1 Getting Started Guide OAS Freight v 3.2 Welcome Thank you for selecting OAS Freight. This guide is designed to help you become familiar with the OAS Freight software. This guide is not designed to be a comprehensive reference guide. Please reference the on-line help for more comprehensive instructions. 2 2 Getting Started Guide Running OAS Freight Once the OAS Freight installation is complete, you may run OAS Freight by clicking the icon on your desktop or by: A) Select Programs from the Start button on the taskbar. B) Select OAS Freight from the Programs options. OAS Freight is now running! Before we begin reviewing the procedures for processing shipments, let s review the system. Overview OAS Freight is written specifically for freight forwarding companies and addresses the needs of operations, accounting, and management. In order to better understand what to expect from OAS Freight, let s review some of the basic capabilities. C C C C C C OAS Freight: Produces the documents necessary for domestic air, international air, and ocean shipments. Handles consolidated, non-consolidated and NVOCC shipments. Provides comprehensive shipment tracking functions. Features integrated accounting system as well as interface to outside accounting systems. Features a wide variety of comprehensive shipment, tracking, and financial reports. Provides EDI functionality which allows you to communicate with your trading partners using industry standard messaging. System Conventions OAS Freight uses standard Windows conventions wherever possible. You will also notice that OAS Freight uses other conventions that are standard throughout the application. Log In Upon running OAS Freight, the first screen you will see is the login screen. Select the system you wish to load from the System prompt. For now, select New User for the user. New User does not require a password, so tab to the OK button and hit enter. Later, you will want to set up the users for your company, as well as their security levels and passwords. Main Menu Once you have successfully logged in, the Main Menu is displayed across the top of the screen. From the Main Menu, you are able to select the module you would like to open. Open the menu options by clicking on the menu bar. Notice that the menu options each contain an underlined letter. Whenever you see an option with an underlined letter, you can alternately load that option by pressing ALT +letter. These are called hot-keys. The Edit menu option provides you with the ability to cut, paste, and copy text. These options are also available by simply pressing the associated hot-key. The File menu option allows you to load the system maintenance functions, the Windows printer set-up, and exit from the system.

3 3 Getting Started Guide The Quote menu option produces shipper quotations and quotation reports. The Accounting menu option provides access to the integrated accounting system and allows you to interface with outside accounting systems. You also have access to a wide variety of financial reports. The Shipment menu option allows you to process shipments, produce shipment documentation and reports. The Rates menu option provides you with the means to store and retrieve customer and carrier rate information. Selecting the Help menu option will load the OAS on-line help system. The Status menu option provides you with the capabilities to enter and report on the status of your shipments, master bills, and containers. We will go over the modules loaded by the Main Menu in more detail later. For now, let s become familiar with how to navigate the system. The EDI menu option allows you to communicate with your trading partners and report on communications sessions.

4 4 Getting Started Guide Fields Forms OAS Freight uses several types of fields to collect data. Each type of field OAS uses several types of standard screens throughout the system. The has certain characteristics which make it unique. most common types are listed below. While the examples we will use are specific examples from the air system, the following forms are used throughout Most fields are simple data entry fields which require that you both the ocean and air system, with identical functionality.. type in the value for that field and do not have any special functions. Shipment Selection Fields followed the by the selection icon are selection fields. Selection fields check the information you key in against a related database. You may toggle C New Creates a new, blank shipment. through the options by pressing the first letter, or select from the entire list by C Copy Quote Creates a new shipment, copies the information from pressing the space bar or the drop-down icon. an existing quote. C Copy Shipment Creates a new shipment, copies the information from Checkboxes are true if checked, false if not checked. an existing shipment. C Select Select an existing shipment to load Fields followed by the detail icon have additional detail which can be C Exit Return to the Main Menu accessed by pressing the detail icon. The top right side of the Shipment Selection screen enables you to enter The Rate look-up icon allow you to access rate tables to select shipper filter criteria. Typically you would select a shipment by entering the Shipment and carrier rates. Number for that shipment. Grids are useful for displaying detail about several related records at one time. Some grids require you to select an item from the grid. You may do that by clicking on the item in the grid. Some grids allow you to set the sort order by clicking the field at the top of the column you wish to sort. If you are uncertain of the Shipment Number, you may want to reference by another number (such as Air Waybill, Booking, or Shippers Order Number. If you are uncertain of any numbers, you may search through shipments by entering Shipper Name, Carrier, Airports, etc. Press OK and all shipments matching the filter criteria will be displayed.

