3 CONTACT INFORMATION Holiday Mart is organized and executed by a committee of more than 50 women volunteers. Each retailer is assigned a member of the Holiday Mart Retail Committee as a point of contact. This member will serve as your Retail Concierge and will send reminders for upcoming deadlines, answer any questions and provide updates for the show. This manual will guide you through the process of exhibiting at Holiday Mart It outlines the logistics prior to and during the show and includes helpful hints to make Holiday Mart a success. Please reference this manual for promotional information and ways to maximize your exposure at Holiday Mart as well as operational recommendations for smooth move-in, run of show and move-out. 5 ABOUT About the Junior League of Kansas City, Missouri The Junior League of Kansas City, Missouri (JLKCMO) is a 501(c)(3) organization of women committed to promoting voluntarism, developing the potential of women and improving communities through the effective action and leadership of trained volunteers. Its purpose is exclusively educational and charitable. We believe effectively trained volunteers make our community a better place. We accomplish our mission by: Providing a motivating and supportive environment that stimulates members. Increasing our impact in the Kansas City community by effectively coordinating our resources with community needs. Maintaining financial stability through our endowed funds and fundraising events. Providing comprehensive training opportunities to develop volunteers to better serve the community. The JLKCMO reaches out to women of all races, religions and national origins, who demonstrate an interest in and commitment to voluntarism. Our League currently numbers nearly 1,400 strong. We are women who work full-time, parttime and in the home; single women, married women and mothers. We are women who share diverse interests and backgrounds as well as a desire to improve our community through volunteer action and grant-making. Since 1914, our League has supported more than 350 community agencies and organizations. Since the League s inception, we have given our community more than $17 million and over 2.4 million hours of volunteer time. A significant source of those funds comes from fundraisers like Holiday Mart. About Holiday Mart Holiday Mart is the JLKCMO s largest fundraiser. This upscale shopping extravaganza has been a fall tradition for thirty years! With more than 200 specialty retailers and nearly 21,000 shoppers, the proceeds from Holiday Mart support community projects sponsored by the JLKCMO. Since it began in 1988, Holiday Mart has helped to raise more than $10.4 million that has supported our mission and contributed to causes such as increasing literacy and reducing childhood obesity. Beginning in 2015 our community efforts have focused on the topic of Women and Children with signature programs related to the issues of abuse and neglect, women s self-sustainability and childhood development. By choosing to exhibit at Holiday Mart you are helping to make a difference in the Kansas City community far beyond your time at Bartle Hall! 4

6 HOTEL INFORMATION We have a block of rooms at the Holiday Inn Aladdin, which is located at 1215 Wyandotte, Kansas City, Missouri, just a block away from Bartle Hall. 7 BOOTH & STORAGE ASSIGNMENT INFORMATION Booth Assignment Information Booth assignments are made based on the following: 1. Booth preferences submitted during the application process 2. Needs of the show 3. Timely return of signed contract with full payment 4. Category distribution Once your executed contract, full payment and Retailer Show Form are received, you will receive a letter that includes your booth assignment. Please see the Holiday Mart 2017 map for location. Storage Assignment Information Storage assignments were given on a first-come, first-served basis when your signed retailer contract, valid certificate of insurance and full payment were received. Exact location will be provided at move-in. If you have not yet purchased storage space, you can still request storage, but assignments are made with priority based on payment date. Storage and dock space will open 1 ½ hours prior to the show and close 30 minutes after the closing of the show each day. 1. Storage of merchandise or materials in the paid storage section on the show floor begins at 11 am on Wednesday, October 18, All trailer storage spaces located in Bartle Hall will be available beginning at 8 pm on Wednesday, October 18, All trailers dropped in Bartle Hall must display their booth number sign. 3. All dock storage space will be available beginning at 9 pm on Wednesday, October 18, Before this time the docks will be used for move-in of other retailers. All vehicles parked at the dock storage must display their booth number sign. 4. In order to enter the storage area, you must have a retailer name badge. No one will be admitted without a name badge. 5. All persons entering the storage areas will be required to sign in and sign out of the storage area. 6. The JLKCMO is not responsible for any lost or stolen items. 7. All vehicles parked in the retailer designated parking area must display their booth number sign at all times. Vehicles in this area without the booth storage sign will be towed at owner's expense. 8. All vehicles must be removed from dock storage by 5 pm Sunday, October 22 to allow retailers the use of the dock for move-out. *All payments must be received by August 15, 2017 to secure storage location. 6

