WST is appropriate mix of internet based solution with various label printing offering that makes shipping easier and more proficient and efficient. SPOTON s WST that creates and uploads details of consignments, reuse of maximum historical/used data, print Consignment Notes/AWB, Multiple pieces stickers and print Pickup Manifest all at customer s premises thus reduces time and effort at all level. IT REALLY HELPS It automates most of customer s shipment process It creates and prints STL s waybills in various format say on plain A4 sheet / pre-defined label It also helps to print Multiple-label sticker thus completely eliminates hand written labels for each box. It would help you to close your pickup early. 3 GETTING STARTED What is SPOTON s Web Shipping Tool (WST)? SPOTON s integrated Web Shipping is one of the most comprehensive online shipping solutions which would help customer to manage his/her express shipments in most effective manner. Thru SPOTON s web shipping tools now customer can print labels, store addresses, track your shipments, online Tracking and much more. SPOTON s Web Shipping Tool will streamline customer s shipment process and eliminate most of the manual work. What a Pick up boy does at your warehouse, this solution is designed in such a way so that it becomes most effective and a great time saver Forsmall to medium sized companies who wants to do things on their own way. SPOTON s Web Shipping Tool is extremely easy to understand and requires no training and virtually from Day 1, you are good to go. Any SPOTON s account holders can now register and start shipping online. It only takes a few minutes to prepare a shipment labels, stick the same and it s ready to ship. What user need to start using SPOTON s Web shipping Tools STL s account number (the number thru which customer transact it s business with us) PC with internet access, where customer s proxy would allow ( connect ) Web browser (Internet Explorer 6.0 or higher, Firefox 4.0 or higher) Valid address, which also serves as login Laser printer for A4 sheet Con note or Thermal label printers for Sticker based solution Page 3

4 Once the SPOTON s WST is enabled to the user, Type the URL Login using user Id and Password. In SPOTON page, SPOTON s WST link appears in top right side. Click on the Link, SPOTON WST Home page appears. SPOTON S WST HOME PAGE Note: Click Download Sample format to upload bulk consignment from the excel sheet. Page 4

5 ADD ADDRESS ADDRESS BOOK From the SPOTON s WST main page, click on go link of Address book. It the details of receiver and delivery address. Select the address type, Enter the name, address, city, pin code, contact name, phone, ID, TIN number and Click on the Add button EDIT ADDRESS To edit the address, enter the few letters of the name part Click on the Search button It lists the details of the receiver/delivery name the user search. Click on the corresponding Edit link to edit the details. Please Note: The address information will be stored, when the users create/upload the Con Details. Page 5

6 SEARCH ADDRESS Enter the name/address/ city, contact person name or enter the pin code and Click on the corresponding Search button. Page 6

7 CREATE CONSIGNMENT To make entries of single consignment details. From the SPOTON s WST main page, click on go link of Create single consignment. The following screen will appear. In the top left of the screen, it shows the remaining consignments available in numbers. Consignment number is auto generated from the assigned series to the account number. Sender Details Enter the Customer Reference Number By default, sender and pickup details (Name, address, city, pin code, will appear in corresponding textboxes) Receiver Details Receiver Address: Enter the Name, address, city, pin code, contact person name, phone, and TIN Number in the corresponding text boxes. Delivery Address: If delivery address is same as receiver address, check on the check box same as above otherwise enter the Name, address, city, pin code, contact person name, phone, and TIN Number in the corresponding text boxes. Page 7 (Note: The address will be stored in the address book if not exist. Next time, when the users enter few letters of the name in the sender/receiver text box, it lists all the similar, user could select the right one, so that the address, city, pin code will appear automatically)

8 Consignment Details Select/Enter the Followings Package type Product DACC or N/F form applicable Permit details VTC details Package Details Measured unit (Default unit appears) No of packages Length, Breadth and Height Click on Add button to add packages to enter different measurements. Actual weight Note: (Total packages, volume, volumetric weight and chargeable weight will be displayed according to the entered value) Risk type, Invoice Details and remarks. Enter the followings Risk Type: Owner/Carrier s risk Enter the Insureance Number, company and valid date Invoice Details: Declared value, Total Invoices and Total Amount Remarksand Special Delivery Instrucations After entering all the details click on Create button. The details will be stored along with the consignment number as shown below. Page 8

9 Note: The remaining consignment available is reduced after creating. EDIT CONSIGNMENT From the SPOTON s WST main page, click on go link of Edit Consignment box, the following screen will appear. In this screen, it will list the consignments which are not manifested. Click on the Con Number want to edit. Details can be edited only for the consgnments which are not manifested. Page 9

10 Edit the fields where it needs. In this example, after clicking the add button, No of packages is included. After entering the details, click on Update Button in the bottom of the screen. Page 10

11 UPLOAD BULK FROM EXCEL SHEETS To upload the bulk consignments from the excel sheets. Excel Format Step:1 Step: 2 Open the new excel sheet. In the first row of the excel sheet enter/paste the headers as per the format. Enter the consignment details (from the 2 nd row) After entering all the details, save and close the excel sheet. From the SPOTON s WST main page, click on go link of Upload Multiple / Bulk consignments box. The following screen will appear. Step: 3 Browse the excel sheet and click on the Upload Button. Step: 4Select the sheet and click on Select sheet button. Note: In this example we took 2 consignments details (2 records) Page 11

