4 Item Transfers In SIMMS, an item transfer is the physical movement of a stock item from one location to another. Item transfers can be performed for the following reasons: To replenish the stock in a location for a certain item. To move stock from one branch to another. To consign stock to a location for the benefit of a customer, such as from a holding location to a location directly assigned to a customer. To provide stock for a kit building (BOM) project. To provide stock from another location to fill a backorder. Transferring an Item You enter item transfers in the Transfer window. This window is divided into three panes: Header Where you enter your basic document information and the initial and final location for your transfer. In addition, in the Header pane you can link your transfer to a kit project and its stage. Bill/Ship To Address Where you select or type the bill-to and ship-to address for your transfer. Details Where you enter in the Details grid the item you want to transfer. If an item you are transferring requires a serial number, you select or enter that serial number in the Serial Number Manager. Enter the Header Information for a Transfer 1. On the Modules menu, point to Transfers, and then click Inventory Transfer. SIMMS 7.3 Item Transfers November 22,

5 The Transfer window opens. Your initial and final location for your transfer are selected from these lists. If you are linking your transfer to a project, you select the project and the project s stage from these lists. Figure 1: Transfer window. 2. In the Document Number text box. type a document number. 3. Under Default Locations, in the Initial Location list, select the location your item is originating from. 4. In the Final Location list, select the location your item is going to. 5. If you are linking this transfer to a project in the Project Manager do the following: a. Under Link to Kit Project, in the Project list select your project. b. In the Stage list, select the project s stage you want to link to this transfer. 6. In the Proposed Receiving Date box, click the arrow, and then choose a date. The Proposed Receiving Date box is not available if you automatically confirm transfers. 7. For the Bypass Shipping Manager option, do one of the following: If you want SIMMS to automatically confirm your transfer as received, click the Bypass Shipping Manager check box, and then in the Actual Receive Date box, click the arrow and select a date from the calendar that displays. 2 November 22, 2010 SIMMS 7.3 Item Transfers

6 The date you select is when SIMMS shows that your item is on-hand in its final location. If you want to manually confirm the receipt of a transfer, clear the Bypass Shipping Manager check box. Figure 2: Bypass Shipping Manager option (Item Transfer window) SIMMS removes the item from its initial location and shows your item in its final location with the status of in transit. When you manually confirm the receipt of your transferred item, SIMMS changes the status of the item from in transit to on-hand. Note: The Bypass Shipping Manager option is not available if you have the Auto-Receive for Receipts and Transfers option selected in Global Settings. Select the Bill/Ship-To Address for a Transfer 1. In the Bill/Ship-To Address pane, in the Bill-To list, select the bill-to address for your transfer, or type the address in the appropriate text boxes. 2. In the Ship-To list, select the ship-to address for your transfer, or type the address in the appropriate text boxes. Select an Item to Transfer 1. In the Details pane, click the Description field, and then click the Search icon that appears. Click the Search icon to open the Enhanced Search dialog box, and then find and retreive the item you want to transfer. By default, SIMMS enters the quantity of the item you want to transfer as one. You can increase this quantity if you like. SIMMS 7.3 Item Transfers November 22,

7 The Enhanced Search dialog box opens. 2. In the Description text box, type the description for your item, and then click Find. Your search results are listed in the Enhanced Search grid. 3. Select your item in the grid, and then click Retrieve One. The Enhanced Search dialog box closes. SIMMS enters your item s description, code and related information in the Details grid of the Transfer window. 4. In the Transfer Qty field, type the quantity of the item you want to transfer. 5. If required, assign serial numbers to your item, otherwise click the Save icon on the toolbar. Assign Serial Number to An Item Once you selected the initial and final location for your transfer and entered a serialized item in the Details grid, you assign a serial number to that item. 1. In the Transfer window, click the Serial Number icon on the toolbar. The Serial Number Manager window opens. 2. Click the Insert link at the bottom left of the Transfer window. 3. Do one of the following: If no serial number has already been assigned to the item in SIMMS, in the Serial Number column, type the item s serial number. 2. Click the link and the items appear in the grid above. 1. Type in number of serial numbers you need to assign. 3. Type in the serial numbers for the items. 8 the serial number you want to choose for the transferred item. 4. Click the Save Serial Numbers link, and then click the Close link. Once you have assigned a serial number to your item, return to the Transfer window to complete and save your transfer. Save a Transfer 1. To complete the transfer, click the Save icon. SIMMS prompts you to print the transfer document, and then prompts you to print the Transfer document and Bill of Lading. The transfer will be complete once it has been confirmed. Confirming Transfers Transfers are confirmed in two ways: automatically or manually. By default, SIMMS confirms transfers automatically. This means that as soon as you save your transfer, SIMMS immediately shows the item as being on-hand in its final location. When you confirm a transfer manually, SIMMS removes the item from its initial location and shows your item in its final location with the status of in transit. After you manually confirm the receipt of your tranferred item, SIMMS changes the status of that item from in transit to on-hand. Automatically Confirm Transfers By default, SIMMS confirms transfers automatically. If for some reason this option is not selected and you want to confirm transfers automatically, do the following: 1. On the Setup menu, point to Settings, and then click Global Settings. 9 2. Click the Purchasing tab, and then click Use Auto-Receive for Receipts and Transfers. 3. Click Save. To ensure your changes take effect, close SIMMS and log back into SIMMS. Manually Confirm a Transfer Before you can manually confirm transfers you need to deselect the Use Auto-Receive for Receipts and Transfers check box in Global Settings. Go to Setup > Settings > Global Settings > Purchasing tab, and then clear the Use Auto-Receive for Receipts and Transfers check box. To Manually Confirm a Transfer: 1. On the Modules menu, point to Transfers, and then click Transfer Confirmation. The Item Transfer Confirmation window opens. 2. Click the Item Transfer option, and then click the Show all transactions check box. 3. To view the details of a transaction, click your transaction s line item and then click Details. Your transfer opens in the Transfer window. Figure 5: Transfer window 4. Return to the Item Transfer Confirmation window. In the Received column, click the check box for the transfer you want to confirm. 5. Click Save. 6 November 22, 2010 SIMMS 7.3 Item Transfers

