3 1. General notes TIKOS is divided into different programme modules. These essentially relate to the relevant service type. Each module functions alone or in combination with other modules. Which modules you can use depends upon which modules you have purchased. This guide contains the documentation on scale linkage. The module Scale Linkage allows you to integrate automatic scales into the TIKOS programme. Before selecting the scales, please consult a support worker from SoCom Informationssysteme GmbH. Linking the scales to the programme via an interface can only be undertaken by a support worker. 2. Pre-settings 2.1. Quantity units parameter In order to be able to record the article being weighed as such in the article master data, the relevant quantity unit for the weight "kg" must be created under Master Data Parameters Articles Quantity Units. The field "Quantity Unit" is a numerical field and can only contain figures. When creating a new unit, it must be unique and cannot appear twice in the database. You record the name of the quantity unit in the "Description" field. In the field "Decimals", you specify whether, when recording the job, the quantity for articles of this quantity unit can be entered with decimals. Using the arrow buttons, you increase or decrease the value of the decimals that are displayed in the field. By activating the checkbox "Weight", you specify that this quantity unit is a unit of mass. If the checkbox "Create Receipt Total" is activated, the quantities of the articles can be added up and, for example, printed onto the delivery note. In order for this to work, however, the checkbox "Print Article Sums" must be activated in customer-selected job types. Choose "Apply" to save the quantity unit. The unit of weight created must be stored for the relevant articles, so that you can weigh these in job management. support@socom.de socom.de Page 3 of 22

4 To do this, open the article master data. After selecting the weight article, the required "Quantity Unit" can be defined for the weight article in the Detail Page 1 tab in the right-hand lower area. support@socom.de socom.de Page 4 of 22

5 2.2. Parameter weighing profiles Under Master Data Parameters Articles Weighing Profiles, you can create the weighing profiles for the weight article. The "Weighing Profile" is a numerical field and can only contain figures. When creating a new weighing profile, it must be unique and cannot appear twice in the database. You record the name of the weighing profile in the "Description" field. In the selection field "Location", you choose from a list suggested by the programme, where these scales are to be used. The location stored in the weighing profile can also only be used in connection with scales whose "Location" corresponds to that of the weighing profile (see Master Data > Parameters > Miscellaneous > Scales, Location). The setting "Goods-In and Goods-Out" is recommended. In the selection field "Billing", you define the time for weight calculation. If, for example, an article is weighed at goods-in and goods-out, you use this field to control which weight is used for the calculation. In the selection field "Protocol Printing", select from a suggested list, where and how a protocol is to be printed. You can print not only separate weighing protocols, but also the scales set-ups integrated into the delivery note and return form. The protocol contains all weights for the relevant profile. You control which form is to be used for the protocol via the scales (see Master Data > Parameters > Miscellaneous > Scales, Weighing Protocol). If the checkbox "Short Form" is activated, only the individual weights transferred to the job are printed on the relevant form (e.g. only the net weight). Otherwise, the gross, tare, net and transfer weight are printed. In the selection field "Receipt Print", you control where a receipt is to be printed. One receipt per weight is always printed. You control whether a receipt is to be printed and which form is to be used via the scales settings (see Master Data > Parameters > Miscellaneous > Scales, Weighing Protocol). If the checkbox "Short Form" is activated, only the individual weights transferred to the job are printed on the form (e.g. only the net weight). Otherwise, the gross, tare, net and transfer weight are printed. In the selection field "Round", select a suggested rounding variant. The net weight transferred by the scales is then rounded up or down in accordance with this variant for job recording. In the field "Surchage/Deduction", you record the surcharge or reduction in percent (e.g. as a dirt surcharge). Reductions are entered with a minus sign. If you enter a value, the weight transferred to job management is made up of the net weight plus or minus this percentage rate. support@socom.de socom.de Page 5 of 22

6 The weighing profiles created must be stored in the Master Data dialogues below, so that you can work with the scale in Job Management. Under Master Data Articles in the Detail Page 2 tab, the relevant weighing profile must be stored for the weight article in order that the articles can be weighed. support@socom.de socom.de Page 6 of 22

7 Under Master Data Customer Options Assortment in the Detail tab, the "Weighing Profile" must likewise be stored in the options "Customer specific Settings". When creating a new weight article in the assortment, the weighing profile stored in the article master data is automatically suggested. If you store a different weighing profile for the selected assortment article, the weighing profile defined in the article master data is overridden for this customer. support@socom.de socom.de Page 7 of 22

