3 1. Introduction The aim of this document is to set out the requirements for the delivery of goods to the SuperGros terminals. We hope that all our suppliers will study this material for the mutual benefit of all parties. It is very important that the material is known by all branches of the supplier s company that are involved with and affect logistics. This logistics guide is available via the SuperGros portal (supplier net) or on SuperGros web site ( English version). SuperGros has been obliged to introduce financial consequences for those suppliers who do not meet the given logistics guidelines for correct packaging, palletising and barcode labelling. The consequences are as follows: Missing or incorrect labelling of pallets with GS1-128 labels are invoiced at DKK 250 per pallet for manual labelling, at a minimum of DKK 5,000 excl. VAT per order. Re-palletising is invoiced at DKK 25 per handled item, at a minimum of DKK 5,000 excl. VAT per order. Other logistical circumstances that result in unnecessary costs for SuperGros a/s will be invoiced at the actual costs, at a minimum of DKK 5,000 excl. VAT. 4 2. Master data The collaboration between SuperGros and our suppliers is increasingly based on the use of structured information about the product and its logistical characteristics. This applies to the ordering of goods, reception of goods at our terminals, and distribution of goods to the customers. For this reason it is very important that the information our suppliers provide to our Purchasing Department is absolutely correct and complete in all the required areas. Defining master data may seem trivial, but our experience shows that there tend to be many errors in the master data the suppliers give SuperGros. Ultimately, inaccuracies may result in economic consequences to both our customers as well as unnecessary costs to all other related parties. 2.1 Product dimensions Logistical information about the height, length and width of goods ALWAYS apply to retail items (see definition of packaging levels in section 4) Dimensions Definitions Height in cm Length in cm Width in cm The height is measured on the vertical side of the retail item when it is placed on the pallet. This ALWAYS applies, even if the consumer units in the retail item are turned differently on the pallet than when unpacked. The height is included in the calculation of the pallet s total height and the volume of the retail item. The length is measured on the longest horizontal side of the retail item when it is placed on the pallet. The length is included in the calculation of the retail item s volume. The width is measured on the shortest horizontal side of the retail item when it is placed on the pallet. The width is also included in the calculation of the retail item s volume. If the retail item is a quarter, half or whole pallet that is ready for sale, the pallet s measurements should be stated. NB! If the retail item is a quarter, half or whole pallet that is ready for sale, the pallet itself should be included in the height measurement. SuperGros a/s Logistics guide 4

5 2.2 Weight Logistical information on weight also ALWAYS applies to the retail item. Weight Definition Gross weight The gross weight is the retail item s weight including consumer and transport packaging. The Pallet/quarter pallet themselves are NEVER included in the weight calculation. Net weight The net weight is the product s weight excl. all packaging. 2.3 Packaging and palletising The master data on packaging and palletising is important in a number of areas, such as calculating the height and weight of pallets, and placing orders. Packing and palletising Number of retail items per pallet layer Number of pallet layers per EUR pallet Number of retail items per EUR pallet Number of retail items per wholesaler item Definition Refers to the number of retail items that make up one pallet layer. Refers to the total number of layers on the pallet. Refers to the total number of retail items on a full EUR pallet. If wholesaler items are included in a packaged product, the number of retail items per wholesaler item must be stated. SuperGros always aims to order whole layers of pallets and/or whole pallets. 2.4 Pallet type SuperGros needs to know when products are delivered as a pallet that is ready for sale. If this is the case it must be clearly stated on the product registration form. SuperGros a/s Logistics guide 5

