1 Revenue/Conversion Summary Reports JC-1103 Overview This Extended Solution to the Job Cost module adds three new reports for analyzing Job Cost information. The Revenue Conversion Summary report consolidates, by Cost Type and Period, all Cost and Billing amounts for any Customer that contains a sort field within the range selected for jobs with a Closed status. There is an option to run the Revenue Conversion Summary in a Three Month Report format. The Monthly Job Cost report summarizes jobs by Customer for jobs with an Open status. Sage Extended Solution AR-1080: User Defined Fields for Customer Masterfile must be installed and enabled in order to run the Monthly Job Cost Report. Sage Extended Solution JC-1074: Perpetual History by Cost Type must be installed and enabled in order for the Monthly Job Cost Report to run properly. Sage Extended Solution JC-1059: Custom Job Cost Summary Reports must be installed and enabled in order for the Revenue Conversion Summary to function. Installation Before installing this Extended Solution, please verify that the version level(s) printed on the CD label are the same as the version level(s) of the MAS 90 MAS 200 module(s) you are using. For further information, please see the Upgrades and Compatibility section below. Check your Shipping Manifest for a complete list of Extended Solutions shipped. For detailed installation instructions, please refer to the Sage website at: Installing Your Extended Solutions under Windows From a CD If you have the autorun function turned on for your PC, the installation program will start up automatically. If not, find the autorun.exe file on your CD-ROM drive and double-click it to start the installation program. Follow the on-screen instructions. From the Sage FTP site When your Extended Solution is ready to be downloaded, you will receive an from extendedsolutions.na@sage.com telling you that it is ready. The will contain the Customer Name, Cross Reference, a case-sensitive Password, a link via which you can download your Extended Solution, instructions and a Shipping Manifest. 2 problems with this order, please and we will assist you during normal business hours. Extended Solutions Control Center Installing any Extended Solution will add an Extended Solutions Control Center to the MAS 90 MAS 200 Library Master Utilities menu. When you open the Control Center, the following options will be available: Extended Solutions Manuals Remove Extended Solutions Unlock Extended Solutions Merge Installation Files Extended Solutions Setup options Setup Once the disk is installed, you will need to access the Job Cost Setup menu option screen. After the option screens have been displayed, a Setup screen for this Extended Solution will appear. Check the Enable Extended Solution box to activate this Extended Solution (Figures 1a and 1b). The manual for this Extended Solution, if it has been installed, can be viewed by clicking the Manual button next to the Enable Extended Solution check box. 3 Figure 1b Next, enter a label and ten ranges of Sort Field Values for sorting the reports the (first eight appear on the first screen, the last two on the second screen). Answer the following prompts on screen two: DIRECT LABOR HOUR COST TYPE: Enter the Cost Type for Direct Labor Hours. JOB TYPES FOR AR UDFS: Enter up to ten Job Types in a specific order. For each of the Job Types you enter you must set up three AR-1080 UDFs. The AR-1080 UDFs will hold Period to Date, Year to Date, and Job to Date information. You should visit this Setup screen after each upgrade or reinstallation of this Extended Solution. Operation The two new reports may be accessed in the Job Cost Reports Menu. Revenue Conversion Summary This report consolidates, by Cost Type and Period, all cost and billing amounts associated with any jobs that reference a customer whose J/C Masterfile contains a Sort Field within the range selected. The report may be sorted by J/C Sort Field Range (Division)/Job Type/Customer Number (Figure 2). You may select the report by a range of J/C Sort Field values, Customer Numbers, and a list of up to ten Job Types. Only jobs with a status of Complete are selected Sage Software, Inc. After you Update the B report from JC-1059 (please refer to the JC-1059 manual), all jobs on the report with a job status of C (complete) will have selected information summarized and updated to a new set of data files. One record will be written to the new file for each Job Sort Field Value/Job Type/Customer Number. The following information will be written to the new data files in JC-1059 Report B : Job Sort Field Value Job Type Customer Number Revenue (Invoiced Amount from the B report) Direct Labor Dollars Direct Labor Hours Total Costs Mat & Sub The following rows print on the report: Division, Sort Field, Job Type and description, Customer Number and Name, and a column for