OFFICIAL EXHIBITION AND DESIGN CONTRACTOR: STAND & ELECTRICAL WORK a) The Organizer has appointed CENTREX as the official exhibition and design contractor for various services to ensure a more efficient and regulated build up and dismantling. b) Unless otherwise stated, all other non-accredited contractors, including in-house contractors and affiliate companies of the exhibitors who are tasked to implement / construct special designs should coordinate with the appointed official exhibition and design contractor. Non- accredited contractors will be allowed entry to the Exhibition Hall once they are cleared by CENTREX. c) The services of the Official Exhibition and Design Contractor are for the convenience of Exhibitors and the organizers will accept no liability in respect of any contract between exhibitors and such contractors for negligence or default of any such persons, their servants and agents. A7. LOCAL FREIGHT FORWARDER The Organizer appointed ALTA FAIRS AND EXHIBITS with address at 3 Sta. Agueda Avenue, Pascor Drives, Parañaque City, Philippines, telephone (632) , Fax (632) , altrafairs@atn.com.ph and Contact Persons : Ms. Sonia R. Sayaman and Mr. Jorey G. Salazar as the Official Freight Forwarder for the exhibition. For efficiency, ease of operation and co-ordination, all freight from exhibitors must be handled by the official freight forwarder within the exhibition hall. Important Note: Where mechanical handling within the Exhibition halls is required, only ALTA FAIRS AND EXHIBITS can carry out this work. Non-accredited contractors will be allowed entry to the Exhibition Hall once they are cleared with the official accredited freight forwarders & on-site handlers. A6. EXHIBITOR BADGES, CONTRACTOR & VISITOR PASSES a. EXHIBITOR BADGES Exhibitor badges will be issued free of charge (up to the entitled number of badges) for admission into the exhibition hall throughout the build-up, dismantling and show days. Please submit Form 4 the required number of badges and return it to the Organizer before the stipulated deadline. Badges are to be collected at the loading area upon ingress. Please note that Exhibitors must wear their badges at all times during the build-up, tear down and show days inside the exhibition hall. Exhibitor badges may not be used by contractors, suppliers or person not working on the stand. Persons below 12 years of age will not be allowed to use Exhibitors Badges, nor will they be admitted during Build-Up / Tear down periods. Request for Exhibitor s badges should be sent to Global-Link MP Events International Inc. by February 12, 2016 b. CONTRACTOR PASSES For Purposes of construction and the move-in of exhibits, Contractors' ID will be issued by the Organizer. A deposit of Php 100 will be collected upon registration and can be forfeited if card is lost or damaged. The Contractors' ID must be returned to the organizer with the claim stub and in good condition during the EGRESS or 7 days after the event at the Global-Link MP Events Int'l's Office in Makati City. Failure to do so will lead to the forfeit of the Php 100 deposit. The Contractors' ID is valid only during INGRESS and EGRESS time. This does not allow the holder to enter the show proper. Where a contractor has a valid reason to enter the exhibition hall during the show (e.g. maintenance or remedial purposes), he must request for a special pass from the organizer. The ID must be worn at all times inside the exhibition hall. c. TRADE VISITOR PASSES All Trade Visitors will be required to complete a registration form before admittance to the exhibition areas, thus enabling a full and comprehensive report on attendance. Please note that there will be a guard on duty at each entrance hall to monitor the stickers of trade visitors prior to their entry in the exhibition hall. 3

4 A7. ADMISSION The organizer reserves the right to refuse admission to or to remove any persons from the exhibition venue. This applies also to the build-up and dismantling period. Persons under the age of 12 are not allowed to enter during build-up and dismantling period. A8. INVITATION MATERIAL You may request from the Organizer, invitations for distribution to your business associates / clients. You are strongly recommended to take full advantage of this effective marketing opportunity. A9. EXHIBITOR S KIT All Exhibitors will be provided with an Exhibitor s Kit which includes the Exhibitor / Contractor Passes, move in/out schedule, etc. A10. SHOW DIRECTORY Prior to the Exhibition, an Official Show directory will be published. It will also be used as an important buyers guide after the Exhibition. All exhibitors will be listed in the directory at no extra charge. To benefit from these services, please complete Forms 3 and submit to the organizer by the stipulated deadline. Late submission will not guarantee inclusion in the Exhibition Directory. 4