12 Uploaded without Error After uploading, the message will appear as shown in this screen. If any error in data: If any error in data, it creates log file for those records. Note: In this example. 1 consignment is uploaded successfully. Another consignment has error. The remaining available consignments are reduced. Click the link (Log file) to see the error. It list out the errors for the corresponding reference number. Page 12

13 CANCELLATION OF CONSIGNMENT From the SPOTON s WST main page, click on go link ofcancel consignment. Check the corresponding Con Numbers. Enter the cancel reason in the corresponding text box. If user select multiple con number and the cancel reason is same, click on same reason (top right). Click on Cancel Con button (Top Left) After cancelling, message will appear on the screen. Page 13

14 PRINT CONSIGNMENTS To print the consignments in A4 Paper / Stickers and to print the multiple pieces in stickers. From the SPOTON s WST Main Page, click on go link of the Print Con Note. The following screen appears Step 1: Select the From and Todate (Default will be today) Con current status (default is Pickup Registered, it means still not manifested) Click on View Button Step 2: It has listed all the consignments from the selected period. Check the Consignments want to print (Default all checked) Select the print option o Print A4 Con Note Each Con note will be printed in laser printer on A4 sheet; Triple copies in single sheet Shipper copy, another copy along with Material and Accounts copy o Print multiple piece stickers. Stickers for pieces for each consignment will be printed in Thermal Printer. o Print Con Note Stickers. Con Note Sticker for each consignment will be printed in Thermal Printer. (Note: The print option will appear on the screen according to Admin Settings) Click on Print Con Button from the left bottom of the screen. Page 14

17 PRINT MULTIPLE PIECE STICKERS Select the Print multiple pieces sticker. (Option to enter Starting piece number if single Con) From the preview click on the Print icon to print (Stickers for pieces for each consignment will be printed in Thermal Printer) PRINT CON NOTE STICKERS Select the Print Con Note sticker From the preview click on the Print icon to print Con Note Sticker for each consignment will be printed in Thermal Printer. 18 THERMAL PRINTERSETTINGS From control panel, select printers, from the list of printers select the thermal printer, right click menu, and click on Properties. Set the Printing preferences and printer settings as shows in the pictures. Page 18

19 CREATE AND PRINT MANIFEST To print the Manifest. From the SPOTON s WST Main Page click on go link of Create and print Manifest. The following screen appears. Check the consignments and click on Create Manifest button. It displays the Manifest Number Select the copy type Click on Print Manifest Button. Page 19

20 Click on the Print Icon to print it. RE PRINT MANIFEST To reprint the manifest. From the SPOTON s WST main page, click on go link of Re Print Manifest. The following screen appears. Select the search By option If search by manifest Number enter the number otherwise enter date click on display button. Page 20

21 Select the copy option (Customer/Startreck ) Click on Re print Manifest button. MIS From the SPOTON s WST Main page, click on go link of Booking / Pick up Details. The following screen appears. 23 VIEW CON SERIES From the SPOTON s WST Main page, click on go link of View CON Series. The following screen appears. It list out the Total Con Series, Used, not used and Last used. LOCATION SEARCH From the SPOTON s WST main page, click on go link of Location Search. The following screen appears. To start with you need STL s Account code, once you have the accounts code and your ID is ready with you, it takes few minutes to register you via Once registered, it will be a few simple steps to make your first shipping labels with SPOTON s Web Shipping Tool. If you don t have an account, contact to get one for the same Do I need a SPOTON account to ship? Yes, you need a SPOTON account to register and use SPOTON s Web Shipping Tool. Can more than one person register with the same SPOTON s account? Yes, as many as valid user with valid ID linked to a SPOTON s account code can be able to use SPOTON s Web Shipping Tool. This is an ideal situation so that thru one account multiple people within your organisation can use this technology solution and create shipments. Same way multiple account holder of the same organisation can also use SPOTON s Web Shipping Tools. Can I use same address repetitively? Do you have any Address book as a solution? Yes Address Book is an integral part of the solution. Once a receiver address is keyed in, the same will be stored and you can use the same at any point of time thus reducing data entry time considerably. What are the hardware/software required for using SPOTON s Web Shipping Tool? * PC with internet access, where your proxy allows ( * Web browser (Internet Explorer 6.0 or higher, Firefox 4.0 or higher) * Valid address, which also serves as your login * Laser printer(to have quality barcode printed) for A4 sheet Con note or Thermal label printers for Sticker based solution Does SPOTON s Web Shipping Tool generate Multiple Piece Label? Yes it does. You can configure your system in such a way that you can print Con Note/AWB and Multiple piece stickers either together or separately. System is tuned to meet your all such need. Also Multi piece sticker can be printed from any number too say a 60 pieces shipment, you can print label from 42/60 onwards. Does SPOTON s Web Shipping Tool prints Con Note/AWB both on plain sheet paper and on thermal label? Yes it does print Con Note on both A4 sheet (3 parts) and thermal labels. Page 25
