5 1 International Inbound Logistics: Test Case You use this business scenario to manage your international inbound logistics. As an ordering party you procure material from different overseas vendors. There are two variants for managing inbound transportation: 1. You hand over the transportation planning and execution responsibility to a third party, for example, a logistics service provider or agent. Here typically you do not own an SAP Transportation Management (SAP TM) system. 2. You have a responsible logistics unit in your company (internal logistics service provider) that plans the individual stages including nomination of a vessel for the ocean shipment. Depending on the Incoterm, you can be responsible for arranging inbound shipment for certain stages. For example, with Incoterm FOB (Free On Board), the vendors are responsible for pre-carriage shipments (from source location to port of loading), and you must arrange the inbound shipment from port of loading to your final destination plant (main carriage and on-carriage). This scenario focuses on the second variant, where you are an ordering party who owns an SAP TM system. When you integrate SAP Enterprise Resource Management (SAP ERP), SAP TM, SAP Environment, Health & Safety (SAP EH&S), and SAP Event Management, you can use the following features: Enable an integrated and automated purchase-order-based planning and booking process Reduce transportation costs by consolidating shipments into shared containers where possible Reduce work effort for manual planning Increase visibility of shipments at all times for different roles by using SAP Event Management Manage incompatibilities based on dangerous goods classification Distribute planning responsibility to users with regional expertise (stage level planning) Design automated process flows relying on triggers such as booking confirmations and transportation execution events P U BL IC 5

6 2 Prerequisites Before you start to conduct this test case, you must complete the following tasks: Configure your user data (see User-Specific Customizing [page 6]) Set up your master data and organizational data (see Master Data and Organizational Data [page 6]) Configure your roles (see Roles [page 8]) 2.1 User-Specific Customizing SAP Event Management Setup Ensure that you setup your user according to the Assigning User to Web Transactions details in the Integration of SAP Event Management guide. You can access the guide in SAP Solution Manager by choosing Solutions/ Applications SAP Transportation Management Configuration Structures Basic Settings for SAP TM <release> Integration of SAP Event Management. Invoice Integration Ensure that your user profile contains the parameter TM_INVOICE_CLERK (with an initial value). 2.2 Master Data and Organizational Data Essential master data and organizational data are created in your SAP ERP system during the implementation phase. Master data and organizational data reflect the organizational structure of your company. Master data suits the operational focus of your company, for example, master data for materials, vendors, and customers. The business process is enabled with this organization-specific master data. Note Additional Default Values You can test the scenario with other SAP Best Practices default values that have the same characteristics. 14 Enter transaction code ME22N 2. Choose the purchase order to be changed from the document overview. 3. Change the delivery date and save the document. 4. Check if the OTR details are in line with the purchase order data and if the quantities are in line with the purchase order data. 5. Check the freight units. Check that the delivery date is updated for the OTR-item schedule line and that it corresponds to the purchase order data. Option 2 Delete Purchase Order 1. In SAP ERP, use one of the following options to access the transaction: Run transaction code NWBC and choose SAP ECC Menu Logistics Materials Management Purchasing Purchase Order Create Vendor/Supplying Plant Known Enter transaction code ME22N 2. Choose the purchase order to be deleted from the document overview, and delete the purchase order item. Save the document. 