5 [B] RULES & REGULATIONS [B1] [B2] PRE-INGRESS REQUIREMENTS GENERAL HOUSE RULES B1. PRE-INGRESS REQUIREMENTS a. Technical Requirements should be coordinated with Global-Link MP Events Int l. Inc. at least one (1) month ahead of schedule. b. EXHIBITORS BRIEFING ON THE RULES AND REGULATIONS OF SMX The following must be accompanied and submitted to the guard-on-duty upon Ingress: i. Waiver of Claims ii. Pass In/Out forms in triplicate (original for the exhibitor, 1 for the organizer/event management and 1 for the guard-on-duty) Note: Only items/equipment supported by this form may be brought out. c. Submission of the following plans duly signed by the Organizer / Event Management Company, at least one (1) month before commencement of works: i. 2 copies of layout plan scale no less than 1:200 showing location and erection of stalls/booth stand; ii. 2 copies of sketch plans showing cross sections and elevations of proposed work with details of materials to be used; B2. GENERAL HOUSE RULES A. ADMINISTRATIVE i. Strict compliance to agreed schedule. Schedule of Ingress/Event Proper/Egress agreed with the organizer shall be strictly followed. ii. Wearing of IDs/Badges. All personnel working inside the exhibition halls should wear company uniforms and/or Identification Cards or Badges. iii. Organizer/exhibitors are responsible for the security of their premises / booths during exhibit hours. iv. Exhibitors are responsible for the cleanliness of their own booths, as well as the provision of cleaning implements including trash can/s. The janitorial services provided by SMX are for maintenance of cleanliness in aisles of exhibit areas and other common areas, and for collection of garbage. v. No Smoking. The No Smoking policy is strictly enforced inside the SMX building vi. No Sleeping. Sleeping in lounges or any part of the building is strictly prohibited. vii. Booth Construction/Design. 1. Stand design height is limited to 2.5 meters. Any design beyond the 2.5 meters. Limitation must be submitted to the organizer for approval. If approved, said high structure must have a 1.0meter clearance from the stand s perimeter wall. If booths are located in front, no structure may exceed the height of 2.5 meters. 2. No interior wall spanning more than 4.0 meters will be allowed. A minimum break of 3 meters in between walls must be strictly observed. All custom built walls must be finished on both sides (front & back). 3. No suspension is allowed from the ceiling of the Exhibition hall, nor may any fixtures be attached to the floor, walls or any part of the building. 4. No part of any structure may extend beyond the boundaries of the site allocated. 5. Exhibitors are responsible and liable for their appointed contractors in seeing to it that all rules and regulations are observed. 6. In the event of dispute, the Organizers decision will be final. viii. No Display/Selling of Fake/Pirated Goods. Anyone caught promoting / selling such goods is liable under existing laws. ix. All exhibitors and visitors must be in proper business attire. Visitors or exhibitors wearing slippers, shorts and sando will not be allowed to enter the exhibition venue. x. The event organizer reserves the right to refuse admission to any person as deemed necessary. 5

6 B. INGRESS: Before the utilization of the exhibition premises, a joint inspection by the organizer, his contractor and SMX engineer will be conducted. A set of inspection checklist will be filled out to make sure all equipment, fixtures and electrical connections are in order. 1. Construction and Design of Booths and Exhibition Areas The organizer and each exhibitor are responsible in hauling their own equipment and exhibit items inside the halls, in decorating exhibit booths and hanging signage. The Organizer or any of its exhibitors shall not cause or permit any damage to the exhibition building / hall and its fixtures. As such, under no circumstance shall nails or screws be driven on any part of the building. Furthermore, it shall not alter nor interfere with the structure of the exhibition building without the consent of SMX. Painting, carpentry and welding are strictly prohibited inside the building. No partition or display board shall be set-up where it will hamper the air