5 5 Getting Started Guide Data Entry Data Entry forms may consist of several pages. The title of each page is displayed in the tab at the top of the form. You may change pages by clicking on the tab, or by using the Page-Up or Page-Down keys. At the bottom left side of the form, there is information reminding you of the transaction currently loaded. If only one shipment matches the filter criteria you have entered, the Shipment form will automatically be loaded with the selected shipment If the filter criteria applies to more than one shipment, select the shipment you want to load by double-clicking on the line displaying the shipment. The Shipment form will load with your shipment. * The Quote Selection form is identical to the Shipment Selection form. At the bottom right, there are two rows of buttons. The top row of buttons are used to navigate between different shipment modules. The bottom row of buttons are tool buttons which allow you to print, select another shipment, exit, and attach/detach a shipment to a master bill.

6 6 Getting Started Guide Selection C C Selection forms will be activated: If the icon on the selection field is pressed If a value is entered into a selection field, and there is not an exact match to either the value or the search code entered. You may change the sort order by clicking on the column header (located at the top of the column). To search for an item in the database, enter the value in the search field (at the bottom of the form), and press ENTER. The closest match will be selected. Notice that the system will search the currently selected search field. If you press the Add or Edit button, the Selection Edit form will be loaded. Selection Edit The Selection Edit form allows you to maintain the selection database. This form may be accessed from the Selection form or from the Main Menu->Maintenance->Selection Databases option. Selection forms require that you select from one of the valid choices listed in the grid. The grid displays information from the related selection database. You may add new items or edit existing items on-the-fly by using the Add and Edit buttons on the bottom right. Once you have selected an item, press OK (or double-click on the item) to return to the data entry form. Use the Cancel button if you do not wish to make a selection.

7 7 Getting Started Guide The Selection Edit form is like any other Data Entry form except for the buttons at the bottom of the form. The buttons provide several options for managing the database: C Top Go to the top (first) record. C Previous Go to the previous record. C Next Go to the next record. C Bottom Go to the bottom (last) record. C Print Reports on current record, or on entire database. C Find Loads the Selection form to scan records. C Add Add a new record. C Edit Edit the selected record. C Delete Delete the selected record. C Exit Exit from Selection Edit form. C Save Save changes (only after add or edit). C Revert Do not save changes (only after add or edit). Document Print Pressing the Print button at the bottom of a Data Entry screen (Shipment, Quote, etc.) will display the Document Print form. The documents that are available from the Document Print form depends on which module you access from. For instance, the Invoice is processed (and printed) in the Invoice section of the Shipment module. This is consistent with the overall philosophy of the OAS Freight, which is to process information as the information is gathered, as you normally would in your daily operations. Select the document you want to print from the Print field. The currently selected (default) printer is displayed at the bottom of the form. If you would like to change the printer, the Printer Setup button allows you to choose from any local or network printer or fax. The Print button will print the selected document to the currently selected printer. Notice that you are able to specify the number of copies. Depending on the document you want to print, you may have other print options which will appear in the area on the left of the Print Form. In this example, you may indicate whether the House Bill should print As Agreed, and whether to print on a pre-printed form (or on blank paper with lines printed). Press the Preview button to preview the document on the screen. The EDI button is only available if the EDI functions have been activated and allows you to electronically send messages to your trading partners.

