5 SECTION 1: OVERVIEW A Quick Note About Permissions The features and functionality described in this guide are based on what a user with full permissions can see. If you cannot see a feature or if you can see it but are unable to access it, it is possible that you have not been granted the necessary permission to do so. Exception: If you are offline and can view only some of the work orders in the system, this is due to the fact that in offline mode, you are limited to viewing only those work orders that you viewed while you were online. To resolve this problem, find a wireless hot spot and then view the details of each of the work orders you will need to see later on. After you go offline, the information will remain available through the CorrigoNet app. Introduction The CorrigoNet Mobile application is designed to allow technicians out in the field to access and manage the work orders assigned to them and to other members of their team, if the technician has the necessary permission to do so. Work orders are accessible through different lists based on the following criteria, so a single work order normally appears in multiple lists: Status New, Open, On Hold, Need Attention, Completed Today Type Request, PM Schedule Appointments, Scheduled, Unscheduled Note: The exception to this classification system is Emergency work orders, which appear in their own separate and independent list. To ensure you are looking at the latest version of each list, you should periodically refresh the screen. To do this, tap the (Refresh) button on the Action bar. Typical Simple Workflow Within the CorrigoNet Mobile app, you will indicate a variety of actions during the work order process that will change the status of the service request. The following table describes the typical workflow status change of a work order during a service request. 6 SECTION 2: GENERAL INFORMATION Install the CorrigoNet Mobile App for Android Phones Installation of the CorrigoNet Mobile app takes only a few minutes and requires you to read and agree to two prompts. After you have installed and logged in to the app the first time, you remain logged in, even if you close the app. Note: For details on how to log out and log in as a different user, refer to the section, Log In as a Different User, below. To install the CorrigoNet Mobile app for Android phones, do the following: 1. Download the CorrigoNet Mobile app from the Google Play Store for Android: 2. At the prompt, "CorrigoNet would like to send you push notifications," select either Don t Allow or OK, depending on whether you want to receive the notifications. 3. Enter your login name, password, and company name. The application displays a message, Initial sync. 4. At the prompt, CorrigoNet would like to use your current location, select OK. Log In as a Different User To log out of the CorrigoNet Mobile app and log back in as a different user using your Android phone, do the following: 1. Go to the home screen of the application. 2. Tap the menu button on your phone. 3. Tap the Logout option on the screen that appears. 4. On the Login screen that appears, enter the new username, password, and company information in the corresponding fields. 5. Tap the Login button to log in as the new user. View Work Orders Offline All work orders that you have viewed online are automatically visible when you are offline. Therefore, to view work orders offline, you must first view the details online. If you have not done so, when you tap a work order name in the application, the following message appears: To resolve this problem, find a wireless hot spot and then view the details of each of the work orders you will need to see later on. After you go offline, the information will remain available through the CorrigoNet app. 2

7 CorrigoNet Mobile Technician Application User Guide: Android Devices Delete Items Within the App Not all screens within the app allow you to remove items from lists, but those that do contain a Delete button at the bottom of the screen. To delete items from a list, do the following: 1. Tap the first item you want to delete. 2. On the details screen that appears, click the Delete button at the bottom of the screen. The screen automatically refreshes and returns you to the list, with the item deleted. Note:If the keyboard obscures the Delete button, tap the Back button at the bottom of the screen to close the keyboard. 3. Repeat Steps 1 and 2 for each additional item you want to delete. Review Alerts Notifications Alerts are intended to notify mobile users about important events such as newly assigned work orders. When the user is logged in to the CorrigoNet app, but it is not the active view on the Android device, a notification icon appears in the notification area, which is usually at the top of the device, as shown below in the image on the left. Pressing and dragging down the notification bar displays the notification along with other Android app notifications, as shown in the middle image. Tapping the notification takes the user into the app, where the alert details are displayed in a popup screen, as shown in the image on the right. Note: If the CorrigoNet app is active when alerts are received, no notification appears, as the alert is simply presented by the application in an alert popup screen as shown in the image above on the right. 3

8 SECTION 3: TIME CARDS Time Card Overview The CorrigoNet Technician mobile application can be set up to link Work Order time to time card time. This allows you to have all of the time you spend on work orders automatically recorded on your time sheet. It also enables you to add other time records to your time card, to cover all of the work you do that is not directly attributable to work orders. After you enter your time on your time sheet, your manager can then view your hours and approve or disapprove of them through the Corrigo Back Office portal. Important: In order to be able to view, add, and edit work order hours on your time card, the following two settings within CorrigoNet must be selected in the order listed below: 1. Labor code required when submitting time This field is located at Work Orders tab > Settings > Workflow > Required Fields region. 2. Enable Link With Work Orders Time This field is located at User > TimeCard > Settings. View, Add, or Edit Work Order Hours on Your Time Card Each time you enter hours worked on a work order, that information is added to your time card and can be viewed through the Mobile Tech app by doing the following: 1. Go to the My Work screen. Note: If your configuration of the application does not include a separate My Work screen, go to the home screen and start from there instead. 2. Tap the menu button on your phone. 3. On the popup screen that appears, tap the Time Card button. A time card screen appears, displaying the following information: o o o The total number of each kind of hours recorded on the time card for the current date. This can include regular hours, overtime hours, administration hours, and so on. The current date, month, and year (if you rotate the phone to see the timecard in landscape format) The total hours per work order that have been recorded for the current date. In the image below, for example, the time card shows 1 hour of overtime plus 2 hours of standard time for work order # and an additional 2 hours of standard time for work order #

