2 Selling a Wholegood from Inventory A Wholegood is sold from Wholegood Inventory using a Wholegood Invoice. A Wholegood Invoice can be created from scratch, or can be converted from a Wholegood Estimate or Wholegood Sales Order. Use a Wholegood Estimate as a quote to a Customer and the Wholegood(s) on the estimate can continue to be used on other sales documents. Use a Wholegood Sales Order to reserve the Wholegood for customer (i.e. when a Wholegoood is placed on a Sales Order, it cannot be placed on any other sales document. The sales order can be converted to a Wholegood Invoice when ready to settle the transaction. Use a Wholegood Invoice directly to sell the unit from the Wholegood Inventory. Wholegood Estimate can convert to a Wholegood Sales Order, or Wholegood Estimate can convert to a Wholegood Invoice. Wholegood Sales Order can convert to a Wholegood Invoice. Wholegood Invoice will sell the unit from Inventory. This help document shows the selling process using Pages Wholegood Sales Order Pages Wholegood Invoice Page 1

3 Wholegood Sales Order Process Select New > WG Sales Order from the Wholegood menu item (or Find if one has already been created and saved). Page 2

4 In the Wholegood Sales Order, fill in the Salesman (if required) and select the Customer from the list. You can add a Memo and change the date if desired. Once the document Header information is added, hit F6 or select F6-Add Wholegood to find the Wholegood in your Inventory to add to the order. Note: multiple Wholegood units can be added to the order as well as Misc. Charges (F3) and Parts from Inventory (F4). Page 3

5 The Wholegood Inventory list shows when F6 is selected. Only a unit with a Sales Status of AFS can be added to an order. However, both AFS and WG s on Sales Orders are shown in the list. If you want to add a unit that is on another Sales Order, you must first void the other Sales Order or remove the unit from that other Sales Order. Page 4

6 Once a AFS unit has been added to the Sales Order, set a price for the unit if one was not included in the WG master file record. You can now save the Sales Order. Page 5

7 When the Sales Order is saved, a new action is available in the Header called Convert to Invoice. You can convert the Sales Order to an Invoice when you are ready to settle. Page 6

8 Here is the new Wholegood Invoice that was converted from the Sales Order. It is just like a Wholegood Invoice created from scratch. Once this Invoice is settled, the original Sales Order cannot be used again (i.e. once the Sales Order is converted to an Invoice, it is no longer a convertible order. End of Sales Order Processing. 9 Wholegood Invoice Process Select New > WG Sales Order from the Wholegood menu item (or Find if one has already been created and saved). Page 8

10 In the Wholegood Invoice, fill in the Salesman (if required) and select the Customer from the list (hit the box for list). You can add a Memo and change the date if desired. 13 Here the price has been added. Hit subtotal to see the final total (with Tax if necessary). When ready to settle the Invoice, hit F8-Settle Invoice. Page 12

14 On settling the Invoice, you can select multiple settlement types depending on how the customer is paying for the unit. If a Customer deposit was previously credited to the Customer deposit liability account, use the Customer deposit line to debit the Customer deposit account. Page 13
