2 Overview Public Works Department responds to the concerns of New Smyrna Beach residents by providing the following: Safe, well maintained roads and stormwater Oversight of the solid waste and recycling contractors Maintains city buildings and facilities Maintains the City s fleet and equipment

3 Public Works Administration Process invoices for payment on repairs and projects for all departments completed by PW Handles janitorial orders for all City departments Payroll, maintain personnel records for Public Works employee s including workers comp & disability Purchases for any supplies/materials/uniforms needed Dispatches work orders from calls received from other departments and concerned residents Processes requests/complaints pertaining to garbage & recycling Handles all commercial garbage accounts including new account set-up and account changes Maintain work order records (log, match and file) Process public records requests Maintains files for city projects- process bids, contracts, pay requests, change orders, etc. Submits grants for FEMA/State for repetitive losses Process airport complaints log and file Attend airport meetings prepare agendas & minutes

4 Public Works Administration Cont d During Emergency Events: Maintain & provide accurate documentation to finance for storm recovery invoices, debris tickets, payroll and equipment logs, etc. Process storm related calls flooding, sand bags, etc. Organize records for FEMA Coordinate with FEMA representatives Revisit all the documentation for audits Example: Hurricanes of 2004 City was audited in Public Works worked on locating documentation such as debris tickets, truck certifications, mulch tickets, leaner & hanger tickets, stump grinding & located the landfill permit.

5 Street/Stormwater Division Is responsible for the following within the city limits: Street maintenance/repairs including pot holes, asphalt repairs on city roads Grading shell roads, city parking lots, boat ramp parking lots, etc. Mowing/trimming including tree trimming along the city s right-of-ways Debris removal Maintain and repair all sidewalks Maintains cones and barricades for events held within city (delivery & pick up) Maintains all ditches, canals, storm basins with in the city, including FDOT ponds and ditches Street sweeping all streets and intersections with curb and gutters Maintains DOT roads per contract Maintains and repair stormwater systems Storm drain repair Pumps water out of yards, homes and businesses to prevent flooding Assists other departments Airport, Golf Course, CRA, Fire, Police, Parks & Rec

6 Streets/Stormwater Cont d In the event of emergencies such as Tropical Storm/Hurricanes, Tornados, Fires, etc. Debris Removal Clear roadways Clear storm drains During the fires streets assisted in cutting fire lines with heavy equipment Set up and man pumps for flooded areas Make emergency repairs if needed Example- May 2009 Flooding (over a 6 day period) 24+ locations that flooded : 30 pumps set out & manned 9,295 ft of pump hose 534 phone calls 7,800 sandbags (handled out or delivered) 665 yard of sand used for sandbags and road repair

7 Streets/Stormwater Cont d Stormwater Capital Projects Public Works will apply for repetitive loss grants through DCA, FEMA, and other potential agencies for the following: Islesboro Drainage Improvements $ 652, Central Beach Flood Mitigation Phase 3 $ 3,250, Julia St Outfall $ 200, Westwood/632 S. Pine St $ 571, Arlington Ave $ 113, Canova $ 159, N. Atlantic Ave Drainage Design $ 70, N. Atlantic Ave Drainage (7-11) $ 100, S. Orange Drainage Improvements $ 42, Florida Ave $ 283,445.00

8 Building & Maintenance Division Responsible for the following: Responsible for interior & exterior maintenance of all city owned buildings and facilities Maintain/repair boat docks, fishing piers and skate park Street signs/traffic control signs Lane striping, Stop Bars, Crosswalks Assists Streets during emergency events Assists Police/Fire Dept with securing buildings/structures after police raids, fires, etc.

9 Fleet Maintenance Division Maintains entire fleet of city vehicles & equipment Bids out and purchases city equipment for all departments Integral part of the preparation for the annual city auction Responsible for fuel management of all city fuel sites Maintains all back up generators for city facilities Coordinates fuel supply in the event of an emergency situation Does welding for city buildings and equipment (Example- Built hand rails for City Hall and refurbished ramps at old skate park)

10 Sanitation Log requests/complaints pertaining to garbage, yard waste, white goods and bulk items Handles all commercial garbage accounts including new account set-up and account changes Coordinate billing with Utilities Commission and Waste Pro Reconcile all commercial accounts for accuracy size of can, # pick-up days, etc. Verify commercial and residential accounts for payment each month (to ensure billing is accurate) Set up garbage service for special events Horsin Around, Images, Art Fiesta, etc.
