5 1. Introduction The following document has been written to introduce existing and new drivers to the use of the IPHONE based Scanners used by Bing Lee Delivery drivers. Drivers are introduced to the key steps associated with using the devices and the installed software as part of their daily activity. This manual covers the following areas : Scanner Familiarisation Home Delivery Driver Workflow Store Delivery Driver Workflow Adoption of the platform benefits drivers through : Reduction in paper based work. No more double handling of information. Increased accuracy of product tracking from pickup to delivery. Simplified tracking of delivery anomalies such as product damage, no barcode, unable to deliver etc. Improved security and auditability. Simplified proof of completion process for store and customer delivery s. 5

6 2. Device Familiarisation 2.1. Linea Pro 5 & IPHONE 5. The following section provides an introduction to the Linea Pro 5 Barcode Scanner and Card Reader. Areas covered in this section are: Powering on the Device Status LEDs Battery Status Volume Barcode Scanning Card Swipe Camera Powering on the Device To power on your scanner press the power button on the top of the device Status LEDs & Charging At the base of the scanner is the charging connectors and the status LED s which show the status of the scanners battery power. The scanner contains its own battery which is used to power itself and also the IPhone. Cradle Charge Pins USB Charge Connector Status LED s Full Medium Low 6

7 Volume Volume Up & Down Scanning Barcodes Scan Barcode Button Barcode Reader Point the scanner window at the bar code label, and hold steady a ~10-15cm from the label. Press the Scan button. If right handed, this will be under your right thumb. The laser pointer and illumination beam and frame appear. Use the laser pointer as a guide and aim towards the middle of the barcode. Make sure that the illumination frame covers the barcode you are trying to decode. When the scanner successfully reads a barcode label you will hear a high beep, and the Good Read LED turns on briefly. Release the Scan button Camera Camera The forward facing camera enables drivers to take Photo s for proof of delivery, damage and unable to deliver scenario s Card Swipe The card swipe enables the quick reading of customer credit card information in order to enable the processing of a COD payment. 7

8 Data Entry All data entry will be performed via standard keyboard offered via the IPhone. 8

9 3. Daily Workflow Home Delivery 3.1. Workflow In this section a high level of the drivers workflow is provided along with an introduction to the types of exceptions that a driver may need to deal with as part of their daily routine. 10 3.2. Exceptions Exceptions to the standard workflow can occur on a daily basis. These exceptions can be :- Exception Event Allocation of a Delivery that is not on your run Truck Full or Customer not able to receive a delivery, know before leaving warehouse. Customer not home, Customer unable to pay, Customer not at this address Part of a delivery is faulty or cannot be installed. Customer has decided to cancel part of the order. Good are being returned to the Warehouse. Customer has requested that you come back at an alternative time to undertake delivery or installation. You still have items in the truck on returning to the warehouse. 11 3.1. Getting Started Select the Bing Lee application with the xmotion logo Login At the Login screen using the Iphone keyboard, enter your unique, Username Password Vehicle / Run ID Select Log On Download a Run Once logged in you can request a run to be sent to your device. If no run appears tap on the menu icon. 11

12 Select Download Run menu option. Wait for the run to download. If now run appears after 1-2 minutes contact the supervisor. To acknowledge and download the run, select Acknowledge Run Dispatch Run Screen A list of customers is shown. This is the delivery run for the day. The menu s at the top and the bottom of the screen are always available as you progress through the delivery jobs. 12

13 The top menu helps you to progress through the deliveries. The option on the top right side, enables you to progress forward through your day Load Items. The menu on the top left, enables you to go back or take alternative actions. For each customer you will see the name and the address. The letters following represent the following: stands for BOTH which means pick d delivery. r DELIVERY only. PICKUP only. heck box to say that LOADING is eted for that customers order. nds for delivery WINDOW. for detailed INFORMATION The bottom menu is accessible at any time throughout the workflow. Takes you to the Run Screen Enables you to view the the run schedule by delivery windows times. Messages to the driver. Applications Settings. 13