8 8 Getting Started Guide Report Notice the toolbar at the top left of the screen. The navigation buttons allow you to easily navigate through the document pages (if there are multiple pages). The Zoom box allows you to select from a list of Zoom levels, which determine the size the document appears on the page. The door will close the preview screen. The Printer icon sends the document to the currently selected printer. The scroll bars allow you to navigate the page. An easier way to navigate the page is to click on the document, which will display the whole document on the screen. While it may be difficult to read the document when displayed in this manner, you may easily click on the area of the document you wish to view to magnify that area. The Report form is accessed from the Main Menu. It allows you to produce reports specific to the Main Menu option selected. For instance, Quote->Reports enables you to print quotation reports. The Report form provides you with a tremendous amount of reporting flexibility. Specify the report you want from the Report field at the top left. Specify the filter criteria in the section at the top right. The bottom left allows you to determine the sort criteria. Select the Break field next to a sort level to indicate where you wish to have page breaks occur. Check the Totals box for every sort level you wish to generate totals. The Report screen will change depending on the report you select to print. The print option section, at the bottom right, enable you to print, preview, and select the default printer.

9 9 Getting Started Guide Processing Shipments Processing shipments is fundamentally the same for ocean and air. The primary difference in many modules is the wording used, for instance Port, or Airport. The International, Invoice, and Status modules are extremely similar, and produce effectively identical documentation, for both modes of transportation. The Request, Booking, and Master Bill modules are unique to the mode of transportation. These modules reflect the different data entry procedures, EDI requirements, and documents that are produced. The techniques for processing each mode of transportation is discussed below. Processing an Air Shipment The steps required for processing an air shipment are: C Shipment Processes shipper request and information necessary to complete a House Bill. C Air Waybill Processes information to produce the Master Air Waybill. C International Produces International documents. C Invoice Produces customer invoices. C Status Processes shipment status information. Shipment Select the Main Menu->Shipment->Shipment option. The Shipment Selection screen will appear (as previously discussed). Once you have selected a shipment (or created a new one), the Shipment module will appear. The Shipment module gathers information to process a House Bill. The first page is the Request page. The Request page gathers information about the parties involved in the shipment. notice that the forms are modified to streamline the data entry process for a domestic shipment. The second page is the Content page. The Content page gathers information about the commodity being shipped. When entering weight and volume information, you may enter the totals, or you may enter detailed content information and the totals will be generated for you automatically. The content detail totals are displayed in the From Detail column. If you choose not to enter content detail, enter the totals in the column below Actual. (The Actual totals will later be used to calculate the Air Waybill totals.) For this example, we will be processing an international shipment. If we were to select Domestic on the Request page instead of Export, you would

10 10 Getting Started Guide If the totals have been calculated automatically from the content detail, but need to be reported differently (rounding for Letter of Credit, for instance), you may opt to over-ride the calculated total by not selecting (checking) the Pull Detail option. In order to enter the content detail, press the Content Detail button. The Content Detail screen will appear. This area also displays the complete information for the content detail item selected on the grid. You may select an item by clicking on the line of that item. Once all the detail information has been entered, select Exit to return to the Shipment form. Use the Add, Edit, and Delete buttons on the right side of the screen to enter content detail information. The detail is entered (or edited) on the bottom left of the screen.

11 11 Getting Started Guide The third page of the Shipment module (Routing and Rating), which gathers information relating to the service provided to the shipper, the routing of the shipment, and the shipper and carrier rates. ** If you know the Air Waybill number, you may enter in the AWB # field, or by pressing the Attach button at the bottom of the screen. Once an Air Waybill is assigned, the carrier routing area becomes read-only, and the fields reflect the values of the air waybill, and must be edited from the Air Waybill module. The fourth page is the Shipment Charges page. This page will be formatted according to the House Bill that is being issued. The Service area at the top of the page refers to the service provided to the customer. The Routing area in the center of the page refers to the routing used by the carrier. The Rating area at the bottom is used to gather the customer rate information and displays the carriers rate (from the Air Waybill). Since we are issuing a standard IATA House Bill in this example, the screen is formatted for the IATA House Bill.

