Who is GS1? GS1 is a not-for-profit organisation GS1 consists of 108 national member organisations driven by a membership of more than a million companies across 150 countries GS1 and the GS1 System 5

Used by millions of companies Countries with a GS1 Member Organisation Countries served on a direct basis from GS1 Global Office (Brussels) 108 Member Organisations. 150 countries served. 2,000 people helping us. GS1 and the GS1 System 6

Who is GS1? GS1 is a not-for-profit organisation GS1 consists of 108 national member organisations driven by a membership of more than a million companies across 150 countries GS1 assists more than 24 industry sectors globally The GS1 System of standards is the most widely used standards system in the world GS1 and the GS1 System 7

What are standards? Standards are agreements that structure any activity or any industry. They may be rules or guidelines that everyone applies. They may be a way of measuring, or describing, or classifying products or services. GS1 and the GS1 System 8

When there are no standards There are no global standards for shoe sizes! So companies must.. Mark the same shoes differently for different countries Specify the right size reference on purchase orders, invoices and delivery slips Pay extra attention to region-by-region specificities Result? Extra costs passed on to consumers! GS1 and the GS1 System 9

GS1 Why the name change? Joining together of EAN and UCC organisations GS1 and the GS1 System 10

Agenda GS1 and the GS1 System How to use the GS1 System You want to bar code your retail items? You want to bar code your non-retail items? You want to be sure of the quality of your bar codes? Example of implementation of standards Workshops GS1 Australia services 40

Levels of trade items Level 3 Level 2 Logistic unit Level 1 Grouping of retail items Retail item How to bar code retail items 41

Definition of a retail item A retail item is a good or a commodity sold in small quantities directly to consumers, that will be scanned at Point-of-Sale/Consumption (POS/POC). How to bar code retail items 42

Number vs Bar Code (data carrier) The GS1 identification number is a key to the short hand description of a product The GS1 data carrier is: a representation of the GS1 number - used to automatically capture data via a scanner and transfer it into a computer How to bar code retail items 43

GS1 numbering system A single, open unified numbering system for every item or service traded world-wide. A common link when communicating about product or service information between trading partners. The GS1 numbering system is applied to six areas of applications: trade items; logistic units; assets; locations; service relationships and special applications (e.g. documents, ). Reduces cost of operating the supply chain and improves global business productivity and efficiency. How to bar code retail items 44

Problems with closed numbering systems Unable to cope with growth Cannot communicate outside the system Possible conflict in numbers and duplication Difficult to administer Costly to implement Confusion reigns! How to bar code retail items 45

Advantages of an open system Accesses all industry sectors Can expand with growth Communicates worldwide Easy to implement Cost-efficiencies (e.g. standard hardware) Monitored and support How to bar code retail items 46

The number

Identifying trade items Old terminologies used for trade items APNs TUNs UPCs DUNs EANs Bar code Number Etc, 80 New harmonized & global terminology GTIN = Global Trade Item Number How to bar code retail items 48

Basic Numbering Rules Unique: every variant of an item is allocated a separate unique sequential number Non-significant: they identify an item but contain no information about it International: GTINs are unique across all countries and all sectors Secure: GTINs are fixed length, numeric and include a standard Check Digit How to bar code retail items 49

GTIN GS1 COMPANY PREFIX The first seven or nine digits are allocated by GS1 Australia to the member company ITEM REFERENCE The next five or three digits are allocated to a specific product by the member company CHECK DIGIT Checks the validity of the entire number by a mathematical formula How to bar code retail items 50

Check Digit How to bar code retail items 51

Check Digit Method 1 1. Enter 12 first digits here 2. Click here 3. Get the check digit here How to bar code retail items 52

Check Digit Method 2 2. Click here 1. Enter the range of numbers 4. Type in the description of your products 3. GTINs with the check digit How to bar code retail items 53

Unique GTIN-13 For every different variant of a trade item a unique GTIN should be allocated. Bottle of water 200mL Bottle of water 250mL Bottle of water 500mL How to bar code retail items 54

Identification to the lowest level Garment Colour Size S M S L L XL How to bar code retail items 55

Sequential non significant numbering 4 x x x x x How to bar code retail items 56

Single Numbers You might have joined GS1 Australia through a single number membership: A GTIN-13 is individually assigned by GS1 Australia to a member for a specific product E.g.: = GS1 Xmas DVD From 1 number up to 5 numbers allocated How to bar code retail items 57

One trade item = one GTIN X KOALA Brand X How to bar code retail items 58

One GTIN = one trade item X How to bar code retail items X59

Who allocates the GTINs? The brand owner of the product E.g., a product is contract manufactured in China, but under Sophie s Brand. Sophie is required to allocate the GTIN and provide it to the Chinese manufacturer. What about when products are imported? The importer should use the GTIN allocated by the brand owner (even though this organisation is overseas). How to bar code retail items 60

When to change a GTIN? General rule is: Where there is a change in the consumer declaration of a trade item then the GTIN should change Visit for GTIN Allocation Rules How to bar code retail items 61

