Select the code to use from the Attendance drop-down on this dictionary screen. To not use this option, leave the "Attendance" column blank for all actions. When an Action that has been linked to an attendance code is added to an incident and "Update student attendance for these dates?" is checked that attendance code will be saved for all valid school days for the student. Note: If the student is not enrolled, or already has an attendance code for that day, no new attendance code will be saved. Note: The "Update student attendance for these dates?" checkbox only appears if the selected action has an attendance code attached to it in the Discipline: School Action Prefs dictionary. Example: Action Code 10 is Out-of-school Suspension. Attendance code OSS is an absence because of a student's suspension. When an action code of 10 is added to a student incident for 10/5/ /6/2010, Sapphire will attempt to save an attendance code of "OSS" for all valid school days between these two dates. If the student already had an attendance code in Sapphire for 10/6/2010, then OSS would only be saved for 10/5/ New Dictionaries Enhancement New Dictionaries 2 New Dictionaries: (Admin > Dictionaries > SCHOOL-YEAR > Discipline: School Action Prefs) (Admin > Dictionaries > SCHOOL-YEAR > Discipline: School Infraction Prefs) These 2 new dictionaries allow a school to set which discipline action and infraction codes from the full district list are used in that building. Administrative control over teacher access to the Elementary Report Card Enhancement Administrative control over teacher access to the Elementary Report Card Districts can now control which teachers have access to which subjects in the Elementary Report Card. (Admin > Standards-Based Report Cards > Report Cards > Teacher Access Tab) The following options are new and can allow teachers to enter assessment grades based on their class lists instead of using homeroom lists. These options are appropriate for grades in which teachers are assigned course sections and keep Gradebooks. Districts can set the following options for teachers who are assigned Gradebooks: A) Can access which subjects: - General Information (Including Comments) for any student in a connected Gradebook. If the teacher teaches a class that is connected to any subject, then the teacher can also enter general information (Comments, Next Year Grade Assignment, etc.) - Subjects connected to a Gradebook. If a teacher teaches a class that is connected to a subject, then the teacher can enter grades for that subject by class. *Note: For both of these items, teachers can enter the grades by class list instead of homeroom list, so a math teacher would be able to enter the grades for students in his/her math sections. *Note: For a subject to be "Connected" to a Gradebook, the class' Course ID must be included in the "Course ID(s)" field of the Edit Subjects screen (Admin > Standards-Based Report Card > Subjects) *Note: Using this option will allow Teachers to select their classes when entering grades through the Assessment By Subject page The following options were available previously but were controlled "under-the-hood" by K12. These options have been configured to match the setups that districts are currently using. Districts can set the following options for teachers with Homerooms: A) Can access which students. - Students in their homeroom. Homerooms teachers will only be able to access students that are in their homeroom. - Students with the same grade level as students in their homeroom. Through the Assessment By Subject screen, teachers can access grades for all students who share the same grade as the students in the teacher's homeroom. For example, if a teacher's homeroom consisted of fourth graders, then the teacher would be able to enter grades for all fourth-grade homerooms. - All Students. Through the Assessment By Subject screen, teachers can access all homerooms for all students in the school building. B)Can access which subjects. - General Information (Including Comments). Homeroom teachers can enter general comments, next year grade assignments, etc for students that they have access to. - Regular Subjects. Homeroom teachers can enter grades for any subject with "Special Subject" set to "N" for students that they have access to. - Special Subjects. Homeroom teachers can enter grades for any subject with "Special Subject" set to "Y" for students that they have access to. 15 of 18

16 Enhancement List for ElementaryReportCard for release 8 - Subjects connected to other teacher's Gradebooks. Homeroom teachers can enter grades for any subject above (regular or special) even if the subject is tied to a Gradebook that the homeroom teacher doesn't teach. Districts can set the following options for teachers who do not have Homerooms: A) Can access which subjects (for ALL students) - General Information (Including Comments). Teachers without homerooms can enter general comments, next year grade assignments, etc for all students in the school. - Regular Subjects. Teachers without homerooms can enter grades for any subject with "Special Subject" set to "N" for all students in the school. - Special Subjects. Teachers without homerooms can enter grades for any subject with "Special Subject" set to "Y" for all students in the school. 