14 3.5. Delivery Information Selecting the (i) > for information Icon provides further details of the delivery. Customer Name Delivery Address Contact Name Contact Phone Delivery Dockets Item information. Selecting the (i) > next to the address will reveal the address on a map. Selecting the phone number enables you to call the customer. The items to be delivered are shown in the bottom half of the screen. A customer can have multiple delivery dockets and each docket can have multiple items for delivery. Selecting the (i) > enables you to get further information into the docket. 14

15 Make a Call To call the customer, touch the phone number. Click Ok to confirm the phone call. Making a call through the workforce application logs the call time against the customer record for future reference View on a Map Selecting the (i) > next to the customer address opens up maps and enables you to view the location of the delivery and an estimated travel time from the warehouse Docket Details Selecting the (i) > within a delivery docket will provide details of the docket including : money outstanding. Notes regarding the delivery. Item Model Number Select the (i) > for information specific to the item being delivered. 15

Docket number Description Quantity Barcode Select < Back to return Menu (Top Left) The menu on the top left side of the display enables you to undertake actions associated with your current location within the workforce application. Load items is shown at the top of the list as it is the next step to progress forward. This is the loading of items from the warehouse to truck. Delivery Windows enables you to enter the delivery window period for each delivery. Return to Warehouse used to return an item or docket to the warehouse. Add Location to Run Manually add a delivery to the run. Order the Run Order the deliveries in which you will do them. Log Out Log off the Workforce application at the end of the day. 16

17 3.7. Ordering Run The Order Run menu option is found in the list of options in the menu on the top left side of the screen. Use Order Run to set the order in which deliveries are to be undertaken. Follow the directions for ordering the run provided in the pop up window. Press Ok to begin ordering the run. Re Ordering deliveries on the Iphone is done using drag and drop. Touch the right side of the delivery details to grab a delivery, then lift your finger to drop it into the preferred location. In this example we are moving Ms T Nguyen to the first delivery of the run. 17

18 Once Ordering is complete select Done Loading Items Tap the Load Items to commencing scanning items from the warehouse onto the truck. The loading process works in reverse order to the deliveries. Ie. It starts with the last delivery location, then progresses through to the first delivery location. This ensures that the items to be delivered first are at the back of the truck near the doors for easy access and the items last to be delivered are at the front of the truck. The (i) > button is available to view details of the delivery dockets and items. 18

19 Locate the Item to be scanned. Press the Scanner Button on the right side of the scanner. A confirmed Scan will show a green box and Tick at the top of the screen. The number of items left to be scanned against a docket are shown. Continue to scan the items to be loaded as directed by the Workforce application. If there are no issues with the loading, you will receive a loading completed screen. Click Continue to progress forward to setting the Delivery Window times. To go back and check any of the items or dockets select the Back. 19

20 3.9. Transfer Delivery Docket To transfer a delivery docket and its items to another run, select Unallocated / Transfer. To transfer a docket, select the Run number. Then select Transfer. To unallocate a docket just click Unallocate. The supervisors PIN is required before being allowed to unallocated or transfer Loading Items Menu Selecting the menu icon provides following options Find Item Search for an item on a delivery docket. Run Sheet Returns you to Runsheet view. Add Item Adds an item to a delivery docket. Close Closes the menu. 20

21 Note: This option is not available once all items have been loaded. Only available if some items have not been loaded Find Items Items can be found by entering information into the search bar or by scanning the barcode on an item. Use the Find item functionality to Change the Status of an Item View Item Details Changing the Status of an item may be required if the item already loaded needs to be unloaded from the delivery. Use the IPhone keypad to manually enter the barcode or item description to be searched for. 21

22 Alternatively, a barcode can be scanned or manually entered. Once the item has been found, tapping on the (i) > reveals the item details. Tapping the body of the item displays a pop up menu with the following options. Item Details Unable to Load Manual Record Cancel Unable to Load Unable to load item may be used to is used in the case that and item has been allocated to the run, but can not be loaded onto the truck for delivery. Select Unable to Load. 22

