3 The Aspray24 Customer Portal brings a host of new and existing features together in one package. From here you will be able access a number of different options from viewing consignments out for delivery today, through to discrepancies and ordering labels, to name just a few. This guide will take you through each screen to enable you to get the most of the system. Logging in To log into the Aspray24 Customer Portal, use the following link: Enter your username and passcode, then select login. If you are having problems logging into the system, please contact Aspray24 IT Support. If you have not been given login information, please use the Request portal details link, just above the Login button see screenshot below. 3

4 Home Screen Live Traffic Map and Live Delivery Data Once you have logged into the Customer Portal, you will be brought through to the main home screen with a live traffic map pop-up. This traffic map will give you a quick look at the condition of the national road network and what issues could be affecting deliveries. Initially the map will only show major roads, however, if you move your mouse over the map and scroll with your mouse wheel or use the plus and minus buttons in the bottom right hand corner, the map will zoom in and display local roads. The map pop-up will disappear within a few seconds, or you can select the small cross in the top right hand corner to close the map. 4

5 Once the traffic map has closed, you will be brought to the Live Delivery Screen. This screen is your main home screen. The Live Delivery Data screen displays live and up to date information regarding the status of your deliveries for the current day. You will notice that there are four different squares displaying different information, a R.A.G. rated status bar and Incident Ticker scrolling across the bottom of the screen. Today s Consignments Delivered: The Today s Consignments Delivered box displays information regarding the consignments you have out for delivery today. The numbers on the right hand side of this box states the number of deliveries made today and the total expected to be delivered. This will update as deliveries are made. Today s Timed Deliveries: The Today s Timed Delivered box displays information regarding the timed deliveries out for today. The number on the right hand side of this box shows the number of deliveries with a timed service. 5

6 Today s Non Deliveries: The Today s Non Deliveries box displays any deliveries, which have not been made. The number in the top right hand corner of this box will update if for any reason a delivery has not occurred. Today s Reported Discrepancies: The Today s Reported Discrepancies box displays discrepancies reported today. These will only be available from 9am onwards. R.A.G Status Bar: This bar will update as deliveries are completed. A key is displayed underneath the bar which describes what each colour represents. The green section of the bar indicates deliveries which have been made successfully, the amber section displays deliveries still awaiting delivery and the red section displays deliveries which have not been made. Incident Ticker: At the very bottom of the page you will see the Incident Ticker. This is a rolling line of information regarding any incidents which could affect deliveries. Further details about these incidents can be found within the Incident Centre further information about the Incident Centre can be found on page 18. To return back to this screen at any point in the customer portal system, click on the Aspray24 logo in the top left hand corner. At the top right hand corner of the screen, you will also find the Log Off option. Click on this to log out of the Customer Portal system. 6

7 Live Delivery Data View Details options Under each of the boxes on the live delivery data home screen, you will find the View Details button. Selecting this will display the Consignment or Discrepancy Search system, with specific consignment information depending on which option you have selected. You can search for other consignments using the search criteria near the top of the screen see screenshot below. Alongside each consignment listed in the table below the search criteria, you will see a further View Details button on the right hand side (highlighted in the screenshot below details about these options are located on page 11). Selecting this will show further information regarding the specific consignment, including POD where relevant. Details listed within the Consignment Search or Discrepancy Search system can be exported to a CSV file, using the Export to.csv button, located at the bottom right of the table. Please note that only 200 consignments can be displayed within the table at a time. 7

8 Each screen within the Consignment/Discrepancy Search system also includes the Incident Centre Tab (the blue square in the bottom left hand corner of the screen). Clicking on the Incident Centre Tab will display a pop-up with more information about the incidents affecting deliveries today. See screenshot below This pop-up will display a small summary of information regarding what issues are affecting the road network. Within this pop-up, selecting View Details for example in the screenshot above Heavy traffic in West Midlands View Details will take you through to the full Incident Centre system. More information about the Incident Centre is included on page 18. Today s Consignment Delivered box View Details This screen will display the basic Consignment Search screen. The information displayed in the chart at the bottom of the screen is all information regarding today s consignments which have been delivered. This will update as more deliveries are made. 8

9 Today s Timed Deliveries box View Details This screen will display the timed deliveries out for today. You will notice at the bottom of the screen, the details listed for the Timed Deliveries will show Delivery Date, Service, Delivered and Time Attempted columns. These are specific to the Today s Timed Deliveries View Details option. Searching for any other information will change the columns back to the standard Consignment Search screen as displayed under the Today s Consignment Delivered View Details section of this guide. Today s Non Deliveries box View Details This option will display any deliveries for today which have not been made and the reasons for this. You will notice two different columns on the details of this screen Date / Time Attempted and Failure Code. These are unique to the Today s Non Deliveries View Details screen. Searching for any other information will charge the columns back to the standard Consignment Search screen as displayed under the Today s Consignment Delivered View Details section of this guide. 9

10 Today s Reported Discrepancies box View Details This screen is slightly different to the others listed above. Today s Reported Discrepancies View Details, will take you through to the Discrepancy Search system, where information relevant for today will only be displayed after 9am each morning. The information displayed at the bottom of the screen will show details of any discrepancies for today. Using the search criteria at the top of the screen will enable you to view previous discrepancies. 10