10 If you return to the Transfer window, the Actual Receiving Date box shows the date you confirmed your transfer. Transfering Items in the Project Manager Transfer Items to a Project When you transfer an item to your Kitting (BOM) project, you can link that transfer to a specific project and a project s stage. The item transferred and related information is automatically entered in the Assign Material grid of the Project Detail window. Note: When you transfer an item to a project close all project related windows, including the BOM Project and Project Detail windows. SIMMS needs to lock these windows in order to update the information in them. To transfer an item to a project do the following: 1. On the Modules menu, point Transfers, and then click Inventory Transfer. The Transfer window opens. Figure 6: Transfer window 2. In the Document Number text box, type your document number. 3. In the Initial Locations list, select the location your item is originating from. 4. In the Final Location list, select the location to which you are transferring your item. 5. In the Project list, select your project. 6. In the Stage list, select the appropriate stage of your project. 7. In the Proposed Receiving Date box, click the arrow and then select the receiving date from the calendar. SIMMS 7.3 Item Transfers November 22,

11 Once you have entered the information in the Header pane, you add the item being transferred to your project in the Details pane. 8. Click in the Item description field, and then click the Search icon that appears. The Enhanced Search dialog box opens. 9. In the Description text box, type the description for your item, and then click Find. Your item is listed in the Enhanced Search grid. Figure 7: Enhanced Search window 10. Select your item in the grid, and then click Retrieve One. The Enhanced Search dialog box closes. SIMMS enters your item s description and item code in the Details grid of the Transfer window. 11. In the Transfer Qty field, type the quantity of the item you want to transfer to your project, and then click the Save icon on the toolbar. 12 Backordered Items from a Transfer If there is insufficient stock for a transfer, you can place the item on backorder and then complete the transfer when your stock is replenished. You manage your backordered items from a transfer in the Backorder Manager - Transfer window. View Backordered Items from a Transfer 1. On the Modules menu, point to Transfers, and then click Backorder Manager. The Backorder Manager - Transfer window opens. 2. Click Preview. SIMMS lists your backorders in the Backorder Information grid. Create a Purchase Order for a Backordered Item 1. On the Modules menu, point to Transfers, and then click Backorder Manager. The Backorder Manager - Transfer window opens. 2. Click Preview. SIMMS lists your backorders in the Backorder Information grid. 3. In the Select column of the grid, click the check box for the item you want to create a purchase order for. 4. Click Create PO. The Reorder Purchase Order window opens. SIMMS enter your backordered item in the grid. Figure 8: Reordering Purchase Order window 5. In the Document Number text box, type a document number. 6. In the Vendor list, select a vendor. 13 7. Click Create PO. SIMMS creates your purchase order. Next you need save your newly created purchase order in the Transaction Manager. 8. Open your purchase order in the Transaction Manager. 9. Make any edits to your purchase order (such as the quantity of the item being purchased) and then click the Save icon the toolbar. Create a Transfer for a Backordered Item 1. On the Modules menu, point to Transfers, and then click Back Order Manager. The Back Order Manager - Transfer window opens. on Figure 9: Backorder Manager - transfer window 2. Click Preview. SIMMS lists your backorders in the Backorder Information grid. 3. In the Select column, click the check box for the item for which you want to create a purchase order. 4. Click Create Transfer. The Transfer window opens. SIMMS enters all the appropriate information for your transfer. 5. If you want to edit the transfer, click the Edit icon on the toolbar, and then make your edits. 10 November 22, 2010 SIMMS 7.3 Item Transfers

14 6. Click the Save icon on the toolbar. Transfer Reports The Transfers History report, you can check the items that were transferred during set periods of time (last 30 days, last 60 days, last 90 days, and complete history of the item in the system). Generate a Transfers History Report On the Modules menu, point to Transfers, point to Reports, and then click Transfers History Report. The Inventory Transfer History report appears.