9 CorrigoNet Mobile Technician Application User Guide: Android Devices 4. Tap the Prev Day button to view details about the work order hours recorded for the previous day. 5. Tap the Next Day button to view details about the work order hours recorded for the subsequent day. 6. To change the number of hours that you worked on a specific date, do the following: a. Tap the Prev Day or Next Day buttons to go to the date. b. Tap the hours field for that date. c. On the Edit Time screen that appears, update the number of hours you worked. d. Tap the Save button to save your changes. 7. To change the date that you performed work for a work order, you will actually delete it from one date and then add it to another. To do this, repeat the process outlined in Step 6 above, entering 0 for the hours worked on the date you want to delete work hours from. a. Tap the menu button on your phone and then tap the Select Date option on the screen that appears. b. On the date selection screen that appears, use your finger to scroll up and down in the month, day, and year columns to select the date that you want to add hours to, then tap 5

10 Section 3: Time Cards the Done button. Add Non-Work Order Hours to Your Time Card To add non-work order hours to your time card using the Mobile Tech app, do the following: 1. Go to the My Work screen. Note: If your configuration of the application does not include a separate My Work screen, go to the home screen and start from there instead. 2. Tap the menu button on your phone. 3. Tap the Time Card button. 4. Tap the menu button again. 5. On the popup screen that appears, tap the Add Time button. 6. (Optional) Change the labor code by tapping the Labor Code field and then tapping a different code in the list that pops up. 7. On the Add Time screen again, tap the Duration field to enter the number of non-work order hours and minutes you worked. 8. (Optional but recommended) In the Comments field below the Duration field, enter a description of the work you did. 9. Tap the Save button to enter the new time onto your time card. When you are done, the Time Card screen displays each non-work order task on a separate line. 6

12 SECTION 4: PRIMARY WORK ORDER TASKS Start, Pause, or Stop a Work Order Using the Asset Tag Scan Feature Note: The procedure outlined below discusses how to scan a known graphical asset tag such as a barcode or QR code to initiate, pause, or complete a work orders. If you do not plan to use asset tag scanning, refer to the Start a Work Order, Pause a Work Order, and Complete a Work Order sections of this guide instead. To use the new scanning feature, complete the following steps: 1. Log in to the CorrigoNet Mobile Technician application and locate the work order you want to start. 2. Tap the work order to open the Work Order Details screen, an example of which is shown below. 3. Tap the (Scan) button in the Action bar at the top of the screen. 4. When the scanner opens, scan the asset tag related to the work order. Note: The example below shows the asset tag along with its Tag ID. In actual usage, the TagID would NOT be visible on the sticker. 8

13 CorrigoNet Mobile Technician Application User Guide: Android Devices 5. On the popup screen that appears, click OK to pickup and start the work order. The Work Order Details screen then reappears, with the work order status set to Open:In Progress. 6. When you are ready to complete the work order, tap the (Scan) button again and scan the asset tag again or, if the location where you are finishing the work order is different from the location where you started, scan the asset tag at the second location. 9

14 Section 4: Primary Work Order Tasks 7. At the prompt, tap the Complete button if you are done with the work order or Pause if you need to stop working on it for a time. As with previous mobile application work order tasks, all actions you take on the work order are tracked and are visible through the Action Log tab on the Work Order Details screen in CorrigoNet. In the example below, which is for the work order described above, you can see when the work order was picked up, when the first asset tag (TranCo #100) was scanned to start the work order, and when the second asset tag (TranCo #210) was scanned to complete the work order. 10

15 CorrigoNet Mobile Technician Application User Guide: Android Devices Pick Up a New Work Order Note: The procedure outlined below is for work orders that are not initiated using the asset tag scanning process. If you do plan to use asset tag scanning to pick up and start a work order, refer to the Start, Pause, or Stop a Work Order Using the Asset Tag Scan Feature section of this guide instead. To pick up a new work order without using asset tag scanning, do the following: 1. Go to the My Work screen. Note: If your configuration of the application does not include a separate My Work screen, go to the home screen and start from there instead. 2. Tap the New row. A list of all new work orders assigned to you appears, along with the work order number, street address, and problem that needs to be worked on. 11

16 Section 4: Primary Work Order Tasks Note: The priority assigned to each work order is listed on the right. 3. Tap a work order to select it. 4. Pick up the work order by tapping the Status row on the work order details screen. 5. Tap Pick up to have the work order assigned to you and then tap OK on the popup screen that appears. 12

17 CorrigoNet Mobile Technician Application User Guide: Android Devices Note: If you tap Pick up and Start, you are immediately prompted to confirm your choice, after which, you are taken to the Labor Codes step (Step 4) in the section below. The work order status then updates to Open. Start a Work Order Note: The procedure outlined below is for work orders that are not initiated using the asset tag scanning process. If you do plan to use asset tag scanning to start a work order, refer to the Start, Pause, or Stop a Work Order Using the Asset Tag Scan Feature section of this guide instead. To start a work order without using asset tag scanning, do the following: 13