6 3. Product condition All products must be packaged and palletized in such a way that they suffer no damage during transport, warehousing, picking and distribution. Suppliers must meet the following requirements for the condition of the goods: Retail items must be secured on the pallets by outer packaging such as stretch film or strapex straps. Quarter or half pallets delivered on whole pallets must be held together with film or tape. Retail items must never stick out over the edge of the pallet The retail items must be packaged in such a way that it is possible to stack other products on top of them. Retail items must be in closed packaging. Quarter pallets shall be stable when transported one at a time. The stretch film must be tight against the pallet, and there must not be loose ends sticking out over the edge of the pallet. 3.1 Maximum limits of retail items The gross weight per retail item must never exceed 15 kg. If a retail item exceeds 75 litres, the gross weight must not exceed 7 kg. Volume per retail item must never exceed 100 litres (except items delivered as quarter or half pallets ready for sale). No single dimension (height, length or width) of any retail item may exceed 80 cm (except items delivered as quarter or half pallets ready for sale). 3.2 Maximum limits of pallets The following height and weight limits must be met: Maximum height Maximum weight Whole pallet 155 cm 1,000 kg Half pallet 140 cm 400 kg Quarter pallet 140 cm 200 kg NB! 7 4. Packaging levels These are our definitions of packaging levels: Packaging level Definition Consumer unit A consumer unit is the unit that is scanned at a cash register and sold to the end consumer. Example: one bottle of ketchup A retail item contains a number of consumer units and normally makes up the packaging level at which the commercial transaction between SuperGros a/s and the customer takes place. Retail item Example: 12 bottles of shampoo or 18 bags of crisps Ready-for-sale quarter and half pallets are also considered retail items. As a rule of thumb, SuperGros a/s orders products from its suppliers at this level. Wholesaler items Wholesaler items are usually used to hold together different retailer items that cannot be stacked as they are due to their sizes or fragility. SuperGros a/s Logistics guide 7

8 5. Pallets To avoid damaging the products and to enable automatic handling of the pallets, the quality of the pallets must be high. 5.1 Pallet quality This means that the following requirements must be met: No broken runner boards or blocks No nails sticking out of runners and blocks Blocks must be positioned correctly with no overhang from the runner board Pallets must be dry Tunnels must be clear of obstructions 5.2 Pallet exchange On delivery to a SuperGros warehouse, the following pallet types are exchanged: Approved EUR pallets (80 cm x 120 cm) Approved DS half pallets (60 cm x 80 cm) Approved brown quarter pallets from Schöller Plast (40 cm x 60 cm) Ship pallets are only accepted on special agreement with the relevant terminal manager. Ship pallets are considered single-use pallets, and are, by definition, not exchangeable. SuperGros does not keep accounts of pallets with its carriers or suppliers. On delivery, the pallets that meet the exchange requirements are exchanged. 5.3 CHEP agreements SuperGros accepts CHEP pallets, but prefers pallet exchange on delivery, according to section 5.2. If delivery takes place on CHEP pallets, suppliers must always be able to document to SuperGros that a valid agreement has been signed with CHEP. NB! Delivered CHEP pallets are not exchangeable. 9 6. Goods reception Ordered goods must be delivered with carriage paid to the SuperGros terminal, whose ramp is 125 cm high. Only goods on pallets are accepted, and only from lorries that can unload them at the above-mentioned ramp height. The drivers must always unload the goods themselves and place them as indicated by the goods reception staff. At the warehouse in Herning and the high-bay warehouse (dry goods) in Ringsted, drivers must scan each pallet and place the pallets on the indicated roller conveyor themselves. On reception, SuperGros will give the driver a receipt for the delivered goods after inspecting the pallets quality, date marking and number of retail items. A valid receipt consists of a stamp and the initials of the SuperGros employee who receives the goods. Pallets with items sold by weight must be labelled with a weight note and the GS1-128 label for the pallet must contain the necessary weight information Delivery notes stating the order numbers must always accompany the goods, or be attached to the consignment note. Part deliveries are not accepted. Deliveries with the same order number must arrive in the same lorry. SuperGros recommends that the pallets be transported so that on unloading they can be handled directly from the short side, and that the GS1-128 barcode faces the back. This makes unloading easier for the driver, and makes it easier to keep the pallets intact. In addition, the following requirements must be met: As a rule of thumb, a single pallet should only contain one product number. Pick-pallets: If the amount per product number is less than the content of a full whole pallet, whole layers are normally ordered and delivered. Note! that if more than one product number is stacked onto one bottom pallet, a whole pallet must be put between the individual product numbers On delivery to the SuperGros high-bay warehouse (dry goods) in Ringsted, quarter and half pallets must be delivered on whole pallets. On delivery of quarter pallets to any other SuperGros warehouses, quarter and half pallets must be delivered without whole pallets underneath them. Date-marked products with the same product number but different dates may not be mixed on the same pallet. SuperGros a/s Logistics guide 9

