7 7 Introduction In a bar environment, it is critical to keep costs under control at all times. Over-pouring and friend discounts are always a problem. To prevent these from happening, you must control the amount of alcohol poured for each drink. This is where liquor control systems come into play. Liquor Control Systems control the amount of alcohol dispensed for each drink ordered through the POS system. With this kind of control, employees cannot pour free drinks without there being a record of the transaction. The role of the Aldelo Liquor Controller is to provide a link between Aldelo POS and the liquor dispensing system.

9 9 Chapter 1 Requirements The following are the requirements for the Aldelo Liquor Controller Server. Compatible Liquor Dispensing System. Aldelo Liquor Controller Server. At least one Pro license of Aldelo POS. At least one available Serial Port on the computer.

11 11 Chapter 2 Installation Once you have the proper software and equipment, install the software on the system that is hosting the Aldelo Liquor Controller Server. To begin, make sure you have the latest version of the Aldelo software. Insert the Aldelo POS Installation CD into the CD-ROM drive on your computer. When the Aldelo Product Installer screen appears, click on Click Here To Install under the Aldelo For Restaurants Suite of Products section to begin the installation process (see Figure 2-1). 12 12 When the File Download - Security Warning screen displays, click the Run button to continue (see Figure 2-2). Figure 2-2 Next, the InstallShield Wizard extracts the files necessary to perform the installation. Please wait until it finishes (see Figure 2-3). Figure 2-3

13 On the following screen, click the Next button to continue (see Figure 2-4). 13 Figure 2-4 The following screen displays the End User License Agreement ( EULA see Figure 2-5). Read the EULA carefully. Agreeing to the terms of the EULA creates a legal agreement between you and Aldelo, LP. Accept the terms of the agreement and click the Next button. You must agree to the terms of the EULA or you cannot proceed with the installation.

14 14 Figure 2-5 On the Customer Information screen that follows, enter your User Name and Organization Name. Click the Next button to continue (see Figure 2-6). Figure 2-6

15 On the Setup Type screen, choose the Custom option and click the Next button (see Figure 2-7). 15 Figure 2-7 On the Custom Setup screen, click on the red X icon next to Aldelo Liquor Controller in the feature list. Next, click on This feature will be installed on local hard drive and click the Next button (see Figure 2-8).

17 As the installation proceeds, a progress bar displays. Please wait until the InstallShield Wizard is finished (see Figure 2-10). 17 Figure 2-10 When the InstallShield Wizard Completed screen displays, click the Finish button to complete the process (see Figure 2-11). The software is now installed and ready for use.

18 18 Figure 2-11 Once the Aldelo Liquor Controller Server is installed, launch the software for the first time. The software prompts you to enter the serial number that came with the product (see Figure 2-12). This number is found on the case that the Aldelo POS CD came in. Enter the serial number in the blank field and click the OK button. Figure 2-12 When you enter this number, the software prompts for activation (see Figure 2-13). The Aldelo Support Department can assist you in activating the software. When you contact them, they ask for the Product Code and Activation Code that is displayed on the Activation Required screen (see Figure 2-13).

19 19 Figure 2-13 You are issued a Product Key and an Activation Key. Enter the Product Key onto the Product Key screen and click the OK button (see Figure 2-14). Figure 2-14 Next, enter the Activation Key onto the Activation Key screen. Click the OK button to complete the activation process (see Figure 2-15). Figure 2-15 To get started with the application immediately, simply ignore the activation messages and activate later. The software will shutdown every 30 minutes until you activate it. This allows you to activate the software at your convenience.

21 21 Chapter 3 Setup Once the software is installed and activated, connect the liquor dispensing system to the computer using a serial cable. The serial cable is the means of communication between the liquor dispensing system and the Aldelo LCS. Communication between Aldelo POS and the Aldelo LCS is accomplished through TCP/IP. Open your Aldelo POS installation and navigate to Back Office > Setup > General Settings > Station Settings > Other Options > Extra Settings. Scroll down to the Key Name LCS IP Address. Double-click in the Key Value column next to the Key Name to open the Registry Settings window for editing. Enter the IP address of the computer where your Aldelo Liquor Controller Server software is installed. If you have only one station, connect to yourself using a loopback address ( ). Click the OK button to save the key value setting. Aldelo LCS Setup When you first launch the Aldelo LCS, the communication configuration screen appears. Here you configure your serial and TCP/IP communication settings and select your COM port (see Figure 3-1).