8 BOOTH SIZE REGULATIONS Per your retailer contract, all of your goods and displays MUST be inside of your booth space. This means that you MUST be within your pipe and drape area. There should be a 6 break between the edge of the carpet and the beginning of your booth. 1. Booth Configuration Retailer s merchandise and display, including waterfalls, must stay within the limits of the purchased booth size set forth by the poles and not the carpet. 2. Violation of Terms We are working hard to maintain strict fire codes as set forth by the Fire Marshall. If Retailer does not stay within Retailer s booth boundaries and has any merchandise or display materials extending into the traffic flow areas, the Retailer will be given a written warning once by the Holiday Mart 2017 Retail Chair. The Retailer will be required to move offending materials back into their booth. If the situation is not corrected after such warning, Retailer will be assessed a $100 fee for every time the Holiday Mart 2017 Retail Co-Chairs have to request the removal of merchandise from traffic flow areas. Retailer shall also comply with all fire codes and all other rules, regulations, codes, or statutes with respect to the installation, conduct, or disassembly of its exhibits. 9 2017 MOVE-IN REQUEST, PROCEDURES AND SCHEDULE Please complete the 2017 Show Request Form on your Merchant Profile with your TOP THREE choices for your move-in time. If you do not request a time, a time will be selected for you. Scheduled times are for check in and unloading only; retailers still have the remainder of the scheduled move-in hours to set up their booth display. In order to ensure that move-in is efficient for all retailers, we appreciate your cooperation in adhering to the following policies. Times are slotted on a first-come, first-served basis when you returned your signed retailer contract, valid certificate of insurance and full payment. Your assigned day and time will be ed to you. Please review the following procedures prior to the show. They will be strictly enforced during move-in. Each retailer must check-in at the Retailer Registration Desk (located just inside the West Dock) prior to unloading. Once checked in, you will receive a pass allowing your vehicle access to the show floor. Access will not be allowed on the show floor without this pass. Each retailer will have a scheduled time to unload his or her vehicle(s) or trailer(s). All food retailers must be moved in prior to noon on Wednesday, October 18 due to the City of Kansas City, Missouri s health inspection process. All retailer personnel must wear a show badge at all times (badges will be provided at check-in). Retailers will not be allowed to unload materials at the docks outside of their scheduled move-in time. If a retailer misses their scheduled move-in time, they will be allowed to unload as space becomes available, first-come, first-served. Fern Exposition & Event Services manages all shipments in advance of the show. All shipments will be delivered by Tuesday, October 18, at 3:00 pm. Please do NOT send packages to hotels. Vehicles 7 ½ feet wide and smaller will be allowed on the show floor beginning at 1 pm on Monday (only if the carpet has not been put down and space is available). No vehicles will be allowed on the show floor on Tuesday or Wednesday or after the carpet has been put down. Please request a Monday move-in if it is necessary for you to drive on the floor. All vehicles must be turned off while on show floor. All retailers will be restricted to a designated route when driving onto the show floor. To eliminate congestion on the show floor, retailers may be asked to move their vehicle or trailer to the dock area before fully unloading. All vehicles must be removed from the show floor promptly upon completion of unloading or at the end of their scheduled move-in time. If additional time is needed please contact Bartle Hall staff at the Retailer Registration Desk. No vehicles will be allowed to park in the dock areas during the show unless they have paid for one of the dock storage slots or trailer storage. All vehicles must be parked in the designated retailer parking lots if they are not parked in the paid dock storage or trailer. See the 2017 Show Request Form on your Merchant Profile to provide vehicle information. Vehicles that do not comply with these guidelines will be towed at the owner s expense. All vehicles and trailers must have a booth number sign (provided at the Retailer Registration Desk during check-in) in the window at ALL times throughout the week of the show or they will be towed at owner s expense. The show floor will be open for complete booth set up from 1 pm to 10 pm on Monday and from 8 am to 10 pm on Tuesday and Wednesday. The JLKCMO, Fern Exposition & Event Services and the Kansas City Convention Center are not responsible for providing such equipment. 8

10 INSURANCE INTENT Each retailer is required to provide insurance coverage for your operations during your participation in Holiday Mart This may be satisfied in ONE of the following ways: Option 1: PURCHASE INSURANCE THROUGH the JLKCMO provided by BUKATY COMPANIES PROPERTY AND CASUALTY. If you need to purchase insurance coverage for the show, complete this information on the 2017 Show Request Form on your Merchant Profile. The $65 fee will be applied to your Merchant Profile or can be paid with a check made out to the Junior League of Kansas City, Missouri. Option 2: PROVIDE PROOF OF YOUR OWN INSURANCE If you are providing proof of your own insurance, please have your agent send or fax the certificate of insurance to: Junior League of Kansas City, Missouri Holiday Mart ATTN: Holiday Mart 2017 Retail Co-Chairs 9215 Ward Parkway Kansas City, Missouri FAX PLEASE NOTE: If you sent in your insurance when you applied to the show, please compare it to the example on the following page. Please ask your agent to make corrections as applicable. The certificate needs to state that the additional insured provision, per the sample attached, is included for the period of October 17-October 23, We find it is helpful if you forward the example to your agent. Please complete the 2017 Show Request Form on your Merchant Profile and provide Proof of Insurance to the JLKCMO at the address provided above by September 1, You will not be allowed to set up on the showroom floor without this proof of insurance. 9

