The product was expected to address the issues faced by automobile giants due to vulnerabilities of the developing African economy and few other problems like inventory theft, delayed shipment and the need of double verification of inventory in the African province. After understanding the nuances of the process, client needed a development partner to design a robust mobile application that can be integrated with all the legacy systems. 3 Cygnet s Solution Cygnet delivered comprehensive mobile development services to develop an Enterprise Mobile Application for a South African warehouse unit of the Automobile Giant. The app was installed in specialized Android based Honeywell s CN51 Handheld Devices. The Warehouse Management Software (WMS) was developed for two kinds of users Checkers and Supervisors with usage and access authority allotted according to the inbound and outbound processes of Automobile Industry and work culture of the African continent. The enterprise mobile app had 11 modules that Digitized the whole Inbound and Outbound Process. Following were the modules that enabled secure and efficient Inventory Management: NOTE: Each checker and Supervisor had their own unique device with the application installed on it. And each checker and supervisor had their own unique login credentials. Inbound Process Following were the modules that empowered organization to establish virtual verification of Inbound goods and inventory: Module 1: Receive Inbound Delivery Checker: The checker had to fill all the necessary details about the goods received and the system verified the authenticity of the details with the EVS such as the unique pallet number, scanned barcode. The quantity was manually entered and was then verified by the supervisor. Supervisor: To avoid human influence and possibility of fraud, the application hid the quantity of goods entered by the checker, from the supervisor. Supervisor had to manually enter the quantity and then the app matched the quantities entered by the checker and supervisor. Discrepancy: If there was a discrepancy in the data entered by the checker from the data entered by the supervisor, checker deviation was created and supervisor had to endorse the deviation with valid reason. If discrepancy was found in the data on the central server and the data entered by the supervisor, the application created a Receipt Deviation where the case was escalated to the concerned Authority. Module 2: Weight Handling Unit Another important factor of inbound process was weight of the Handling Unit (HU). The checker had to manually enter the weight of the HU in the application along with other important details like Unit of Measurement, Reference Type etc. The weight of each HU entered by the checker was verified with the weight entered by the supervisor. In this module, the discrepancy was treated in the same manner as treated in the goods receipt module with checker deviation and receipt deviation. Module 3: Check receipt by the item To increase the authenticity of the inspection of the items, the application compelled the checker to scan the barcode of each item of the HU and then enter the total quantity of items inside the HU on the application. The scanned barcode got verified in real-time with the data on the Advanced Notification Server. The quantity of the items needed was verified by the comparison of quantities of items entered by the supervisor and the checker from their respective devices. In this module, the discrepancy was treated in the same manner as treated in the goods receipt module with checker deviation and receipt deviation. Module 4: Receipts Awaiting Completion To make sure no inventory skipped the verification process, the application facilitated checker with an option to check the items that were received but were awaiting completion. Also, the application wouldn t close one inbound process cycle unless all the items were checked and verified by the checker and the supervisor respectively. Module 5: Record an Event This module was for supervisor where incase the goods when verified were found broken or damaged, the supervisor could report and record the event. Module 6: Complete Receipt and Dispatch Once supervisor verified that all the items were unloaded from the cargo and all the essential documents were signed, stamped and handed to the driver, a backend task for the application was generated to verify the details entered by the supervisor with the details present on the EVS and the process would be completed only when there were no discrepancies found.

4 Outbound Process Advanced Notification Received The modules in the outbound progress covered packing, dispatching and weighing procedures. Following were the details managed by the application to establish a complete virtual verification loop: Goods Receipt Weight of HU Item Verification Receipts Complete Receipt Module 7: Pack Order The application automatically pushed the pack order notification to the checker. The checker would then scan each item that was to be packed in the Handling Unit and to avoid any sort of error and fraud, application verified the scanned items from the data available in the backend server. Apart from the items, checker also had to select the type of Handling Unit that was used, i.e. whether he used Goods Arrival INBOUND PROCESS OUTBOUND PROCESS EVS AVS New Handling Unit Change Handling Unit Dispatch Delivery Dispatch Packing Weight of HU Pack Order Split Handling Unit (segregate items in different HU from combined) Combine Handling Unit (combine items in one HU from separate HU) EVS - Electronic Verification Server AVS - Advanced Verification Server In-case of discrepancy in the data entered by the checker and the data in the server, the supervisor had to rescan the items and pack the correct order in the HU. Module 8: Weight Handling Unit: Just like inbound process, the HU packed were weighed by the checker. The data entered by the checker was verified with the data present on the backend. Here if the discrepancy was found, the checker got notification and the checker then had to inform the supervisor about the same. The supervisor then would re-enter the weight from his device and if the discrepancy still prevailed, the supervisor then could endorse the discrepancy. Module 9: Packing awaiting completion The application facilitated the checker with the information regarding the orders that were received but still awaited packing. Module 10: Dispatch awaiting completion In this module, the checker got information about the goods that were packed but were awaiting dispatch. The checker got details like Dispatch Reference Number, Transporter and Address to efficiently track the issue in the dispatch of the order Benefits Module 11: Dispatch Delivery Once all the packed goods were dispatched and there were no discrepancy reports pending to be resolved, application automatically generated the HU list about all the HU that were dispatched and exported the data in the backend server for report generation.
