MEET THE PRESENTERS Maria Svejdar Sarah Pratt
TODAY S WEBINAR Quick Start Guide to Barcode Allocation allocating barcode numbers (GTINs) calculating check digits managing number banks
Barcodes for Retail and Consumer Goods
Barcodes for Healthcare Products
GS1 EAN/UPC - the most widely used barcode in the world At least 5 billion barcodes are read every day, all over the world. GS1 EAN/UPC is a universally recognised barcode found on virtually every consumer product in the world, that can be scanned at any retail point of sale anywhere. A tiny, discrete tool that changed the world of retail.
COMMON TERMS
GTINS & PACKAGE HIERARCHIES Some common terms: Consumer Units/Retail Unit - an item sold at the POS. Traded Units exchanged between trading partners e.g. outer cases. Logistics Units Pallets or any item established for transport or storage which needs to be managed through the supply chain.
QUESTION WHO IS A MEMBER OF GS1 IRELAND?
GS1 STANDARDS
GS1 STANDARDS GS1 Standards are the global language of business a language for identifying, capturing, and sharing information automatically and accurately, so that anyone who wants that information can understand it, no matter who or where they are.

IDENTIFY: GS1 Identification Numbers Used to uniquely distinguish all products, trade items, logistic units, locations, assets and relationships in the supply chain from manufacturers to consumers.

CAPTURE: GS1 Data Carriers Capable of holding varying amounts of data to accommodate different needs such as traceability and expiration dates.

WHY BARCODE NUMBERS? Product Identification: A barcode identifies a product as it moves through the supply chain from manufacturer to distributor to retailer Because so many companies use the data it is critically important that every product is uniquely identified and marked with the correct barcode symbol
IT STARTS WITH A PREFIX
ANATOMY OF A GS1 BARCODE There are 4 parts to a 13 digit barcode number: i. The COUNTRY code: 539 is issued in Ireland ii. The COMPANY identifier iii. The ITEM reference iv. The CHECK DIGIT The official name for a barcode number is a GTIN a Global Trade Item Number GS1 Country Code for Ireland Company and Item ID Calculated Check Digit
GLOBAL COMPANY PREFIXES (GCP)
THE GCP IN IRELAND Three prefix lengths are utilised in Ireland to allocate a GTIN to a fixed weight, open distribution item: Global Company Prefix Number M1 M2 M3 M M 1 M2 M3 M4 M5 M M 1 M2 M3 M4 M5 M6 M7 M8 GCP 7 digits: 100,000 different items GCP 9 digits: 1,000 different items GCP 11 digits: 10 different items
BARCODE NUMBERBANK LICENCES GTIN 10 and GTIN 1,000 are the most commonly issued in Ireland today. Details of GS1 Membership and Licence fees are available on their website: GS1 Fees include a once-off registration fee and an annually renewable licence fee.
CREATING THE GLOBAL TRADE ITEM NUMBER (GTIN-13)
PRODUCT IDENTIFICATION Each product and pack type requires its OWN UNIQUE barcode number Item 1 - the consumer or retail unit = Barcode Number 1 Item 2 - an outer case of 24 units = Barcode Number 2
PRODUCT IDENTIFICATION Each variant of a product by size or flavour, for example, requires its OWN UNIQUE barcode number Product Product Product Product Strawberry Jam 350 gm = Barcode Number 1 Gooseberry Jam 350 gm = Barcode Number 2 Strawberry Jam 700 gm = Barcode Number 3 Strawberry Jam Case of 12 x 350 gm = Barcode 4
GTIN ALLOCATION Step 1 Take your company prefix which will be 7, 9, or 11 digits e.g Step 2 Allocate the item reference for the specific product you wish to identify. This will be 5, 3, or 1 digit depending upon the length of your company prefix (the size of your number bank) e.g At this stage you should have 12 digits We recommend sequential allocation from zero.
GTIN ALLOCATION Step 3 Calculate the Check Digit manually or using the online Check Digit Calculator Step 4 Record your complete 13 digit number e.g Further steps: Generate the barcode symbol and notify your customers of the product details.
CHECK DIGIT CALCULATION
WHAT IS A CHECK DIGIT? A check digit is a control feature It is calculated using a formula called the Modulo-10 The check digit enables scanners to confirm if they have read a barcode correctly.
ONLINE CHECK DIGIT CALCULATOR
CALCULATING THE CHECK DIGIT Type the 12 digits you have prepared into the GTIN 13 field e.g and click Calculate
CALCULATING THE CHECK DIGIT Your full barcode number including the check digit will appear in the box on the right
MANUAL CHECK DIGIT CALCULATION Step 1: Add every second digit from right to left. Step 2: Multiply the answer by three. Step 3: Again, adding from right to left sum the remaining digits. Step 4: Add together the answers from step 2 and step 3. Step 5: The check digit is the single digit number which when added to the answer of step 4 gives you the next multiple of 10 (always round up the number).
MANUAL CHECK DIGIT CALCULATION Add together every second number from right to left (orange digits) Multiply the Orange Answer by Add together the alternate numbers from right to left (navy digits) Add together the two results The check digit is the single digit number which when added to the answer in step four gives you a multiple of 10. 9
CREATING THE GTIN-14 FOR OUTER CASES
GENERATING AN OUTER CASE CODE GTIN Create a new 12-digit number using your GCP 2. This should be the next number in your sequence. e.g Add a leading zero: Calculate the check digit (use the GTIN 14 box) e.g Record this number and the name of the product to which it refers in your files.
CHECK DIGIT CALCULATOR

