is of the highest possible standard Be prompt and professional at all times. 3

5 Administration Collate participant registrations to ensure accurate data is obtained and submit to your State / Territory Association VIVA7 s Manager. Accept program registrations and deposit monies to the ARU bank account along with player reconciliation report. Ensure participant shirts are ordered and distributed in a timely manner through the online ordering system. (Speak to your State / Territory VIVA7 s Manager) Keep an up to date program attendance list. Manage the grouping of participants according to age/ability in teams for the duration of the program. Organise the fixturing of games and grounds. Distribute communications (newsletters) about the program to participants/ parents before, during and post program. Have weekly rosters to program assistant s clearly outlining roles and responsibilities. 4

6 Program Management Assist State / Territory staff in promotion of the program. Set up and conduct a free Come n Try registration day. Actively engage parents to assist in delivery of games; umpiring, team manager etc. Ensure equipment stocks are maintained and kept in good condition. Oversee program delivery at each session ensuring all are actively engaged. Ensure adequate staffing at all sessions. Act as the contact person for all program enquiries. Understand what is required and help identify participant s skills to further develop them to build confidence and competence. Deliver an end of season windup. 5

7 General Ensure that each program session is set up well in advance of participant arrival i.e. 30 min prior to session start time. Ensure that branding of the venue is in accordance to agreed set-up. Ensure that equipment, signage and uniform are in good condition. Ensure the music is on and a positive atmosphere prior to arrival of participants Ensure BBQ/canteen is operational Ensure facilities are suitable and clubrooms/toilets are open. Ensure facility is left clean and tidy after each session. Drive the overall Fast, Fun, Safe and Positive culture for the centre you coordinate 6