12 12 Getting Started Guide The fifth page, Instructions, gathers instructions and miscellaneous information. The fields on this page are also formatted depending on the House Waybill.. The Documents available from the Shipment form are: C Alert Used to notify the destination or We have now completed the data entry and we re ready to print the House consignee to expect shipment Bill. Pressing the Print button at the bottom of the screen will display the Print C Domestic House Waybill House Bill used primarily for Options form. domestic shipments. 13 13 Getting Started Guide Master Air Waybill Now that the House Bill has been processed, let s process the Master Air Waybill. To load the Air Waybill form, press the AWB button at the bottom of the page. If you select Consolidate or Copy AWB, you will be prompted with filter criteria and required to select an existing shipment. If you select New, you will be asked to confirm creation of a new Air Waybill. At this point an Air waybill Number has not been assigned. The system automatically assigns a manifest number. Every Air Waybill is assigned a unique Manifest Number. If an Air Waybill has not yet been assigned to the Shipment, you will be prompted with the Air Waybill Selection form. This form is very similiar to the Shipment Selection form. The options are: C New Creates a new Airt Waybill, copies information from the shipment. C Copy AWB Creates a new Air Waybill, copies information from an existing Air Waybill. C Consolidate Selects an existing Air Waybill to consolidate with. C Exit Returns to the previous form. Once you select OK, the Air Waybill form will be loaded.

14 14 Getting Started Guide The fields in the Air Waybill module are formatted just as printed on the Air Waybill, so this module should be easy to understand. The first screen collects information on the parties involved in the shipment. Notice that there are few Selection Fields. The data entry for this module as well as the remaining modules are free form for the most part. This enables you to accommodate Letter of Credit shipments. The second page, Content, gathers information relating to the commodity. Most of the functions are identical to the Content form in the Shipment module. The actual weight and volume displays the sum of the weights and volumes for all attached shipments. On the right side of the form, there is a list of attached Shipments. If you want to go to one of the listed shipments, select the desired shipment (by clicking on the shipment), and press the button of the form you would like to load (from the bottom of the screen).

15 15 Getting Started Guide The Routing and Rating page is the third page of the Air Waybill module. The fourth page processes charges for the Air Waybill. The top section of the screen collects routing information. **If you have not previously done so, you should select enter an Air Waybill number here. The middle section collects Air Waybill rating information. You are limited to selecting charges defined by IATA for the additional charges. All Charges are totaled automatically at the bottom of the form. The total is considered the total airfreight amount and is distributed to the attached shipments as the airfreight cost (as displayed in the shipment screen). The bottom section collects carrier rate information (the rate the carrier is extending to you).

16 16 Getting Started Guide The fifth page allows you to enter instructions for the Air Waybill. The Air Waybill module produces: The accounting information will automatically be prompted for you if you C Air Waybill Standard IATA format Air Waybill. enter the accounting information into the carrier database. C Alert Notify Agents and Consignees of pending shipments. An Alert is generated for each attached shipment. We have entered the information necessary to produce the Air Way bill. C Lot Labels Air Waybill lot labels. Press the Print button at the bottom of the screen to see the Air Waybill module C Long Manifest Manifest with long shipment description Print Options. C Short Manifest Manifest with abbreviated shipment description.

17 17 Getting Started Guide Processing an Ocean Shipments The steps required to process an ocean shipment are: C Request C Booking C Master Bill C International C Invoice C Status The second Request page is the Service page. This page gathers information relating to the service you are providing to the shipper. Request The Request module is designed to gather the initial Shipment Request information. Once a shipment has been selected from the Shipment Selection form, the Request form will load. The first page is the Request page, which gathers information on the parties involved in the shipment. In the center of the page, enter instructions for pickup and delivery.