12 SHOW BADGES REQUEST AND POLICY Everyone will be required to wear the official Holiday Mart 2017 show badges at all times from move-in through tear-down while at the Bartle Hall Kansas City Convention Center. The badges will be provided to each retailer at check-in and quantity will be determined based number requested on the 2017 Show Request Form located on your Merchant Profile. Additional badges may be requested at the Retailer Registration Desk located just inside the South Dock. During show days, employee badges not retrieved during move-in may be picked up beginning 30 minutes prior to the show opening at the Retailer Badge Pick-Up Desk located the 2300 Lobby (on the lower level of the Bartle Hall Kansas City Convention Center inside the southern entrance off of 13th Street and down the hallway). A signature is required to receive a badge. Badges to be used the next day by a different employee must be turned in to the Retailer Badge Pick-Up Desk for overnight storage. Please refer to the 2017 Show Request Form located on your Merchant Profile for any questions you have regarding your badge number request. PARKING PASS REQUEST Free retailer parking will be available during the week of the show (October 19-22). Please indicate the type and number of vehicles you will be using during move-in and during the duration of the show so we can assign parking accordingly. There are a limited number of reserved parking spaces available and they will be assigned on a first-come first-served basis. Free parking will be available for booth workers at Kemper Arena Thursday to Sunday. A shuttle will run every 15 minutes from this lot to Bartle Hall. Please visit holidaymartkc.com for additional parking information. You will receive the specific address and location to park once you check in at the show. Please refer to the 2017 Show Request Form on your Merchant Profile for any questions regarding your preferences on parking. 11

13 STORAGE REQUEST We will be offering each retailer a free 5 x 10 secured storage space a $150 value! This complimentary free storage will be located on the show floor. Additional storage space can also be purchased per the rental fees below. We will continue to offer dock spaces and trailer storage on show floor. Retailers interested in trailer storage can park their unhitched trailers for the duration of Holiday Mart in an assigned storage space. No gas-operated vehicles are allowed to be parked in the trailer storage area. Covered parking is not available as a storage option. For security purposes, all storage will be limited to the dock spaces, show floor level storage and trailer parking storage on show floor. All secured storage on the show floor level in will be taped off to mark your assigned space and monitored by JLKCMO volunteers. Storage location will be assigned by the Retail Committee and will be determined by the retailer s booth location. Only those with a show badge will be allowed in the storage areas. Trailer storage space will be accessible starting 8:00 pm on Wednesday, October 18. Retailers who purchase dock space will be able to park in their assigned storage space beginning at 9:00 pm on Wednesday, October 18. The South Dock will be used for retailer move-in prior to these times. Beginning Thursday, October 19 at 7:30 am, ground and trailer storage on the show floor level will be monitored by JLKCMO volunteers during designated access hours. During the show, October 19-22, show floor level and trailer storage will remain open 1 ½ hours before the show starts until 30 minutes after the show closes. All storage will be assigned on a first-come, first-served basis after your signed retailer contract, completed 2017 Show Request Form, valid certificate of insurance and FULL payment (including payment of all booth and storage fees) have been received. Please complete the 2017 Show Request Form by September 1, 2017 if you desire storage. 14 TREASURY POLICIES AND PROCEDURES The following are the treasury policies and procedures for Holiday Mart Please read through them carefully. The current tax rate will be posted at check-in time. Retailers are responsible for their own start-up cash. The JLKCMO will not provide retailers with change for their start-up cash. 1. Retailers must furnish their own cash box, receipts or other cash controls. 2. Retailers must supply their own charge-card equipment and supplies. 3. Although the Holiday Mart committee has arranged for security guards to be available during the entire show, we are not responsible for your cash or receipts at any time. 4. For your convenience, an ATM is available on the show floor at the top of the southeast escalator by concessions. The Holiday Mart Treasury cannot cash personal checks. RETAILER CASH EXCHANGE POLICY Retailers can exchange large bill denominations for smaller bills or rolls of coins during event hours at the control booth located in the northeast corner of the show floor by retailer secured storage. Coin wrappers will be available at the control booth. The JLKCMO will not exchange small denomination bills for larger denominations. If you have large amounts of cash, we recommend that you visit the Control Booth to cash in or sell your excess cash to the Treasury. Cash will be accepted before 8 pm on Thursday and 8 pm on Friday, before 5 pm on Saturday and until 1 pm on Sunday. You will be able to pick up a check from the Treasury for all monies cashed in during Holiday Mart 2017 on Sunday, October 22, at 3 pm at the Control Booth. No checks will be made out to individuals. 