1 SHIPPING TRADES

2 SHIPPING Shipments* are to be processed at a minimum of once per week even if there is only one item to ship. Supply kits are available to order or you may use your own supplies as long as the shipping materials are of proper integrity. Prepaid labels, using Clover s UPS account, are automatically generated when a shipment is processed. Shipments are processed through the Trade-Up Portal. Login to the Trade-Up Portal at, portal.simpletrade.com You must have Managerial privileges to access the shipping function. Look for Shipments on the navigation bar. If missing, you have not been registered as a Manager. If you believe that you should have privileges, contact your supervisor. *All trade-in devices must be shipped to Clover within 15 days of completing the trade-in transaction to receive the Quote price. Any devices shipped after the 15 day period will automatically be compensated per the pricing schedule in Clover s trade-up Web Site at time of receipt.

3 SHIPPING SUPPLIES AND PACKAGING Cell phones and Tablets will ship in 10 count boxes. (do not over pack). Devices must be securely shipped and not loose in the package. To avoid the potential for loss of devices during shipment, the box must be properly constructed. On the bottom of the box, apply tape evenly across flaps and seams, so the middle and two edge seams are sealed, (the H taping method). Do not use masking tape, cellophane tape, duct tape, string, or paper over-wrap. Use a strong tape, two inches or more in width, which has been designed for shipping. Clover Wireless STRONGLY recommends using tamper-proof tape to ensure the integrity of the contents. UPS will not accept a box with evidence of tampering and will investigate if evidenced then prior to delivery.

4 SHIPPING PREPARING AND CREATING Important: A separate shipment must be created for each unique UPS package. When preparing a shipment, only check off devices that will be physically packaged together. (IE, if you have 15 items to ship, two separate shipments must be prepared. The Manager will log into the portal at portal.simpletradeup.com, and select Shipments to begin the process. Only click on and choose the ID s that are physically being shipped in the same package. Next, Select the appropriate Shipment Pickup Options then Select Create Shipment

5 SHIPPING Confirm that the shipment you are about to create is correct, then select Create Shipment The Shipment has been created. Click Download Packing List and print. Click Download UPS Shipping Label and print.

6 SHIPPING As a final check, confirm that the number of devices on the packing slip matches the number in the box/envelope. If not, match items on the packing slip to those in the package, discover the discrepancy and correct as appropriate. Place the packing slip in the package; add any bubble wrap, newspaper, peanuts or padding that may be necessary to secure the device and accessories. Secure and seal the package for transit. Securely affix the shipping label to the package. Go back to the portal and create additional shipments, as described, for each individual package to be shipped.

7 ORDERING SHIPPING SUPPLIES After processing the shipment, check your supplies inventory. Order supplies when there is about 2-3 weeks worth of inventory remaining. From the navigation bar, choose Tools Order Trade-up Supplies Choose the type and the quantities of supply kits needed for a one month supply, This should be determined by types and number of devices that are normally traded in at your location. Then select Submit A history of all past requests are available under Recent Request.

8 RECONCILIATION AND CANCELLING TRADES After the completing shipping for the week, select shipments again from the navigation bar and this message should be displayed. If trade-ups remain, they should be investigated. If the trade is valid, then the device is missing and should be located and an additional/new shipment should be processed or you may include in next week s shipment. If the trade is found to be not valid, (mistake was made and a new voucher was created, customer changed their mind after trade was completed) it will need to be cancelled. Please reach out to your DM or submit a helpdesk ticket to Operations to cancel.

9 SHIPMENTS - RECEIVED AND PROCESSED Managers may view shipment history and review results of devices quoted and shipped verses received and inspected. Choose Shipments on the navigation bar. You may view a particular shipment by selecting one from under Recent Shipments.

10 SHIPMENTS - RECEIVED AND PROCESSED Select, Devices to view the details of each voucher as quoted and shipped. Results may be compared to what was described as quoted to what was received and inspected. Any variances are reported.

11 SHIPMENTS - RECEIVED AND PROCESSED - VARIANCES Example 1- The item was quoted as having a good LCD and was received as bad LCD. Image 1 has been attached so that the damage may be viewed and shared with the rep as a learning experience. Example 2- The item was picked to ship but was not contained in the package when received. Always check your shipment to be certain all items picked are present in the box when shipped. Items not received will remain in the Awaiting Receipt status until actually received. Example 3- The item was described as having a bad LCD and was received as good LCD. The device was reimbursed at full good LCD price, (quoted- $58, paid-$290). Devices are paid for what is received. Example 4- The model was incorrectly quoted. Reimbursement was for model received.

12 HOW TO MINIMIZE VARIANCES 301 Confirm that the number of devices on the packing slip matches the number contained in the shipment. Be certain to include the packing slip with shipment.