conditioning diffusers, sprinkler heads and lights inside the exhibition halls. A clearance of not less than 3 meters between ceiling and partition / display board is required. No object shall be attached to or suspended from the sprinklers on the ceiling and caution is therefore necessary to ensure that spotlights and other heat-generating equipment are not focused or stationed near the water sprinklers. Exhibitors are not allowed to hand drop down banners during the exhibition. All exit doors, fire hose reels, fire extinguishers and fire escape doorways shall be kept clear of obstruction at all times. Clear passageway of at least 1meter width must be provided. Balloons / decors containing helium or any combustible gas and devices that emit fire are strictly prohibited inside the hall. No flickering of flashing lights for illumination of signboards /advertisements shall be used. Advertising and display items must be limited to the confines of the booth of the exhibitor. Operation of sound system in a booth as part of display or demos shall be kept at minimum volume level to avoid distractions to other exhibitors. 2. Temporary Electrical Supply The following must be strictly observed to avoid inconveniences during the event: Installation should fully comply with drawings previously submitted and approved by SMX and should be supervised by the licensed/registered electrical contractor who signed the original drawings. All electrical cables to be attached to SMX electrical panels should be provided with terminal plugs and secondary circuit breaker panel Only electrically run equipment in the list submitted to the contractor for proper supply of electric power may be connected to the sockets. The least repercussion of overloading of socket is interruption of electrical supply and its immediate reconnection can be guaranteed. i. No electrically/mechanically operated equipment may be used without adequate protection against fire risk. ii. The exhibitors shall provide their own extension cords, convenience outlets adapters and other forms of connectors needed in the exhibit. iii. Lamps to be used in the spotlight sockets shall not exceed 100 watts and lamp/appliances to be plugged into each convenience outlet shall not exceed 500 watts. 6

7 All concerns on electrical connections should be coordinated with the official exhibition and design contractor. 3. Security a. The Security Force of SMX, in addition to its primary function of securing the physical building facilities, is charged with the responsibility of strictly enforcing and reporting violations of the House Rules. b. In the event that Lessee decides to hire and engage the services of a private security guard/s for his own purpose, Lessee shall only hire and engage the services of reputable agencies acceptable to and subject to the prior written approval of Lessor, provided that Lessor shall not in any manner be responsible for any losses and/or damages sustained by Lessee relative to the choice and approval of any particular security agency, and provided further that Lessor reserves the right to formulate such supplementary rules and regulations for the proper observance of the parties for the coordination of the private security system of the entire building. 4. Janitorial a) The janitorial service engaged by SMX is responsible for the general cleanliness of the common areas such as Pre-Function Lobby, SMX perimeter and comfort rooms. b) Cleaning of the leased premises shall be the responsibility of the organizers and exhibitors. Organizers may avail the cleaning services of SMX accredited janitorial agency for a fee. c) Large and bulky garbage will not be collected. The Lessee will have to contract the special services of the janitorial agency to bring the garbage directly to the dump site. 5. Emergency Power SMX has provision for emergency power. However, no additional load shall be connected to the emergency lines without prior clearance from SMX Administration. 6. Parking The basement parking is open to general public with a fixed fee per entry. As such, the Lessor cannot be held liable for damages or losses incurred even when drivers or car owners have specifically informed the roving guard on duty of its presence. The guard s responsibility lies primarily in the enforcement of the regulations of SMX Administration regarding traffic, parking and molestations from unauthorized people. c. Egress / Tear Down Period i. Schedule of egress set by the organizer shall be strictly followed; therefore, no exhibitor may bring out exhibit item without clearance from the organizer. ii. A representative of the organizer shall be present during this period to supervise the egress. iii. Valid ID s of both parties must be presented to the guard-on- duty. iv. Only items supported by Pass In/Out form can be brought out. v. No item may be left behind without clearance from SMX. vi. All due (i.e. additional charges on borrowed equipment not part of amenities, electrical consumption, and extension charges on the use of facilities) will have to be paid before any item will be allowed to be brought out. 7