3. The lifecycle status of the OTR linked to this PO should change to Cancelled. The consumption status should change to Consumed Completely. You can check this in SAP NWBC ERP Logistics Integration Order Based Transportation Requirements General Data tab page.. Open the OTR and go to the Statuses screen area on the 4.2 Manage Transportation Requirements Use The main focus of this activity is to test the creation of an order-based transportation requirement (OTR) in the SAP TM system. The activity also tests the creation of a delivery-based transportation requirement (DTR) in the SAP TM system and its transport to the SAP ERP system. After freight unit building and planning in SAP TM, the delivery proposal in SAP TM and the delivery in SAP ERP are created. This results in a DTR in SAP TM, which consumes the corresponding OTR. 15 4.2.1 Checking the Creation of Order-Based Transportation Requirements 1. In SAP NetWeaver Business Client (SAP NWBC), use the business role Transportation Planner, and choose Business Role Menu ERP Logistics Integration Worklist Overview Transportation Requirements Order-based Transportation Requirements 2. Select the line with the same original order as the purchase order created in Process Purchase Orders in ERP [page 11], and select the document number (OTR number).. A new window, Order-Based Transportation Requirement, is displayed, containing details of the OTR. 3. Go to the Document Flow tab page. The OTR number, Purchase Order and Freight Unit details are displayed. Freight units should be created correctly, according to the customizing settings. See the table below for details. Select the freight unit number, and open it in edit mode. 5. Enter appropriate dates in the Source Start Date (Requested), and Source End Date (Acceptable) fields on the General Data tab page and save the freight unit. 6. Repeat steps 4 and 5 for all freight units. Results The OTR number, purchase order, and freight unit details are available. Freight units are created correctly, according to the customizing settings. 4.3 Container Consolidation Use The main focus of this activity is to test the ability to merge freight units so that freight units that can fit into a single container can be merged into a freight unit with an associated container (the container type is specified in the freight unit building rule used during the merge). Also tested here is the ability of the merge functionality to take account of product incompatibilities and hard constraints such as container size. 17 4.3.1 Checking the Creation of Freight Units 1. Use the freight unit worklist to access the list of freight units created in Manage Transportation Requirements [page 14]. Check that the appropriate FUs were created for variants G to K. In SAP NetWeaver Business Client, use the business roletransportation Planner, and choose Role Menu Planning Planning Transportation Cockpit. Results You can merge freight units as long as the following conditions are met: Freight unit materials are not incompatible. The merged quantity can fit in the capacity defined for the container (equipment type) as specified in the freight unit building rule used for the merge. 4.4 Manage Bookings Use The main focus of the transportation planning in this scenario is the ocean movement, the main carriage planning. Pre-carriage and on-carriage are associated stages and are usually scheduled after booking is confirmed by the ocean carrier and planning is fixed for the main carriage. 20 4.4.1 Creating or Changing Bookings 1. In SAP NetWeaver Business Client (SAP NWBC), in the business role Transportation Planner, choose Business Role Menu Freight Order Management Ocean Create Ocean Freight Booking. 2. Use document type IIL7, and choose Continue. The New Ocean Booking screen appears. 3. Enter the following data: Field Freight Booking Type Purchasing Org. 21 Field Unit of Measurement User Action and Values EA Note The Container Count should fit the containers in your corresponding freight unit. This quantity in the ocean booking stands for the required space on the ship. If you plan other container types on the ocean booking the system creates additional container lines in the ocean booking items overview. The reserved container lines stay untouched and can be deleted from the ocean booking later. 5. Choose Save. The booking is saved Sending Bookings to a Carrier 1. In SAP NetWeaver Business Client (SAP NWBC), in the business role Transportation Planner, choose Business Role Menu Freight Order Management Ocean Edit Freight Booking. 2. Open the booking created earlier in Creating or Changing Bookings [page 20]. 3. Choose Subcontracting Send Booking. The booking is sent to the carrier. 4. Check that the Booking Confirmation Status field (see General Data tab page) changes to 2 Sent to Carrier Receiving Conformation and Updating Bookings 1. In SAP NetWeaver Business Client (SAP NWBC), in the business role Transportation Planner, choose Business Role Menu Freight Order Management Ocean Edit Freight Booking. 2. Open the booking created in Creating or Changing Bookings [page 20]. 3. Choose Subcontracting Set to Confirmed by Carrier. The booking is saved. Process Steps P U B L I C 21