18 Section 4: Primary Work Order Tasks 1. On the work order details screen, tap the Status row. 2. On the Actions screen that appears, tap Start. 3. At the prompt, confirm that you want to start the work order by tapping the OK button. The status of the work order changes to Open:In Progress and the system starts recording the time you are spending on the work order. 14

19 CorrigoNet Mobile Technician Application User Guide: Android Devices Pause a Work Order Note: The procedure outlined below is for work orders that do not involve the asset tag scanning process. If you used asset tag scanning to start a work order, refer to the Start, Pause, or Stop a Work Order Using the Asset Tag Scan Feature section of this guide for instructions on how to pause the work order. To pause a work order without using asset tag scanning, do the following: 1. To pause a work order that is already in progress, tap the Status row on the work order details screen. 15

20 Section 4: Primary Work Order Tasks 2. Select Pause from the list of options. 3. On the popup screen that appears, tap OK to confirm that you want to pause the work order. 4. The Edit Labor Cost screen that appears displays all of the work you have done on the work order so far. If you need to edit the number of hours or minutes, tap the Duration field and then make the changes you want. 5. When you are done, tap the Save button at the bottom of the screen. The number of hours completed so far is then added to the total number of Labor hours that appears on the Costs screen, which is accessed by tapping the All Costs field on the default work order details screen. 16

21 CorrigoNet Mobile Technician Application User Guide: Android Devices Add Notes to a Work Order Note: These regular notes are separate from the Completion Notes that you add at the end of the task. As such, they can be added at any time, even when the work order has a status of Complete. To enter a new note, do the following: 1. Tap the Notes row at the bottom of the default work order details screen. If notes have already been added to the work order, they appear on the Notes screen that opens. 2. To add a new note, tap the (Note) icon in the Action bar. 3. In the text-box on the Add Text Note screen, enter a note about the work order. 17

22 Section 4: Primary Work Order Tasks 4. When you have finished, tap the Save button at the bottom of the screen. Search for Materials Using Asset Tags If an item is listed in the materials inventory and it has an asset tag such as a barcode or QR code that has been set up in the system through the Back Office portal, you can scan the code and have the item automatically added as part of a work order. To do this, complete the following steps: 1. Position yourself so that you can easily access the inventory item's asset tag. 2. Open the work order to which you want to add the tagged item. 3. On the default work order details screen, scroll down and tap the All Costs row. 18

23 CorrigoNet Mobile Technician Application User Guide: Android Devices 4. On the Costs screen that appears, tap the Add> link in the Materials section. 5. On the Find Product screen that opens, tap the Scan Barcode button. The camera on your Android device is activated automatically. 6. Focus the camera on the item's asset tag and wait a few seconds until you hear an electronic beep indicating that it has been scanned. 19

24 Section 4: Primary Work Order Tasks Note: In order for the scanner to work correctly, the camera must be held steady and within 8 inches of the asset tag. The camera must also have a clear view of the asset tag with no glare or heavy shadows obscuring the clarity of the image. After the asset tag is read, the screen refreshes and displays the product name, location, price, quantity, and total price. 7. (Optional) Change the price of the scanned item. 8. (Optional) Change the Quantity field if more than one item is being added to the work order. 9. Click Save to add the item(s) to the work order. The updated All WO Costs screen appears with the new item added to the Materials section. 20

25 CorrigoNet Mobile Technician Application User Guide: Android Devices Add Parts & Materials Costs to a Work Order Within the system, the term costs is used to refer to labor, parts and materials, spot purchases, and/or miscellaneous costs. Although costs can be added at the end of a work order, it is often more convenient to add them as you go so that you do not forget anything. To add parts and materials tracked in the inventory feature and stored in stock locations, such as your truck or a store room, do the following: 1. On the work order details screen, scroll down and tap the All Costs row. 2. On the Costs screen that appears, tap the Add > link in the Materials section. 21

26 Section 4: Primary Work Order Tasks Note: If costs have already been added to the work order, the screen might look slightly different than the example shown above. 3. On the Find Product screen, search for a product or manufacturer by entering at least two letters in at least one of the fields and tapping the Search button. Note: If your search returns no data, tap the Back button on the phone to return to the Find Product field and try a different set of search criteria. If you still do not see anything, stock locations might not be set up in the system. 4. When a list of search results appears, tap the name of the product that you want to add to the work order. 22

27 CorrigoNet Mobile Technician Application User Guide: Android Devices 5. On the Stock Locations screen that appears, tap the location from which you took (or will take) the product. The Add Material Cost screen then appears, displaying the product name, location, and unit price of the selected item. 23

28 Section 4: Primary Work Order Tasks 6. (Optional) If you need to, tap the Price field to change the default price for the product. 7. Tap the Quantity field to enter the number of items to be added to the work order or leave the default set to 1 if you are only adding one. 8. When you have finished, tap the Save button at the bottom of the screen to save your changes and have them added to the work order Costs screen. 9. (Optional) If you need to add more materials to the work order, repeat steps 2 through When you have finished adding materials, review the materials costs for the work order using the Costs screen and then tap the Back button on your phone to return to the work order details screen. Add Labor Costs to a Work Order Properly recording labor performed on work orders is an important part of the billing process. The recommended best practice is to record the start times, pauses, and end times for each block of work you perform as soon as you perform it. Sometimes, though, you might forget to start the work order or otherwise need to record work you performed when your time was not being tracked by the system. To add labor prior to marking a work order as Completed, do the following: 1. On the default work order details screen, scroll down and tap the All Costs row. 24