2. Changes for Administrators Enhancement Changes for Administrators The following items are updates to the Elementary Report Card that those users in charge of the elementary report card setup should be notified of: 1) Added a new area, "MP Mappings" Tab, on the main Elementary Report Card edit screen: (Admin > Standards-Based Report Cards > Report Cards) This area lets the district map their existing marking period codes to those used in the ERC. These fields have been set by K12, but they should be verified that all elementary report card marking periods are correctly matched up with the school district's marking periods. 2) New option for pulling grades from Gradebook. Grade mapping for Assignment and/or Category grades can now be done by either the percentage grade or the actual point value of the grade. For example, if a student received a 5 out of 10 for an assignment, that grade can be mapped to the elementary report card either as a 50% or as 5 points. Previously, only the option to map grades by percentage was available. To set these options, go to the Edit Line Items screen in the SIS: (Admin > Standards-Based Report Cards > Line Items) Set "Grade Format" to be either "Mapped(%)" for percentage mapping or "Mapped(points)" for point mapping. As before, the mapping still need to be set up in the "Grading Key Items" screen to determine what grade the 50% (or 5 points) would be mapped to. 3) New display option: Line Item List. This option allows the line items in a subject to be displayed as a single list. Any line item that does not have a grade of "Y" for the current marking period will be displayed as crossed out. Additional setup is needed to implement this item on existing report cards. Example: Subject: Can count to 10 Line Items: If any line item's grade is not "Y", then the item will appear crossed out. So, if a student could only count to 8, then 9 and 10 would be crossed out. To use this item, place a check in the Subject's "Line Item List" field (Admin > Standards-Based Report Cards > Subjects) and contact K12 to have them help modify the report card display to use this new option. 4) Line Items can now have their formatting adjusted for how they display on the teacher entry pages. Districts may want to do this to make certain line item pop out more for the teacher when grades are being entered. This can be done from the Edit Line Items screen: 16 of 18

17 Enhancement List for ElementaryReportCard for release 8 (Admin > Standards-Based Report Cards > Line Items) Enter any valid CSS code into the field "Extra styles". Example: to bold a line on the entry screen "font-weight:bold;" 5) Setting which school buildings use the Elementary Report Card for grading can be adjusted using the School screen in the SIS: (Admin > School) This option will only take affect after a district has been set up to use the Elementary Report Card by K Changes for Teachers Enhancement Changes for Teachers The following items are updates to the Elementary Report Card that Teachers should be notified of: 1) When a grade is a default (Default Grade, Follow Grade, or Pulled From Gradebook) but not yet saved, the grade appears in green and is bolded. This is to indicate that this grade was entered on the screen by the system (and not the teacher), but has not yet been saved. 2) When entering assessment grades "By Subject" and working on the first student in the list, the teacher can copy that student's grade to all other students by clicking on the "Copy grade to all students" button which appears next to the grade being entered. This is to allow teachers to quickly give all students the same grade. The teacher can then go through and modify just the students whose grades are different. 3) When entering subject comments "By Subject" and working on the first student in the list, the teacher can copy that student's comments to all other students by clicking on the "Copy comment to all students" button which appears next to the comment being entered. 4) Comments saved for other marking periods are now visible (but read-only) when entering comments in both the "By Student" and "By Subject" areas. This allows teachers to view the comments given previously which might affect the comments they give in the current marking period. 5) Student alerts (Medical and IEP/GIEP/504) have been added to both Assessment By Student and Assessment By Subject grade entry screens and appear next to student names. 6) A "View Student Contact Information" button has been added next to each student's name on both the Assessment by Student and Assessment By Subject screens. Clicking this button will display enrollment and contact information about the student. This functions the same way that the similar button in the Gradebook's main screen does. 7) Homeroom teachers can now generate report card previews from the Assessment By Student selection screen by clicking on the "Print" button next to a student's name. This saves the teacher from having to open up each student and then clicking on the preview button. 4. Enhancement Enhancement New Year-Specific items have been added to the Elementary Report Card edit screen: (Admin > Standards-Based Report Card > Report Card) 1) IEP 2) ESL 3) Math Support 4) Reading Support 5) IST Adaptations 17 of 18