GTIN Allocation Rules: How to bar code retail items 62

Example 1 Changes in the net weight or declared units. How to bar code retail items 63

Example 2 Minor (not declared) change in net weight / count / volume (e.g. changes in manufacturing tolerances do not impact the declaration to the consumer). Real weight: 998 grs. Real weight: 1000 grs. How to bar code retail items 64

Example 3 Any dimensional change of more than 20% in the item packaging. How to bar code retail items 65

Example 4 Formulation change, expecting that the consumer distinguishes the new trade item from the old. How to bar code retail items 66

Re-use of a GTIN years minimum Product last supplied to trade Re-use of the number - In case of garments, minimum period is 30 months - Consideration for re-issue should be given to product type and possible life in market. e.g. Steel beams may be stored for many years. It is not allowed to re-use deleted numbers of pharmaceutical products. How to bar code retail items 67

Other kinds of GTIN For small products For products sold on the North American market For books For serial and magazines For variable measure items How to bar code retail items 68

GTIN-8: for Small Products GS1 PREFIX Identifies the GS1 Member Organisation issuing the number (93 = Australia) COMPANY / ITEM REFERENCE These 5 digits are allocated by GS1 Australia to suppliers for use on products with very small printable area CHECK DIGIT Checks the validity of the entire number by a mathematical formula GTIN-8 are individually assigned by GS1 Australia How to bar code retail items 69

For North American market GTIN 12? If you are exporting products to the North American market, contact GS1 Australia U.P.C COMPANY PREFIX The first six or eight digits are allocated by GS1 US to the member company ITEM REFERENCE The next five or three digits are allocated to a specific product by the member company CHECK DIGIT Checks the validity of the entire number by a mathematical formula How to bar code retail items 70

For books Apply general rules as for any other trade item sold at POS (allocate a GTIN-13) OR Get in touch with the Australian ISBN agency How to bar code retail items 71

For serials and magazines Apply general rules as for any other trade item sold at POS (allocate a GTIN-13) OR Get in touch with the Australian ISSN agency How to bar code retail items 72

For variable measure trade items Variable measure: weight, volume, length, quantity Identifies own brand variable weight item sold to various retailers How to bar code retail items 73

For variable measure trade items Currently in Australia: The data encoded in the bar code is the price The price is based on the weight The price is always corrected to two decimal places Every time the weight changes the price changes How to bar code retail items 74

For variable measure trade items GS1 PREFIX Own Brand Variable Measure Item COMPANY/PACKER & ITEM ID Allocated by GS1 Australia PRICE CHECK DIGIT PRICE Price of each individual variable weight item CHECK DIGIT How to bar code retail items 75

GTIN Rules for Fresh Foods Rule NEW GTIN Requir ed Example Diagram 1.1 Where a fresh food prepacked package item differs in weight, is sold by weight but ordered by specific separate pack size a new / unique GTIN will be assigned to each pack size. Yes Pre-packaged chicken drumsticks, each package differs in weight, sold by weight but ordered by specific pack size (GTIN A = 10pk and GTIN B = 14pk) GTIN A GTIN B 1.4 Where a bulk fresh food item of variable measure, not intended for Point-of- Sale, (product A), is cut and packaged in-store and sold by weight (product B), product A and B will require separate GTIN based on the requirement to use Indicator digit 9 in a GTIN-14 on product A and the requirement to use VMN on product B because it will be scanned at Point-of-Sale. Yes Bulk chicken breast (not intended for POS) is ordered by a GTIN-14 inclusive of Indicator digit 9, then packaged into individual variable weight packages and sold by weight, will require a new VMN at Point-of-Sale. Product A with GTIN B 76

How are my trading partners aware of my GTINs? Brand owner allocates GTINs to products Brand owner advises customer either electronically or via new line form Customer enters GTIN details into database, including prices, discounts, etc When a product is scanned at POS, and GTIN established, system looks up database for appropriate records e.g. short description, price, etc. How to bar code retail items 77

The bar code

What is a bar code? A bar code is a type of font Bar code is a type of font A70X465Q Font in Arial Bar codes represent characters Alpha Numeric Alpha/numeric Bar codes enable automatic data capture by a scanning device Font in Wingding How to bar code retail items 79

Bar codes scanned at Point-of-Sale GTIN-13 GTIN-8 GTIN-12 EAN-13 UPC-A EAN-8 Must be used for any retail trade items scanned at the Point-of- Sale Can be used throughout the entire supply chain How to bar code retail items 80

How to get your bar code created and printed? Select a bar code printing method: By the packaging printer Instruct your designer, printer or packaging supplier to provide the bar codes using the GTINs you have created By a label printing service In house Create the bar codes yourself using the appropriate software and printer How to bar code retail items 81

How to get your bar code created and printed? How to bar code retail items 84

Reading bar codes How to bar code retail items 85

Reading bar codes The scanner decodes the bar code by moving across from one side to the other (left to right or right to left) and analyses the width pattern of bars and spaces. The decoded data can either: Be transmitted directly to an attached computer via Automatic Data Capture (ADC) and optical readers Be stored locally for later processing Interact with other application computer systems How to bar code retail items 86