On the Costs screen that appears, tap the Add > link in the Labor section An Add Labor Cost screen opens, displaying the time and date the job started, the labor code for the job, and two text-entry fields that you can use to record the duration of the job. 25

(Optional) If the default value in the Labor Code field is incorrect, tap the row to view the "Choose labor code" popup screen where you can select the correct code for the job. 4. Tap the hour field within the Duration row on the Add Labor Cost screen to enter the number of hours you spent on the job. 5. Repeat Step 4 for the minute field. 6. Tap the Save button at the bottom of the screen. 7. On the Costs screen, review the total amount of time you have recorded for the job. If everything is okay, click the Back button on your phone to return to the main work order details screen. Complete a Work Order Note: The procedure outlined below is for work orders that do not involve the asset tag scanning process. If you used asset tag scanning to start a work order, refer to the Start, Pause, or Stop a Work Order Using the Asset Tag Scan Feature section of this guide for instructions on how to complete it. The following steps should be completed when you have finished with a work order and you are planning to mark it as Completed without using asset tag scanning. Some of the steps below are mandatory and some of them you might need to do depending on the work you performed: While you are in the process of completing a work order, if you tap the Back button on your phone, a popup screen will appear, warning you that if you go back, all completion-related changes that you have just made will be lost. 1. When you are finished working on the work order, tap the Status row on the work order details screen. 26

31 CorrigoNet Mobile Technician Application User Guide: Android Devices 2. Select Complete from the list of options that appears. 3. (Mandatory) On the Work Done screen, tap the text field at the top and then enter any completion notes you have for the work order. 27

32 Section 4: Primary Work Order Tasks Alert: This is the only place you can enter completion notes for the work order. After you change the status to Complete, the completion notes text-entry field becomes inaccessible. 4. (Mandatory) Tap the Repair Code field to select the repair category related to the work order. 5. In rare cases, you might have additional labor costs you need to add to the work order or the time recorded for the work order is incorrect. When that happens, you can update the time displayed on the Work Done screen by doing the following: a. Tap the Labor row on the Work Done screen. b. On the Labor Costs screen that appears, tap the Add > link in the Total row. 28

(Optional) On the Add Labor Cost screen, if the default value in the Labor Code field is incorrect, tap the row to view the Choose labor code popup screen where you can select the correct code for the job. d. Tap the hour field within the Duration row on the Add Labor Cost screen to enter the number of hours you spent on the job. e. Repeat Step d. for the minute field. f. Tap the Save button at the bottom of the screen. g. On the Labor screen, review the total amount of time you have recorded for the job. If everything is okay, tap the Back button on your phone to return to the Work Done screen. 6. If you have materials costs, add them to the work order by doing the following. Otherwise, jump to Step 7 below. a. Tap the Materials row on the Work Done screen. b. On the Material Costs screen that appears, tap the Add > link in the Materials row. c. On the Find Product screen that appears, search for a product or manufacturer by entering at least two letters in at least one of the fields and tapping the Search button. 29

34 Section 4: Primary Work Order Tasks Note: If your search returns no data, tap the Back button on your phone to return to the Find Product screen and try a different set of search criteria. d. From the list of search results that appears, tap the name of the product that you want to add to the work order. An Add Materials screen opens, displaying the specific details, location, and default price of the selected item. 30

35 CorrigoNet Mobile Technician Application User Guide: Android Devices e. (Optional) If you need to change the default price for the product, tap the Unit Cost field and update the price. f. Tap the Quantity field to enter the number of items to be added to the work order or leave the default set to 1 if you are only adding one. g. When you have finished, tap the Save button to save your changes and have them added to the work order costs. h. (Optional) If you need to add more materials to the work order list, tap the Add > link again on the Material Costs screen and repeat steps 6b through 6g. i. When you have finished adding materials, tap the Back button on your phone to return to the Work Done screen where you can view a summary of all of the work order costs to date. 7. Tap the Complete button at the bottom of the screen to return to the work order details screen. The status of the Work Order changes to Completed. Add Spot Purchases/Miscellaneous Costs to a Work Order Within the system, the term spot purchases refers to any materials used in service of the work order which were not being tracked in inventory. The term miscellaneous is a catchall phrase for any other costs incurred while performing work. If you want to enter spot purchase costs or miscellaneous costs to a work order, do the following: 1. Locate and tap the work order to which you want to add spot purchases and/or miscellaneous costs. 2. On the default work order details screen, scroll to the bottom and tap the All Costs field. 31

36 Section 4: Primary Work Order Tasks 3. On the Costs screen, tap the Add > link in the Spot Purchases row. 4. On the Add Spot Purchase screen that appears, enter a description of the purchase in the Desc field. 32

37 CorrigoNet Mobile Technician Application User Guide: Android Devices 5. Enter the item cost in the Unit Cost field. 6. Enter the number of items you purchased in the Quantity field. 7. Tap the Save button. 8. To enter a Miscellaneous cost, tap the Add > link in the Miscellaneous row of the Costs screen. 9. On the Add Misc Cost screen that appears, enter a description of the miscellaneous purchase in the Desc field. 33