22 22 Figure 3-1 Once you have selected your settings, click the Save Changes button. Next, you are prompted to enter the path to the Aldelo POS database (see Figure 3-2). Be sure to point the software to your live database. If you are not sure where the database is located, you can find the location in the back office of the Aldelo POS software. The location is labeled Data Source.

23 23 Figure 3-2 Once the database is selected, the software starts and the main interface appears. The main interface consists of four tabs: Menu Recipes, Liquor Setup, Dispense Tracking, and Client Connections (see Figure 3-3).

24 24 Figure 3-3 Menu Recipes The Menu Recipes screen is where all the menu items in the Aldelo POS database are displayed (see Figure 3-3). The first level in the tree is menu groups. All the groups of your menu display on this screen, even if they do not have any bar items in them. Menu items that are marked as Bar Drink Items appear below the group to which they belong. Items shown in Red indicate that there is no recipe defined. Once a recipe is defined for the item, it displays in black. This feature helps track down menu items that are still undefined (see Figure 3-4).

25 25 Figure 3-4 To add a recipe to a particular menu item, highlight the menu item or modifier in the list. The liquor items that are already associated with this drink display, if any. To add a new liquor item to this recipe, click the Add Liquor button. This displays a screen allowing you to select the liquor item you wish to add to this recipe (see Figure 3-5). Filter by liquor family to quickly find the liquor / quantity combination you are seeking. Before you can add liquors to the recipe, you must setup each liquor / quantity combination in the system.

26 26 Figure 3-5 Liquor Setup Before you can add liquor items to the menu recipes, you must define the liquor items. For example, the Berg Liquor Dispensing system uses a PLU (price look-up) number to define a specific liquor type and quantity combination. One ounce of Jose Cuervo Tequila might have a PLU number of 123 whereas two ounces of Jose Cuervo might have a PLU number of 456. These liquor quantity combinations must be setup under the Liquor Setup tab in the liquor dispensing system before configuring the Aldelo LCS (see Figure 3-6).

27 27 Figure 3-6 Liquor Families Each liquor item must be categorized into its respective family. This is used later on to determine which liquors are acceptable substitutes. The most common families are defined for you, but you may add as many as you like. The families may be as detailed as necessary. To add a new liquor family, click the Add button to display the Liquor Family Name screen (see Figure 3-7). Enter the new liquor family name. Click Add when finished to add the new item to the list. Existing liquor families may be edited in a similar manner by clicking the Edit button.

28 28 Figure 3-7 Liquor Items The basic component of each recipe is the liquor item. Each liquor item belongs to a liquor family and has a liquor quantity. Liquor items consist of the different brands of liquor per liquor family. For example, Jose Cuervo, Sauza, Cabo Wabo, Patron, etc., are menu items assigned to the Tequila family. Add each of these liquor items by clicking the Add button. A screen allows you to define the name of the liquor item and the family to which it belongs. When finished, click the Add button. 29 Liquor Quantities 29 The link between Aldelo POS and any liquor dispensing system is the number the liquor system assigns to a particular quantity of liquor. Each system may have its own terminology for this number. In this manual, we refer to it as a PLU number. Each PLU number stands for a different liquor and quantity combination. The liquor dispensing system must be setup before adding liquor quantities, since the PLU numbers must match in each system. To add a new liquor quantity, select the liquor item from the menu and click the Add button to display the Add Liquor Quantities screen (see Figure 3-9). Enter the number of ounces and the PLU number from the liquor dispensing system that matches this liquor item / liquor quantity combination. To use the Post Check feature, select the Post Check checkbox (see Chapter 4 Operations for information on the use of this feature). If any quantities already exist for this liquor item, they appear in the liquor quantity list. Click the Add button to save the information you just entered. Figure 3-9 Default Recipes When a menu item has modifiers, the menu item must have a default recipe defined for it in case the modifier is not selected. For example, if you have a screwdriver, the default recipe will be Orange Juice and 2 oz. of House Vodka (whatever brand that might be). The forced modifiers may then be Absolut, Skyy, Grey Goose, Smirnoff, etc. This allows the employee to order a screwdriver without selecting a name-brand vodka. It also allows substitutions, since the default liquor is in the Vodka family.