11 Despatch Details screen View Details On either the Consignment or Discrepancy Search screens, there is an option to view detailed information about each specific consignment, using the View Details button on each row see example to the right. Pressing this button will take you through to the Despatch Details screen. The screenshot below shows information regarding a consignment out for delivery. On this screen, you can see the delivery information and progress bar. This bar will display where your freight is in the delivery process. You will also notice the driver name and vehicle registration of your delivery appears within this section, alongside the delivery date, ETA of the delivery and what drop number you are in the drivers route. On the right hand side of the screen, you will also see your consignment information. Another item on this screen is the Track Driver button. This button will expand the screen to show a small map see next page. 11

12 The information just above the map will inform you of the drop number the driver is currently on, the drop number of your delivery and the ETA of delivery. The map itself displays the last delivery location on the driver s route (shown by the truck icon) and the delivery location of your consignment (shown by the house icon). Road conditions are also displayed on the map, giving you information regarding how your delivery could be affected. Once your delivery has been made, the Despatch Details Screen will display more information. Within the Delivery Information section, you will notice that the bar has updated to say that the POD is now available. Just underneath the bar, information regarding the delivery date, time and the name of the person who signed for the delivery has now been added. 12

13 Just underneath the Delivery Information section, there is Consignment History. This will display any information regarding previous delivery attempts or issues with the consignment. Photos will also be available within this section if applicable. Alongside this information, you will notice a new button has appeared. This button allows you to view your POD of the consignment. Clicking on this button takes you to the POD screen below. From here you can view all the information about the delivery made, including viewing the signature of the person who signed for the delivery. You can also get a PDF version of the POD by using the Export to PDF button. If for any reason the delivery cannot be made, the Despatch Details screen will change to display information as to why. See screenshot below. 13

14 As you can see, the progress bar within the Delivery Information section has turned yellow, this shows at which point in the delivery cycle the delivery could not be made. Just underneath this, you will see the attempted delivery date and time. At the bottom of the screen, the Consignment History will display the reason as to why the delivery could not be made if photos are applicable to the situation, these will also be available here. At any point within the Despatch Details screen, you can return to the Consignment/Discrepancy Search screen you were on, by selecting the Return to Consignment Search button located at the top left hand corner of the screen. 14

15 Aspray24 Menu - Other Features Within the Aspray24 Customer Portal, you have access to a range of other features using the Aspray24 Menu. To access this, select the three lines in the top left hand corner of the home screen, next to the Aspray24 logo. Clicking on the lines will open up a menu on the left hand side of the screen see below. Reporting Suite Selecting Reporting Suite will take you through to the reporting system. This function will enable you to search through a date range from as little as one day up to a maximum of three months prior. Please be aware that longer date ranges will take longer to return results. 15

16 Once you have entered in a date range and selected Search, a summary dashboard will bring through results for the period selected. Included in this are a number of different reports as well as a summary of Aspray24 details. Selecting the View Details option on any of the blue report squares will provide additional details relevant to the report title. UK & Eire Track & Trace Selecting the UK & Eire Track & Trace option will take you through to the Consignment Search system, where you can track any of your consignments within the Aspray24 network. On the Track & Trace screen, you have a number of different options available to search on. Using multiple search options will enable you to filter down the results. Please be aware that when using the Consignment Reference option within the Track & Trace system, you will need to use your customer prefix in front of your reference number. 16

17 Online Despatch System (where applicable*) Selecting this option will take you through to the Aspray24 web entry Online Despatch system. * Please be aware that this option may not appear for all customers, particularly those with Aspray24 stand-alone equipment. Live Delivery Data This link will take you through to the main home screen you have seen throughout the main section of this guide. This screen will display the dashboard system of live data about your deliveries out for today, including total deliveries, timed deliveries, delivery failures and discrepancies. Included in this is also the R.A.G. rated status bar showing the progress of your consignments and the Incident Centre Ticker bar, displaying a summary on any problems which could affect deliveries. Discrepancies Selecting Discrepancies will take you through to today s reported discrepancies (only available after 9am each working day). The table provides information on any reported discrepancies and also has the option to view details on each individual discrepancy. These reports, including historical reports can be downloaded and viewed as PDFs. There are numerous options to search through to filter down your results, using multiple options will help to target specific discrepancies. 17

18 Claims Portal The Claims Portal link will take you through to the main Aspray24 website tool for logging a credit request, claim or intent to claim. Help This will take you through to the Aspray24 Customer Portal help guide. Request Labels Selecting Request Labels will take you through to the main Aspray24 website form to order more Aspray24 freight labels. 18

19 Incident Centre The Incident Centre option will take you through to the full Incident Centre screen of the Customer Portal. On this page you will see all issues which could affect delivery service operation. For example, issues including adverse weather, road network problems, major events, Aspray24 internal upgrades etc. When first accessing the page, you will see the following page. When accessing the page, there will be a summary of issues which could affect deliveries. Selecting the small arrow to the right of each issue will expand the section to provide more information on the issue, see below. 19

20 You can access the Incident Centre via the Incident Centre Tab, found throughout the Consignment/Discrepancy Search systems within the Customer Portal. After clicking on the Incident Centre Tab, select the View Details option within the pop-up. See below. This will take you through to the Incident Centre main screen, however this time, the drop down for the item you have selected will already be displayed. 20

21 UK Traffic Map This link will take you through to a road traffic map of the UK, where you can search or zoom in on any location using the plus/minus keys or scroll wheel on your mouse. As you zoom in or search for a location, more details will be shown about the road network, which may or may not affect your delivery. 21