38 Section 4: Primary Work Order Tasks 10. Enter the item cost in the Price field. 11. Enter the number of items you purchased in the Quantity field. 12. Tap the Save button to return to the Costs screen where all of the spot purchases and miscellaneous costs are listed together. 13. Tap the Back button on the phone to return to the work order details screen. Search for a Work Order You can search for a work order from the home screen or from the My Work screen by completing the following steps: 1. Tap the (Search) icon in the Action bar at the top of the home or My Work screen. 2. On the Find Work Order screen that appears, enter at least two numbers or two letters in at least one of the following search fields: WO#, Customer, Requestor. 34

So, for example, a search of 34 returns work orders and and a search for tho returns Thorne Properties as well as Ratholin Tires. 3. Tap the Search button to view the results. Filter Work Order Lists Many of the work order lists, such as Unassigned WOs, Providers/Vendors Work, and Workload, can be filtered to limit the number of results that are displayed on the screen. To filter one of these 35

Note: If your configuration of the application does not include a separate My Work screen, go to the home screen and start from there instead. 2. Tap the work order list that you want to filter. In the example below, it is the Providers Work list. 3. Tap the (Filter) icon in the Action bar. 4. On the "Filter by" screen that appears, set any or all of the filters to help narrow down the work order list. 36

Undo Filters on a Work Order List At times it might be necessary to undo the filters that you have applied to a work order, especially if the search results returned zero work orders. To undo the filters that have been applied to a work order list, do the following: 1. If it is not already open, go to the filtered work order list. 2. Tap the (Filter) icon in the Action bar. 37

Note: If the keypad is blocking the Clear Filters button, tap the Return button on your phone to close the keypad. 4. Select new filter criteria or tap the Search button to see the unfiltered list of work orders again. Show a Work Order Custom Field Custom fields are used to capture all sorts of data that are not standard to the system. If a custom field already has a value set, it will appear on the work order details screen. If no value has been set for it, but you need to enter one, you can add the custom field to the work order details screen by doing the following: 1. Open the work order to which you want to add the custom field. 2. Tap the menu button on your phone. 3. On the option screen that appears, tap the Add Custom Field button. 4. On the Choose custom field screen that pops up, tap the custom field you want to enable. 38

TIP: A custom field will only appear in a work order if you select or in the case of text-entry custom fields, if you enter a value for the field. In a text-entry custom field, removing all text causes the field to be hidden. 6. Tap the Save button at the bottom of the screen. The work order details screen refreshes and displays the field along with the value you selected or entered. 39

45 SECTION 5: SECONDARY WORK ORDER TASKS View Alerts If your user ID is configured for alert notifications, you can view work order alerts through the CorrigoNet Mobile app by doing the following: 1. Go to the My Work screen. Note: If your configuration of the application does not include a separate My Work screen, go to the home screen and start from there instead. 2. Tap the Alerts row. A list of all alerts related to your work orders appears. Capture a Customer's Signature The CorrigoNet app includes a privilege called Mobile - Inline Signature Capture that, when granted, enables you to electronically capture your customers' signatures for work orders as part of the overall workflow completion process. If you have not been granted the Mobile Inline Signature Capture permission, you can still capture customer signatures, but the capture is not part of the work order completion process. Tip: Signature capture supports and works best in Landscape mode. Capture a Signature as Part of the Completion Process If you have been granted the Mobile - Inline Signature Capture privilege, complete the following procedure to capture a signature: 1. Change the status of the corresponding work order to Complete. A WO Printout screen appears, summarizing all of the work order details. 41

46 CorrigoNet Mobile Technician Application User Guide: Android Devices 2. Let your customer review the details, then have them scroll down to the bottom of the screen and tap the Accept button. 3. On the Sign Work Order screen that appears, have the customer sign on the dotted line using his or her finger. 4. After the customer finishes signing, tap the (Accept) icon on the screen to attach the signature to the work order. If the customer is not satisfied with the signature, tap the icon and have them try again. (Clear) A popup screen then appears, confirming that the customer's signature was successfully captured. You can then continue with the work order completion process by adding comments, a repair code, and costs details to the order. Capture a Signature Independent of a Work Flow Completion Process If you have not been granted the Mobile - Inline Signature Capture privilege, you can capture a customer signature any time after starting the work order. To do this, complete the following steps: 1. Navigate to the work order details screen. 2. Tap the Menu button at the bottom of the screen. 3. In the options list that pops up, tap the Accept Signature button. Note: This button does not appear if you have been granted the Mobile - Inline Signature Capture privilege. A WO Printout screen appears, summarizing all of the work order details. 42

Attach a Picture to a Work Order To attach a picture to a work order, do the following: 1. Open the work order to which you want to attach a picture. 2. Tap the menu button on your phone. 3. In the options list that pops up, tap the Attach Picture button. 43

