Two Hundred only) through Demand Draft/ Pay Order to be drawn in favour of Kendriya Vidyalaya Sangathan, Regional Office payable at Agra. 2 TENDER NOTICE Kendriya Vidyalaya Sangthan, Regional Office, Agra, invites sealed tenders under two bid system (Technical & Financial) from certified Manufacturers/ Authorised Dealers /Bidders for quality procurement of furniture items indicated in Annexure- I. All interested tenderers are requested to send their sealed quotation as per technical specifications given in Annexure-1.The general terms and conditions for bidders are given in Annexure 2. Contact Telephone Numbers The tender document and details of terms and conditions can be downloaded from our website the same may be collected from the KVS,Regional office, Agra between 10 P.M to 5 P.M on any working day (from to ) by submitting requisite non refundable tender fee for Rs. 200/- through a cross demand draft drawn in favour of KVS, RO, AGRA payable at Agra. The tender fee also applicable for the directly downloaded tender documents. EMD in the form of demand draft for Rs. 5,000/-from any Nationalised Bank in favour of KVS, RO, Agra payable at Agra should be invariably be submitted along with tender fee in separate sealed envelope at the time of submission of Tender. In the absent of EMD and tender fee the tender will summarily be rejected. For other indigenous items sample should be deposited on or before the opening of tender. Quotations will have to be submitted in TWO PARTS i.e. (a) Technical Bid and (b) Price Bid, in two separate properly sealed covers indicating the type of Bid; and both these covers along with EMD and Tender fee in another separate cover will have to be again put in to a single sealed cover. Also the address of the firm submitting the quotation and the officer to whom the quotation is addressed, must appear distinctly on both the inner sealed covers, indicating also TECHNICAL BID/PRICE BID as may be applicable. 2. Eligibility criteria for Technical bid qualification: [TECHNICAL BID] a) The Vender should be exclusively a manufacturer/dealer/agent/authorised distributor of furniture and should have registered office anywhere in India, preferable have a branch office in Agra. b) A certificate of average annual turnover during the last three years should be attached. c) The document containing bids shall be free from cutting and erasures. However alterations if any in the tender document should be attested properly by the bidder. d) The supply and installation of above items shall be made by the vender free of charges within 30 days from the issue of purchase order. e) The vendor should submit Catalogue of each & every items of furniture matching with the specification given in Annexure-1 f) The technical evaluation of those vendors will be taken under consideration whose Catalogue are found as per specification and approved by the committee. g) Dealership certificate on the offered products in case the vendor is a dealer. h) List of reputed organizations/institutions, where similar orders have been executed.

5 i) Up-to-date Sales Tax /VAT clearance certificate & sales tax registration certificate indicating also the TIN number of the FIRM. n) Details & nature of maximum warranty period offered by the vender. o) Earnest Money Deposit (EMD) for Rs.5 000/-and tender fee for Rs.200/-, in the form of Demand Draft only. EMD of unsuccessful bidder will be refunded after finalisation of the tender. p) A copy of the Price bid, WITHOUT MENTIONING THE PRICES, will have to be provided as part of the Technical Bid document. All the document submitted including tender document should be duly certified by the authorised signatories. 3. In the part of price bid, the vender must provide the followings [PRICE BID/FINANCIAL BID] a) Quantity, basic price (against item-wise details of specifications of each of the offered items) b) CST / Sales Tax / VAT (as percentage of basic price + packing and forwarding charges if any) c) Installation and commissioning charge (including Service Tax) to be shown item-wise extra, if any. d) Freight and insurance charge, if any. Terms and Conditions: Annexure-2 1. Rates: Rates quoted for indigenous items must be on for KVS,RO, AGRA on DOOR DELIVERY Basis, with break up as per details below: a) Basic Price b) [+] VAT/CST (on sub-total price, including Excise duty if any c) [+] Freight and Insurance charge, if any d) [+] Installation and Commissioning charge, if any e) Grand Total F.O.R KVS, RO, AGRA Price 2. Validity :Quoted rates must be valid for six months. 3. Warranty/Guarantee: Minimum one year warranty from the date installation of material is required. Necessary certificate in this regard should be furnished along with the consignment / invoice. 4. Quotations submitted without amount of earnest money are likely to be rejected. SSI/SME Units are exempted for submitting EMD as per Govt. of India order but not for cost of tender.

6 5. Delivery: Unless otherwise stated delivery of goods at KVS RO AGRA, will have to be maximum within 30 days from the date of issue of the Purchase Order or as given in the purchase order. 6. Dealership Certificate: Dealership certificate (in case of dealers) and standard Technical literature on the offered products must be enclosed. 7. Printed conditions of supply of the firm, if any, will not be binding on us. 8. Late and delayed quotation: Late and delayed tender will not be considered. If, in any case, unscheduled holiday occurs on prescribed closing/opening date, the next working day shall be the prescribed date of closing/opening. 9. Ground for Rejection of Quotation: The quotations are liable to be rejected if the fore going conditions are not complied with. The quotation should be complete in all respects and duly signed wherever required. Incomplete and unsigned offer will not be accepted. 10. Terms of Payment: Payment will be made maximum within 30 days from the date of successful delivery /installation and submission of PBG where required, generally through RTGS. In case of payment is to be made by DD, the draft commission will be deducted from the bill amount. 11. Security Deposit: The Security Deposit to the tune of 10 % is to be deposited one the supply is done. The amount of security deposit shall be retained by KVS for a period of six months from the date of completion of supplies as a safeguard against any defect appearing in the article supplied within the oeriod. IMPORTANT 1. Deputy Commissioner, KVS, RO, Agra may accept or reject any quotation in part of full without assigning any reason and does not bind himself to accept the lowest bid. The Sangthan at its discretion may change the quantity/ upgrade the criteria/ drop any item or part thereof at any time before placing the Purchase Order: 2. In case of any disputes, the decision of the Deputy Commissioner, KVS, RO, Agra shall be final and binding on the Bidders.
