1 Creating a Sales Order Go to: Produce Pro >> Sales orders >> Sales order entry Press A from the Sales Header Entry to invoke the ADD command and add a new sales order. 08/27/15 Page 1

2 (Note: the cursor will stop at the required fields) Customer code: Enter the customer code or Press S to search for the customer code. Ship to: enter the customer code to where the SOs is being shipped if different than the customer s code in the previous field. Salesperson: Enter or search for the salesperson initials. Delivery Date and Time: Enter the scheduled delivery date and time for this order. The delivery date is required; the time is optional and may be left blank. Pick Date: Enter the pick date of this order. Customer PO 1 & 2: In the customer PO fields enter the customer s Purchase Order number or reference number if applicable. Cash/Hold: Press <Enter> to pass this field Ship via: This will default from the customer master file; can be changed if necessary. Important Note: If you press <Esc> before completing all of the header items, you will lose the information entered. Be sure to enter through all fields. Press <Enter> to pass through the rest of the lines. Once you have completed the header information, you will be directed to the detail entry method that is defined in your company file or the customer master record. The detail or line items describe the products being ordered. You can choose from a few different interfaces to enter and view orders: o Entry command: displays the items and a few relevant details in a brief list. 08/27/15 Page 2

3 o Order command: displays the items listed in the customer's order profile. You can quickly and efficiently navigate the list and choose products. o Lines command: provides numerous specifics about each item. Using the Entry Method: Product: Enter the code of the product to be ordered. (Press the Insert key on your keyboard to enter new product on existing Sales Order.) Quantity: Enter the quantity ordered. Lot: Enter or search for the lot number to be used. To distribute the sale between more than one lot number; type the letter M in the LOT NO field to display multiple lots with available inventory. (Using the multiple entry screen enter the quantity for each lot in the ALLO column). If you do not know the lot number, you can leave this field blank and the lot can be assigned at the time of shipping. 08/27/15 Page 3

4 Price: Enter the selling price. If you are using Price List, Formulas, etc., the price will automatically display. The cursor will move to the next blank line for you to enter the next product. To enter comments related to a particular line, highlight the line and press C for comments and you will get a pop up box where you will choose which document(s) you want the comment printed on. Use the arrow keys to highlight the correct option and press <Enter>. Next, type your comment in the pop up box and press <Enter> to save it. 08/27/15 Page 4

5 Using the Order command: The order screen displays the items listed in the customer's order profile. You can use it to choose products and key in quantities and prices. To access the Order screen, press O from the Sales Header Screen to invoke the ORDER command and then press <Enter>. If there is a profile, the customer s profile will appear and you can use your arrow keys to navigate through the lines. Enter the quantity and price for the items to be ordered. To enter comments related to a particular line, highlight the line and press C for comments and you will get a pop up box where you will choose which document(s) you want the comment printed on. Use the arrow keys to highlight the correct option and press Enter. Next, type your comment in the pop up box and press Enter to save it. 08/27/15 Page 5

6 For Customer s Profiles: To condense the order form and show only the items ordered, press the F3 key; press F3 again to show the entire profile Use the Insert key to add items not on the profile. Type 0 (zero) over the quantity to remove an item from the order. Lines Command: The Lines detail method has much more detail and requires more time than the other methods. It is recommended to use the lines interface primarily for editing and researching existing orders. To access this screen press L twice to invoke the lines command form the SO Header Entry and then press <Enter> Product: Enter the product code or type S to search and <Enter> Order quantity: Enter the quantity ordered. Lot number: In the lot field press S to search and select one lot, or press M to select multiple lots. Unit price: Enter the unit price for the product. 08/27/15 Page 6

7 Finishing the Sales Order When the order is complete and ready for processing, press <Escape>. The system puts you into Modify mode, which allows you to review the numbers and make last-minute changes. Use the arrow keys to move about the lines and fields using page up and page down in the lines interface. Make any necessary changes and then press <Escape> again. If you need to add an item to the sales order, go to Lines or Entry and press the Insert key to return to Insert mode, then proceed as before. If your system is configured to print a pick ticket automatically, it prompts you for a print destination. Enter the appropriate printer code or enter S to search and choose one from a list. 08/27/15 Page 7

8 Sales Order: View/ Modify Existing Sales Orders From the sales order header: If you know the sales order number: press F to invoke the Find command and then press <Enter> and enter the sales order number. Once the order is displayed you can make allowable changes, add lines, print, etc. If you do not know the sales order number, but it was the last order you entered, you can use the Last function, use arrow keys to highlight Last and press <Enter>. The last order you ve entered will display. Press the End key to locate the most recent sales order entered. To find orders for a particular customer, press S to search and <Enter>. You will get a pop up box asking for a customer, you can search on this field, then choose the type of order (U) unshipped, (O) shipped, (S) shipped and transferred or (A) all. Press V to invoke the View command and then <Enter> to display a list of all sales orders and their current status. The most recent orders will be displayed. (Use the Home key to go to the top of the list and End key to go to the bottom of the list the most recent ) To see the detail of a particular order, use the arrow keys to highlight and press <Enter> to select it. From the Sales Order View screen you can change the way orders are indexed by pressing X and highlighted the desired option. o (The Index pop window) 08/27/15 Page 8

9 Sales Order: Charges Some orders require special handling, or added fees for services such as freight or brokerage. To add charges to a sales order: Press C from the Sales Order Header Entry to invoke the Charges command, and press <Enter>. You will be directed to the Vendor A/P Charge Assignment screen. In the CHG field, enter or Type S to search for the applicable charge code, in the VENDOR column, enter or search for the vendor providing the services and in the COST column enter the total cost. 08/27/15 Page 9

10 Press A to allocate the charge and choose one of the following methods: A for automatic: will evenly distribute the cost on each package. P for Pallet: will distribute the cost by dividing the total cost by the number of pallets, then dividing the pallet cost by the number of cases on the pallet. This is dependent on the product master having the cases per pallet defined. W for weighted: will distribute the cost based on the number of packages per load, which must be defined in the product master. 08/27/15 Page 10
