2 RATIONALE All Lismore Diocese Parish Schools must be committed, to ensuring so far as is reasonably practicable, the health and safety of all workers and others present at the workplace. This includes an obligation to have systems in place to check that plant and equipment, and buildings, are safe and without hazards and to mitigate risks to the health and safety of all workers including volunteers and others present on the site at and within all parts of the workplace. SCOPE This Standard Operating Procedure applies to all employees in Catholic schools, the Catholic Schools Office and any related entities under the administration of the Catholic Schools Office, Diocese of Lismore. 1. MAINTENANCE PRIORITIES The School Leadership Team will endeavour to ensure so far as is reasonably practicable that: I. All equipment, grounds and buildings are suitable for their function and use; II. III. IV. All equipment, grounds and buildings are maintained to satisfactory safety standards so that all equipment, grounds and buildings do not pose any risks to the health and safety of all individuals at, and within all parts of the workplace; Areas and spaces contained within all buildings are properly maintained, coordinated, demarcated and managed so that areas of storage and work are safe; Access and exit points at and throughout all buildings are identified with clear signage and kept clear at all times; V. Relevant emergency equipment is provided to manage any probable risks of fire or other emergency situations in all buildings; VI. VII. Relevant services are provided to maintain a satisfactory working environment within all parts of the building with respect to the nature of the work to be performed and the practicability of maintaining optimal working standards; and Any hazardous essential materials or substances used in the cleaning, maintenance of all equipment, grounds and buildings are identified, recorded into a Materials Safety Data Sheets (MSDS) and controlled so that workers and individuals at and within all parts of the workplace are not exposed to any risks these materials may present. 2. LEADERSHIP TEAM COMMITMENT The School Leadership Team, as far as is reasonably practicable, will ensure: I. Catholic Schools Office Safety and WHS related Standard Operating Procedures are incorporated into work practices; II. III. Systems are in place for the timely reporting of maintenance issues; Systems are in place for the periodic review of the safety of equipment, grounds and building. V1 November 2016 Page 2

3 IV. A Maintenance and Safety Audit is conducted termly, half yearly or yearly depending on the type and size of school. This Audit should include equipment, grounds, sheds, store rooms as well as the canteen, every classroom and all office/ staff space; and V. Effective action is taken to reduce or eliminate the risks related to building safety so that any building safety deficiencies are resolved as soon as possible. 3. COMMITMENT OF ALL STAFF All Staff are responsible for ensuring, so far as is reasonably practicable, that: I. They do not alter or modify or allow students to alter or modify any equipment or building to use for a purpose for which it was not designed. II. III. Any maintenance issue or hazard is reported through SafetyNet or other agreed method. Immediate action is taken in order to isolate or secure any hazardous situation relating to building and equipment safety which comes to their attention. It is important to note that this action can only be within the ability of the individual in order to protect others within the workplace 4. WHS CONSULTATION Each school is to establish a system whereby maintenance issues are communicated to and from each schools Work Health Safety consultation method, whether that be a WHS Committee, WHS representative or if the school has established other agreed Methods as per legislation. 5. MAINTENANCE CHECKLIST Each school is to maintain an appropriate maintenance checklist, please adapt the attached checklist to suit your school s requirements. V1 November 2016 Page 3

5 MAINTENANCE CHECKLIST The additional safety checklist is completed each year by relevant staff and appropriate action taken Policies, procedures, processes and other documentation required as evidence of compliance for each requirement as listed Whole School School Office/Admin Area DETAIL / DESCRIPTION Alarm system and emergency lighting checks All electrics are in good working order. Drains gutters and down pipes are clear and in working order. Fire extinguishers and fire hoses tagging/testing Lift Visual inspection of roof from ground level Flooring is in a good state of repair Any/all fire doors are in working order Stairs and steps Staff room kitchen Staffroom seats and tables Store room shelving / lighting etc Air conditioning maintenance log Office desks and chairs.
