1 FREIGHT, SHIPPING & SITE HANDLING Only the official sole freight forwarder can provide mechanical handling ie. forklifts and pallet trucks within the exhibition premises. Exhibitors are encouraged to engage the official freight forwarder who are familiar with all customs procedures, freight handling, customs and tax regulations in Singapore. They will also be able to provide the necessary Bank Guarantee in lieu of the duty and Goods and Services Tax (GST) payable for your incoming exhibits. As they are also the exclusive onsite handling agent, they can provide a door todoor service, right up to your exhibition stand and is available on site throughout the buildup, show days and tear down. However, exhibitors may engage a forwarder of their choice, but all shipment/consignment requiring mechanical assistance (e.g.: pallet trucks & forklifts) must be handed over to the official freight forwarder at the loading and unloading areas, with the exception of those that can be handcarried by one person. Only the Official Freight Forwarder is authorised to operate these equipment in the hall: Customs & Tax Regulations Under the laws of the Republic of Singapore, with effect from 1 July 2007, all imports into Singapore, including handcarried items, whether in the form of exhibits, brochures, promotional items, giveaways, or stand materials, are subject to the mandatory 7% Goods and Services Tax (GST). The Customs and Excise Department of the Republic of Singapore, in their role of enforcing these laws of Singapore, requires that all imports must be covered by documentation which shows that either GST has been paid on the said imports (where applicable), or has been deferred if the said imports are covered by an ATA Carnet or a Temporary Import (TI) Permit or Customs Security Deposit for handcarried items. Certain consignment/goods from overseas are not subjected to GST. Please contact the official freight forwarder if you require any advice. Page 32 of 44

3 Freight Arrangements General Freight Permanent Import Temporary Import (TI) Through Appointed ATA Carnet Freight Forwarder This can cover most consignments with the exception of brochures, printed materials, giveaway items, alcohol, and food products. The application of TI Permit is to be submitted by a Singaporebased specialist agent or freight forwarder approved by the Singapore Customs (Agility could be engaged to submit the application). Please note that the Permit is valid for 3 weeks from the date of issue. This can cover a large cargo consignments or a simple handcarried piece of equipment by an Exhibitor. Please contact the International Chamber of Commerce (or its equivalent) in your country regarding the application procedures for the use of the ATA Carnet for shipment. Please note that ATA Carnet is not allowed to be used for shipments comprising giveaways, brochures, alcohol and cigarettes or tobacco. Handcarried All handcarried items brought in for exhibition purposes must be declared to the Singapore Customs upon entry into Singapore via the Airport or any other entry points. Please approach the Customs Officers for advice. The Customs Officers will advise you on the required documentation to be produced, duty and/or GST payable, or security deposit required for the handcarried items, if applicable. Failure to do so may constitute a punishable offence under the Laws of the Republic of Singapore. 4 Sale of Exhibits/Goods brought into Singapore via TI or ATA Carnet Procedure on Final Departure of Exhibits from Singapore GST Refund Not applicable Cost to be agreed by Exhibitor and Agent. If you wish to sell all or part of such consignment, please engage the official freight forwarder who has been authorized to submit both the application to Customs for the permission to sell, and to collect the GST/duties due on behalf of the Customs under the methods and procedures prescribed by Singapore Customs. Must be checked and endorsed by the Customs prior to their departure from Singapore, including partial sale items. If this is not complied with, Customs will assume that the entire consignment was disposed in Singapore, resulting in full payment of duties and GST, which will be deducted from your deposit or bond with the Chamber of Commerce from country of origin Once Customs endorses that all is in order, GST or security deposits can be refunded at the Customs Tax Refund Counter at the Port or Airport, or for discharging the Bank Guarantee lodged on the Temporary Import (TI) permit or ATA Carnet. (This is only applicable if exhibitor hand carry cargo into Singapore thus it should only be in the hand carried column) Freight Marking Consignee Please specify the consignee s name, address and indicate for TFWA APE&C 2018 on both Bills of Lading and Airway Bills to the appointed freight forwarder. This will help ensure that your exhibits/materials will be customscleared and delivered timely to your exhibition stand. Exhibitors must arrange adequate all risk insurance coverage for all stages of the Exhibition from country of origin to the exhibition site/stand and return to domicile or other destination. Agility reserves the right to REJECT consignment that is not duty/tax paid upon arrival at their premises in Singapore. A fax prealert shall be sent to Agility indicating the Courier Airway Bill numbers, Courier Company, Name of Exhibition/Event, your contact details for them to assist further. Receipt/Delivery of Shipment/Consignment at the Exhibition Premises Buildup Through the official freight forwarder Through Exhibitors appointed forwarder Through Courier Services arranged by Exhibitor Larger items may be delivered to the stands first and will only be opened in Exhibitor s presence. Items requiring mechanical assistance will be handed over to the official freight forwarder at the loading/unloading bay. Items that can be handcarried by one person may be delivered to the stand to be arranged between Exhibitor/Appointed Forwarder. Exhibitor must be present to receive the items. Alternatively, Exhibitor may appoint the official freight forwarder to receive and safe keep until their arrival at their stand. Please forward the Airway bill, commercial invoice and packing list to monitor cargo clearance. Please contact official freight forwarder for costing/quotation. All delivery, loading and unloading of shipment/consignment can only be done at the loading bay designated by the official freight forwarder. Vehicles parked at the loading/unloading bays will come under the supervision and direction of the official freight forwarder as well as the exhibition security officers. Exhibitors are to ensure that their stand is near completion before shipment/consignment is delivered. Exhibitors are also to be present at their stand to receive delivery of their shipment/consignment. The Organiser/Show Manager shall not accept any delivery on behalf of any Exhibitor and will not be responsible for any failure in delivery, damage or loss to the shipment/consignment. The Organiser/Show Manager shall also not be responsible for the safekeeping of shipment/consignment which is delivered to the stand when there is no one present to receive them. Unpacking of large items from the shipment/consignment within the exhibition hall is strictly not allowed. Such act would potentially cause obstruction and hindrance to other activities going on within the hall, and may cause damage to the flooring and facilities of the exhibition hall. Instead, prior arrangement has to be made with the official freight forwarder for the unpacking of such items outside the exhibition hall and deliver them into the hall. Small items such as those that could be removed directly from the shipment cases and displayed in the stand may be unpacked inside the exhibition halls. Please consult the official freight forwarder if you have any doubt. Delivery/Removal of Exhibits/Goods during Exhibitions Days No delivery/removal of exhibits and other exhibition items are allowed during the show opening hours of the Exhibition. Such delivery and removal can only be carried out an hour before the show opening hours in the morning and half an hour after show closing time in the evening. Page 36 of 44