22 4. Check that the Booking Confirmation Status field changes to 4 Confirmed by Carrier. 5. After saving, the booking appears as a freight order in the transportation planning cockpit. Note The settings of the selection profile include confirmed and unconfirmed bookings Assigning Freight Units to Bookings (Manual Variant 1) 1. In SAP NetWeaver Businesss Client (SAP NWBC), in the business role Transportation Planner, and choose Business Role Menu Planning Planning Transportation Cockpit. 2. Select the profile settings contained in the following table: Field Selection Profile (FUs) Planning Profile Selection Profile (FOs, FBs) Value IIL-GEN-SEL-MAIN-WO-TIME IIL-PLAN-PROF-STD IIL-GEN-SEL-MAIN-WO-TIME 3. Save and click Continue. 4. Search for the freight order created in Receiving Conformation and Updating Bookings [page 21], in the Freight Orders section of the planning cockpit. Verify that the information in the freight order matches the information used in Creating or Changing Bookings [page 20]. 5. In the Transportation Cockpit - Standard Layout screen, select a freight unit created in the Manage Transportation Requirements [page 14] section. This can be found in the Freight Unit section. 6. Drag and drop the freight unit on to the freight booking created in Receiving Conformation and Updating Bookings [page 21]. 7. Choose Save. The freight unit is assigned to the freight order. 8. Highlight the freight order and examine the Overview tab page of the pane below. Expand the first Booking Capacity Requirement for each port entry. Expand the first container. You should see the FU you have assigned listed as Load freight unit <FU Number>. 9. Go to the Charges tab page of the freight booking and choose Calculate Charges. In SAP NetWeaver Business Client (SAP NWBC), in the business role Transportation Planner choose Business Role Menu Planning Planning Transportation Cockpit. 2. Choose Start Planning. 4. Search for the freight order, created in Receiving Conformation and Updating Bookings [page 21], in the Freight Orders section of the planning cockpit. Verify that the information in the freight booking matches the information used in Creating or Changing Bookings [page 20]. 5. In the Transportation Cockpit - Standard Layout screen, select a freight unit created in the Manage Transportation Requirements [page 14] section. This can be found in the Freight Unit section. 6. Highlight the freight booking so that the Overview pane displays the details of the freight order. 7. Fully expand the Overview to view the individual containers specified in the booking order. 8. Drag and drop the freight unit on to a specific container. 9. Choose Save. The freight unit is assigned to the specific container in the freight order (that is, to a specific type and size of container). 10. Otherwise the Planning Profile hides already planned stages. 1. Results The booking is saved, and shipment instructions are sent to the carrier. 4.5 Plan Freight and Select Carriers Use This activity deals with planning the pre-carriage and on-carriage stages of a transportation. Pre-carriage is blocked for planning until the main carriage planning is stabilized and fixed. Based on the vessel cut off time, freight units are updated with the latest delivery date at the loading port and the earliest pick up date at the destination port. Pre-carriage planning can then be started based on the date constraints stored in the freight units. As a result, freight orders for pre-carriage are created. The planning is usually done by a transportation planner with regional expertise. 27 4.5.2 Performing Automatic or Manual Planning Use This procedure generates a freight order for the pre-carriage stage and a freight order for the on-carriage stage. The procedure can be carried out automatically or manually. 1. In SAP NetWeaver Business Client (SAP NWBC), in the business role Transportation Planner, choose Business Role Menu Planning Planning Transportation Cockpit. 2. Select the required profile settings and choose Continue. The Transportation Cockpit Standard Layout screen is displayed. 3. Proceed with either automatic planning or manual planning as described below. Automatic Planning 1. Select the appropriate freight unit for the pre-carriage or on-carriage, and the vehicle or schedule resource. 2. Optionally, choose Show Map to display the involved locations and necessary stages. 3. Choose Optimizer Planning Selected Entries Only. 4. After the optimizer has delivered a result, choose Accept and Save to save the result. A newly created freight order should be visible in the Freight Orders window. 5. You must make sure that the source location corresponds to that of the respective shipper. Manual Planning 1. For planning pre-carriage, select a freight unit with Stage 10 (or stage 30 for on-carriage planning) for the pre-carriage. 2. Optionally, choose Show Map to display the involved locations and necessary stages. 