1 Version 7.9 Update Guide Key features of this update are: Rate changes for DHL, FedEx, UPS, and USPS, effec ve January 3, 2011 New service FedEx Interna onal Ground to Canada New FedEx C.O.D. payment op ons Improved online commitment checks See What s New in Version 7.9 at the end of this document for addi onal informa on. You can run this update at any me. The new rates and business rules will be automa cally be loaded on the appropriate date see About loading the new rates below. Run the update This will update your system from Version 7.8 to Version 7.9. A er downloading the Version 7.9 update file from the PC Synergy website* to your Windows desktop, follow these steps. PostalMate network users: Every sta on must be updated one at a me, star ng with the Master. 1. Do a PostalMate backup. 2. Close all programs on all worksta ons. 3. Double click on the downloaded file.* This will extract the necessary files and ini ate the update. 4. Follow the steps in the install wizard un l complete. * If upda ng from a CD, insert the CD. When the menu appears, click on Update to Version 7.9 About loading the new rates Regardless of when you run the update, the 2011 published rates and business rules (as well as wholesale rates for USPS) will automa cally be loaded into PostalMate at the appropriate me or you can ini ate the rate loads at your convenience. 2 Here are the different ways that rate uploads can happen: Rate change triggers A er your carrier pickups on Friday, December 31: For each carrier, when you complete your final Carrier Pickup for the day, you ll be asked if you want to load the new rates for that carrier. You can indicate Yes or No. If you respond Yes, 2011 rates and rules will be applied to subsequent packages for that carrier, that will presumably be picked up on Monday, January 3rd. Answer No if packages for that carrier will go out on Saturday (USPS would be the likely candidate). Upon launching PostalMate on or a er Sunday, January 2: If you elected not to do the rate upload(s) for any carrier(s) upon Carrier Pickup, then when you run PostalMate for the first me on January 2nd or 3rd, you ll be asked if you wish to upload the new rates for all of those carriers. Ini a ng from the menu: You also have the op on of ini a ng rate loads for any or all carriers whenever you like. Go to File > Carrier Ac vi es > Load 2011 Rates, then select the desired carrier. The menu op on will appear only for carriers for which the rate load hasn t been done. In all cases, a er 2011 rates are loaded be sure to set your new wholesale and retail rates before shipping any packages, as detailed below. Set your new rates Wholesale and retail shipping rates Shipping rates A er the new published (book) rates into your system automa cally; you ll need to reestablish your store s wholesale and retail rates accordingly. 1. From PostalMate s main menu, choose Edit > Shipping Rates > Special Rate U li es. 2. Select the u lity for any of the carriers. 3. Follow the steps in the wizard. For wholesale, indicate which er or level your store is assigned, if any. For retail, you can apply your old profit margins to the new rates; or if you choose, you also have the op on of using the carriers Suggested Retail rates. 4. Repeat Steps 1 3 for each of the other carriers. Retail rates for new services/zones The Quick Rate Se ng U lity cannot use your previous margins for the new services and zones below, so you ll need to set retail rates for them separately using PostalMate s regular rate se ng features. 1. From PostalMate s main menu, go to Tools > PostalMate Se ngs, and choose Set Shipping Rates on the le side of the screen. Page 2

Use either the Global rate se ng feature OR Click on Weight based services, and set rates for each of the following: Rates for new services and zones Add On rates FedEx Ground Interna onal (new service to Canada) USPS Priority Mail Interna onal, zones USPS Express Mail Interna onal, zones Then click on Fixed Rate services, and set rates for: USPS Priority Int l Flat Rate Box, zones USPS Priority Int l Flat Rate Envelope, zones USPS Priority Int l Large Flat Rate Box, zones USPS Priority Int l Small Flat Rate Box, zones USPS Priority Flat Rate (two new packaging op ons): Priority Mail Legal Flat Rate Envelope Priority Mail Padded Flat Rate Envelope Remain in PostalMate se ngs. Retail rates for add ons, surcharges and insurance 1. From PostalMate Se ngs, select Add On Rates on the le. 2. Select FedEx and enter a new retail rates for: Adult Signature Required (increased $0.25) Direct Signature Required (increased $0.25) Indirect Signature Required (increased $0.25) 3. Select FedEx Gr and enter a new retail rate for: Adult Signature Required (increased $0.25) Currency C.O.D. (new) Direct Signature Required (increased $0.25) Indirect Signature Required (increased $0.25) 4. Select UPS and enter new retail rates for: Carbon Neutral (Air) (new) Carbon Neutral (Ground) (new) Carbon Neutral (Intl Express) (new) Carbon Neutral (Intl Standard) (new) C.O.D. Select Insurance Rates on the le. Under Rate per $100 enter new retail rates for: All FedEx groups (increased $0.05 per $100) United Parcel Service (increased $0.05 per $100) 11. 5 Set up for FedEx International Ground to Canada Follow the steps below if you wish to offer this new service at your loca on (se ng retail rates was already done back in Step 3). Assign service to Rate Comparison screen tab(s) This new service can display on any of the Rate Comparison tab(s) of your choosing. 1. From PostalMate Se ngs, choose Addi onal Se ngs on the le. 2. Click on the bu on next to Shipping Se ngs. 3. Click on the Service Display tab. 4. Select the desired Rate Comparison tab. 5. Expand the list under FedEx Ground and check the box next to FedEx Interna onal Ground. 6. Repeat steps 4 5 for any other tab(s) that you want to show this service. Exit from Shipping Se ngs, then PostalMate Se ngs. Map service to departments Shipping services must always be mapped to departments. 3. From PostalMate s main menu, go to Edit > Shipping Carrier. 