1 Dear Exhibitor, has been appointed as the official freight forwarder for the 14 th World Congress ICRS in Macau and as such is the only company proving handling storage and customs clearance for the event at the venue. Below you will find information on the services we offer and guidance as to how you should dispatch your shipment to the event. As the official onsite service provider, we also provide your company with first class transport services by air, express to and from the venue. You will have the knowledge that all your requirements will be carried out by one competent partner, who is aware of all requirements. We would be pleased to make a detailed offer for your comparison. We do not recommend that you hand carry items into Macau as the local rules are very strict. Please do not dispatch any shipments without our approval on documentation. The process in checking all documents prior to dispatch will avoid any delays or unnecessary customs fine upon arrival in Macau. 1. We need full pre-advice with copy waybill and invoice per to horst@dhl-exh.com 4. CUSTOMS DOCUMENTATION AND PROCEDURES We strongly recommend using our combined invoice and packing-list as pro forma invoice. We need one for all temporary imported items and another one for permanent import. We strongly recommend the use of Carnet ATA for any temporary import into Macau. Please note that an import permit will still need to be required with Carnet ATA. There are commodity restrictions and many guidelines to follow so it is important for you to tell us what you intend to ship both for permanent and temporary import well in advance so that we can check and approve all in good time with our customs broker in Macau. Please complete the invoices and send to us by to horst@dhl-exh.com so that we can get them translated and check and approve prior to departure of goods. Please take notice of the following particular items: 1. DUTIABLE GOODS Cigarettes, wine, spirit, and hydrocarbon oil are dutiable goods in Hong Kong & Macau. Exhibitors sending such goods to Hong Kong for transhipment to Macau should be prepared to reimburse us for duties paid when cargo arrives in Hong Kong. Please check with us in advance of shipment and route any such products directly to Macau airport. 2

3 2. PRODUCTS REQUIRING IMPORT AND EXPORT LICENCES The local authorities require import and export licences for the following products: i) Pharmaceutical Products, Western Medicines and Traditional Chinese Medicine: Please note that we do NOT have the authority to apply for an import license, or act as importer for any pharmaceutical products on an exhibitor s behalf, even for exhibition purposes only. Those participants planning to ship samples must have a registered pharmacy / importer holding valid licenses to clear same. Alternatively, exhibitors may consider hand carrying small quantities of their products for display purposes only, although this would have to arrange at your own risk and neither we nor the organiser would accept responsibility for confiscation should they be located on arrival in Hong Kong or Macau by the customs authorities. ii) Textiles: Exhibitors are required to submit to us the following information for licence application in Hong Kong 10 days before shipment s arrival. Proforma invoice including : a) Individual values & number of pieces b) Percentage of Textile/Composition (i.e. 70% Cotton, 30% Silk) c) Whether garment is for male or female d) Whether garment is knitted or woven iii) Computers: Computer related equipment and software are normally not subject to the import/export licensing control as stipulated in the Import and Export (Strategic Commodities) Regulations, unless they are to be used in any activity related to nuclear, chemical or biological weapons, or missiles capable of delivering these weapons. If you have any queries,please supply us with full specifications of your products and we will submit them to the local authorities for further advice. iv) Wine, Spirits, Beer & Liquor: The above commodities are subject to duties at the time of importation - even for exhibition purposes. All import tax will be for the exhibitors account. If you are planning to send any of the above commodities, please supply us with details of your goods TWO MONTHS before the show so we can advise you of the import paperwork required for the different types of products. On no account are alcoholic beverage to be shipped without checking with us before hand. v) Food Products: Some food products are classified as controlled items such as fresh meat and numerous ingredients. The list is constantly changing so we are unable to list all the items here, therefore we would urge all participants sending food products of any nature, to send us details of your products TWO MONTHS before the show. This will enable us to check with the relevant government authorities and revert with the status and/or additional documentation requirements prior to the shipping date. On no account are any food products to be shipped without checking with us beforehand. In all instances, the approval of import permits are granted solely at the discretion of the relevant government authorities and we cannot be held responsible for their refusal to grant such permission, even if the products have already arrived in Hong Kong/Macau. If in doubt, please check with us in advance! vi) Endangered Species - products and medicines into Hong Kong/Macau The importation of products and medicines derived from endangered species is subject to permission being granted by the Agricultural, Fisheries, and Conservation Department. In general, the import and export of 3

4 these products for commercial purposes are strictly/prohibited, and no license will be issued. Import permission is granted at the discretion of the relevant government authorities and the management/event organisers, and /or its contractors cannot be held responsible for the refusal to grant such permission even after the goods have arrived in Hong Kong/Macau. 11. HAZARDOUS OR DANGEROUS CARGO Will be subject to a 50% increase against official tariffs and please note that we are unable to arrange return of any hazardous or dangerous cargo! All kinds of batteries are now considered as dangerous cargo by air and shipping lines in Hong Kong and bookings will not be accepted for batteries unless we are able to provide the carrier with the "material safety data sheet" and recognized laboratory test report from the manufacturer. No guarantee of acceptance of your cargo can be given by the airline/shipping line even if we have furnished them the requisite documentation. In order to avoid any problems we would strongly suggest that you to remove any batteries contained in your products prior to shipping. 5. ON-SITE HANDLING TARIFF (see attachment) Unless freight is routed via one of our appointed agents, we will require payment of all charges, as advised by us, prior to the start of the exhibition. Settlement can be made by either bank-transfer or VISA/MasterCard. 6. INSURANCE & LIABILITY We operate exclusively in accordance with the latest version of the British International Freight Association General Terms and Conditions of Trading. These limits the legal liability for damage to goods in certain circumstances whilst in the care of a forwarder. The forwarders custody liability ends with the delivery of the consignment to the exhibitor s stand even if the exhibitor or his representative is not present.
