1 FITNESS AND ACTIVITIES MANAGER Job Description Background Uppingham School, founded in 1584, is one of Britain s leading co-educational independent boarding schools. It is located in the small market town of Uppingham, amid the rolling fields of Rutland. The School 800 pupils aged 13-18, almost all boarders, are accommodated in fifteen boarding houses. The academic year takes up about thirty-two weeks each year. Outside term time the School turns itself into a commercial enterprise, putting its facilities to use for residential lettings, courses and events. The Sports Centre Opened in September 2010, Uppingham School Sports Centre is a fully dual-use facility and used by 1,500 public members as well as the School. Described by Lord Coe at its opening as world class, USSC has been designed to provide state-of-the-art sporting facilities for the School s pupils, as well as allowing access to local residents, sports clubs and other schools. The Centre contains a 6 court sports hall, 25m swimming pool, 60 station fitness studio, gymnasium, squash courts and dance studios. It also houses the School s PE Department and includes a hospitality suite for match-day entertaining. USSC is managed and run on behalf of the School by Uppingham School Enterprises Ltd, a wholly-owned subsidiary, and employs c. 40 full- and parttime staff. After accommodating the educational and social demands of pupils, the School is eager to develop wider access to the Centre and encourages participation by the local community in a range of sports and leisure activities organised and managed by the Centre staff. Critical to the success of the Centre is a commercially targeted and client focused staff team. Staff should readily accept the responsibility of representing the School and enterprise company in the local community. Job purpose Overall Purpose To assist the Sports Centre manager in the day to day management of the Sports Centre with the specialist responsibilities of programming staff in the fitness studio and for the class programme, finance and budgeting, staffing and training. You will operate with regard to all health and safety legislation, operational procedures and best practice.

2 The Fitness Manager will supervise and assist the School in the delivery of educational programs in the fitness studio (this is not a teaching role, coaching and supervising as required). You or a member of your team will be present in the fitness studio whenever it is in use by the School or public. Reporting to: The Sports Centre Manager Key Tasks Ensure the Centre delivers a high quality service for all users and efficiently following up enquiries and feedback from the Centres customers. Lead and motivate the enthusiasm of the fitness team and other instructors and coaches. Implement Normal Operating Procedures and Emergency Action Plans. Promote the use of the Centre by all user groups to maximize use and income. Manage, achieve and strive to exceed delegated sales targets Manage operating costs and staffing to minimise expenditure Manage staff rotas, training and recruitment Develop activity and personal development programmes and classes in the fitness studio and throughout the Centre Manage the Centre in a sympathetic manner to reflect the aims, ambitions and ethos of the School. Organise and manage the Swim School with the Swim School Co-ordinator Organise and manage the rackets programme with the Rackets Co-ordinator Assist the management team in developing and maintaining customer retention General Tasks and Responsibilities Operational Roles Undertake Duty Management shifts, leading by example and following the NOP and EAP Attend monthly NPLQ training and maintain qualification. Monitor use of fitness studio to ensure best practice, ensuring the NOP is up to date Supervise fitness equipment maintenance programme Undertake supervision of fitness studio Devise a timetable and rota for classes, courses and fitness studio staff Monitor the service and delivery of all department activity including classes, courses and swim lessons. Attend team, department and Centre meetings as required to promote the departments activities, report on performance and provide feedback to and from the department teams about the Centres activities and performance. Finance Produce annual budget in line with the business plan for delegated income and expense codes Contribute information on price structures, sales targets and determine wages rates and all pay scales Control delegated budgets including department wages Follow the Centres financial procedures including following purchasing, invoicing and daily cash procedures