3. Drag and drop the freight unit on to the vehicle resource. For planning on-carriage, select a freight unit with Stage 30, and drag and drop it on to the rail schedule in the Schedules tab page. A newly created freight order should be visible in the Freight Orders window. 4. Choose Save to save the freight order Reviewing Planning Output 1. Optionally, choose the Map tab page to display the stops, stages, and freight units on the map. 2. Check to make sure the freight order contains the correct information about the resource and from the freight units (such as assignment, dates and times, items, and dimensions). 3. Check to make sure the freight order is assigned to the resource. 4. Check to make sure the Resource Utilization is updated. You can check this in the right-hand bottom pane of the planning window, on the Stages tab page in the Maximum Utilization column. 5. Enter the freight order date information on the General Tab Destination-Arrival Date tab page Selecting and Assigning Carriers for Pre-Carriage Context In this procedure, you select and assign the carriers for the pre-carriage and on-carriage stage. 1. Select the freight order created in Receiving Conformation and Updating Bookings [page 21], in the Document column of the Freight Orders section of the planning cockpit. The Freight Order window opens. 4. Choose Subcontracting Send to Carrier, and choose Save. The freight order is saved. The Subcontracting Status on the Statuses tab page changes to Sent. 5. If the freight order is not confirmed automatically, choose Subcontracting Set to Confirmed by Carrier, and choose Save. The freight order is saved. The Confirmation Status field on the Statuses tab page changes to Confirmed. Results The freight order is planned with carrier assignment. 4.6 Execute and Monitor Freight Use The purpose of this activity is to test the dispatching and monitoring features in SAP Transportation Management. Based on the planning results, the system creates the expected milestones for the entire transportation chain. The carrier reports the progress of the transport to the ordering party by sending status messages or through the event manager Web front end. The transportation dispatcher monitors the execution. In the SAP Event Management system, choose Event Management Web interface or call transaction /n/saptrx/em_start. 2. In the SAP Event Management system, go to the Tracking Scenario field and select Shipper- Freight Order Visibility Process, search for your freight order, and choose Apply. A line should appear below search results highlighting the freight order. 3. Select the freight order and choose the Events Messages tab page. 4. Choose Report all Expected Events. The system displays all events in a new dialog box. Choose Edit Freight Order under an appropriate class, for example Land. 8. Open the freight order. 9. Go to the Execution Information tab page at header level. The events, recently reported in SAP Event Management, should be updated in this tab page. 10. Go to the Statuses tab page. The Execution Status of the document should be In Execution Monitoring Cargo in Transit Follow the same steps as for Loading Freight Orders [page 31] to update the shipment status of cargo in transit. The possible events are described in the table in Loading Freight Orders [page 31]. They include, for example, ARRIV_DEST and DEPARTURE Handling Exceptions 1. In the SAP Event Management system, choose Event Management Web interface or call transaction /SAPTRX/EM_START. 2. In the SAP Event Management system, go to the Tracking Scenario field, select Shipper- Freight Order Visibility Process, and search for your freight order. 3. 33 4. Select the Delay checkbox to introduce a delay. 5. Choose Apply. A dialog box asks for details on the delay such as Delayed Event, Estimated delay date, and Estimated delay time. You can select the event where you want to report a delay and also you can give other details related to delay. 6. Complete the required fields and choose Send. The system updates the data and sends an alert to the responsible person if this option is configured. 7. Logon to the SAP Transportation Management (SAP TM) system. In the SAP NetWeaver Business Client (SAP NWBC), in the business role Transportation Planner, choose Business Role Menu Freight Order Management Edit Freight Order. 8. Choose Edit Freight Order under an appropriate class, for example Land. 9. Open the freight order. 10. Go to the Execution Information tab page at header level. The delayed event should be updated in the series of events Making Final Deliveries 1. Access the freight order in the SAP Event Management system as described in Handling Exceptions [page 32] 2. In the freight order, select the last expected event Unloading Begin, Unloading End, and Proof of Delivery. Choose Send. All event dates should be updated. 3. 