31 31 Chapter 4 Operations After all the recipes are setup in the Aldelo LCS system, you can start ordering items from Aldelo POS. Dispense Tracking The bar items that you order in Aldelo POS show up in the Dispense Tracking tab (see Figure 4-1). When the item appears in the Dispense Tracking tab, it is ready to be poured from the liquor dispensing system. The liquor dispensing system requests authorization to pour whatever liquor the bartender has selected. If that particular liquor is in the dispense tracking list, the Aldelo LCS system sends back an acknowledgement stating that it is OK to pour. If the liquor is not found in the list, the Aldelo LCS system sends back a denial and nothing is dispensed from the system.

32 32 Figure 4-1 Post Check The Post Check feature allows a drink to be poured first, and then automatically added to the check in the POS system. To allow a liquor quantity to work in this manner, the Post Check checkbox must have been selected previously when setting up the liquor on the Add Liquor Quantities screen (see Figure 3-9 in Chapter 3 Setup ). To use the Post Check feature, create a blank order in the POS system and remain in this order entry screen. If the liquor item has the Post Check feature enabled, you may pour the liquor without adding the drink to the check first. When the drink is poured, the liquor appears on the check automatically in Aldelo POS.

33 33 Appendix 1 Setup of the Berg All-Bottle 703 Software Installation Place the Berg Terminal software CD in the CD drive of the computer on which the Aldelo Liquor Controller Server software is installed. After a few moments, the InstallShield Wizard screen displays. Click the Next button to continue (see Figure A1-1). Figure A1-1 On the following screen, click the Browse button if you wish to choose a destination folder other than the default folder. To accept the default folder, simply click the Next button (see Figure A1-2).

34 34 Figure A1-2 On the Select Program Folder screen, enter a name for the folder or select one of the existing folders from the list on the lower half of the screen. When finished, click the Next button (see Figure A1-3). Figure A1-3

35 Upon completion of the installation, the following screen appears. If you wish to view the Read Me file or launch the Berg Terminal software at this time, select the corresponding checkboxes and then click the Finish button (see Figure A1-4). 35 Figure A1-4 The installation of the Berg Terminal software is now complete. Connection Use a nine pin serial cable to connect the Electronic Control Unit of the Berg All-Bottle 703 system to the computer on which you previously installed the Aldelo Liquor Controller Server software. Configuration Follow the steps below to configure the Berg Model 703 to use the Berg Basic Protocol. 1. Turn on the Electronic Control Unit of the Berg All-Bottle 703 system by inserting the key and turning it clockwise.

36 36 2. Hold down the R button and then turn the key counter-clockwise to the OFF position. The green light above the R button flashes once and then a different pattern of lights begins to flash. 3. Press the L button once and then observe the pattern of flashing lights. You should see the red and green lights flash alternately. If this is not the case, press the L button again. Repeat this step as many times as necessary until you observe the red and green lights flashing alternately. 4. Turn the key clockwise to the ON position. Communication Verification Perform the following steps to verify that the Electronic Control Unit of the Berg All- Bottle 703 system is communicating with the computer on which the Berg Terminal Software is installed. 1. Start the Berg Terminal software and from the menu bar at the top of the screen, navigate to Setup > Communications to open the Communications Settings screen. 2. On the Communications Settings screen, enter the number of the COM Port to which the Berg Electronic Control Unit is connected on your computer and then select 703 as the model number from the Connection drop down list. Click the Save button to close the Communication Settings screen (see Figure A1-5). Hold down the S and L buttons and then turn the key counter-clockwise to the OFF position. 5. Observe the lights above the buttons on the Electronic Control Unit. The red and yellow lights are now flashing. Now press the S button to send the Electronic Control Unit s current configuration information to the Berg Terminal software. The text that appears in the large textbox of the Berg Terminal software confirms that communication between the Electronic Control Unit and the computer is successful (see Figure A1-7). Figure A1-7