On the Attach Picture screen that pops up, do one of the following: o Tap From Gallery if you have already taken the photograph and have it stored in your camera's Photo Album. o Tap From Camera if you have not yet taken the photograph. This option will activate your camera, allowing you to take the picture immediately. 5. After choosing an option in Step 4, a new Attach Picture screen appears, displaying the photograph you just selected or took along with a notation at the top listing the work order number to which the photograph will be attached. 6. Tap Done to attach the photograph to the work order. Attach a Voice Memo to a Work Order To record a memo and have it attached to a work order, do the following: 1. Open the work order for which you want to record a memo. 2. Tap the menu button on your phone. 3. In the options list that pops up, tap the Attach Voice Memo button. 4. On the Create Voice Memo screen that appears, tap the Record button. 44

(Optional) To listen to your memo before attaching it to the work order, tap the (Play) button at the bottom of the screen. For longer messages, drag the slider in the timer field to the right or left to start the playback at a specific time. 8. (Optional) To continue recording after a pause, tap the green Continue button. 9. When you are done recording your memo, tap the Save button. 45

50 CorrigoNet Mobile Technician Application User Guide: Android Devices Manage Punch Lists Attach a Punch List to a Work Order Note: The following process can only be completed if you have permissions and access to the CorrigoNet Back Office portal. Punch lists (also known as check lists ) cannot be attached to work orders through the CorrigoNet Technician mobile app; they must be associated with work orders through the web-based Back Office portal. To do this, complete the following steps: 1. In the Back Office portal, click the Work Orders tab and then select the My Work option. 2. In the Status column, click the Open option. 3. In the list of open work orders that are assigned to you, click the one to which you want to add a punch list. 4. With the work order open on the screen, move your cursor to the Financial section at the bottom of the screen and click the Logs/Lists tab, then the Punch List sub-tab. 5. Either click the Add Punch List button on the Punch List sub-tab, then select an available check list from the popup Add Punch List screen or click the Add Item button on the Punch List sub-tab and create a single punch list item that can be added to the work order as an individual item or included in an existing punch list. 6. Scroll to the top of the work order details screen and click Save to save the work order with the punch list added to it. 46

51 Section 5: Secondary Work Order Tasks View a Punch List Although you cannot attach a punch list from within the CorrigoNet Technician mobile app, if a work order contains a punch list, you can view it through the app by doing the following: 1. Open the work order that has a punch list associated with it. 2. Scroll down and tap the Punch List row. A Punch List screen appears, displaying each of the items on the punch list. Mark Punch List Items as Done To mark a punch list item as Done, do the following: 47

Scroll down and tap the Punch List row that appears after the Assigned To row. 3. On the Punch List screen that appears, either tap the check box beside the item you want to mark as Done, or if you want to add a note to the item, tap the item itself and then complete the rest of the steps outlined below. 4. On the Punch List Item screen that appears, enter any notes you have about the item. 48

53 Section 5: Secondary Work Order Tasks Note: You can only add notes if the Done checkbox is not selected. As soon as you select it, the Note field becomes inactive. 5. Tap the Done checkbox on the screen to mark the punch list item as complete. 6. Tap the Save button at the bottom of the screen. The Punch List screen reappears with a checkmark beside the item you just marked as Done. View Multiple Item Work Orders Although multiple item work orders are not commonly used, it is a good idea to know how they differ from single item work orders and how they appear within the mobile app. The key difference 49

54 CorrigoNet Mobile Technician Application User Guide: Android Devices between the two is that regular (single item) work orders contain a single work item that you must complete, whereas a multiple item work order contains two or more items. Note: Depending on the configuration of your system, you might be unable to close a multiple item work order until all items have been completed. In terms of layout, a multiple item work order is virtually identical to a regular work order except for the location of the five Asset-related fields: Asset, Asset Path, Task, Description, and Disposition. When multiple items are part of a work order, these five rows are replaced on the main work order details screen by a single row entitled Multiple Items, as shown below. Tapping the Multiple Items row opens a new screen that lists each of the values for each item in the work order. 50

55 Section 5: Secondary Work Order Tasks Manage Appointments & Work Schedules The CorrigoNet Technician mobile application allows you to make an appointment, view all of your scheduled work orders and to schedule a new work order or reschedule an existing one. Schedule an Appointment To make an appointment to carry out a work order, do the following: 1. Locate and tap the work order in the system. 2. On the work order details screen, tap the Access/Appt row. 3. On the Scheduling screen that appears, tap the Type row. 51

On the popup screen that appears, select the kind of appointment notification the client wants: Appointment, Call First, Not Applicable, or PTE If you chose Appointment in Step 4, on the Access/Appt screen, tap the Date field and on the popup screen that appears, use your finger to scroll up and down to select the date of the appointment. When you have finished, tap the Done button to return to the Access/Appt screen, then tap the Time row and repeat the process in order to set the time of the appointment 6. Tap the Save button at the bottom of the Access/Appt screen to save your selections. 1 PTE stands for permission to enter and is used primarily by property management customers who need owner consent to enter residential properties unaccompanied. View All Scheduled Work Orders To view all scheduled work orders, do the following: 1. Go to the My Work screen. Note: If your configuration of the application does not include a separate My Work screen, go to the home screen and start from there instead. 2. Tap the Scheduled row. All of the work orders that you are scheduled to work on appear in a list on the screen. 52

Reschedule an Existing Work Order To reschedule an appointment to carry out a work order, do the following: 1. Locate and tap the work order in the system. 2. On the work order details screen, tap the Access/Appt row. 53