18 18 Getting Started Guide The third page is the Content page, which gathers information on the commodity being shipped. Use the Add, Edit, and Delete buttons on the right side of the screen to enter content detail information. The detail is entered (or edited) on the bottom left of the screen. When entering weight and volume information, you may enter the totals, or you may enter detailed content information and the totals will be generated for you automatically. The content detail totals are displayed in the From Detail column. If you choose not to enter content detail, enter the totals in the column below Actual. There may be instances where the content detail has been entered, but the totals need to be reported differently (rounding for Letter of Credit, for instance). By not selecting (checking) the Pull Detail option, you are enabled to overwrite the actual totals. This area also displays the complete information for the content detail item selected on the grid. You may select an item by clicking on the line of that item. Once all the detail information has been entered, select Exit to return to the Shipment form. In order to enter the content detail, press the Content Detail button. The Content Detail screen will appear.

19 19 Getting Started Guide The fourth page is the Rates page, which gathers information about the rate being extended to the customer. The Request produces: C Booking Request Recap of Request information C Freight Details Content Detail information We have now finished entering information for the request. Press the Print button at the bottom of the page to view the print options.

20 20 Getting Started Guide Booking Now that the request is processed, let s process the Booking information. To load the Booking form, press the Booking button at the bottom of the form. If a Booking has not yet been assigned to the shipment, you will be prompted with the MBL (Master Bill of Lading) Selection form. This form is very similar to the Shipment Selection form. The options are: C New Creates a new Booking, copies the Request information. C Copy Creates a new Booking, copies information from another Booking/Bill of Lading. C Consolidate Selects an existing Booking to consolidate with. C Exit Returns to the previous form. If you Consolidate or Copy, you will be prompted with filter criteria and required to select an existing shipment. If you select New, you will be asked to confirm creation of a new manifest number. A manifest number is automatically assigned to every new Booking. Each Booking is attached to a Bill of Lading, although the Bill of Lading information is entered later. The manifest number is created at this point to provide a reference for consolidating shipments. Once you select OK, the Booking form will be loaded.

21 21 Getting Started Guide The first page, Routing, gathers information on the booking created with the carrier. The second screen collects detailed container information. The top section gathers information relating to the booking, while the bottom section gathers information about the number and types of containers. At the bottom of the form, there is a list of attached shipments. If you want to go to one of the listed shipments (for consolidated shipments), select the desired shipment (by clicking on the shipment number), and press the button of the module you wish to load. This page contains information on all containers attached to the shipment. For consolidated shipments, you may change the default shipment by selecting the desired shipment from the Attached Shipments box at the bottom of the form. Typically, the booking information would be completed immediately upon making the booking with the carrier, the container detail would be completed later, as the container information is made available.

22 22 Getting Started Guide The third page is the Container Management page. The print screen enables you to produce: This page provides you with the container/shipment distribution information. The column on the left displays all attached shipments. The column in the center column displays all attached containers. What displays in the column on the right is determined by which option is selected beneath the column. Either the column will display the shipments attached to the currently selected container, or the containers attached to the currently selected shipment. You may add/remove containers or shipments by dragging You drag by clicking the item you wish to add with the right mouse button, keeping depressed while moving the mouse to the right column, and release the mouse button. If you wish to remove an item, simply reverse the procedure. C Alert Used to alert the consignee or agent of arriving shipments. C Booking Confirmation Provides shippers with complete booking information. C Freight Detail displays the Content Detail C Pickup Order Used to notify the shipper or trucking company of departure instructions.

23 23 Getting Started Guide Master Bill of Lading The second page contains routing information. Press the MBL button at the bottom of the form to load the Master Bill of Lading Form. Notice that fields are predominantly free-form; This is by design to accomodate letter of credit shipments. The first page gathers information on the parties involved. The information entered here relates to the master bill only, reflecting the carriers responsibilities. If the Notify checkbox is checked (True), the information keyed into the Consignee box will be copied to the Notify party box.

24 24 Getting Started Guide The third page is the commodity page, gathering information on the commodity being shipped. At the bottom of the page, the page count lets you know how many pages have been created, and which page is the currently active page. Use the Add button to add a page, and the Delete button to delete the current page. The fourth page contains information on the Bill of Lading charges. On the right side of the screen, you may enter detailed information about the commodities. The HT# refers to the Harmonized Tariff Number (or Schedule B Number). The Detail button allows you to enter additional detail for the commodity if necessary. The Pull Description checkbox will pull the description of the commodity (as listed in the Commodity database) into the Description area of the Commodity page. Notice that you are able to specify an alternative currency for collect shipments. The Clauses button (at the bottom of the page) allows you to pull clauses into the description area.

