2 Purpose of the position: To manage and coordinate all warehouse activities ensuring security and safety of both commodity and staff; To oversee the receipt, storage and dispatch of commodities in the warehouse ensuring that all items received are accounted for, and ensure that warehouse is well maintained and meets safety and health standards. The incumbent will also be expected to organize and coordinate transportation of commodities in and out of the warehouse. Major Responsibilities: Key Outputs/Responsibilities (Accountabilities and results) Warehouse and commodity Management Overall in charge for all warehouse operation. Ensure high standards of cleanliness and maintenance of warehouse, organize for thorough cleaning at least once a week, and fumigation is organized and conducted as and when required. Ensure proper accounting of all commodities received and ensure trucks are inspected on arrival and commodities are counted at all necessary stages - on the truck, during offloading and if need be at the stack, making notations in the source documents if any shortages, damages or excess

3 with damaged/unfit commodities handled as per the good warehousing practices. Ensure proper commodity storage: torn bags/leaking tins/cans must be segregated and reconstituted, repacked immediately before the waybill is signed acknowledging the receipt. Ensure that commodities entering of leaving the warehouse have the necessary documentation and approvals. Conduct routine commodity stock take (daily/weekly/monthly) and reconcile records as appropriate. Strictly enforce the FIFO practice and adherence by all staff under supervision, except in the case of reconstituted commodities. Periodically arrange for fumigation as and when needed. Equip the warehouse first aid, safety and fire equipment as per standard. Check and confirm the accuracy of all warehouse documents on a daily basis. Documentation Prepare weekly/monthly reports commodity status reports and share with supervisor and the CTS Office as necessary. Maintain updated all commodity documents and records (stacks cards, stock control sheets and warehouse ledger and reports (weekly/monthly etc). Carry out any duties that may be assigned from time to time by the Assistant Commodity Officer. Human Resource Management and training Responsible for the supervision and performance management of all the warehouse staff.

4 Organize and supervise the development and execution of work plans and schedules for all warehouse staff. Organize regular weekly staff meeting and discuss weekly work plans. In consultation with the Project Manager, ensure proper training and initiation of capacity building activities for warehouse staff including training on commodity management standards, reporting and documentation. Qualifications: Education/Knowledge/Technical Skills and Experience The following may be acquired through a combination of formal or self-education, prior experience or on-the-job training: Minimum Qualifications Undergraduate Degree in any relevant discipline with at least 2 years warehouse management experience working with local or international NGOs in warehouse management at a similar level is required. Diploma or Associate degree in stores/logistics/inventory management with at least 3 years warehouse management experience working with local or international NGOs in commodity management or livelihoods/food security projects at a similar level will be considered. Other Competencies/Attributes: Fluency in SiSwati and English language Experience in commodity programming and/or logistics or related field with ability to

5 Powered by TCPDF ( manage staff and organize issues related to transport and transporters Ability to organize and facilitate capacity building/capacity enhancement sessions for staff is an advantage. Strong interpersonal skills with ability to lead a team, communicate with integrity to different stakeholders. Good contextual knowledge of local community and social/cultural constraints, realities and organizational relationships. Good report writing skills and ability with computer literacy is a must understand international standards in humanitarian protection and accountability (e.g. CHS and Red Cross Code of Conduct, etc) Working Environment / Conditions: Work environment: The position is field based with extensive travel to communities Page 5/5