8 2.3. Parameter scales In order to create your scales in TIKOS via the interface integrated by a support worker from SoCom Informationssysteme GmbH, open the menu Master Data Parameters Miscellaneous Scales. The field "Scale" is a numerical field and can only contain figures. When creating a new scale, it must be unique and cannot appear twice in the database. You record the name of the scale in the "Description" field. In the field "Parameter", you select an interface which has been set up by a SoCom Informationssysteme GmbH support worker for your connected scale. With the checkbox "Show Preview while Weighing", you can control whether the weight registered on the scale appears continuously on the screen. This functionality requires uninterrupted communication with the scale. This is not possible with all types of scales. When the control field is deactivated, the weight does not appear on the screen until it is triggered by weighing. Since some types of scales do not automatically tare to "0" after weighing, activation of the control field "Delete tare after weighing" makes the programme set the tare weight of the scale back to "0". In the selection field "Location" select from the list of suggestions the location of the scale. You can choose between "Goods-in" and "Goods-out". In the selection field "Receipt Print" decide where a receipt should be printed. One receipt per weighing is always printed. You can control which form is to be used in the selection field "Weighing Receipt". You can control which receipts are printed in the weighing profile (see Master Data > Parameters > Articles > Weighing Profiles, Receipt Print). You choose which if any container movements are to be registered on the scale in the selection field "Container Movement". For example, it is possible to operate a scale at goods-in and still store here the registration of a container-out. The precondition for the functionality of this field is the activation of the Container Management module. Choose the form for protocol printing in the "Weighing Protocol" field. You control if and how a protocol should be printed through the weighing profile (see Master Data > Parameters > Articles > Weighing Profile, Protocol Printing). All weighings are listed on the weighing protocol (for example, single containers) per customer and day. The correct functioning of the scale can be tested in this parameter dialogue by using the buttons "Zero", "Tare" and "Weigh". Using "Zero" sets the weight of the scale to "0". By clicking the "Tare" button you tare the scale and the current weight becomes the tare weight. The "Weigh" button retrieves the gross, net and tare weights, as well as the reference number, from the scale and displays them. Each weighing contains a reference number for verification purposes. 9 2.4. Parameter container The various container types and their respective tare weights are stored under Master Data Parameters Miscellaneous Container. When creating a new "Container", this must be unique and may not appear more than once in the database. Under "Description" enter the internal description. This is given in "kg" in the "Tare" field. In order to work with individually tracked containers, ID numbers must be created and assigned for them under Programmes Container Management Create New Container. Hint: The Container Management module is required for this functionality. support@socom.de socom.de Page 9 of 22

10 Store all relevant data for the container being created in the dialogue. If the "Tare" field is activated, the "F9 Weigh" button in the lower toolbar will also be active due to linkage with the scale. From this dialogue you can immediately weigh the container by clicking the "F9 Weigh" button or by using the F9 function key. The weight registered by the scale will automatically be saved in Create new Containers. Please refer to the Container Management manual for further information regarding the Container module. socom.de Page 10 of 22

11 2.5. Customer-selected job types In order to record containers using the scale from Job Administration open Master Data Customer Options Job Types. After selecting the relevant job type, open the Container tab. Activate the control field "Recording only on the Scale" under the "Recording Type" option. If the company works with individually tracked containers, activate the control field "Recording by identification number". In order to be able to record containers not individually tracked within job management, choose the control field "Manual Input of the Container Quantities". Please refer to the Container Management manual for further information regarding working with containers. socom.de Page 11 of 22

12 2.6. Parameter work stations To configure the corresponding work stations, open the menu to Master Data Parameters General Work Stations. Scale Number Under this setting store the configured scale to be used at this work station for working with goods-in or goodsout (see Master Data > Parameter > Miscellaneous > Scales). Weight Input Activation of this checkbox allows the weight to also be manually entered in job management from this work station. Quantity Input Activation of this checkbox allows the article quantity to be manually entered in job management from this work station (see Weighing of Tracking Items). Identification number Goods-in When scanning tracking items at goods-in, it is possible to weigh the pieces. The tracking items must have the quantity unit "Weight". Identification number Goods-out When scanning tracking items at goods-out, it is possible to weigh the pieces. The tracking items must have the quantity unit "Weight". socom.de Page 12 of 22

13 Version Goods-in The standard version of the weighing dialogue is configured from this work station with the "0". An alternate version of the scale can be designated under the "1". For additional information on this topic, please consult a SoCom Informationssysteme GmbH support worker. Protocol Printing V1 If Version 1 in "Version Goods-in" is selected; the control field "Protocol" in the dialogue "Number of Containers" is set by default. Customer change V1 If Version 1 in "Version Goods-in" is selected, the dialog "Number of Containers" is opened by default in the case of a change in customer or department. Display info texts In the event of a change in customer or department, activation of this box will display the information stored in the customer-selected job types in the dialogue Scale Container-in (see Programmes > Scale Linkage > Scale Container-in). 3. Weighing in job management If in customer-selected Job Types the control field "Recording only on the Scale" is selected, depending on the work station setting, washing can be weighed at goods-in or goods-out for a job in Job Management via either the activated "F9 Weigh" button or the F9 function key. If you have stored the setting "Recording by identification number" in customer-selected Job Types, the following dialogue will open: support@socom.de socom.de Page 13 of 22