Note: 1. On the Exhibition days, Exhibitors are permitted to be in their stand 1 hour before the show opens to service their booth and replenish stocks. Exhibitors cannot stay in the Exhibition hall after the Exhibition closes for security reasons. 2. All utility services to booths will be shut off 15 minutes after the closing hours on the Exhibition days. However, electricity will be provided on a request basis from Exhibitors. C2. EXHIBITORS MOVE-IN: In order to reduce the delay of Exhibitors during the buildup and tear down periods, a timetable for the delivery and collection of exhibits have been drawn up (refer to the table above). Each exhibitor is advised to follow the schedule strictly and to inform their contractor (if being used) accordingly. For Exhibitors, their agents or contractors are responsible for the early installation of their heavy or large Exhibits according to the move-in schedule. Exhibit goods should only be sent to the Exhibition Hall when the stand construction is sufficiently progressed to receive them. The Exhibitor and/or his representative must be present at their own stand to accept delivery. The Organizer will not accept to store on behalf of any Exhibitor or be responsible for failures in delivery, nor will the Organizer be responsible for the safe keeping of such items. 8

9 As access to the exhibition premises is restricted, Exhibitors are to ensure that the delivery, loading and unloading of goods are carried out only at the proper designated loading / unloading bay. Vehicles at this loading / unloading bay will be under supervision and direction of the Exhibition Security Officers to ensure that the operation is carried out smoothly through the Official Freight Forwarder & On-site Handler. To avoid congestion, it is advised that only small items and goods that can be taken out of their cases without risk of damage can be unpacked in the Hall. For major items, Exhibitors must arrange with the Official Freight Forwarder & On-site handler to deliver and unpack their exhibit goods to the respective booth / stand. Proper dress code should be observed t all times. Persons wearing slippers, sleeveless undershirt, or any attire which SMX seems to be inappropriate and out of place within its premises will not be allowed to enter. C3. EXHIBITS MOVE-OUT Exhibit goods may be removed from the exhibition hall from 7:00 pm to 12:00 mn on March 6, While the Organizers will maintain security surveillance at al times, Exhibitors are reminded that goods will be at most risk at this time. Stands should not be left unattended until potable items, hired items and equipment have been collected by the appropriate suppliers. Exhibitors and Contractors are required to hand a Clearance Form in removing exhibits, equipment or materials the gate security officers before leaving exhibition site. Clearance Forms are obtainable from the Organizer office on-site. Dismantling of stand fitting and electrical will commence on ---- from 7:00 pm to 12:00 mn. C4. BOOTH PACKAGE Exhibitors are entitled to the following Booth Package: 3m x 3m booth (9sq.m.) 1 roundtable with 2 chairs 4 standard shelves (white) Lockable cabinet with 1 chair Needle punch carpet Fascia / Booth Name Dry waste bin 1 Outlet C5. ADDITIONAL FURNITURES & AUDIO EQUIPMENT Exhibitors may get additional furniture from the Official Contractor. Exhibitors are allowed to bring audiovisual equipment and accessories inside the exhibition hall, provided that the pass-in / pass-out form will be filled up properly. However, exhibitors may also hire audiovisual equipment from CENTREX (please refer to Contractor Forms). C6. STAND CLEANING During the Exhibition days, the Organizer will be responsible for the cleaning of gangways daily. During the buildup and dismantling periods, independent contractors appointed by Exhibitors are responsible for removal of stand building / dismantling materials and rubbish. It is also the Exhibitors responsibility to clean their booth area and remove bulky rubbish. 9