3 Prepare monthly reviews and variance reports of management accounts for delegated codes Monitor and report on key management benchmarks Report on the performance of department activities including class, course & swim lesson attendance and income and implementing changes as required to maintain good attendance Marketing Sales Produce marketing plan (inc. budget) & material for department activity including courses, classes & swim lessons. Maximise cross pollination of marketing and sales opportunity Maintain a flow of information to the Centre staff about forthcoming and changes to activity Monitor and react to attendance or booking of activity in order to generate additional marketing to increase sales as necessary Train and monitor staff in their sales duties Implement Centre wide retention plan Delegate sales responsibilities to staff Review sales targets and communicate action throughout the organization Actively encourage the team to interact with clients promoting good technique, offering advice, creating a dynamic environment and leading the process of upselling the department and Centre s products and services. Health and Safety Ensure appropriate risk assessments are in place and updated as necessary. Implement the NOP & EAP s Conduct annual review of the NOP and EAPs with Sports Centre Manager and Operations Manager Ensure Health and Safety checks are carried out on equipment and plant as per policy. Minimise potential accidents through good housekeeping and active participation and supervision. Promote the Centre s Health and Safety policy with staff Ensure there is adequate supervision of the fitness studio at all times Ensure the security of the premises at all times HR Management Work with the Human Resources Manager to recruit staff within recruitment policy guidelines and follow all other HR policies and procedures, ensuring child protection and care of vulnerable adults is considered of the upmost importance. Write Job descriptions, person specification and adverts for course coaches, class instructors, swimming teachers and fitness instructors Ensure staff are aware of their relevant duties and responsibilities and undertake them as required. Provide appropriate training where required Implement the triangulated management system Ensure the correct compliment of staff is available when required to provide the appropriate level of supervision within the department Monitor and minimise absence

4 Set and manage department, team and individual KPI s Complete staff performance reviews, annual appraisals, team & 1:1 meetings Complete monthly payroll for the department Manage mandatory training, attendance and qualifications ensuring correct records are maintained General duties Any other tasks duties that his/her line manager may reasonably request. Supervise the administrative processes Manage members inductions, PAR Q and personal data file (In line with data protection) Monitor overtraining Manage the Health and Wellbeing scheme Promote use of IT management by all users and for extended class room analysis. Produce management reports on: o Footfall in fitness suite o Peak flow report o Class attendance o Action report - Move / cut / promote o Swimming lesson numbers and appropriate financial analysis

ATTRIBUTES ESSENTIAL DESIRABLE QUALIFICATIONS NPLQ (or able to achieve and maintain qualification) FIA REPS level 3 Relevant degree/hnd and/or membership of ISRM Pool Plant Operator s Certificate First Aid at Work Proof of continuing CPD including coaching and instructor qualifications SPECIALIST SKILLS & EXPERIENCE At least 2 years management experience in a leisure facility Financial management and budget experience. Sales experience. Strong IT literacy and numeracy. Good communication skills: meetings, presentations, reports. Good people management skills and leadership qualities High standards of customer service Able to set targets and motivate staff to surpass them Duty Management experience Experience of operating membership based software Marketing experience Experience working in a wet and dry facility including a learn to swim scheme Experience of working in a dual use facility PERSONAL QUALITIES Ability to work flexible hours including shift system over a 7 day week Prepared to take a hands-on approach and step in when needed Able to carry out the manual requirements of the role Ability to work well and make decisions under pressure Eye for detail in respect of housekeeping Demonstrate a passion for fitness and awareness of current and future trends Customer focused and commercially aware Self motivated and organised

6 Terms and Conditions Salary 22-24,500 per annum dependent on skills and experience plus KPI bonus. Working Hours Actual working hours and days are to be confirmed and are subject to change, but will be no less than 40 hours per week. Evening and weekend work is necessary in this role. The Fitness Manager will complete no less than 2 Duty Manager shifts each week. The shifts are 6.30am to 3pm or 2pm to 10.30pm. The Fitness Manager will be a keyholder for out of hours calls on a rota basis. Pension Scheme Defined contribution scheme: employee contribution matched by USEL by factor of two, up to 10% maximum. Holidays 28 days including Bank holidays, Bank/Public Holidays when the Centre is open are normal working days. The Centre is usually closed on Christmas Day, Boxing Day and New Years Day. Probation Period 6 months Safeguarding and Child Protection The post-holder's responsibility for promoting and safeguarding the welfare of children and young persons for whom they are responsible, or with whom they come into contact, will be to adhere to and ensure compliance with the School's Safeguarding (Child Protection) Policy at all times. If in the course of carrying out their work the post-holder becomes aware of any actual or potential risks to the safety or welfare of children in the School, they must report any concerns to the School's Designated Safeguarding Lead, his Deputy, or to the Headmaster.
