2 Equipment Pool Webinar Q/A Thank you to all the attendees of the Equipment Pool Webinar on August 10. Presented here are the questions that were submitted by attendees and responses from our team. We look forward to presenting future webinars to announce new features, functionalities and covering best practices in R2. 1. When can we start using Equipment Pool? Equipment Pool is currently installed on test servers at three client sites. It will be rolled out to additional clients on a limited basis for install on test servers only. If you would like to install it on your test server for testing, please submit your request to Shawn Pasco (spasco@unibiz.com). 2. If you set the Cutoff Time in Days to zero (0) does it disable that feature so that you will always source from the pool? Yes, If the Cutoff Time in Days is set to zero, then pooling is always enabled. 3. Since the line doesn't turn red when you are short an item, is there a way to know when you need to resolve a pool? An online report will identify items in a Pool status that have not yet been resolved. When to resolve a Pool depends on your individual company policy. 4. Is there a way of default shipping back to the origin (shipping) site? For instance, if I'm sourcing from New York and drop shipping to a hotel in Santa Monica, can I have R2 return the New York items back to New York by default? Currently, by default, everything returned will come to the order site. The returning site can be manually changed order-by-order as required. Equipment Pool Webinar Q/A 1

3 5. Pool items not flagged too clearly, can those be filtered out on the order? Can the status show in red if it's pool and not reserved? Currently color is not supported on Pool status items. We are looking to add this to the development pipeline. 6. How is the shipping/receiving department alerted? Pool orders are processed just like current R2 orders. 7. How are costs for shipping tracked or allocated to a site? Misc. charge for shipping can be added to the order and the cost on that line can be set as required. 8. How is the shipping site manipulated? By clicking in the Shipping Site or Returning Site fields, they can be changed. 9. What if time doesn't allow for shipping to local site first, if that is default, and needs to go directly to show site? Generate an Ops Order to allow staging from a single site. If you do not generate an Ops Order, then the shipping sites will deliver the items directly (drop ship) to the customer's show site. 10. Is there a way to generate an Ops Order for all equipment so that changes can be made without affecting the price of the billing order? Yes, the Ops Order can be changed any time without impacting the original billing order. 11. After I initially bring items to Santa Monica from New York on an Ops Order, as I add new items to the main order, can I direct them to the same Ops Order? In other words, can you add to an existing Ops Order? A single Ops Order is utilized for each reservation. Additional items are automatically added to the existing Ops Order. 4 12. Is Equipment Pool replacing transfer orders entirely or will transfer orders exist, too? Equipment Pool is not replacing transfers, but can reduce the dependency on them for companies who prefer to work without them. However, for companies that do not, Equipment Pool can be disabled completely. 13. Is there a cost associated with it or is it part of the new R2 build? There is no software cost associated for this enhancement. 14. Where can I find a recording of the webinar? This Webinar as well as past webinars are available for streaming on our website at How does R2 handle Pool and Ops Order Conflicts? Conflicts are supported for Equipment Pool. 16. Do sites have to be in the same Region/Sub-region? Is there any problem moving sites between Regions and/or Sub-regions? By moving sites between sub-regions they become part of a different inventory pool and there are no issues with rearranging sites into different pools as required. 17. Is it possible to put sites into multiple inventory pools? The same site cannot exist in multiple pools. 18. Can I set 1-way equipment pools? No equipment pool does not use transfer orders. One-way transfers can be performed by using an Inventory Transfer. Equipment Pool Webinar Q/A 3

5 19. Do I have to utilize inventory pooling to return items to a different site? Or is the Returning Site field available on all line items now even with Pooling disabled? This option is only available with Equipment Pool at present. 20. At what points in the workflow (reservation, prep, ship, etc.) can I switch the return site? The Returning Site can be changed any time prior to the return of the item(s). 21. In the webinar registration it stated: "eliminates multiple changes to transfer orders as equipment sourcing changes." What happens when things change? I assume it's like an order and once it's filled we would have to un-fill then change. Ops Orders can be changed any time. Items can be removed, filled, unfilled. 22. As per the webinar, Equipment Pool appears to be available in Version and has potential for usage at my company. How can I obtain it? Currently Equipment Pool is available for R2 test systems only.