23 For security and audit purposes, supervisors will need to enter their PIN number to process an unable to Load. Select the Reason for being unable to load. Tap Complete to continue Manual Record Select the Manual Record Item for instances where the barcode scanner does not allow you to process an item. This process is the same for loading and unloading items. Tap Manual Record. Select the reason for manually recording the items loading. Note: You will need to enter your password for audit and security purposes to complete this process. Once completed tap Load. 23

24 Add Item Add Item allows you to add another item to an existing delivery docket. To add an item you will need to scan or manually enter the items Barcode and the Docket number. For security & audit purposes you need to enter your password to verify the adding of the item. Manually add the item details using the Iphone keyboard. Use the Keyboard to enter your Password in order to confirm the addition of the item. You will be able to press Done once a correct password is entered. If you are unsure of your password, contact the supervisor. 24

25 3.11. Signing for a Load Once you have scanned and loaded all items onto your truck. The items loaded will appear in Green. As a driver you are required to sign for the items that you have loaded and are taking from the warehouse. Tap on Signature Required. Enter your name using the Iphone keyboard. Use your finger or a stylus to enter your signature into the box. If the signature is not appropriate, use the Clear Signature option to rewrite your signature. Select Done when complete. Your signature is recorded against the delivery dockets and items loaded. Select Next to progress on to setting Delivery Windows for each job. 25

26 3.12. Delivery Windows Based on the order of the run, and the estimated travel time and delivery time for each job, set an appropriate delivery window. The delivery Window is upto 3 hours in size. Delivery Windows can overlap. Delivery Windows highlight in red need to be set. Tap on the first Customer on the list. To enter the Start time & End time of the delivery Window push the symbol below. Once the window has been set, for this delivery press Save. Once a delivery window has been entered the times will become green. Repeat the steps for the rest of the deliveries. 26

27 When all Delivery Windows are complete you are given the option to Depart the warehouse. Select < Back or Depart Departing the Warehouse When departing the warehouse you will be returned back to the main run screen. Note: Each delivery that is loaded has a tick next to the L. (Loaded) Each delivery with a Delivery Window set has a tick next to the W. Selecting Next >> will take you to the details of the first Delivery View Run Schedule Pressing the Run Schedule Button display in diary form the deliveries for the day and their delivery windows. 27

28 3.15. Travelling to a Delivery Once Next has been pressed having completed the Departing Warehouse process, the details of the first delivery will appear on screen. The map shows the location of the delivery based on the address provided. Selecting the (i) > on the address will enable you to Navigate to the location using Apple Maps. To return from Apple Maps back to Workforce at any time tap on the text in the top left corner of the window Return to Bing Lee Delivery Notes Selecting Notes enables you to view any notes specific to this delivery. The phone number enables you to call the customer. Once you have arrived at a customer location press Arrive. 28

29 3.17. Arrive at a Delivery Select Arrive, when you have arrived at the customer s delivery location. Selecting Arrive logs an event in Workforce that is documented against the customer s delivery details. The Customers Delivery Docket details are displayed. Notes to Driver are displayed. Using the (i) > you are able to get further details on the items to be delivered or picked up. From the Delivery docket details we can see : An Outstanding balance of $6288 needs to be collected. 2 items for delivery which have been loaded on board the truck. Press < Back to go back to the Unload Screen. 29

30 Selecting Unload will list all the items across the delivery dockets to be scanned off the truck and delivered Taking Payments - Pay Now As there was an outstanding balance on this delivery of $6288, payment must be collected. As part of the payment process you have the ability to document a Receipt number and any relevant comments related to receiving payment. Select the + option in the top left corner. Select a Payment Type. Confirm the amount being paid by entering the payment amount received into the Amount box using the Iphone keyboard. Select Done. 30

31 Select Collect. You will be returned to the Confirm Payment Screen. Or press Cancel to Cancel the payment process and start again. Now Edit the Payment Confirmation details. This includes adding a receipt number and any relevant comments. This must be done before departing the delivery location. Receipt Number and Comments are entered using the IPhone keyboard. Tap Done once complete. 31

