1 MOVE GUIDELINES IT S TIME TO GET READY These guidelines have been compiled to help you prepare for the move and to answer some general questions and concerns you might have. Your Move Number In planning a move, every workstation, office, and common area in the new space is assigned a Move Number. These numbers become the basis of all the move planning. Move Numbers are unique identifiers for all of the various items that are relocating, and ensures that they make it to the right spot on move day. Your unique Move Number can be found on the floor plan found in this document. A sample of the numbering sequence is shown below: Your Name Your Move # John Smith 15-63A As you begin the packing process, you will be using this number on all of your labels to ensure that your contents, computer, etc., are all delivered to your new desk over the move weekend!

3 SERVICE OUTAGES OVER MOVE WEEKEND The table below highlights the services that will be affected over the move weekend: AFFECTED SERVICES Network & Wifi Office phone & voic services Printers All servers, in all offices, will be inaccessible (Shared Drives, Home Drives, Common Drives, etc.) VPN Service UNAFFECTED SERVICES on smartphones and tablets Webmail (Outlook.com/cushwake.com) or Sign in address domain will not work for Webmail). Cell phone service Box.com and Microsoft OneDrive access

4 PACKING Move Bins & Labels additional bins & labels are being delivered on Jan. 11; more will be provided as required. Staging as you know space is very tight. Bins will be staged in a couple of areas throughout your space (mainly corridors). You will need to pick up the bins and labels from the stacks when you are ready to pack your desk. Additional boxes containing files will be shipped to Iron Mountain. Please contact your Operations Manager to make arrangements. Remember Once packing of the common areas in your office begins, things are bound to get a little crowded. This inconvenience is only for a short time, we appreciate your understanding and hope everyone can work around these obstructions. Remember - Anything that does not have to be stored or relocated should be disposed of before the move. PACKING HOW & WHAT TO PACK Do not overload containers past the top edge. The lids must fit securely otherwise the move bins will not stack on-top of one another. Your Desk or Workstation Drawers - On your last day (Fri. Jan. 20) you must be sure to completely empty your desk drawers of all contents. Your furniture is being dismantled and moved the moment you walk out the door if you leave things behind in your desk they will be discarded. Kitchen Supplies Remember to take home any food and containers that you might be keeping in the fridge and kitchen areas. Laptops, Docking Station, Monitors, Telephones & Personal Items: Laptops should, if possible, remain on site over the move weekend, and be labeled along with your docking station, monitors, and telephone. Personal items (pictures, knick-knacks) should not be packed in a Move Bin - these items should be brought home. Plants- Plants will not be moved to the new location, so please take your plants home as soon as possible.

5 LABELING Labels the labels will be available along with the bins on January 12th. The labels are only temporary and will not stick permanently, so please make sure you place them as directed on visible locations. Move Number and Name you need to write your name (small) and Move Number (BIG) on each of your labels. Once bins are stacked the movers cannot see them. Label on the END only

9 COMPUTER EQUIPMENT All computers are to be completely shut down when you leave at 2:00 pm on Jan. 20. Alex Bilkic will reach out to TOC staff to gather passwords in confidence in advance of the move, in order to test connectivity on January 21 and 22. To ensure the proper relocation to your new workstation, each Operation Manager will work closely with their team to make sure all computer equipment and Move Bins are labelled correctly. WHAT YOU CAN EXPECT TO RECEIVE Move Bins Each employee is allotted 2 Move Bins. Labels & Plastic Bag Operations Managers will distribute 2 sets of labels and a plastic bag to each employee. There are designated colours for the Move Bins labels that are associated with each floor: staff seated on the 14 th Floor will receive yellow labels, while those residing on the 15 th Floor with receive black labels. Move Bin Labels The first set of labels are larger in size and are either yellow or black. Write your name (small) and Move Number (BIG) on the labels and place on the side of your Move Bin. Hardware Labels The second set of labels will be small white pre-printed labels with your Name and Move Number that are to be placed on your computer, monitor, keyboard, mouse, telephone, and docking station. Plastic Bag Place a Move Label (yellow or black) on the plastic bag with your Name and Move Number as shown above. The Movers will take care of placing your hardware items in the plastic bag prior to relocating. Computers will be delivered by the Movers and set in place on your desk. The IT team will be in over the weekend to set up each workstation, test network connections, and ensure everything is functioning properly. Remember Laptops should remain at work in the docking station - if not required over the move weekend. The IT team will be onsite over the move weekend to test and ensure connectivity. When you arrive to work on Jan. 23, you should be able to plug & play, and experience no issues. However, if you encounter an issue, the IT team will be there to assist you.

10 PHONE SYSTEM The main phone number and fax, along with each employee s current phone numbers will remain the same. You are responsible for labeling the following items: Move Bins with your file contents 2 bins maximum per staff workstation Note: Each new workstation is outfitted with a 2-drawer lateral filing cabinet that can accommodate approximately 50 files per drawer depending on the contents in the file. Any additional cardboard boxes with your personal stationary supplies Your computer (as mentioned above) Any miscellaneous items that are moving should be tagged to indicate the designation area. You are not responsible for and should not pack or label the following items: Access Cards - Old access cards are to be returned to your Operations Manager by 1:30 pm on Friday Jan. 20 at the latest, earlier if you are not going to be in the office for the move. Please note that all access cards will be disabled effective at 2:00 pm on Jan. 20. There is a $25.00 fee for cards not returned to GWL, so please do not discard the cards. Task Chair - You will be provided with new chairs and should not label your existing. Do not label your garbage pail, this will not be moving. Do not label your recycle bin, this will not be moving. Whiteboards, Artwork, Plants, Furniture -These items will not be moving to the new location.

11 THE MOVE DAY On the day of your move, members of the Move Team and from Cushman & Wakefield will be on-site to ensure that the packing and labeling for each department is under control. A final Checklist will be provided to everyone in the morning as a reminder of the things that must be completed before you can check out! Remember - as outlined in the Critical Time Schedule, packing must be completed, computer shutdown, and be out the door promptly by 2:00 pm Jan. 20. SECURITY ACCESS AT THE NEW The Main Doors and Elevators are open to all Tenants and Visitors from 8:30 am to 5:30 pm Monday to Friday. You will be provided with a Security Access Card that works for the Main Building Doors, the elevator to the 14 and 15 th floors along with all the entrance doors to the suite. Your new Security Access Card will be provided to you on Mon. Jan 23 rd once you have arrived at the new location. Cards will be distributed by your Operations Manager. OPENING DAY & CELEBRATION The Move Team will be on-site Jan. 23, at 8:30 am to officially welcome you all into your new office space. The Welcome Celebration will begin at 10:00 am.

12 MOVE DEFICIENCIES There will be Corrective Action Forms available at your desk that you can fill out if you are experiencing any problems no network access, missing Move Bins, etc. The applicable form should be completed and dropped into trays that will be set-up at Reception. Members of the Move Team will be collecting the forms throughout the day and will be coming to see you directly to address and fix the problem(s). We ask that you follow this process and respect the system as this will help the Move Team to complete their tasks effectively, promptly, and in an organized and professional manner with minimal interruption. Remember - there is a lot of work and planning that goes into a move and there is always the possibility of something going not quite as planned - please be patient and know that the Move Team will do their best to make sure you can settle in and get back to work as quickly and smoothly as possible.
