1 Indiana Percussion Association Invitational February 23, 2019 Thank you for your participation in our 2019 Winter Percussion Competition. We are excited to host our eleventh Indiana Percussion Association show and we are committed to making the day a rewarding and educational experience for your students, staff, parents and fans. Listed below please find the information needed to make your experience successful and enjoyable. Please be sure to read the contest flow which includes several key logistics which you will need to prepare your parents, staff and performers. This new plan will allow for a seamless contest flow, but its success hinges on your units preparation. LOCATION OF CONTEST: 810 N. Broadway Greenfield, IN DATE: February 23, 2019 TIMES OF CONTESTS: Doors open at 12:00PM with the first performance beginning at 12:30PM. See enclosed schedule for complete details. ADMISSION PRICES: $7 General Admission $5 Studens K-College students w/ ID, Children 6 and under free UNIT CHECK-IN: (See Maps for new bus entrance for drop off. Be prepared to declare the number of performers. Performers, plus eight (8) staff will be admitted at no charge. Units must check-in at least 1 1/2 hours prior to performance time. Participants, plus eight (8) will receive wristbands at check-in. Extra passes are available for purchase at check-in. A guide at check-in will meet you, and they will escort your group to your area in the hall to store your things. EMERGENCY CELL PHONE: Chris Wing STORAGE AREA: For your convenience, each unit will be provided an area in the halls surrounding your performance times. Please plan on vacating your area one (1) hour after your performance time. Groups that perform near the end of the blocks should plan on vacating as soon as possible after awards. WARM-UP AREA: See map. CRITIQUE: Critique will take place in the Judges Room (Cougar Café, as shown on map). Times will vary according to class. Critique schedule will be sent via . DIGITAL COMMENTARY: Unit Directors and Staff will use Competition Suite to access and listen to their judge s commentary. Unit Directors should have access to their Competition Suite account. If you cannot access your unit's account, admin@indianapercussion.org prior to the show and she can answer any questions you may have.

2 PERFORMANCE VIDEO: Per IPA policy, no video recordings will be provided of your performance. TRANSIT TO WARM-UP: To assist in our contest flow, please be with your equipment in the holding area 20 minutes prior to your warm up time. Your guide will assist you in getting there at the appropriate time. A contest official will organize the departure to the respective warm up areas. FLOOR FOLDING, ENTRANCE & EXIT INFO: Units will enter from the Back Stage Left corner taking the back half of the floor first and exit on the front Stage Left. We will utilize the Horizontal Time Line for this contest. Specific maps are included in this packet. FYI: Horizontal Time Line ***IMPORTANT NOTICE PLEASE READ*** UNITS WILL EXIT THE BUILDING IN A DIFFERENT LOCATION FROM THE UNLOADING AREA. DO NOT BRING CASES OR EXTRA EQUIPMENT INTO THE FIELD HOUSE OR WARM UP AREAS. EQUIPMENT DROP OFF AND LOADING: You MUST make arrangements to unload ONE hour prior to your warm up time to ensure smooth flow in this area. Contest Officials will be in place to direct you to your assigned equipment area. After you have unloaded, your trucks must be moved to the southwest side of the high school. Once again, contest personnel will be there to direct your driver. After your performance, you will proceed directly to the loading area. You will have approximately 30 minutes in this area to load and move to the overflow lot. As your unit exits the gym they will travel through the interior of the school to the loading area. Please organize coats and shoes to allow your performers the opportunity to avoid the elements. They will NOT be able to return to the unloading area for that purpose. All equipment and props must be removed from the building immediately following your performance. Please ensure your drivers have the page with specific directions to help them! BUS PARKING: Buses should enter the campus off of North Broadway St. After your unit has checked in, the bus will be relocated to bus holding area in the South lot. Following your group s performance and loading of equipment, students should exit the south end of the building to place any other belongings from the homeroom on the buses. After this has been completed, all buses should be moved to the northwest lot, as shown on the campus map provided. There is a separate letter with instructions included to provide your bus driver with specifics. PLEASE communicate logistical needs with your personnel and plan accordingly. Thank you in advance for your attention to detail and spreading the word to your volunteers and drivers. AWARDS: Captains Only Retreat. Trophies will be presented as per IPA guidelines. Captains will line up in performance order in the holding area near the unit entrance. FLOOR SIZE: Competitive area will be 75 X 100 with sufficient room at each end and backsides. ELECTRICAL POWER: Power will be provided at front and back centerline.

