1 AUDIO VISUAL At the Sheraton Denver Downtown Hotel, all your Audio Visual items are arranged and handled by Swank Audio Visuals. Through your Catering or Convention Services manager, you will be assigned a company representative who will organize all your needs efficiently and conveniently. Since 1937, Swank Audio Visuals has been setting the standard in the audio visual field for the hotel, resort and conference center industry, offering the expertise to accommodate everything from intimate gatherings to large conventions. The company s on-site team members and Event Services Division receive in-depth training to ensure the highest standards of professionalism that is only surpassed by their passion for service excellence. Swank Audio Visuals considers itself an extension of the facility s staff and will always maintain a going the extra mile attitude to earn the customer s loyalty. With personal understanding of the venue and an integrated approach with the on-site staff, you are ensured a seamless, worry-free environment. Swank Audio Visuals will provide creativity, confidence and comfort while delivering flawless execution with a hospitality approach. The company s mission is to turn ordinary meetings into extraordinary events. When utilizing an outside production company for your event, you will incur applicable ancillary charges for services (i.e. house audio access, electrical charges etc.). Any and all rigging requests must be approved by Swank Audio Visuals. We maintain exclusivity on rigging installation and man lifts. Please refer to OUTSIDE PRODUCTION COMPANY GUIDELINES for specific guidelines. Applicable charges will apply. OUTSIDE PRODUCTION COMPANY GUIDELINES The Sheraton Denver Downtown Hotel has partnered with Swank Audio Visuals as its preferred supplier of audio visual equipment and services. We endorse and recommend Swank Audio Visuals for all audio visual services. Swank Audio Visuals carries a complete line of audio visual equipment, including a large inventory of lighting trusses, chain motors, intelligent lighting and a line array sound system. The Sheraton Denver Downtown Hotel recognizes that certain guests/clients may elect to bring in a third party supplier of audio visual services. The hotel is able to meet any such requests provided the Production Guidelines listed below are followed and a copy of these guidelines are signed by the guest/client, the third party Supplier, and provided to the hotel at least 45 days prior to the event. In the event you select an outside production company to handle your AV needs at the Sheraton Denver Downtown Hotel, you will incur ancillary charges at prevailing rates. These guidelines have been developed to ensure the utmost safety and care for all guests of the hotel and the hotel premises and to uphold a level of service and quality that is necessary to ensure a successful event. Outside Production Companies need to provide the hotel with a Certificate of Insurance for a minimum of $3M prior to the group event (recommend 30 days in advance). A Swank Audio Visuals Supervisor will be assigned to work with the outside supplier at prevailing rates ($600/10-hour per day minimum). Additional charges will apply for nights, weekends, and holidays. This person will oversee all load-in/load-out activities within the Ballroom areas, act as a supervisor and point of contact for unforeseen production needs, and ensure that standards and policies of the Sheraton Denver Downtown Hotel are followed. Any set-ups requiring ground supported equipment exceeding 10 feet in elevation will require a Swank Audio Visuals Supervisor to supervise as stated above. Programs that are more extensive may require the use of two or more Supervisors. Onsite changes to production requirements may incur additional charges. Due to multiple-group usage of our function space, the Production Company must submit a completed Production Event Planner which contains; schedule of activities for set-up, rehearsals and teardown times, rigging and power needs. Please contact your Catering and Convention Service Manager or Swank Audio Visuals for details. This information shall be presented no later than 30 days prior to the event/group arrival date to avoid delays. Information submitted less than 30 days prior will be subject to additional charges. Arrangements for direct billing to your production company must be made at least thirty (30) days in advance; otherwise, you will have to arrange to pay by credit card only before your scheduled event. To assure a speedy response to