32 Payment Processing is now Complete, you can now Depart the delivery location. Completed Jobs are highlight Green. Press Next>> to proceed with the Next Job on the delivery run Taking Payment - Paid in Store In the case where a customer has made Payment in Store or at the warehouse, the Store Contact and the Store Name or Warehouse Contact and Warehouse location must be captured. 32

33 Complete the Store Contact persons name using the IPhone keyboard. Scroll through the list of store names to select the correct store name. Select Next / Depart to continue to the next delivery Job Payment at Warehouse Where Payment has been made at a Bing Lee warehouse, enter the Warehouse contacts name using the IPhone Keyboard. Scroll through the list to select the Bing Lee warehouse location Proof of Delivery Once all items are scanned off the Truck Proof of Delivery is required. Press Ok to continue in order to complete Proof of Delivery. 33

34 In order to complete proof of delivery, show the customer the Iphone screen with the Delivery dockets displayed. You have the option to Get Signature or Take Picture to complete proof of delivery. Tap on either Get Signature or Take Picture to continue. Tapping on Get Signature reveals the Proof of Delivery Screen for capturing Name and Signature. Use the Iphone keyboard to enter the Name. Have the customer sign in the square with their finger or a stylus. Tap Done when complete Cannot Deliver / Complete In the instance where you arrive at a Customer location and cannot commence delivery, select the menu icon in the top left corner of the screen. Select Cannot Complete. 34

35 To complete an unable to deliver, scroll through the list of reasons and select the appropriate one. A rebook date can be set to enable the delivery dockets to be loaded into a future delivery run. If future date is unknown, select Rebook date not confirmed. To set a rebook date, scroll through and select the day, month and year. Tap Ok to continue. Select Confirm to finalise the Cannot Deliver process. 35

36 3.23. Customer Cancellation In the case where a delivery cannot be completed due to customer cancellation. Undertake the Unable to Deliver process and select Customer Cancelled. Select Confirm to proceed. The customer will appear in the run in red. Select Next>> to continue with the next delivery. To confirm the Transfer / Unallocation of a docket, tap Yes. 36

37 3.24. Manaul Record an Unload Tap Manual Record. Select the Reason for the Manual Recoding of an Items unloading. For security and audit purposes, enter your password to verify the unload. Tap Unload to complete and return to the delivery workflow Customer Item Pickup There may be instances where you will be notified that you need to Pickup an Item from a Customer delivery location. This could be a faulty product needing to be returned under warranty, or an old product which is being sent off for recycling. Tap OK to Proceed. 37

38 Select Item Details to confirm the item to be loaded. Select Confirm loaded to verify the correct item has been loaded. Use Unable to Load if an Item is not availible for pickup Customer item Pickup - Confirm Load Tap OK to confirm the description of the Item being loaded. The loaded Item will appear in green on the customer delivery docket. Tap Done. 38

39 Before being able to depart a location, the Customer must sign to confirm that the driver has picked up the correct item. Tap Signature Required. Use the Iphone Keyboard to enter the customers full name. Have the customer use a Stylus or their finger to write their signature. Tap Done to continue. With the item loaded, and the customer signature captured to confirm the items pickup tap Depart to progress to the next Docket or Delivery. 39

40 Customer Item Pickup Unable to Pickup An item pickup may be scheduled, however, the item may not be availibe, tap Unable to Load to proceed. Select the appropriate reason. You will be requested to enter your pin. Then select Complete Select Another In the instance where you are required to undertake a delivery out of the current run order, select the menu icon in the top left corner of the screen. Tap Select Another. 40

41 You will be returned to the Run Screen to select another Delivery to commence Return to Warehouse Using the menu in the top left corner, you can select Return to Warehouse if all deliveries have been processed. Confirm that you have completed your delivery run and returned back to the warehouse to unload any items pickuped. Select Yes. 41