In short

You want to bar code your retail items? 1. List your retail items 2. Identify them with a GTIN-13, GTIN-12 or GTIN-8 3. Communicate the GTINs to your trading partners 4. Print the corresponding bar codes on your retail items 88

Identification of non-retail trade items Non-retail items are identified with either: a GTIN-13 or a GTIN-14 How to bar code non-retail items 94

GTIN-14 Create a GTIN-14 by prefixing the GTIN-13 of the retail item with an indicator (1 to 8), then re-calculating the Check Digit. Consumer unit/retail item Box of 20 identical retail items Box of 50 identical retail items Only allowed with identical products in the non-retail item Not using new numbers from your allocated range of numbers Allows to identify up to 8 different levels of packaging for each product How to bar code non-retail items 95

GTIN-13 Create a unique GTIN-13 for your non-retail items similarly to your retail-items Consumer unit/retail item Box of 20 retail items Box of 50 retail items Has to be used if different products in the non-retail item Using new numbers from your allocated range of numbers Allows to identify more than 8 levels of packaging How to bar code non-retail items 96

Non-retail Variable Measure Trade Items Trade items that have a variable component, for example weight. GTINs are allocated to these units and bar coded in a GS1-128 bar code together with the value of the variable component. Application identifiers used: 310n (n = position of decimal place in bar coded data) weight (kg) A unique 14 digit GTIN, prefixed with 9 is used 97

Key steps to consider 1. Colour Print contrast 2. Bar code width Magnification 3. Bar code height Truncation 4. Quiet Zones 5. Print quality 6. Location Bar code quality 149

Colour Print contrast

Colour - Print contrast Light background, ideally white Dark bars, ideally black Solid colours Avoid reflective colours A gloss coat can reduce print contrast Transparent wrapping diminishes contrast X X Bar code quality 151

Print contrast - ITF symbols Suitable colours for correct contrast: Black Dark Blue Dark Green Bar code quality 152

Rules on colours also applicable to non-retail trade items X Bar code quality 153

Bar code magnification

Bar code width - Magnification Different magnifications required for all GS1 Bar Codes Dependent on print method Determine where bar code will be scanned Consider industry requirements Bar code quality 155

EAN-13 Australia Bar code width - Magnification 80% 100% 200% Bar code quality 150% Minimum for conveyorised scanning 156

ITF-14 Australia Bar code width - Magnification 50% Minimum for conveyorised scanning GS % For conveyorised scanning, the HIGHER end of the magnification range is recommended 50% 100% Magnifications down to 25% are applicable for other environments Bar code quality 157

Bar code height Truncation

EAN-13 Bar code height EAN/UPC Symbols have a nominal (target) size Nominal bar codes have a fixed relationship between the width and height to enable omnidirectional scanning Nominal bar code Truncated bar code Bar code quality Scanner beam fails to read bars

Bar code height ITF-14 Conveyorised scanning: minimum 32 mm GS1-128 Hand scanning: minimum 13 mm If unsure, it is recommended to use a minimum of 32 mm Bar code quality 160

Quiet Zones

Quiet Zones Area to the left and right of all bar codes Enable scanner to determine start and end of the bar code Must keep all graphics, dark colours clear of these areas Bar code quality 162

Quiet Zones X Bar code quality 163

Quiet Zones Bar code quality 164

Print quality

Print quality Clear crisp well defined bars Watch for voids and smudging Print quality requires regular ongoing checks There must be enough contrast between the dark bars and the light spaces for a scanner to be able to read the bar code Bar code quality 166

Substrate (packaging material) needs to be taken into consideration 167

Location

Location - Retail trade items General recommendation for location is towards the lower right of the back of the product. Lower right of another face is acceptable where the back of the product is unavailable. Base of a product will continue to be acceptable but is NOT preferred. Bar code quality 169

Ask the package designer first Bar codes do NOT scan around corners Avoid package seams or seals Bar code quality 170

Location Non retail trade items High gloss packaging or transparent wrapping material may reduce contrast and cause scanning difficulties X Bar code quality 171

X Bar code quality 172

Ladder Orientation On curved surfaces, recommended placement for the bar code is in a ladder orientation when the item stands on end. This is because the bars may be distorted by the curved surface. Picket fence orientation Ladder orientation X Bar code quality 173

Location requirements for nonretail trade items It is recommended the bar code be located on a minimum of two adjacent sides - a short side and the long side to the right. (A bar code on only one side is technically acceptable). Minimum of 19mm from either vertical edge (including light margins) * =32mm * The 32mm measurement is from the bottom of the bars. 176 Verification of your bar codes

Verification of bar codes Assessment of a bar code against GS1 standards and ISO bar code quality standards Verification of bar codes should occur both during symbol creation and after product manufacturing. The trained eye can spot many bar code quality issues, but a verifier will assess the finer details. Bar code quality 177

Bar code verification reports Assessed as either Interim or Final Issued by GS1 Australia upon completion of testing Provide recommendation for improvement if necessary Are valid for 12 months from date of issue Bar code quality 178