25 25 Getting Started Guide The fifith page is the Commission page, containing information for processing the brokerage commission. Typically this information would not be processed until some later time, after the carriers bill of lading has been received. Press the Print button to load the print options. The Master Bill of Lading module produces: C Bill of Lading Carriers Bill of Lading C Brokerage Invoice Carriers Brokerage Invoice C Manifest Shipment Manifest

26 26 Getting Started Guide International The Int l button at the bottom of the screen loads the International module. The first page of the International module lists the parties involved in the shipment. C C C The exporter will be prompted with the forwarders name if: Consolidated Destination Agent entered The Always Prompt Forwarder option in the System Preferences is selected. The second page is the Routing page. The fields for this module are primarily free-form to better accommodate letter of credit shipments. Notice that several fields on this page a re read-only (may not be edited), indicating the values have been set in the booking screen. The Notify checkbox copies the Consignee information to the Notify Party box, if checked.

27 27 Getting Started Guide The third page is the Commodity page, which gathers information about the The Pull Description checkbox will pull the description of the commodity (as listed in the Commodity database) into the Description area of the Commodity page. The Clauses button (at the bottom of the page) allows you to pull clauses into the description area. Use the Add button to add a page, and the Delete button to delete the current page. We have now completed processing the information for the international documents and are ready to print. The print options for the International module are: C Advance Notice Notify Consignee and/or agent of pending shipment. C Certificate of Origin Customs form C Dock Receipt Instructions for Pick-up. C Export Declaration Customs form C Insurance Declaration Insurance form commodity. On the right side of the screen, you may enter detailed information about the commodities. The HT# refers to the Harmonized Tariff Number (or Schedule B Number). The Detail button allows you to enter additional detail for the commodity if necessary.

28 28 Getting Started Guide Invoice The invoice module collects information necessary to create shipment invoices. Press the Invoice button at the bottom of the screen. If you have not yet processed an invoice for this shipment, the invoice will be loaded immediately. If you have already created an invoice, you will be prompted with the Invoice Selection screen. Once you select the invoice you wish to load, the Invoice form will load. The first page contains the invoice header information. The second page collects invoice charge item detail information. The invoice selection screen allows you to select (or Open ) an existing invoice, or create another Additional invoice for the shipment. Additional invoices commonly use the shipment number followed by a character suffix. So, if you have three invoices for shipment number 26, the invoice numbers would be 26, 26A, and 26B respectively. Use the Add, Edit, and Delete buttons to create a list of invoice charges. If you wish to enter an estimated cost, you may do so as well. If you are calculating salesman and/or agent commissions, the commissions will appear at the bottom right.

29 29 Getting Started Guide We have now completed entering information for invoicing. Press the Print button at the bottom of the screen to load the Document Print form. Status The Status module allows you to enter, manage and report shipment status information. Press the Status button at the bottom of the form. The Status module consists of two sections. The first page is the Status Board. The Status board provides summarized status information for selected shipments. The Status Board is divided into status levels, which are displayed at the top of the Status Board. (These levels can be defined in the System Preferences module.) Each status level is updated from the status detail screen. The invoice print options consist of: C Invoice Customer invoice C Invoice Worksheet Worksheet outlining costs, and charges C Credit Memo Customer credit memo The bottom right shows shipment information for the selected shipment. The bottom left allows you to set filter and sort criteria for displaying in the grid (status board) at the top of the page. When accessing from the Shipment module, the currently selected shipment is all that is displayed. When accessing

30 30 Getting Started Guide from the Main Menu, shipments matching the default filter criteria (as defined Status detail is entered in the following manner: in the System Preferences module) are displayed.