2 any on-site additions, the Hotel advises that billing provisions be established in advance, even if there are no planned orders (See also "Insurance"). Only Swank Audio Visuals is authorized to access secured areas (above ballroom ceilings, storerooms, amp rooms, etc.). The Sheraton Denver Downtown Hotel reserves the exclusive right for Swank Audio Visuals to make use of the in-house audio systems. These systems are not to be utilized by an outside vendor. Outside vendors must provide their own audio package complete with external sound amplification, microphones, and cables (See also Insurance ). Swank Audio Visuals utilizes many radio frequencies at the Sheraton Denver Downtown Hotel. To help guarantee the success of your event please contact Swank Audio Visuals for a list of frequencies utilized on property to help avoid cross talk and loss of business. For space and event planning, drawings and room layouts of all meeting spaces are available. The layouts and drawings are ed or a hard copy can be provided for $50.00 each through Swank Audio Visuals. The Production Company must register on a daily basis with the hotel s security team on the tower dock upon arrival. The Production Company staff will be issued contractor identification tags each day on premises. Visitor badges must be worn at all times. Outside personnel must wear clothing that is clean and neat in appearance. At no time is loitering permitted in the public areas of the hotel. Production/Decorator staff scheduled for work should report to the area as scheduled. It is against state and federal laws to consume alcoholic beverages on property while under contract. This includes the purchase of any alcoholic beverages in hotel lounges or restaurants. The hotel associate dining area-cafeteria is off limits to vendor personnel. No eating is allowed in the back of the house. Please note there is no smoking inside our Hotel property. A smoking area is available in specific areas outside the hotel. There will be a facility walk-through of the contracted event space with you, your Catering and Convention Services Manager, Swank Audio Visuals Supervisor and the Production Company representative. The Sheraton Denver Downtown Hotel has no storage space for outside a/v provider related packages. Should you anticipate needing significant storage, please contact your Catering and Convention Services Manager for availability and arrangements. Be sure to include dressing rooms, private storage rooms, and move-in/move-out dates (move-in/move-out may be conducted only during the scheduled time contracted by your group). Should storage space be required for any audio visual equipment or project while a company is on site, full room rental may be assessed for each day the space is required. At no time will a production company be allowed to store freight, crates or equipment in any public or service areas, including back hallways or the loading dock. In compliance with the City of Denver Fire Code, the ballroom doors do not lock. The Hotel is not responsible for anything that is left in the ballroom. If needed, hotel security coverage is available through your Catering or Convention Services contact at $65.00/hr./guard. The Hotel has freight elevators that may be reserved in advance through your Catering and Convention Services Manager. The use of outside lifts is not permitted.

3 All lifts must be rented through Swank Audio Visuals at a rate of $400/day. Reservations must be made fourteen (14) days in advance to insure availability. Lift requests submitted less than 14 days prior will be subject to an additional $400 crash charge. Lifts will be operated by Swank Audio Visuals personnel exclusively at a rate of $60/per hour (4 hr. min). Additional charges will apply for overtime, weekends and holidays. All scaffolding must have jack feet attached. Bare piping is not allowed on any scaffolding surfaces. Pallet jacks, scaffolding, or any other heavy equipment are not to be placed or driven on dance floors or risers at anytime. Forklifts and propane/lp powered lifts are NOT permitted for any reason at the Sheraton Denver Downtown Hotel. A representative of Swank Audio Visuals must complete all connections to structural steel or hang points. Charges will be posted to the master account of the in-house group. Upon request, outside production companies must be able to supply certifications and/or inspections on rigging equipment and materials. Rigging Rates are as follows: Riggers (2 minimum): $125/per hour (4 hr. min) (Overtime rates apply after 8 hrs. and rig calls starting on or after 8PM Double time applies for Holidays) Hang points $125 per point/per event (includes both motor points and dead hang points) Cable pick points $35 per point /per event Under no circumstances may anything be hung from sprinkler heads or air wall tracks. Any requests for rigging other than points outlined will need written approval of the Sheraton Denver Downtown Hotel's engineering team. Please contact Swank Audio Visuals for assistance. All rigging requests are to be directed to Swank Audio Visuals no later than thirty (30) days in advance of the function. The following information is required: Detailed drawing of rigging plot in.dwg or.pdf format Description of items being rigged Weight loads indicated on drawing Number of Hang points and Cable pick points Rigging information submitted less than 30 days prior will be subject to an additional 30% surcharge on all rigging related items, including points, labor, etc. Swank Audio Visuals will handle all production/show power requests. Requests for power must be made at least fourteen (14) days before the event. In addition, there will be charges for labor, installation, and rental of hotel or Swank Audio Visuals supplied equipment if applicable. Power needs will be charged the following, per day. 20 amps, 120 volt circuit $ amps, 208 volt 1 PH/3PH circuit $ amps, 208 volt, 1 PH/3 PH circuit $1, Power connections that require access to electrical panels require a house electrician to make all connections with the approval of the Sheraton Denver Downtown Hotel Engineering department. The House Electrician will be billed at the following rates: 8 a.m. to 4 p.m., Monday Friday, 4 hour minimum $75.00 per hour Weekends, Holidays, Evening, 4 hour minimum $ per hour All extension cords must be 12/3 gauge per the Denver Fire Code. All cords and wires must be taped down and covered safely. When it is necessary to run cords or cables in any area where

4 personnel or guests may travel, including the service areas, The Sheraton Denver Downtown Hotel requires that cable ramps, or similar, are used to ensure safety. All exit doors that have cable across them must use cable ramps, or similar. All necessary cable ramps must be provided by the outside vendor or they can be rented from Swank Audio Visuals for a daily rental fee of $25.00 per doorway. Permanent lighting may not be altered in any way. This includes the unscrewing of lamps. All theatrical lighting must be UL listed for indoor use. Floor fixtures must employ the use of approved floor bases. All lighting equipment is subject to inspection by a representative of Swank Audio Visuals. Access to any electrical breaker or disconnect is strictly prohibited. The Ballroom lighting panels allow limited control of house lighting. No house light remote control is available. No items may be affixed to the walls or ceiling or permanent lighting fixtures. The use of pins, tacks, nails, or tape is prohibited on walls and ceilings in public areas. No equipment or materials are allowed to be leaned or set against finished surfaces. Charges to repair any damages to facility will be assessed to the vendor. A full 12 inches must be maintained between drape hardware and any facility feature such as walls, moldings, wall sconces, ceilings etc. All drapery must be supported by free-standing Pipe and Drape uprights and not attached in any way to facility walls, moldings, ceilings, etc. All upright bases must be secured with sandbags. All drapery systems must make allowances for service entrances per your Catering and Convention Services Manager. Tech drape must be used for all Front of House tech stations. It is the responsibility of the Production Company to protect all carpeted and/or marbled areas during setup and teardown; the use of either plywood or visqueen is recommended. It is also your responsibility to remove wood pallets and crates from the hotel property. Colorado Law requires a fire watch in the event your production necessitates deactivating our life/safety system within your contracted space. It is the responsibility of the Production Company to obtain all necessary permits. The necessary permits and a detailed schedule of events pertaining to the Fire Watch are required no less than 14 days prior to the event/group arrival date. Information submitted less than 14 days prior will be subject to an additional 30% surcharge. After obtaining applicable permits from the Denver Fire Department for the display requiring de-activation of the Life/Safety system, Hotel security will obtain fire watch personnel. The charge for this service is approximately $100.00/hr. depending on the number of fire watch personnel needed as determined by the permit issued. Fire watch is required from one hour prior to de-activation of system to one hour after system is put back on line. Charges will be applied to the Master Account. Three copies of the permit are needed: one for FCC, one for the Engineering Department and one master copy. Only Water based fog or hazer equipment is allowed in the Sheraton Denver.

5 Fireworks or pyrotechnics of any kind are strictly prohibited. PARKING - Production vehicles You are at your own discretion for parking arrangements for your production vehicles. We regret there are no facilities on site for large vehicles. See Parking information section on page 30 re: Recommended lots for vehicles.
