5 MESPAS Reporting Engine Quick Reference Guide Overview 1. Standard Reports The general reports, which are provided by MESPAS, can be found under Standard Reports. Users may not change these reports and folders but use it as templates for own adapted reports. 2. Your Company Home Folder Customer-specific reports as well as the saved results of all executed reports are listed under your Company Home Folder. In this folder the user may add or delete subfolders, reports and documents. 3. My Jobs An overview of the scheduled reports is available in the folder My Jobs (see page 9). 4. Reports You Can Run Create up to date reports based on current server data by clicking on a report Icon. Open the Report drop-down menu to select further functions (see Report Menu on page 6). 5. Documents You Can View Documents are resulting from executed and saved reports. Click a report to view it or move over the drop-down menu for further functions (see Documents Menu on page 6). 6. My Profile Under My Profile you can change your login settings, define your Home Folder and enter the address, where scheduled reports will be sent to (see Scheduling options on page 8). 5

6 MESPAS Reporting Engine Quick Reference Guide Report Menu Documents Menu 1. Edit Report Design This function is for MESPAS Administrators only. But you may edit Reports in the Interactivity Menu (see page 7). 2. Run Click on Run to execute and display the report. Depending on the report you may have to enter parameters (e.g. vessel, date range..). You may also double click a report to run it. 3. Run and Save Click on Run and Save to execute, display and save the report. 4. Schedule Click on Schedule to install an automatic, recurrent execution of the report (see page 8). 5. Details The Details show various information as the creation date and creator of a report or it s access rights. 6. Move to You may move a report to another folder. In the screen that opens up, you may enter a new file name, enter or browse for the destination folder and select if an existing report version shall be overwritten. 7. Copy to You may copy a report to another folder. In the screen that opens up, you may enter a new file name, enter or browse for the destination folder and select if an existing report version shall be overwritten. 8. Rename Change the reports name and enter or edit it s description. 1. View Document Click on View Document to open it. You may also double-click on a document to open it Schedule, Details, Move to, Copy to and Rename These functions are exactly as above. 7. Delete You may delete a document that is not needed anymore. 6

7 MESPAS Reporting Engine Quick Reference Guide Interactivity Menu Once you have opened a report or document (but not a PDF file), you can open the Interactivity Menu at the top left of the screen. 1. Enable Interactivity With a click on Enable Interactivity you can edit a document or report. When editing a report you may save and run the changed report again in future or even schedule it as a recurring job. Click on a section of the report or document (i.e. a column) to open the respective menu. There are various editing functions. Please see below just a short selection: Click on the Filter icon and enter a condition and a value to filter by. Click on the arrows to change the sort order. For the additional functions click on Select Header to change it s text, alignment or font. Select Column and use Move right/left to rearrange the columns. Select Column and Hide Column to remove it from a report. This function may be very useful, as the Standard Reports often display all available data and it is up to the user to decide which columns are needed for a well-arranged report. Click on Aggregation to build the sum of numbers in a column or to process numbers in another way. Click on Save As to create a new report design or document in your company folder. 2. Parameters You may change the parameters and rerun a report. 3. Table of Contents Display the table of contents of a comprehensive report. 4. Link to this page Create a link to the report to forward it to a coworker (who needs to have a login to the MRE). 5. Export Content For further editing, reports can be exported in various data formats (e.g. Excel). 6. Export Data Export the pure data of a report without it s layout to a data format as.csv or.ssv. 7. Print For printing the report will be saved in another format. We suggest to use PDF. 8. 8 MESPAS Reporting Engine Quick Reference Guide Scheduling options (To get there see point 4 in Report Menu on page 6) 8 1. Schedule Define the schedule, i.e. how often and when the recurring reports will be run. 2. Parameters Set the parameters for your report, i.e. the vessels involved or a timeframe. 3. Settings Define an output location and the format of the report to be saved in the reporting engine. 4. Notification Optionally, an with attachment may be sent to your address (see My Profile on page 1). Set the ticker and select the data format of the attachment. 5. Versions It is advisable to limit the amount of saved versions of recurring, scheduled reports. Always replace the latest version or enter the number of versions to be kept. 6. Finish Click on Finish to save a new job. Please see page 9 for instructions on how to manage or edit jobs.

Schedules All scheduled reports are shown in this tab. 3. Details/Delete Job Click on the Job Name to see all information about a it. You may delete a job with the button on the top left of the Details screen. 4. Completed Jobs which have already been executed are listed under Completed. You can view the respective Document here. 9

With the parameters you may filter for expired reports or reports that will expire soon (in the expiration tolerance that is entered with a document). 17 4.5. Technical Management IDM_Technical_Management Gives a variety of useful information for the Technical Management about the whole fleet. Data about Synchronization, Certificates expiration, Maintenance (PMS), Overhauls done, Tasks, Noon Reports and Forms. Vessel Handing Over IDM_Vessel_Handing_Over A report that is used for handing over after mespas has finished the data implementation of a vessel. It gives a list of all machinery on a vessel and shows for each equipment the amount of spare parts, maintenance settings, operation manuals, work instructions and service letters loaded. Parameter: Vessel, all or only critical products Data source: Office IDM, PMS, DMS 17

Stock Value Report INV_Stock_Value Inventory on a selected vessel at a specific date showing the price at the time of the last order and the stock value for each type of part and for the whole inventory. 21 5.5. Lube Oil Consumption INV_OilConsumption Gives for comparison the monthly L.O. and H.F.O. consumption over the last 12 Month of one or several vessels as figures and line charts. Noon Report Week or Month Fleet / Vessel NOO_NoonReport_7-30d_Fleet / Vessel Shows the Noon Report data for the last 7 or 30 days for a vessel, the whole fleet or a group of vessels. There is a version that is optimized for Excel-Export. Parameter: Vessel Data source: Vessel Noon Report 6.2. Noon Report Field Vessel NOO_NoonReport_Field_Vessel Shows selected Noon Report data fields for a vessel for the last 3 to 1000 days. Parameter: Vessel, Noon Report Fields, time frame (last 3 to 1000 days) Data source: Vessel Noon Report 22

Job History Overview per Vessel - PMS_Job_History_Overview_Vessel A table that lists all jobs that were carried out in a selected Month and shows how many times each job was carried out on each vessel. Job statistics YTD report (on time vs late and open vs done) Shows the amount of jobs per vessel that are open or done and for the jobs done how many were carried out on time or overdue. It shows data for one year (if a previous year is selected) or year-to-date (if the current year is selected). This report is relevant for TMSA reporting. Parameter: Year Data source: Vessel PMS 26