On the Access/Appt screen that appears, tap the Date field and on the popup screen that appears, use your finger to scroll up and down to select a new date for the appointment.. 4. When you have finished, tap the Done button to return to the Access/Appt screen, then tap the Time row and repeat the process in order to set the new time of the appointment 5. Tap the Save button at the bottom of the Access/Appt screen to save your selections. Note: If you select a date or time in the past, an error message appears stating: Warning. Scheduled start date should be in future. Assuming the date and time you entered are acceptable, the work order details screen then displays the scheduled start for the work order. Search Inventory for Materials Note: This feature differs from the Add Inventory feature in that the search ends with a list of locations containing the product. Unlike the Add Inventory feature, you cannot go an additional step and view the details of a product, such as its cost, nor can you add it to a work order invoice. 54

59 Section 5: Secondary Work Order Tasks To search for materials within all of the stock locations that you have been granted permission to view, do the following: 1. Go to either the Home screen or the My Work screen. 2. Tap the menu button on your phone. 3. On the popup screen that appears, tap the Find Materials button. 4. On the Find Product screen, tap one of the following options: o Full Access Allows you to view a list of all stock locations that have the materials you are searching for, including the specific name of each location and the specific quantity o of the items at each location. View Only Allows you to view a general list of all stock locations that have the materials you are searching for. 5. Search for a product or manufacturer by entering at least two letters in at least one of the fields and tapping the Search button on the screen. Note: If your search returns no data, tap the Back to return to the Find Product screen and try a different set of search criteria. If you still do not see anything, stock locations might not be set up in the system. 6. When a list of search results appears, tap the name of the product that you want to add to the work order. 55

View Asset Details Most of the assets in the system have no detailed information available about them. In some cases, though, details are available and can be viewed through the mobile app. To see if an asset has details listed for it, do the following: 1. Open a work order that has the asset within it. 2. Tap the Asset row within the work order. 56

Note: In most cases, the details field will simply display the message, No data. View Asset Histories To see the work order history of an asset, do the following: 1. Open a work order that has the asset within it. 2. Tap the Asset row within the work order. 57

63 Section 5: Secondary Work Order Tasks View Asset Warranty Information If there is an active warranty associated with an asset, a red W appears beside the Asset heading on the work order details screen. Note: If an item in a multi-item work order contains a warranty, the W does not appear on the main work order details screen. You must first click the Multiple Items row to see which work order item or items have warranties associated with them. To view warranty details, complete the following steps: 59

Tap the Warranty Information option The warranty details are shown, as in the example below. Notes o o o If there are no active warranties, the user sees a message to that effect If there are multiple active warranties, the user first sees a list of active warranties Only active warranties appear in the warranties list; inactive warranties are excluded. The Warranty Details screen displays the following warranty-related fields: Description The details in this field are particularly useful when there are multiple warranties associated with the work order items and the user needs to make sure he or she is reviewing the correct warranty. Timeframe Displays the initial warranty coverage date and the expiration date along with a countdown of the number of days left in the warranty. Warrantor Displays the company that is acting as warrantor and provides the name and telephone number or address of the contact at the company. Additional Info Displays any additional information that was listed when the warranty was entered into CorrigoNet. Coverages Displays each of the coverage types, such as Labor and Materials, associated with the warranty along with the coverage status, duration, and expiration date. View GPS/Location Tracking Details The CorrigoNet Technician mobile application uses the GPS on your Android phone to keep track of your location and store that information in a log. The location where you are doing or have done work is also available through the Map View. 60

65 Section 5: Secondary Work Order Tasks View Current Location Information If GPS is enabled on your phone, you can view your exact location by completing the following steps: 1. Go to the home screen of the application. 2. Tap the menu button on your phone. 3. On the popup screen that appears, tap the Settings button. 4. On the Preferences screen that appears, tap the Location Info row. A "Location info" screen appears, displaying your current longitude, latitude, and altitude (if available) as well as a range of other non-location details. 61

Tap the Show Fix on Map button to view your current location on a map. Send Location Log to Corrigo Support If you need to send your location log to Corrigo support, do the following: 1. Go to the home screen of the application. 2. Tap the menu button on your phone. 3. On the popup screen that appears, tap the Settings button. 4. On the Preferences screen, tap the Send Log row. 62

On the "Send log..." screen that pops up, tap one of the send options to designate how you want to send the information: via Bluetooth, Gmail, Google, Google+, or Messaging. 6. Enter details in the customer support form that appears, then click the Send icon. Get Driving Directions to a Job Site To get driving directions to a work order job site, do the following: 1. Open the work order for the job site you need directions to. 2. Tap the Address row. 3. The Google Maps screen opens with your job site location pre-populated in the lower field. 63

Note: If GPS is enabled on your phone, when you tap the top field, a My Location option will appear. If you tap this option, your current address will appear in the field automatically. 5. Tap the Get Directions button to view detailed instructions on how to get to the job site. View Customer Special Instructions Occasionally, it is necessary to be aware of special instructions regarding a specific customer location: the location of a side entrance, the passcode for a gate, the fact that there is an aggressive dog on property, and so on. This information is added to the system through the Customer Details screen under the Customer tab in the Back Office Portal. 64

To view any customer special instructions that exist for a work order, do the following: 1. Open the work order. 2. Scroll down to the Customer row. 3. If there are Special Instructions regarding the customer location, they will appear in a row called Special Instructions immediately after the Customer row. 65

