4 1.2 Typographical Conventions This document uses the following typographical conventions: Command and option names appear in bold type in definitions and examples. The names of directories, files, machines, partitions, and volumes also appear in bold. Variable information appears in italic type. This includes user-supplied information on command lines. Screen output and code samples appear in monospace type. In addition, the following symbols appear in command syntax definitions. Square brackets [ ] surround optional items. 7 3 How to Package Your HDD for Shipment This document covers the hard drive shipping procedures for Offsite Transfers. If the following procedures are not followed your drive will be shipped back without being copied. For sending a drive for offsite transfer to our collocation facility, you must follow the BDR Offsite Transfer instructions (section 16) in the BDR Implementation Guide. 3.1 Packaging Basics Ship the hard drive in Zenith-approved protective packaging or any packaging that provides equivalent protection to ship your hard drive(s). Consult our acceptable packaging and unacceptable packaging sections in this document for details. Warning: Hard drive(s) returned without following Zenith-approved packaging guidelines may be rejected. 3.2 Packaging Checklist Zenith Infotech Ltd. strongly recommends shipping your drive via registered/certified mail or with a carrier that provides a tracking number. Use the following guidelines as applicable: o If you were using the hard drive inside another device or external enclosure, remove it from the device and return ONLY the hard drive. o DO NOT send the drive in its mounting brackets, side rails, external casing, or with any type of adapter, cable, or converter. o Remove accessories and spare parts, and return bare drive(s) only. Zenith is not responsible for accessories. Accessories cannot be returned to you. o External Hard Drive (as pictured below): BDR HDD Shipment Process.doc Copyright 2010 Page 7 of 18

8 o o o o DO NOT send the complete external drive to Zenith. You must remove the hard drive from the case. DO NOT send the USB cable. Enclose each hard drive in an anti-static electrostatic discharge (ESD) bag and seal. If available, use a wrist ground strap at all times and handle the hard drive carefully. Use thick foam rubber to secure the hard drive on all sides during shipment or use a GeoSprings kit (a specially-approved box with plastic spacers). When shipping more than one hard drive, ensure that the hard drives do not touch and are cushioned individually. DO NOT use foam peanuts, bubble wrap, cloth, paper, newspaper, or padded envelopes. 9 4 Address Labels and Multiple Boxes SATA Drive Tracker ITS Portal After your labels have been printed, the steps in the BDR Implementation Guide must be followed: 4.1 Offsite Transfers Only: Items you will need: o 2 Printed Copies of your Tracking Label o Scissors o Tape o The drive to be shipped o Accepted Packing Material including corrugated box Items You Will Need You must generate a Tracking ID for each drive that you send to the collocation facility. You cannot reuse a SATA ID. A new one must be generated each time. If the ID is reused, it appears as though no drive was received in the system. 10 Please print 2 copies of the Tracking ID and attach them to the SATA Drive and shipping box prior to shipment (see above picture). 12 If you are shipping multiple SATA drives in the same box, the shipping box must be labeled with all of the Tracking IDs. For example, if there are 3 physical drives in the shipping box, the box itself must have 3 Tracking ID s taped to the outside of the box. If you have multiple boxes, attach matching labels for whatever drives are in that box. BDR HDD Shipment Process.doc Copyright 2010 Page 12 of 18

13 In addition, the hard drive and shipping box must be labeled with the following information: o Partner Name o Return Shipping Address o Phone Number o Site Name(s) We cannot guarantee that the SATA drive(s) will be returned if both shipping box/boxes and SATA drive(s) are not labeled properly. After you have packed the hard drive, ship the package to the following address for offsite transfers. Please save your Shipping Agents tracking ID as you will need to enter this information in the SATA Drive Tracker on the ITS Portal. 14 5 Acceptable Packaging The following examples keep the hard drive from moving around inside the shipping box and protect the hard drive during shipment. Use of thick foam rubber supporting all four sides of the hard drive enclosed in a corrugated cardboard box is typically considered good packaging. Also, the hard drive must be placed inside of an anti-static electro-static discharge (ESD) bag before being placed in the shipping box. Before returning hard disk drives to Zenith Infotech Ltd., consult this section and the unacceptable packaging section. 5.1 Acceptable Packaging for Single Drives Plastic Spacers Use plastic spacers on each end of the hard drive. Position the hard drive in the center of the box to protect all four sides. (This packaging is sometimes referred to as a GeoSprings Kit.) 15 5.1.2 Foam Rubber Block You may use a foam rubber block with special cut-out section for the hard drive. All four sides of the hard drive should be protected by foam rubber. 16 6 Unacceptable Packaging Using packaging that is not acceptable will result in your drive being shipped back without being copied. The following examples show unacceptable packaging when returning hard disk drives to Zenith Infotech Ltd. Packaging that is not acceptable includes use of bubble wrap, Styrofoam peanuts, paper, newspaper, cloth, or padded shipping envelopes. Additionally, nonqualified shipping containers like Styrofoam or cardboard dividers, or non-approved plastic or Styrofoam clam-shell containers are considered unacceptable packaging. **Unacceptable Packaging** Use of padded shipping envelope is not considered acceptable packaging. **Unacceptable Packaging** While proper foam rubber block with special cut-out section for the hard drive was used, the hard drive was not enclosed in an anti-static electro-static discharge (ESD) bag. **Unacceptable Packaging** Use of bubble wrap is not considered acceptable packaging. All packaging vendors mentioned here are independent of Zenith Infotech Ltd.
