1 POSITION DESCRIPTION Store Person Position title: Store Person Employee name: Entity/Group: Mercy Hospital for Women Date Updated: 163 Studley Road September 2012 Location: Heidelberg Vic 3084 Position reports to: Store Supervisor, Supply Department Positions reporting to this one: NA Position Purpose: The position is responsible for ( but not limited to ) Manage and operate Imprest scanning & deliveries to the wards as per the daily schedule Manage and operate receivables of daily deliveries via ERP system & putway/deliver as required Expected to guide behaviour in accordance with Mercy values Compassion, Hospitality, Respect, Innovation, Stewardship and Teamwork Ensure strong adherence and awareness of the principles of Equal Opportunity, Anti-Discrimination and Sexual Harassment policies within the workplace Encourage flexible and participative team approach to customer service, canvass ideas and strategies to enhance the service delivery to the wards To provide hands on assistance to other store persons as required Have a complete understanding for Store Supervisor position description when undertaking this role during their absence Qualifications & Requirements: Proven experience in warehousing and distribution processes Exposure in providing direction and guidance to other staff members Resource management: Total staff management (FTE): Annual Operating Expenditure: Annual Capital Expenditure: NA Mercy Hospital for Women Store Person 1

3 STORE OPERATIONS Ensure daily operation activities are carried on time Ensure all goods received are accounted for efficiently Ensuring that warehousing activities are carried out accurately & on time Work with MH Group Procurement team to optimise inventory & provide best service Ensure continuous improvement of warehousing function CUSTOMER SERVICE Liaise with internal and external customers to ensure that their needs are met at all times STOCK LEVEL CONTROL Aim to operate with minimum, but safe storage levels Daily imprest Schedule Deliveries are promptly received Proactively resolve problems associated with receiving of stocks and non-stocks Service & deliveries to the wards Actively participate in all store activities Equipment maintained in good working order and kept safe Ensuring that data is entered correctly No/ minimal stock reaching expired status Professionally deal with couriers or truck drivers Monitor and address customer complaints Prioritise workloads in order to meet deadlines and requirements as set by the MH Group Procurement Ensure delivery to all wards in timely and customer focused manner Report on storage facilities for over and under stocking as required to Store Supervisor & Purchasing Staff Ensure daily imprest scanning is carried out for each ward as per the scheduled time on daily basis & ascertain supply is notified by before 11.00am Any ad hoc imprest must be conducted in case of any emergencies or exception Pick, pack & deliver orders as per the imprest scanning replenishment on daily basis Receive all deliveries via AX system & putaway or make deliveries as required for non stock items Receive & deliver all stock outside the system for deliveries that are not on purchase orders Process ad hoc requisitions from hospital staff Arrange returns to suppliers of stock and non stock either incorrectly ordered or supplied. Regular preventative maintenance on equipment is undertaken Product Recall must be responded within 24hrs of the notification Ensure stock items are rotated as per first expiry first out (FIFO) basis Sterile stock to be handled in accordance with Australian Standard (AS4187) see Warehouse Procedure for more details Ensure all chemical items are stored as per MSDS Ensure that inventory is accounted, dispersed or loaded as required Respond to one off requests Respond to customer complaints and provide solutions where necessary Address any concerns and prioritise workload as required Maintain and perform bar-coding imprest on agreed day. Help move wards into new areas and arrange storage tubs, accommodate new barcodes and ensure all stock is available before the ward is functional STOCKTAKES & SPOT CHECKS Ensure stock integrity is maintained at all times Stock is accurate Stocktakes conducted with little disruption to services Conduct random stock checks as well as annual stock take held on a few days before each financial year closing Conduct random stock checks for short dated or expired stock & notify relevant NUM before write off Mercy Hospital for Women Store Person 3

4 Assist Store Supervisor for the arranging of warehouse stocktakes STOCK RETURNS Dealing with stock returns in an appropriate manner. FREIGHT Control the activity of incoming and outgoing freight as directed by Store Supervisor No hold ups with returns to suppliers Arrange return to suppliers of stock and non-stock either incorrectly ordered or supplied. If in doubt on any aspect of the return refer queries to Store Supervisor Freight is not held up Arrange transport for equipment and other goods to be sent to the appropriate supplier Arrange courier services for all wards & departments of the hospital via contracted freight services for local & interstate transport CLEANING Maintain work area in a neat and tidy state at all times COMMUNICATION Ensures that communication lines are opened maintained at all times No rubbish left on the floor State of the work area meets required standards Demonstrates open & effective working relationships with Mercy Health departments Well informed staff working in a harmonious environment Store is kept neat and tidy Clean room is to be kept as per cleaning instructions as per Australian Standard (AS4187) see Warehouse Procedure for more details Main cleaning will be performed by MHW cleaning staff. Promote a pro-active approach to communication and teamwork Ensure, initiate and maintain accurate documentation Raise questions to relevant parties if unsure Answer telephone- direct queries where relevant ORGANISATIONAL RESPONSIBILITIES Contributes to a collaborative approach to policy & procedure review & development Adheres to policy and procedures set by Mercy Health and Aged Care Follows procedures and protocols as defined by policy and procedures guides Actively participates in departmental activities and team meetings Appropriate use of equipment and supplies HEALTH AND SAFETY Takes reasonable care to protect the health and safety of themselves, fellow staff and others in the workplace Reports hazards, near misses and injuries immediately Uses personal protective equipment Comply with risk management policies and procedures and instructions Work with OH&S representative to resolve any saftey issues Complete incident reports if necessary Participate in training and meetings regarding safety where necessary Ensure OH&S Housekeeping risk assessment is completed as required Mercy Hospital for Women Store Person 4