CAPTURE: GS1 Data Carriers Capable of holding varying amounts of data to accommodate different needs such as traceability information and expiration dates. A data carrier or symbol is a means of representing data in machine readable form.
GS1 IDENTIFICATION NUMBERS GS1 Identification Numbers are the KEYS to accessing information stored in computer files.
BARCODES & SCANNING Product bar code scanned Product price, description etc read from product file Product File c
GS1 BARCODE A GS1 Barcode therefore consists of the following: 1. A GS1 Identification Key 2. The Symbol or Data Carrier
CREATING BARCODE SYMBOLS Once you have a barcode number for each product step 2 is to get the matching barcode symbol image Generally you will use an EAN 13 symbol for a retail product and an ITF 14 for an outer case You can get barcode symbols created by: Your packaging or graphic designer A label printing company GS1 Ireland If you are very confident about the printing process you may choose to install barcode software and a label printer in your company and print the symbols yourself.
GS1 SYMBOLOGY RETAIL ITEMS
BARCODE SYMBOLS EAN 13 for Retail Checkout Scanning There are specific, global rules or specifications for barcodes. Ensure your symbols conform in terms of placement, colour, size and quality.
BARCODE SYMBOLS ITF 14 for Warehouse Scanning Ensure your symbols conform to the rules for placement, size and print quality.

GTIN ALLOCATION RULES
When does a GTIN have to be changed? Ireland complies with the international GTIN rules International rules can be found at: gtinrules If unsure, contact the Helpdesk.
GTIN ALLOCATION RULES 1. The Brand Owner is responsible for allocating GTIN's to his/her products and calculating the check digit. 2. Each different trade item is allocated a different Global Trade Item Number (GTIN). 3. The GTIN does not contain any information about the item being identified. 4. The GTIN stays the same as long as there are no changes to the trade item. 5. Need to establish a record (database) of all GTIN s allocated with associated product information.
CHANGING YOUR GTIN Pressure to and not to change a GTIN Common sense Different SKU new barcode number (GTIN) Significant product changes Packaging changes Promotional offers Usable content (quantity) changes Please reference the Guide Book & Decision Maker tool online:
JOINING GS1
GETTING A BARCODE LICENCE 1. Step one is to get a rough idea of how many products and packs you have within your range, including all variants 2. Allow a margin for growth and new product introductions in the future 3. Contact GS1 Ireland for a barcode licence with sufficient capacity for your medium to long term needs
BARCODE LICENCE FEES 1. Registration Fee (once-off) (dependent upon previous year s turnover or expected turnover for start ups) Micro (under 1 million) 99 SME ( 1m - 5 million) 200 Over 5 million Barcode Licence Fee (per year) Based on Company Turnover starting at: GTIN (under 5 million) GTIN 1000 from 284 GTIN 100, Fees quoted are net of VAT and correct as of Oct Please refer to the GS1 Ireland website for the latest licence fee information.
WHY GS1? A word of caution: Beware of unauthorised barcode resellers you may find on the internet. What looks like a cheap option upfront could cost you a lot of money in the long run. Non GS1 issued numbers cannot be validated. GS1 is an industry established and managed organisation, run on a not-for-profit basis. The role of GS1 is to manage supply chain standards, for and on behalf of industry, to ensure the standards are correctly implemented. Using standards reduces trading costs for everybody and brings efficiency to trading processes.