4. Select FedEx Ground, then click Edit. 5. Under Services, select FedEx Interna onal Ground, then click Edit. 6. Under Departments, assign the appropriate departments for shipping and insurance charges. This sec on contains a summary of major changes and enhancements included in Version 7.9. For a comprehensive lis ng of changes see readme.txt, which will be located in the c:\program Files\PC Synergy\PostalMate folder a er the update has been run. Carrier rate changes This update supports the rate and business rule changes for all carriers, effec ve on Monday, January 3, Here s a quick summary of the primary changes: DHL. Rates increase for all services. Dim weight divisor changes from 166 to 139. FedEx Express/Ground. Rates increase for all services. Dim weight divisor changes from 194 to 166 for domes c services, and from 166 to 139 for interna onal.the Residen al Surcharge for Home Delivery is no longer folded into the base rates in PostalMate; it s now broken out as a separate surcharge to match to how FedEx structures the ra ng. 6 United Parcel Service. Rates increase for all services. Dim weight divisor changes from 194 to 166 for domes c services, and from 166 to 139 for interna onal. United States Postal Service. Rates increase for Priority Mail domes c and interna onal), Express Mail and Global Express Guaranteed. No dim weight divisor changes. New interna onal zones. New Priority Mail Legal and Padded Flat Rate Envelopes. FedEx International Ground to Canada You now have a new op on for parcels going to Canada: FedEx Interna onal Ground. This is an online service (with no offline op on). As with other online interna onal services in PostalMate, all customs related informa on can be entered directly into PostalMate, a ramp ready label is generated, and op onally a Commercial Invoice can be created and printed. A manually completed Airbill isn t used. A unique aspect of this service is that based on Du able Value* C.E.F. * the value of du able goods, FedEx may add a $0 $20 No fee Clearance Entry Fee (C.E.F.), and a C.E.F. Tax to the shipping rate. To ensure a meaningful $20.01 $40 $7.00 comparison between services, when the package $40.01 $100 $19.45 des na on is Canada, you can enter a du able $ $200 $29.00 value prior to comparing rates so that all charges $ $1,000 $40.30 are included. This is done in the same places as $1, $1,600 $46.70 where a declared value for insurance is entered. $1, $2,000 $52.74 Please note: You ll enter the du able value in U.S. $2, plus * * dollars, however the C.E.F. is based on Canadian *All amounts are in Canadian dollars dollars, and the exchange rate con nuously fluctuates. PostalMate checks the exchange rate ** $6.03 for each add l $1,000 on a daily basis for calcula ng the C.E.F., however in some cases it may not exactly match the exchange rate FedEx uses to calculate the C.E.F. This is only a concern when the du able value is near one of the break points on the chart shown here. You cannot mark up the C.E.F. or C.E.F. Tax in PostalMate, so these are pass through charges to your customers. The C.E.F. and C.E.F. Tax charges are broken out on the customer s POS Register receipt, the Package History screen, and on the FedEx Ground Manifest Detail Report. New C.O.D. options for FedEx Remi ance to Customer (Express and Ground). On the C.O.D. screen is a new checkbox, Send remi ance directly to Customer When checked, the transac on submi ed to FedEx will designate the Customer as the recipient for payment. This op on will appear on the screen only if a Customer with a complete address is linked to the transac on Cash only payment op on (Ground Commercial only). When this new op on is selected on the C.O.D. screen, this automa cally invokes a new Add On, Currency C.O.D., which costs $20.00 more at the wholesale level than the regular C.O.D. rate. Page 6

7 New UPS Carbon Neutral Add Ons Carbon Neutral is a new UPS ini a ve that will allow your customers to voluntarily contribute to the costs of offse ng the environmental impacts of their shipments. The fee varies according to service and des na on (domes c air is $0.20; domes c ground is $0.05; interna onal express is $0.75; and interna onal standard $0.10). PostalMate will display the appropriate Add On at the Package Details screen. As with all Add Ons, you may elect to add a markup in your retail rates for these. Suggested Retail display on Rate Comparison screen A new se ng has been added to display the Suggested Retail rate (if one exists) for the selected service in Rate Comparison, much as you have always been able to set the Wholesale The rate is preceded with a B and has no decimal, as shown on the right. To enable this display, go to Tools > Op ons > Shipping Se ngs, click on the Other tab, and check the Show Suggested Retail box. Note: Unlike the similar Wholesale rate display, the Suggested Rate displays only on Rate Comparison, not on Package Details. Suggested Retail rate Customer account balance on POS receipt When a POS Register transac on is paid against a customer account, the account balance is now printed on the receipt. For credit accounts, the open balance will be shown; for debit accounts it will be the remaining balance. 8 Support for additional Verifone credit card devices PostalMate s PCCharge and PAYware PC credit card interfaces now support Verifone MX swiping devices, providing an addi onal path to PCI conformance. To set up the interface for one of these devices, from the POS Register, go to Tools > Op ons > Register Se ngs, then click on the Credit Card tab. Under Input default, choose Verifone Device. Support for DHL Gateway rates This feature allows users in certain Florida zip codes to load special Gateway wholesale rates into their systems. The special rates are only for zones J and K, which service countries in Central America, South America and the Caribbean. PostalMate can detect whether or not your store is in one of the qualifying zip codes, and if it is, you ll have the op on of applying the Gateway rates when you set your DHL wholesale rates in Step 2. Improved online commitment checks (These changes were first implemented in version ) Be er performance. New algorithms have been developed that make commitment updates at the Rate Comparison screen faster. Now only a zip code is required. Previously, an online commitment update would happen only when a Ship To address was added or selected; if you use ProShip, you can now update commitments with only a zip code entered. A new bu on has been added to the Rate Comparison screen that appears when a zip code is entered and that zip code hasn t been updated in the last seven days. A er the update is complete the bu on will disappear. This bu on will appear if commitments need upda ng for the entered zip code Page 8