3 CONCESSIONS: Please encourage your students and parents to enjoy our concession area, located outside the gymnasium and in the band room. Our boosters do a great job in this area and we will have some great food on hand. FIRST AID: First Aid will be available on site. FLOOR REFOLDING: You will have a brief period after your performance to organize your floor in the hall way. If you snake your floor from the competition area, plan on putting it on the cart in the carpeted hall immediately following your exit. HOSPITALITY: Please come and relax in our directors and staff hospitality area located in the library. A smorgasbord of food and beverages will be available in a nice relaxing environment. Bus Driver Hospitality will be in our teachers lounge. Please inform your driver. JUDGES: Refer to indianapercussion.org for the most up-to-date judging assignments. 4 IPA Invitational, February 23, 2019 INFORMATION FOR BUS DRIVERS The following directions are intended to help guide you through our three-part bus route. Should you have any questions, please do not hesitate to contact us and we will do our best to clear up any confusion! Drop off Performers will be dropped off at Door #2 (near the main entrance) for Unit Check-In. Bus drivers should enter this lot off North Broadway St. at the stoplight. After the students and parents have emptied the bus, drivers should leave this lot and turn south on Broadway to the bus holding area at the south end of the school. Holding Area All buses of students who are preparing to perform, performing, or loading equipment should be parked on the west side of GCHS in a staff parking lot. Drivers may leave their buses during this time, but please plan to be back at the bus immediately after your group s performance for them to reload. Bus Parking Following your group s performance, they will load equipment back onto trucks and empty homerooms. Any belongings NOT staying with the student all day should be taken back to their buses. After this has been completed, all buses will park at the Northwest Lot, entering off Franklin St. Please refer to the enclosed map for more information and location of parking areas. It is EXTREMELY important that we never have more buses then needed at the Holding Area. It will accommodate buses maximum. With nearly 50 performing groups, it is necessary that we keep everyone moving as directed above. If you have questions on where to go, please don t hesitate to ask one of the adult helpers working the event. We look forward to hosting you and hope these directions are able to help us avoid any potential traffic jams!

5 IPA Invitational, February 23, 2019 INFORMATION FOR EQUIPMENT TRUCK DRIVERS The following directions are intended to help guide you through our three-part truck route. Should you have any questions, please do not hesitate to contact us and we will do our best to clear up any confusion! Unloading Area Unloading will occur the North Side of our Fieldhouse, entering off Franklin St. This will provide a large garage door for all equipment to enter easily. Trucks will NOT be able to stay here, so make sure you have a driver who can move your vehicles after all equipment has been unloaded. You will move your vehicles to the south side of the school in the bus parking area, traveling south on Franklin St. to 7 th St. It is the first 4-way stop you arrive at. Turn left on 7 th street and left into the GCHS lot. There will be signs and parents to help you through this process. Reloading Area Following your group s performance, equipment will be taken directly to the reloading area. We will have parents and students here to assist you as necessary. Please plan to have everyone needed in this area immediately after the performance. We will have two sets of double doors available to get equipment outside. Truck Parking Area Following the reloading of equipment, you will need to move your truck to the North parking lot, entering off Broadway St. Please refer to the enclosed map for more information and location of parking areas. It is EXTREMELY important that we never have more trucks then needed at the Reloading Area. It will accommodate large trucks maximum. With nearly 50 performing groups, it is necessary that we keep everyone moving as directed above. If you have questions on where to go, please don t hesitate to ask one of the adult helpers working the event.