6 Removal of Goods Declaration Form (available from Event Service Centre or the security check points) must be completed and handed to the Security Officer at the exit point whenever goods are removed from the exhibition hall through buildup, show days and teardown. Any request to deliver outside the times allowed must be communicated to and agreed by the Organiser/Show Manager. Packing of exhibits and stand materials can only be done after the show closes(after 5.00pm) on the last day of the event. Materials for packing is allowed to be distributed only after show closes on the last day as well. Packing and Unpacking Please ensure that your equipment is packed in a strong, waterproof packing case, which lends itself to be repacked after the exhibition. Bolted returnable types of cases are suggested for main exhibits. All packing cases, cartons, etc., to be sent to the exhibition must display the following information: TFWA APE&C 2018 c/o Agility Fairs & Events Logistics Pte Ltd Name of Exhibitor: Stand Number: Case Number(s): Gross Weight/Net Weight: Dimensions: The Official Freight Forwarder will assist with the uncrating and installation of exhibits where mechanical equipment(s) are required. However, exhibitors must supervise and be responsible for these operations. Similarly, exhibitors must supervise the dismantling and repacking of exhibits, especially for delicate and heavy equipment. If exhibitors arrive onsite late or instruct the Official Freight Forwarder to arrange the positioning and/or repacking on their behalf, then it shall be done handled at the exhibitors own risk. Storage of Empties and Excess Materials The Organiser/Show Manager is unable to provide inhall storage facilities for packing cases, surplus materials or other property of the Exhibitor. Please note that cavities and empty space beyond the contracted boundary are not allowed for storage of any items. The Fire Safety Bureau (FSB) regulations prohibit surplus stores being placed behind perimeter stands and service access areas, other than those exhibits/equipment needed to run the Exhibition and those provided by the Official Contractor. The Organiser/Show Manager reserves the right to remove/dispose of any carton, cases and/or packing materials left in the exhibition halls. Any cost incurred will be borne by the exhibitor. Arrangements for safekeeping of such items must be made with the Official Freight Forwarder or alternatively Exhibitors must arrange for their empty and nonusable cartons and cases to be transported back to their premises. Insurance Insurance is not provided. It is your responsibility to arrange all risk insurance covering the transport from your premises to the exhibition site, during the exhibition and return of the exhibits including the period when the Official Freight Forwarder handles exhibits. Please ensure that transport insurance is also arranged for exhibits which are sold locally. Cargo Handover Exhibitors must contact the Official Freight Forwarder to arrange for any handover of cargo. They will have to handover cargo to the Official Freight Forwarder together with Cargo Handover forms before they leave the exhibition. The Official Freight Forwarder will not be held responsible for any sort of loss or damage incurred due to an exhibitor not completing or signing the forms correctly. Page 37 of 44

7 Return Instructions It is imperative that all exhibitors complete and sign the Return Shipping Instruction. Exhibitor should either visit the onsite Event Service Centre or contact the Official Freight Forwarder representative at the earliest opportunity to complete their disposal instructions. If there is any amendment to the return instruction, the exhibitor will have to provide the Official Freight Forwarder with the revised instruction immediately. If the exhibitor has sold their exhibits to a 3rd party during the event it is the SOLE responsibility of the exhibitor to oversee the collection of their exhibits. Page 38 of 44