14 In the list box with the blue border, you can select the customer s article to be recorded using the scale. Only articles with the unit quantity "kg" and a stored weighing profile will be displayed. Scan the container in the field "Identification". Pressing "enter" confirms the container selection and weighs it. If a tare weight has been stored in the container parameters, this will automatically be subtracted from the gross weight. All weighings belonging to this job of the customer will be displayed in the list box. By clicking on the space bar in the "Identification" field, the field label can be changed. By clicking once it is possible to search by article number. By clicking twice, you can search by article description. In order to display the "Identification" field again, press again on the space bar. Addition and subtraction weighings can be carried out in the dialogue. You can recognize the respective mode by the initial symbol at the left of the tab bar. With this button, you can switch between the two modes. Under addition weighings, the weight of an article recorded from various weighings are added together. In subtraction weighings, the amount weighed will be recorded as a negative value in the listing. If you have weighed the same article already several times, the negative weight will be subtracted from the total net weight. support@socom.de socom.de Page 14 of 22

15 In order to process the stored weighings, click on the "F2 Edit" button or the F2 function key. Activating the list causes additional buttons to become available. Using the "Del = Reversal" button or the Del key, the selected row may be reversed. Reversed weighings are marked with a red x in the control box at the front of the row. To undo a reversal, select the row again and click the "Del = Activate" button or the Del key. To change the assignment of a weighing, click on "F8 Change Article" or use the F8 function key. A selection dialogue will open in which the other weight articles of the customer are displayed. After selecting the correct article, choose "Apply" and the weighing will be assigned to this article. Reversed weighings can be viewed by using the "F9 Reversal all Customers" button or the F9 function key. A dialogue will open in which all reversed weighings of the selected customer or of the same weight article from other customers can be seen. Clicking on a column activates it as a search term in the search field. Enter the corresponding keyword and press enter to start the search. The first search result will always be activated. To apply a reversal to the weighing dialogue, activate the control box at the front of the selected row and click "Apply". By using the "F2 Proceed" button, the F2 function key, or by activating any other list box in the dialogue, you exit the processing mode of the weighing. By using the "F3 = without ID" button or the F3 function key, you can weigh a container with no identification number for a job. Choose in the right listing of the weight article and in the left table the relevant container (see Master Data > Parameters support@socom.de socom.de Page 15 of 22

16 > Miscellaneous > Container). Press the enter key to weigh the container and to apply the weighing to the listing. Weigh containers with identification numbers by using the "F3 = with ID" button or the F3 Function key Tare the scale by using the "F4 = Tare" button or the F4 function key. This enables you to clear the scale or set it to a weight of "0". Use the "F5 = Manual Tare" of the F5 function key to activate the "Tare" field so that the tare weight for the weighing can be stored manually. Use the "F7 = without Weigh" button or the F7 function key to enter a container-in without a weighing. A notice will appear stating that only a container-in has been entered. If a container is scanned more than once, a notice appears stating that this container has already been scanned. Depending upon the scale and your working method, there are two possibilities for recording the container again under this job. Using the "with Tarring" button causes the scale to tare the already weighed container. A second notice appears "Addition weighing with OK". Load the container with the chosen weight articles and click on OK. The container will be weighed again and the weighing recorded as an entry in the table. A second possibility is to select "Last Gross becomes Tare". The total weight of the already stored container will be used automatically as the tare for the second weighing. Also this weighing will be recorded as an entry in the table. Click the "F10 = Apply" button or the F10 function key to close weighing and apply all entries to the job. support@socom.de socom.de Page 16 of 22

17 2.7. Weighing of tracking items Individually tracked weight articles for goods-in and goods-out can be stored in Job Management Manage Jobs under the tab Tracking Item. Hint: This functionality requires that the "Identification no. goods-in" and "Identification no. goods-out" for the work station settings under "Electronic Scale" are activated (see Master Data > Parameters > Work Stations). Once the identification number of a weight article has been entered, the Scale dialogue in which the article is weighed opens. Fields that cannot be overwritten and have information about the tracking item appear in the dialogue. Select "Apply" to store the weight from the scale in job administration and further process the job. support@socom.de socom.de Page 17 of 22