42 Items which have been picked up are displayed below in green. These items are ready to be scanned off. The Orange Item was flagged during the run as an unable to deliver. Status of the Item can be confirmed by pressing the (i) >. Once all items have been unloaded, either by scanning, mannually or through exception, you have the option to Log Off and end your day or Continue to download a new run. 42

43 3.28. Unable to Unload Use the Unable to Unload option, if you are unable to unload an item from the truck by scanning its barcode or by manually recording the unload. For security and audit purposes the supervisor needs to ender their pin. Select the Reason for the unable to unload, then press Complete. If all items are unloaded you will receive the Unloading Complete pop up message. 43

49 Selecting the (i)> next to the address will reveal the address on a map. The mapping functionality takes advantage of Apple Maps on the Iphone. Once a delivery is commenced, navigation via Apple maps to the job can be undertaken. To return from Apple Maps to the workforce application, tap on the Back to Bing Lee, in the top left corner of the screen. Where contact details for a store are provided, selecting the phone number enables you to make a call to the store. The dockets to be delivered are shown in the bottom half of the screen. A store can have multiple delivery dockets and each docket can have multiple items for delivery. Selecting the (i) enables you to get further information into the docket. 49

50 Tapping on the docket line provides gives you with the following popup menu. This menu gives you the option to view Docket Details Unallocate / Transfer a Docket. Cancel back to the Information screen. Select Docket Details Selecting Docket details will show a list of items on the docket. In the case of this docket there is only 1 item on the docket. Select the item to see item details or tap on the (i) > Select Item Details. 50

51 The item details are displayed. Docket Details Description of Item Barcode Zone Status Status can be Blank not loaded Loaded on Vehicle Started Delivered Delivery Complete Unallocate / Transfer Use the <Back button to return to the run. To transfer a delivery docket and its items to another run, select Unallocated / Transfer. To transfer a docket, select the Run number. Then select Transfer. To unallocate a docket just click Unallocate. The Supervisor will be required to enter their pin to complete the transfer. 51

52 To confirm the Transfer / Unallocation of a docket, tap Yes Loading Items at Warehouse Select Load Items to commence loading. Note: There are 9 Delivery Dockets for Wodonga and 3 Delivery Dockets for Haymarket. Loading occurs in revers order. Haymarket dockets will load first. Haymarket had 3 Dockets, however 30 items are to be loaded. Commence loading using the barcode scanner. At any time, you can tap on the item or the (i) > to see the details of the item to be loaded. 52

53 Item Details. As items are scanned, the Scanner will beep and flash a green message with a tick to show success. The Counter of items left to load will decrease. Items showing are only the items left to be scanned. 53

54 Continue scanning items until you receive the Location Complete message shown. Press OK to continue or Go Back if you need to make changes. The next location and items to be load will appear on screen ready for scanning to commence. Repeat the Scanning process until all items are loaded. The loading Completed message will appear. Select Continue. 54

55 With no further items to load. Select the menu in the top Right Corner. From the menu you have the options to : Find an item that has been loaded to get its details or make changes. Complete Loading Add another Item to the load. To Add Item, follow the steps in item 4.18 via the scanner, and 4.16 to add an item manually. Select Complete Loading Complete The screen will show the total number of items loaded. They will be highlighted in Green to show success. Any items not loaded will be coloured Red. Before Departing, for audit and security purposes, a signature of the driver is required. Tap Signature Required. 55

56 Drivers are to sign inside the box. If the signature is not right, select Clear Signature to redo. Tap on the box next Name to enter your name. Using the Iphone keyboard, enter your name. Select Done when complete. With the signature complete, select Depart. 56

57 4.11. Depart Warehouse for first Delievery. On the main run screen, you will see that the items have been loaded. Select Next>> Arrive Delivery Location Details of the first delivery will be displayed. If you require navigation assistance, click on the to access Apple Maps for navigation. Once you have arrived at the first delivery location, tap Arrive. Delivery details are displayed, along with the list of dockets to be unloaded. Tap on the dockets or the (i)> to view the details of the delivery dockets and items. Tap Unload to commence unloading items. 57

