1 Ref: ICSI/Waste items/2018 December 07, 2018 Sub: Request for Quotations (RFQ) for Lifting / removal of damaged online UPS, Batteries and UPS Chargers on as it is where it is basis at ICSI House C-36 / C-37, Sector 62, Noida Sealed Quotations are invited for Lifting / removal of damaged online UPS, Batteries and UPS Chargers on as it is where it is basis at ICSI House C-36 / C-37, Sector 62, Noida as per the details given in Annexure C. The terms and conditions are as under: 1. The sealed quotations containing EMD, Annexure A, Annexure B, and Annexure C along with all requisite/supporting documents as mentioned in the RFQ are to be submitted in prescribed format duly stamped and signed and dated on each page. Details/supporting documents, if any, along with brochure attached with the quotation should be dully authenticated by the bidders. No over-writings shall be accepted unless authenticated with full signature of the bidder/s. 2. All bidders are instructed that if they wish to inspect the damaged items, they can do so with prior appointment from Mr. Ashish Bhatt / Mr. Praveen Kumar V, Dte. of IT (Tel. No / ). These items can be inspected on any working day between 2.00 p.m. to 5.00 pm. (Monday to Friday). 3. The sealed quotations duly superscribed, Lifting / removal of damaged online UPS, Batteries and UPS Chargers on as it is where it is basis at ICSI House C-36 / C- 37, Sector 62, Noida due on December 21, 2018, should be addressed by name to Shri Ashok Kumar Dixit, Officiating Secretary, the ICSI and sent at the Institute s address given below either by registered post/speed post/courier or by dropping in the tender box placed at 5 th floor of Institute s Headquarter at its Noida office address as mentioned below & should reach on or before December 21, 2018 at pm. 2 Quotations received after the stipulated date and time shall not be entertained. The Institute shall not be liable for any transit delays whatsoever and quotation(s) received after the stipulated time/date are liable to be rejected summarily without assigning any reason and without any further reference to the bidder. 4. The quotations shall be opened on December 21, 2018 at 3:00 PM in the Institute of Company Secretaries of India at ICSI House, C-36, 5 th Floor, Sector - 62, Noida in the presence of those bidder(s) who remain present during the opening of the RFQ. No separate communication will be sent in this regard. In the event of due date being a closed holiday or declared Holiday for ICSI / Central Government offices, the due date for opening of the RFQs will be the following working day at the appointed time and venue. 5. The bidders are required to deposit an earnest money of Rs. 5,000/- (Rupees Five Thousand only) for Lifting / removal of damaged online UPS, Batteries and UPS Chargers on as it is where it is basis at ICSI House C-36 / C-37, Sector 62, Noida by way of demand draft drawn in favour of The Institute of Company Secretaries of India, payable at New Delhi. The quotation not accompanied with earnest money shall be rejected summarily. The earnest money of unsuccessful bidder will be refunded without any interest/bank commission/collection charges after the order has been issued in favour of successful bidder. EMD amount of the successful bidder will be returned without any interest/bank commission/collection charges after the completion of the work/contract. 6. Bidders must have GST registration and PAN. (Please attach self-attested photocopy of the documents). 7. Cutting and overwriting should be avoided. Every cutting and overwriting must be duly initiated, otherwise the quotation / proposal is liable to be rejected. 8. Prices quoted should be FOR Institute premises and should be inclusive of all charges including dismantling and removal of the damaged items consisting of but not limited to labour, cartage and material component, taxes, forwarding, packing charges and octroi etc. 9. The Institute reserves the right to reject any or all the offers without assigning any reason thereof. 10. Rates received through this RFQ from various bidders will be evaluated and the bidder who submits the highest rates may be considered as successful bidder. 11. The bidder who quotes the highest rate may be considered to award the work/contract. 12. The quotation/rfq may be cancelled by the authority without assigning any reason thereof. 2

3 13. The concerned committee may reject the quotation of any party in case of unsuitability or any other reason. 14. The Institute reserves its right to discuss the commercials with the bidder who submits the highest bid. 15. The successful bidder has to deposit the contracted amount within seven (07) days from the date of notice of awarding the contract. The notice of awarding contract may be sent either by or hardcopy of the award letter by courier or post. 16. The successful bidder has to remove the material from ICSI Premises within seven working days at its own cost and risk from the date of deposit of the contracted amount. 17. The damaged material has to be dismantled, removed, lifted and disposed off in safe manner without doing any harm or damage to ICSI property. The damaged items may be disposed off by the successful bidder in an appropriate manner by abiding the legal provisions of disposal of e-waste as per governing laws of India. 18. GENERAL: (a) All disputes, differences, claims and demands arising under or pursuant to or touching the contract shall be referred to the arbitrator to be appointed by the Secretary of the Institute of Company Secretaries of India, New Delhi. The award of the sole arbitrator shall be final and binding on both the parties under provisions of the Arbitration and Reconciliation Act, 1996 or any statutory modifications on re-enactment thereof as in force. Place of such arbitration proceedings shall be at Delhi. The bidder has to quote rate inclusive of all charges including dismantling and removal i.e. cost of manpower, tools and tackles, consumables, enabling services e.g. scaffolding, lifting tools, transportation or any other arrangement required to be available for providing effective service as per terms of the contract, statutory benefits to its manpower and statutory taxes and duties except GST which is to be shown separately.