Scale container-in From the menu Programmes Scale Linkage Scale incoming containers you can view individually tracked and not individually tracked containers from various customers independent of job management for the selected goods-in date Hint: A job position will only be written when the weighing profile of the stored article has "Goods-in" or "Goods-in and Goodsout" selected. The initial default is set for viewing individually tracked incoming containers. The current date is automatically displayed in the "Job Date" field, but can be changed by using the "F2 Date" button or the F2 function key. Scan in the identification number of the container. The customer for this container will be displayed in the "Customer Number" field. The "F4 Change Cust." button or the F4 function key allows you to delete the customer from the "Customer Number" field as well as from the "Department" field if necessary and to enter a new customer. Press enter to store the new customer. Depending on the functionality of the scale, if the control field "Show Preview while Weighing" is activated, the current weight displayed on the scale will always be divided into net weight and tare weight of the last container. Press enter to weigh the scanned container. The entrance of the container will be registered and in the fields below the container "Identification no.", the container type, the gross, net and tare weights, as well as the reference number of the weighing will be displayed. The entrance of the individually tracked containers along with their corresponding data are displayed as rows in the list box. To weigh containers not being individually tracked, click on the "F3 without Container" button or the F3 function key. The "Tare" field will be activated so you can store the corresponding tare weight. To open a selection dialogue displaying all containers stored under these parameters, use the "F5 Selection" button or the F5 function key (see Master Data > Parameters > Miscellaneous > Container). Activate the corresponding container and click "Apply". Enter the customer in the activated "Customer Number" field as well as in the "Department" field if necessary. The customer assignment can be changed again by using the "F4 Change Cust." button or the F4 function key. All weight articles of this customer are displayed in the table with the article numbers. Activate the desired article. Press enter to weigh the container. The weighing appears as a row in the list box. support@socom.de socom.de Page 18 of 22

19 In order to process a container-in without weighing, choose the "F7 without Weigh" button or the F7 function key. A message will appear stating that a container-in was registered. In order to modify weighings from the current day, use the "F9 Daily Protocol" button. The following additional functions are also available from the menu bar. Use the "F10 Signal" button or the F10 function key in order to store a signal for the container. All recorded signals that could be assigned at container-in are made available in the dialogue by activating the control field "Container Management" (see Master Data > Parameters > Miscellaneous > Signals). Choose a signal from the list box "New Signal" by putting a check in the box next to it. Click on "Apply" to save the selected signal for the chosen container. In the "Existing Signals" listing, all signals which have already been stored can be seen. By using the "Del = Reversal" button or the Del key, you can remove a selected row from the list. Reversed weighings are marked with a red x in the control box at the front of the row. To undo a reversal, select the row again and click the "Del = Activate" button or the Del key. Return to the weighing dialogue by using the "F9 = Weigh" button or the F9 function key. With "Quit" you save and close the scale container-in dialogue. If the dialogue is opened again for a selected date, then you can view and modify anew all weighings of the day. 20 5. Piece calculation for weight articles It is possible to figure the corresponding number of an article by using weight calculation. The configuration is located in Assortment for the customer under Master Data Customer Options Assortment. Hint: The prerequisites for this functionality are the modules Rental Flatwork and Ward Supply. Furthermore, this functionality can only be activated by a SoCom Informationssysteme GmbH support worker. The piece article will be assigned to the corresponding weight article in the area "Weight Calculation", and the weight per piece recorded. If no weight for the piece article has been stored in Assortment, the weight from Master Article Data Detail Page 2 will be used for the calculation. Within customer assortment, the relationship of the piece article to the kilogramme article must always be unambiguous. 21 Open the Weighing dialogue with the "F9 Weigh" button or the F9 function key. The calculated number of pieces will be displayed under the weight when you weigh the selected weight article. socom.de Page 21 of 22

22 The weight and the price will be displayed within job management after selecting Apply for the weight article. The calculated amount appears within the row of the corresponding piece article. 6. Setting: weighing without tare not permitted When recording containers by goods-in and goods-out, it is possible to specify that when the container is weighed, the predefined tare weight for calculating the net weight must be selected so that no weighing mistakes to the detriment of the customer occur. This functionality can only be activated through system control. Therefore, you should consult with a SoCom Informationssysteme GmbH support worker. From Job Management Manage Jobs the goods-in or goods-out for the washing that is to be weighed is done. After selecting the customer and placing the container on the scale, click on the "F9 Weigh" button. Select the corresponding container within the weigh dialog so that the container weight is subtracted from the total weight of the packed container. Choosing the 'tare weight 0.000' triggers the mistake notice "Weighing without tare weight not permitted". support@socom.de socom.de Page 22 of 22