15 MISSOURI DEPARTMENT OF REVENUE Effective January 1, 2016, the Missouri Department of Revenue requires all merchants to have their own Missouri Tax Identification number if they make sales at retail. Unregistered merchants will need to contact the Missouri Department of Revenue to obtain a sales tax license. See for additional information. How do I apply for a Missouri Tax Identification number? The Missouri Department of Revenue has created 2643S, Missouri Special Events Application for special event vendors. The form may be accessed here or by calling Each retailer should apply well in advance of the 2017 Holiday Mart business activities. If you have questions regarding sales tax and special events, please contact the Missouri Department of Revenue at (573) or businesstaxregister@dor.mo.gov. FOOD & BEVERAGE PERMITS All retailers are required to follow the guidelines outlined in the contract, including those pertaining to food and beverages. Any food and beverage retailer providing product samples is required by the City of Kansas City, Missouri to obtain a Health Permit and pay a $177 fee. Please review and complete the Health Permit form (link below) and return to the JLKCMO by August 25, Please enclose a check for $177 payable to JLKCMO with your completed Health Permit form or pay the fee on your Merchant Account. The JLKCMO will then submit payment for the food permit to the City of Kansas City, Missouri on your behalf. In order to streamline the process, we will arrange food and beverage inspections with the City of Kansas City, Missouri. Specific times for your food inspection will be assigned once we have arranged our schedule with the city. Please indicate on your 2017 Show Request Form located on your Merchant Profile if you need a hot or cold food inspection scheduled. Items for your review or completion by August 25, 2017: Kansas City, Missouri Health Permit complete and return to JLKCMO: Aramark Retailer Food Sampling Guidelines Check for the amount of $177 made out to the Junior League of Kansas City, Missouri mailed to JLKCMO. Retailer Sampling Guidelines see next page. If you do not provide the proper documentation stated above, you will not be able to participate in Holiday Mart Please make photocopies of all forms to keep in your records. 16 JINGLE BUCKS DRIVE TRAFFIC TO YOUR BOOTH Jingle Bucks is an opportunity for shoppers to purchase gift certificates to participating retailers at half price. This promotion quickly sells out every year and helps generate traffic to your booth. How it works: To create an ample supply for our shoppers and generate excitement and traffic to our retailers, we are requiring all retailers to provide at least $50 in gift certificates (Jingle Bucks). These gift certificates are redeemable during Holiday Mart 2017, October 19-22, Certificates will be grouped by retail category and placed into sealed envelopes, which will be sold by JLKCMO volunteers during the show. Each envelope will contain a minimum of $50 in gift certificates from different retailers in the same category or as much as $100 in gift certificates. Certificates will specifically state they cannot be combined. Denominations can be designated on the 2017 Show Request Form located on your Merchant Profile. The advantage for Retailers Shoppers with gift certificates often spend more money than the value of their certificate. Increases traffic and builds awareness with shoppers who may not have otherwise visited your booth. The Jingle Bucks promotions in 2016 were so successful they sold out by Friday night. The advantage for shoppers The value of the gift certificates is at least two times greater than the cost of a Jingle Bucks envelope. The ability to choose the category of merchandise that interests them before purchasing the Jingle Bucks envelope. 15

17 Located at the Kansas City Convention & Entertainment Facilities 13th Street Office: Fax: RETAILER SAMPLING GUIDELINES The practice of retailers bringing in their own food or beverage, including alcohol, is in direct conflict with the ARAMARK exclusive contract at the Kansas City Convention & Entertainment Facilities. Therefore, it is our policy that any retailer who is providing ANY food or non-alcoholic beverage item be required to notify ARAMARK in writing as to the nature of the proposed product give-away (fees are applicable unless waived by ARAMARK or purchased through ARAMARK). ARAMARK and the Kansas City Convention & Entertainment Facilities require all beverage and food samples to a specified portion size limit. Any retailer providing samples of food and beverage samples must operate within the local Health Department guidelines listed below. Food Sample Guidelines Portion size shall be one (1) ounces or smaller Product must be processed, pre-packaged and distributed by the manufacturer requesting permission. Non-Alcoholic Beverage Sample Guidelines Portion size shall be no greater than two (3) ounce cups Product must be pre-packaged and distributed by the retailer requesting permission. Alcoholic Beverage Sample Guidelines Samples are limited to 1 ounce of beer or wine and 1/2 ounce of spirituous liquors. Retailers who would like to provide any mixed alcoholic beverage samples needs to purchase the alcohol from ARAMARK and allow an ARAMARK bartender to prepare and serve the mixed alcoholic sample beverage Samples are can only be served to persons 21 years of age or older. Each booth must provide a visible sign, stating: Guests must be 21 years of age, and provide a valid photo I.D. to enter and sample alcoholic beverages. If your samples do not come pre-packaged or require preparation, you MUST obtain a health permit (see page 14). 16
