1 2018 PRE SEASON INFORMATION Prior to delivery of modules to the Southern Cotton Gin yard the following paperwork must be completed; Ginning Contract Field Information Sequence of Marketing form Cottonseed contract Cottonseed Release Authority (loading contract) if applicable If you require assistance with the following please contact Ben Bagust or Matthew Pete. Without the appropriate paperwork completed we will not be able to accept delivery. Picker Data Prior to delivery picker data must be ed directly to the gin at If picker data is on the John Deere site, please advise Matt when data is uploaded. Modules will not be recognised on the weighbridge if this data is not preloaded prior to module delivery and may result in delays in your cotton receival. Module Lane Allocation Prior to delivery of modules to the gin yard please ring the office to confirm module lane availability. Truck Tares Trucks will tare off five times and then loads will use an average tare unless growers require more frequent tares. Please be sure to advise the weighbridge if the truck configuration is different to previous tares. Module Book Forms All loads received at the gin must be accompanied by a module booking form detailing the number of the round modules on the truck. This data will be checked against the scan data as the truck enters the bridge. Please advise the weighbridge if the load contains any high moisture/ contaminated modules. Truck Driver Inductions All truck drivers must complete a driver induction and have their induction card on them at all times. All site safety rules and safety rules must be adhered to at all times. Induction can be carried out online at and can be found towards the bottom of the page.

2 Round Modules Southern Cotton can only accept such Round Modules as are wrapped in approved plastic that contains the required RFID scannable identification tags. Southern Cotton has the right to refuse to gin any module which may cause contamination; this may be before or after a module is received at the Gin Yard. If a module has been refused by Southern Cotton after delivery to the Gin Yard, the Grower at its cost- must retrieve the module refused. Prior to delivery Southern requires full module data in an electronic format relating to each single round. Contaminated Modules Please notify your Gin Manager of any special concerns or considerations including contaminants relating to particular modules. For example contaminants in modules may include lost tolls, rocks, sleepers, pipes, picker parts, cotton rope and excess blow away grass, whilst relevant concerns or considerations may be cotton picked from trial blocks or where there has been a particular agronomy issue, such as Fusarium Wilt. This type of prior knowledge will help in the smooth running of the gin and also put us in a better position to get the best result for you. Please note Southern Cotton reserves the right to pass on any reasonable costs associated with damage caused in ginning modules supplied with contaminants. Hot Modules For safety and risk management purposes it is important that you notify the Gin Manager of any possible hot modules, before delivery to a Southern Cotton Gin Yard. Any modules delivered to the Gin Yard by the Grower which are hot or suffer loss due to internal combustion are the responsibility of the Grower and Southern Cotton accepts no liability or loss for hot modules loss. This is an accepted condition of delivery to the Southern Cotton Gin Yard. If Module delivered in the Gin Yard suffers loss due to being a hot Module whilst still on a transport vehicle Southern has no obligation to un-load the hot Module. As a grower at minimum you must retain the module on the farm for 72 hours after construction. In- Field Module Insurance Modules are insured 48 hours after picking, once picker data is received. The grower is responsible for the excess for each claim while modules are stored on farm. Once a module has passed over the weighbridge at the gin site the excess is then covered by Southern Cotton. Cotton Seed Only cotton that is subject to a Ginning Contract and associated Seed Contract that has been priced will be eligible to be delivered to any Southern Cotton Gin Yard. Any cotton that does NOT have its seed component priced will not be ginned. There is an option to move unsold seed off-site but this is at the growers cost for freight and storage.

3 Ginning Bale Merchant Allocations Prior to module delivery you need to finalize your bale allocation schedule indicating the order in which your marketing contracts will be filled as your cotton is ginned. Please check this schedule thoroughly to ensure it is correct, as any last minute alterations may significantly alter the timing of your gin run. Please note that in line with the trading rules of the Australian Cotton Shippers Association contracts must be filled in the order of the bale sequence and contract entry date. Southern Cotton can gin your balance of crop uncommitted and assist with tendering or sale of the known bale number. Gin Run Notification You will receive notification of your gin run approximately 24 hours in advance. If due to unforeseen circumstances you need to alter your bale allocation schedule you should immediately contact Kate O Callaghan. Gin Site You are always welcome at the gin site and we encourage you to visit whilst your cotton is being ginned. Please ensure that on arrival you sign in and collect the necessary safety equipment and proceed to the relevant area as directed by the visitor signs. The Gin Manager/ Shift Supervisor will then take you through the ginning of your cotton. Please observe all safety precautions and remember that gin mobile machinery has right of way in the gin yard. RTA- Heavy Vehicle Operation- Chain of Responsibility legislation All parties in the road transport supply chain (i.e., the consignee, the packer, the loader, the receiver as well as the driver and the operator) must take steps to prevent a breach of road transport laws. If our actions, inaction or decisions affect heavy vehicle operations then we are part of the heavy vehicle chain of responsibility. The chain of responsibility means that anybody, not just the driver and operator, who has control in a transport operation, can be held responsible for breaches of road laws and may be legally liable. In other words if anyone uses road transport as part of their business, they share responsibility for ensuring that breaches of road laws do not occur. If a breach of road transport law occurs due to Southern Cotton s inaction or demands we will be held legally accountable. As an operator, manager and scheduler of a business involved in road transport Southern Cotton s responsibilities include, ensuring that: (a) Rosters and schedules do not require drivers to exceed driver regulations or speed limits, and avoid queuing (b) Vehicles do not exceed mass or dimension limits, (c) Appropriate restraint equipment is utilized, and (d) Loads are appropriately restrained. Where a module carrier/cotton grower is deemed to be a serial offender of delivering overweight modules Southern will legally be obliged to refuse to accept delivery of the module. We have implemented appropriate signage at the weighbridge, notifying carriers that weighbridge dispatch dockets can be audited retrospectively by the RTA to check load limits regardless of whether the weighbridge is attended or not. This is an effort to comply and enforce the legislation. At the weighbridge we will also be stamping a gross overload ticket on the weighbridge docket if a truck does come in overloaded. We will then make the operator sign the document before it is unloaded, and the grower will be informed.
