2 Overview UPS Freight will provide transportation of donated textbooks to Oklahoma City, OK for consolidation and transport to 3 rd World English speaking countries. Textbooks that are being retired will be collected and consolidated onto pallets for donation to schools in 3 rd World English speaking countries. Textbooks will be shipped primarily from schools but may also be shipped from hospitals, universities or other donation drop sites. Pricing has been established for reduced pallet rates. Fuel Surcharge will be applicable as per the DOT National Average. All other accessorial charges are waived with the exception of Liftgate, which has been reduced to $ UPS Freight 2

3 Scheduling with UPS Freight Pick ups are to be scheduled by Rotary Club Members by calling the UPS Freight Books Project Representative, Charlotte Crawford at or Charlotte will arrange for a driver to pick up the pallets, provide rate quotes and answer any questions. Charlotte will complete a Bill of Lading (BOL) and it to the Shipper (Rotary Club Member or school) with a cc to our origin Service Center, Don Davis and Margie McClure: ddavis@ddaviscpa.com, mmcclure@ddaviscpa.com Rotary Club members will need to provide the following when calling to arrange for UPS Freight to send a driver to pick up their books: *Address of location where books are to be picked up *Number of pallets *Approximate weight of shipment *Lift gate requirement *Contact name and phone number at pick up location Shipment must be readily accessible when driver arrives in a tractor / trailer. 4 Billing Freight Charges can be paid either by giving the UPS Freight driver a check at the time of pick up OR UPS Freight can mail an invoice to the responsible Rotary Club. Invoices for freight charges will be mailed the day after shipment and are due for payment within 15 days. Any past due freight bills will be sent to: Don Davis D. Davis & Company 222 W. 5 Steps for preparing a shipment for transport Sort Spanish from English. Box the books. Mark a large E on the English language books and a large S on the Spanish language books. Palletize separately. Palletize the boxes on a 48 x48 x42 pallet. Make sure the E or the S faces the outside of the pallet so it can be quickly identified when it reaches the warehouse. Stretch wrap 5 layers, tying the wrap to the bottom of the pallet. If using colored wrap, mark the outside of the pallet with and E or an S. Label the shipment showing the full name and address of both the Ship From and Ship To locations. If a scale is not available, estimate the weight of the shipment. (UPS Freight will weigh the shipment at their dock.) Contact UPS Freight Dedicated Associate, Charlotte Crawford at or , who will assist with rates, arrange for a driver to pick up the pallets and a copy of the Bill of Lading. UPS Freight 5

6 Guidelines on stacking boxes on pallets Building the pallets properly is important for the survivability of the books for land and sea transport. The boxes on the bottom must be solid. Books must be shipped in boxes To maximize carton strength, stack the pallet vertically Secure cartons to the pallet of stretch-wrap we recommend 5 layers of wrap Tie the stretch wrap to a corner of the pallet and include the pallet when wrapping to prevent the books from shifting during transit. Place cartons squarely on the skid with no overhang; Be sure the top surface is flat Limit the height of cartons to 48 inches. UPS Freight 6

7 Labeling Pallets Accuracy and consistency are vital when you are preparing your freight for shipment. Labels clearly showing the Shipper and Consignee name and complete address should be applied to all 4 sides of the pallet and secured with shipping tape. The Shipper address should reflect the location where the books are being picked up. The Consignee address will always be: Be sure all labels are legible and complete. The shipper name must show Rotary District 5790 Books Project in order to quality for the reduced pricing. See example on the following slide. Upon arrival to pick up the shipment, the UPS Freight driver will apply Pro number labels to the pallet and the Bill of Lading for tracking purposes. The driver will take 1 copy of the Bill of Lading and leave a copy with the shipper. UPS Freight 7

9 Rate Structure Rates will be simplified and expressed in $ per pallet. Lift gate charges of $50 per shipment will apply if shipping location does not have a dock or a forklift. Fuel Surcharge will apply based on the DOT National Diesel Fuel Average, updated every Monday.