70 SECTION 6: WORK ORDER MANAGEMENT TASKS The following additional tasks relate to the management of work orders and their related features within the system. Although this information will not be relevant to many non-manager users in the system, at some companies, non-managers will need to be able to access these features in order to perform their jobs. Create a New Work Order To create a new work order through the CorrigoNet Technician app, do the following: 1. Go to the My Work screen. Note: If your configuration of the application does not include a separate My Work screen, go to the home screen and start from there instead. 2. Tap the menu button. 3. Tap the Create New WO button on the popup screen that appears. 4. On the Select Type screen that appears, tap the type of work order you want to create: Basic, Request, or Admin. 5. On the Select Community screen, select the community or team you want to associate with the work order. Keep in mind that the team you select must already be linked within the system to the location of the work order. If your job is in San Francisco, for example, the team you select in this step must include San Francisco or a region encompassing San Francisco as one of the places they work. 66

Tap a customer's name in the list to select it. 7. If the contact details for the customer you selected are incomplete, a Set Contact screen will appear. If it has a status other than New or if it has been sent to an employee user, it cannot be recalled, it can only be canceled. To recall a work order, do the following: 1. Open the work order. 2. Tap the menu button on your phone. 3. Tap the Recall WO button on the screen that pops up. 70

Beside each name is the number of work orders they are assigned to in the system. 73

Assign a New Work Order to an Employee To assign a new work order to a specific employee, do the following: 1. Create the new work order. On the Unassigned screen, tap the new work order. 74

The work order details screen updates and displays the tech s name in the Assigned To row. 75

TIP: If the list of providers is extensive, you can narrow it down using the three Area filters that appear just below the Providers heading on the screen. Tapping the first limits your search to the local zip code. Tapping the Local option widens the search radius to a larger area. Tapping the Region option expands the search even more. To designate how many miles the Local and Region options should include, do the following: a. Tap the menu button on your phone. b. Tap the Settings button that appears. c. On the Distance Settings screen that appears, drag the two slide bars to set the local search radius to any distance between 1 and 50 miles and the Region search radius to any distance between 20 and 200 miles. 78

After selecting a provider, a confirmation screen appears asking if you would like to send the work order to the provider. Tap Send. 7. (Optional) If appropriate, on the next screen that appears, change the setting of the "Possibly covered under warranty" field. 8. (Optional) Enter a message for the provider in the text entry field on the screen. 9. Tap the Send button to send the work order notification and your note to the provider. 79

Assign/Reassign an Existing Work Order to an Employee Note: A work order cannot be reassigned if it has a status of Open:In Progress. To assign or reassign work orders to members of your team, do the following: 1. Go to the home screen of the application. 2. Tap the Workload row. 80

Beside each name is the number of work orders they are assigned to in the system. 3. Tap a member s name to view a list of each of his or her work orders. 4. To remove a work order from the member s list and assign it to another team member, tap the work order. 5. On the work order details screen, tap the Assigned To row. 6. On the Assignee Details screen that opens, tap the (Reassign) button. The Assign WO screen appears, with the Technicians tab displayed by default. 81

If the employee you want to reassign the work order to is not part of the default team that is displayed, tap the Team row and then select the employee's team on the popup screen that appears. 8. 87 CorrigoNet Mobile Technician Application User Guide: Android Devices To reassign a work order and give it to a vendor, do the following: 1. Locate and tap the name of the work order that you want to reassign. 2. On the work order details screen, tap the Assigned To row. 3. On the Assignee Details screen that appears, tap the (Reassign) button. The Assign WO screen appears, with the Technicians tab displayed by default. 4. Tap the Providers tab. 5. In the list of providers that appears, tap the name of the provider to whom you want to reassign the work order. Note: The numbers to the right of the providers' names indicate the number of work orders currently assigned to each provider. TIP: If the list of providers is extensive, you can narrow it down using the three Area filters that appear just below the Providers heading on the screen. Tapping the first limits your search to the local zip code. Tapping the Local option widens the search radius to a larger area. Tapping the Region option expands the search even more. To designate how many miles the Local and Region options should include, do the following: a. Tap the menu button on your phone. b. Tap the Settings button that appears. c. On the screen that appears, drag the two slide bars to set the local search radius to any distance between 1 and 50 miles and the Region search radius to any distance between 20 and 200 miles. 83

After selecting a provider, a confirmation screen appears asking if you would like to send the work order to the provider. Tap Send. 7. (Optional) If appropriate, on the next screen that appears, change the setting of the "Possibly covered under warranty" field. 8. (Optional) Enter a message for the provider in the text entry field on the screen. 9. Tap the Send button to send the work order notification and your note to the provider. 84

Edit NTE Values NTE values cannot be set through the CorrigoNet Mobile app; they must be set through the webbased CorrigoNet portal. If you have been assigned the necessary permissions, however, you can edit the NTE values for work orders from within the Mobile Tech app by completing the following steps: 1. Open the Work Order whose NTE value you want to edit. 2. On the work order details screen, scroll down and tap the NTE row. 85

Note: If the NTE value you enter exceeds the maximum you are allowed to authorize, a warning screen appears. Tap OK to close the screen, then re-enter a lower value and tap Save again. 5.