38 38 Configuring the PLU Set Using the information displayed on the Berg Terminal software main screen from the previous section, follow the steps below to determine which PLU (price look-up) set the Berg All-Bottle 703 system is currently setup to use. 1. In the information displayed on the Berg Terminal software main screen, look for the line that reads <PLU=X, Y >, where Y is any number between zero and six, or the letter U (See Figure A1-8). Figure A The Berg Terminal should be configured to use 0 as the PLU set. If this line reads <PLU=X,0>, then no further configuration is necessary. If the last character in the line reads anything other than 0, then perform the following steps to configure the Berg Terminal to use 0 as the PLU set. 1. Turn the key on the Berg Electronic Control Unit to the ON position by turning the key clockwise. Hold down the S and L buttons and then turn the key counter-clockwise to the OFF position. 2. Observe the lights above the buttons on the Electronic Control Unit. The red and yellow lights are flashing. Now press the L button. 3. All three of the lights (the red, green, and yellow) are now lit. 4. On the Berg Terminal software main screen, edit the line that determines the PLU set to read <PLU=X,0> (see Figure A1-9).

39 39 Figure A Next, on the main screen of the Berg Terminal software, navigate to Terminal > Send to send the data from the software to the Electronic Control Unit (see Figure A1-10). Figure A The software asks you if you want to verify the data sent. Click the Yes button to continue (see Figure A1-11).

40 40 Figure A Now turn the key on the Berg Electronic Control Unit to the ON position by turning the key clockwise. Hold down the S and L buttons and then turn the key counter-clockwise to the OFF position. 8. Observe the lights above the buttons on the Electronic Control Unit. The red and yellow lights are flashing. Now press the S button. 9. The Berg Electronic Control Unit sends data back to the Berg Terminal software and creates a second column on the main screen. This column contains the same data, line for line, as the first column. If there are any discrepancies, the nonmatching data lines in the second column are displayed in bold print and a message indicates the affected line numbers (see Figure A1-12). In this case, repeat the procedure to configure the PLU set to 0. Figure A If there are no discrepancies in the data, the two columns match line for line. A message box indicates that the verification is successful. Click the OK button to complete the procedure (see Figure A1-13).

43 Appendix 2 Operation of the Berg All-Bottle 703 Once the Berg All-Bottle 703 has been successfully setup according to the instructions in Appendix 1, close the Berg Terminal software and open the Aldelo Liquor Controller Server software and Aldelo POS. Make sure the key on the Berg Electronic Control Unit is set to ON by turning the key clockwise. 43 Creating a Drink Order in Aldelo POS Create a drink order for your customer in Aldelo POS as you normally would. When you are finished with the order, click the Done button to send the order to the bar. Aldelo POS prints a chit that lets the bartender know what drinks to prepare. Preparing the Drink The Berg All-Bottle 703 system has the capability to distinguish between seven different liquors and can pour up to three different quantities of each of those liquors. Each liquor is identified by the ring pattern on its nozzle. The quantity is controlled by the bartender by selecting the proper button on the Berg Electronic Control Unit. Size 1 corresponds to the S button, Size 2 corresponds to the R button, and Size 3 corresponds to the L button (see Figure A2-1).

44 44 Figure A2-1 Each liquor bottle must have the correct nozzle installed to identify the liquor in the bottle to the Berg system. When the drink order is received, the bartender places the activator ring over the nozzle of the correct liquor bottle, presses the correct size button on the Berg Electronic Control Unit, and then pours the liquor from the bottle with the activator ring still attached to it, into the glass. The nozzle stops the flow of liquor when the correct amount has been poured. If multiple drinks have been ordered, the bartender may continue to pour each drink in turn until all have been poured. Since the ring pattern is different for each nozzle code, the Berg system prevents the pouring of the drink if the bartender has inadvertently placed the activator ring on the wrong liquor bottle. However, the bartender must select the correct size button on the Berg Electronic Control Unit based upon his knowledge of the drink recipes. If the wrong size button is selected, the system does not allow the liquor to pour.