each of the Periods in the Fiscal Year as well as a Fiscal Year to Date Column. The rows for the block consist of the following information: Revenue (Period to Date Billing) Direct Labor Dollars Direct Labor Hours Profit/Loss(difference between Revenue and Cost) Conversion (Revenue divided by Direct Labor Dollars) Revenue Per Man Hour (Revenue divided by Direct Labor Hours) Mat & Sub (Total costs for Cost Types M and S only. This line is not used in any calculations) Total JTD Cost (Total Job to Date Cost) Cost Per Man Hour (Total Job Cost divided by Hours) Profit/Loss Percent (difference Between Revenue Per Man Hour and Cost Per Man Hour divided by Revenue Per Man Hour) Average Man Hour Rate (Direct Labor Dollars divided by Direct Labor Hours) The report prints a subtotal block when the Division changes. This block summarizes the same lines as the information printed for the Customer/Job Type. 6 Three Month Report A checkbox has been added to the Revenue Conversion Summary Report for Three Month Report. When you check this box, a new report will print the same rows of data as the Revenue Conversion Summary Report with only the following columns: the current period, the prior two periods, the Prior 3 months and the Fiscal Year to Date (Figure 4). Note that for January and February, the prior year data will not be printed in the prior period columns; the report will only contain current year data. 7 Figure 4 cont. Monthly Job Cost Report This Job Cost report summarizes jobs associated with a Customer. The report may be selected by a range of Sort Fields, Customer Numbers, a List of Job Types (Figure 5). This report only includes jobs with an Open status. The report pulls data from the Open Job Cost Files and Sage Extended Solution AR-1080: Customer Masterfile User Defined Fields. The report is sorted by Division /Job Type/Customer Number. Job Division will include any job whose Job Masterfile Sort Field is within the range specified in Setup. Figure Sage Software, Inc. All rights reserved. JC-1103 (Revised 08/05) Page 7

8 For each of the Job Types entered in Setup you must have a group of three AR-1080 UDFs set up. The AR-1080 UDFs will hold Period to Date, Year to Date, and Job to Date information. The report matches the groupings of the UDFs to the Job Types in the order they are entered in the Setup screen. For example: The first Job Type entered corresponds with the first three UDFs, the second Job Type entered corresponds with UDFs 4-6, the third Job Type entered corresponds with UDFs 7-9, etc., up to a maximum of ten Job Types, and a maximum of thirty UDFs. The report prints columns for PTD, YTD and JTD dollars, for each Job Type. The report also prints the dollars/man hours. Man hours are units associated with the Direct Labor Cost Type designated in Setup. 9 The rows of the report detail the following information (Figure 6): Sales (From A/R UDFs, one Customer/Job Type for Period to Date, Year to Date and Job to Date) Direct Labor (Costs from one Cost Type from Setup) Labor Burden (Cost Type B ) Equipment (Cost Type E ) Material (Cost Type M ) Subs (Cost Type S ) Overhead (Cost Type O ) Total Cost (all Cost Types) Profit Loss (Sales less Total Cost) Man Hours (hours associated with the Direct Labor Cost Type) Revenue Conversion Data File (JC-SJ) Data Entry Click on File in the MAS 90 Menu bar, then on Run. Enter JCW_CN, and then click OK to start up this program. This program may be used for after-the-fact data entry (Figure 7). All fields are accessible, new records may be created, and old records may be deleted. Figure 7 Helpful Hints On the Revenue Conversion Summary, the Prior 3 Months column only includes amounts from the present year, so if you are in the first period no amounts will print for this column Sage Software, Inc. 10 The Revenue Conversion Summary only prints Jobs with a C status. On the Revenue Conversion Summary Report, if you change the Job Type or Job Masterfile Sort Field from the original values you may get undesirable results. Upgrades and Compatibility The installation CD is labeled with the version of the MAS 90 MAS 200 module for which this Extended Solution was prepared. This Extended Solution will check its compatibility with the appropriate MAS 90 MAS 200 modules and will be disabled if an incompatibility is found. If you upgrade your MAS 90 MAS 200 modules, this Extended Solution must be upgraded as well. Your MAS 90 MAS 200 dealer can supply this upgrade. Documentation Only changes made to the standard operation of MAS 90 MAS 200 have been documented in this manual. Operations not documented in this manual are standard procedures of MAS 90 MAS 200 processing. Standard MAS 90 MAS 200 processes, data entry screens, inquiry screens, reports, updates, etc., have not been changed unless addressed in this document. Parts of this document may refer to the Specific Purpose Rule.