58 Items to Unload are shown in green. Use the barcode scanner to commence unloading. Use the (i)> to find out information on an item. Continue scanning until all items are unloaded for this delivery location Complete Delivery With all items unloaded proof of delivery is required. Select Ok. Unloaded Deliveries are displayed. Details can be reviewed by pressing the (i)>. Select Get Signature or Take Picture to complete proof of delivery. 58

59 The name and signature should be completed by the receiver of the delivery. Select Done when complete. With the proof of delivery name and signature complete. You also have the option to add a photo of the items. Photo s are taken with the IPhone Camera. Select Take Picture to take a photo. Once complete, tap Done. Once unloading is complete, you are prompted to check for pickups. Some store deliveries have scheduled pickups which will require you to pickup items to be returned to the warehouse. You are also given the opportunity to pickup unscheduled items. If there are no unscheduled pickups click No to continue. Select Depart to leave this location and progress to the next Delivery. 59

60 The Run screen will show in green that Wodonga is complete. Select Next>> to progress to the next delivery location. Repeat the delivery process for each of the locations on the run Run Complete, End of Day If all Delivery locations are complete, the Run Completed? popup box will appear. If it is the end of day, tap Confirm End of Day. If not, tap Continue to return back to the run screen. Review the confirmation for completion message. Items left for delivery to the warehouse are coloured green. Information on these items can be found by tapping (i)>. Select Continue. 60

61 The Log Off Message will appear. If you have completed your day and are not returning to the warehouse, select Log Off. If you are to return to the warehouse and commence a new run, select Remain Logged On. Final Updates are now being sent back to the office servers. 62 For security and audit purposes, drivers will need to enter their PIN number to process an unable to Load. Select the Reason for being unable to load. Tap Complete to continue Manual Record Items Load & Unload Select the Manual Record Item for instances where the barcode scanner does not allow you to process an item. This process is the same for loading and unloading items. Tap Manual Record. Select the reason for manually recording the items loading. 63 4.17. Unscheduled Pickup from a location Once a delivery is complete at a location and all scheduled Pickup s have been completed, you may be requested to make an unscheduled pickup. To commence, tap Yes. Select the to bring up the Add Items Menu option Add Item Select Add Item. 63

64 Using the Iphone keyboard, enter the details for the item to be loaded. Tap on the boxes to select the final destination location. Tap Done when complete. A summary of items picked up from the location is provided. Press Done to continue. For security and audit purposes the delivery locations contact must provide a signature to acknowledge the pickup and enable the driver to continue. The item picked up is highlighted in green. Selecting (i)> will provide the items details. Tap Signature Required. 64

65 Complete the Name using the Iphone keyboard. Sign on the screen using a finger or stylus. Tap Done to continue. Once the signature has been captured to acknowledge the pickup, select Depart to leave this delivery location Find Item Selecting the menu icon provides the Find Item Option which allows you to search for an item on a delivery docket. Note: This is only available if all items have not been loaded. This option is not available if all items have been scanned or manually load. 65

66 Items can be found by entering information into the search bar or by scanning the barcode on an item. Use the Find item functionality to Change the Status of an Item View Item Details Changing the Status of an item may be required if the item already loaded needs to be unloaded from the delivery. Use the Iphones keypad to manually enter the barcode or item description to be searched for. This example is searching on the Barcode. Which can be scanned or manually entered. Alternatively, a description can be manually entered. Once the item has been found, tapping on the (i)> reveals the item actions. 66

67 Item actions can include: Item Details Unable to Load Manual Record Unloading at Warehouse In the case where there are items on the truck the following unload process should be followed. Select Return to Warehouse To confirm that you have returned to the warehouse select Yes. 67

68 Items to be unloaded are listed in green. Use the barcode scanner to scan the items off. If an item cannot be scanned off, select the item and follow the process for Manual Record Item Select Done when complete. Once all items have been unloaded, either by scanning, mannually or through exception, you have the option to Log Off and end your day or Continue to download a new run. 68