10 SuperGros does not accept delivery of products that do not comply with the trade agreement made with SuperGros Purchasing department. SuperGros does not accept delivery of identical products with an earlier expiration date than the last delivery. If slipsheets are used for container deliveries, these must be made of plastic and be at least 3 mm thick. In addition, slipsheets must have 14 cm overlap on the short side, where the forklift grabs the pallet. If a product is packaged in a wholesaler item, this must be clearly indicated on the wholesaler item s packaging, for example with the text W-item or Remember to unpack. 11 7. Barcodes Regardless of packaging level, the goods must be easily identified with a specific EAN number for each packaging level. All relevant EAN numbers shall be given initially, in order for SuperGros to open a new item number. When registering the products, we require the following EAN numbers: Packaging level Use Number types Consumer unit For scanning in the store EAN-8 or EAN-13 Retail items For the reception of goods at SuperGros and communication via EDI GS1-128 / EAN13 / ITF14 Wholesaler items (if the article appears at this level) For the reception of goods at SuperGros EAN-13 / ITF14 GS1-128 (EAN-128) AI(01) Pallets For the reception of goods at SuperGros GS Labelling retail items A GS1-128 or EAN13/ITF14 barcode must be applied on all retail items, depending on if the products characteristics (shelf live, batch no., weight etc.) require it. This label must be placed either on the end or on the long side. The label must clearly state which product the retail item contains, as well as necessary information about shelf life, batch number etc. in written text. If the retail item does not have a shelf live (expiry date) or batch number, the following barcode standard can be used: GS1-128 AI 01, ITF14 or WAN13 SuperGros a/s Logistics guide 11

12 Examples: If the retail item does have a shelf live (expiry date) and/or batch number and/or weight, the barcode standard GS1-128 shall be used with the relevant information expressed in the corresponding AI. For items sold by weight, the weight shall be contained in the barcode. Please be aware that specific rules for beef exist and necessary barcode information shall be agreed with the Purchasing Department for each item. Example: SuperGros a/s Logistics guide 12

13 Other relevant AI for the expression of date is: AI 11: Production date AI 13: Packaging date AI 17: Last day of consumption Please be aware the date-syntax is always expressed as YYMMDD. If the consumer unit is packaged in both a retail item and as a wholesale item, both packaging levels shall have the barcodes applied as described above. 7.2 Labelling of pallets The SuperGros labelling requirements for pallets follow GS1 s labelling concept for Danish grocery good trade. At GS1 s website ( the labelling concept can be found complete with a GS1-128 quick guide. The Quick guide can also be down loaded from our supplier net or As a minimum, the GS1-128 label on the pallet must include the following: Retail item EAN no. AI 02 No. of retail items on the pallet AI 37 Serial shipping container code SSCC AI 00 The following information must be added, if part of product s characteristics Best before AI 15 (only if the product is date-marked) Batch no. AI 10 The pallets total weight AI 3102 (net weight) (Only for products sold by weight) Packaging or production date AI 13 or AI 11 Last day of consumption AI 17 Two identical UCC/GS1-128 labels must also be attached to pick-pallets, applying to each pallet with one product number. If stretch film is wrapped around the pallet, the label must be placed under the film. Quarter and half pallets must be labelled either with one label on the top or as half pallets. NB On deliveries to the SuperGros high-bay warehouse (dry-goods) in Ringsted, whole pallets with either 4 quarter pallets or 2 half pallets must in addition be labelled with a master GS1-128 label stating 4 or 2. 14 8. Refrigerated and frozen goods 8.1 Refrigerated goods The supplier and SuperGros are both obligated to comply with the Danish food legislation. DSK is responsible for this within the framework of SuperGros. Any enquiries on this matter can be directed to DSK, on telephone number (+45) All goods in the refrigerated goods terminals must meet the current food hygiene regulations of the Danish Ministry of Food, Agriculture and Fisheries (ministerial order no. 788 of 24/07/2008). Refrigerated goods that do not meet the legal requirements will be rejected with the demand of immediate return of the goods. 8.2 Frozen goods Delivered frozen goods that do not meet the legal requirements set out in the Danish ministerial order no. 384 of 15 June 1993 on frozen foods, or more recent regulations, will be rejected with the demand of immediate return of the goods. Non-food / Hardware Suppliers must supply SuperGros with the following information on each delivery, either by fax or Goods description Number of retail items Number of consumer units per retail item Total number of pallets in the consignment Package list per pallet Expected arrival at the SuperGros terminal The SuperGros order number Information must be sent no later than at the time of dispatching the goods.