34 4.7 Settle Freight Orders Use The purpose of this activity is to test the creation of a freight settlement document from a freight order and transferring the created freight settlement documents to SAP ERP for the creation of a service purchase order and a service entry sheet. The results are freight accruals, which are used to account for anticipated future freight liabilities in their internal cost accounting and general ledger systems. Select and open the required freight order. 3. Choose Charges/Settlement and then Create Freight Settlement Document. 4. A new window opens with the title New Freight Settlement Document $1. Check that the carrier and charges details have been correctly copied from the freight order. 5. For the freight booking enter Settlement Document Type IIL5. 6. Choose Save All. The system displays the message: Freight settlement document created. 7. Save the freight order if it is not already saved. 8. Go to the Statuses tab page of the freight order. 35 4.7.2 Updating and Recalculating Charges (Optional) Context This is an optional procedure. 1. In SAP NetWeaver Business Client (SAP NWBC), in the business role Transportation Planner, choose Business Role Menu Freight Settlement Worklist Overview Freight Settlement Documents. 2. Open the required freight settlement document. Details of the charge calculation should be displayed. 3. Choose Edit/Delete existing charges. Try to include new charges. The system should update the total charges at header level Transferring Freight Settlement Documents to SAP ERP 1. In the SAP NetWeaver Business Client (SAP NWBC), in the business role Transportation Planner, choose Business Role Menu Freight Settlement Worklist Overview Freight Settlement Documents. 2. Open the required freight settlement document, and choose Save and Transfer. The purchase order number and service entry sheet should be created in SAP ERP and it should be updated in the freight settlement document. This service purchase order is newly created and can be checked in the corresponding freight order or freight settlement document under the Document Flow tab page. 3. Go to the Statuses tab page of the freight settlement document. The lifecycle status should be Accruals Posted, and the confirmation status should be Confirmation from SAP ERP. 4. Use the following steps to check the transfer of the freight settlement document: 1. In SAP ERP, go to transaction ME23N and open the service purchase order, and go to the Service purchase order history tab page. The service entry sheet attached to purchase order should be visible. 36 2. On the service entry sheet, go to transaction ML81N. The account assignment category should be K (cost center). On the Accept Data tab page, the Document date, Posting date, and Freight settlement document date should be identical. On the Vals tab page, the Net value should be same as the Freight settlement document line item amount. Results The freight settlement document is created in SAP TM and transported to SAP ERP. 4.8 Verify Logistics Invoices Online Use The purpose of this process is to test the verifying logistics invoice online functionality in SAP ERP. Shippers as logistics service providers can order transportation services from external parties or subcontractors. When a subcontractor has executed the ordered transportation activities and sends an invoice, the invoice must be verified. Alternatively, an evaluated receipt settlement can be performed. The Life Cycle Status of FSD field on Statuses tab page should change to Invoice Verified in ERP. 5. Check the SAP TM invoice status in the document flow of the freight settlement document. The SAP ERP invoice should be displayed in the document flow Releasing Blocked Invoices (Optional) Context This is an optional procedure. 1. In the SAP Graphical User Interface (SAP GUI), access the SAP ERP transaction MRBR. 2. Choose your selection criteria from the following: Company Code, Invoice Document, Fiscal Year, Vendor, Posting Date, Due Date, Purchasing Group, and User. 3. Select either Release Manually or Release Automatically. 4. Choose Execute. All the selected blocked invoices are released, 5. 38 1. In the SAP Graphical User Interface (SAP GUI), access the SAP ERP transaction MR8M. 2. Open the invoice document to be canceled. 3. Cancel and save the document. 4. Verify the cancellation. When the document is saved, the cancellation status should also be reflected in the SAP TM document. The document status is automatically transmitted to SAP TM. If all invoices for one freight settlement document are canceled in SAP ERP, the status of the freight settlement document should change back to Accruals Posted. However, if one invoice exists, the status of the freight settlement document remains as Invoice verified in ERP.
