NO, IF FABRIC, WEIGHT, FACTORY, PATTERN, AND SPEC ARE THE SAME, THE VENDOR WILL ONLY BE REQUIRED TO SEND A T.O.P SAMPLE. NEW COLORS WILL NEED TO BE TESTED FOR COLORFASTNESS. YES, IF FABRIC, WEIGHT, FACTORY, PATTERN AND/OR SPEC HAVE CHANGED THE VENDOR WILL NEED TO SUBMIT A NEW FIT SAMPLE & LAB TESTING FOR APPROVAL AGAIN. 6 Introduction The Production Services Department is responsible for fit, quality, construction, product standards and performance. It is located on the 3rd floor. 7 Fit Day Tuesday, starting at 12:00 PM. Fit Samples must be received and logged in by 2:00 PM on Monday. Any late samples received after 2:00 PM must be approved by Terence Puffer. 10 Before, During, After the fitting Before the fitting: Buying associate/assistant checks sample hangtag & spec sheet Buying associate/assistant logs into fit sample FIT LIST Buying associate/assistant hangs sample on fit rack Buying associate/assistant removes spec sheet & put samples in order of delivery Buying associate/assistant hands spec pages over to Technical Designer During the fitting: Buying associate/assistant takes detailed fit notes given by Designer, Buyer and Technical Designer on spec sheet detailing all design, technical, and spec changes Label information is discussed Special marketing is discussed After the fitting: Buyer determines sample comment priority. 22 Fabric and Garment Testing Vendors are responsible for lab testing all materials in both the fabric and garment stage o Due to timing issues fabric only may be tested if agreed to by VP Production Services up front All lab reports to be submitted by to Terence Puffer (tpuffer@avenue.com) VP, Production Services for final approval/confirmation/further direction Approved labs are Intertek and BV, globally. 24 Quality Assurance In addition to Fabric and Garment testing, Quality Inspections take place at 2 places: At the Home Office At the Distribution Center At the Home office, TOP samples are inspected and reported on in all areas listed using the TOP Approval Forms on the following 2 pages. Sign off of product is required for: Specifications Construction and workmanship Labels, label placement and application Price ticket requirements Fabric (color, wash, print), trim and components Marketing (Matchbooks and Hangtags) At the Distribution Center, all orders are inspected for compliance to all areas listed in the Avenue Retail and Avenue Direct Shipping Guides ( including but not limited to carton type, weight, dimensions, plastic bags, packing, quantities). Additionally, product integrity is validated against all requirements detailed in the Tech Pack. Random inspections are completed using a reduced sampling plan based on Mil Std 105D. A full sampling is inspected if needed. Production Services also identifies specific orders to be inspected when there have been preproduction issues, or if a vendor is new. As issues are identified, the QC Supervisor at the DC contacts the VP, Production Services who reviews the issue and defines the next steps, looping in Merchant partners as needed. Key inspection categories are Fabric, Construction and Workmanship, Measurements, Embellishments, Labels/Marketing, and Closures. Inspection reports and samples are shared with vendors in the event of a sort or a potential RTV. In the event of a sort, (either in the DC or at an outside service), the vendor incurs all related expenses and a debit notice is issued. Any additional financial agreements are negotiated by the Merchant. Page 23
