4 Overview FrameworkFlow is a companion product to FrameworkLTC. The application runs on Microsoft PocketPC handheld devices equipped with a barcode scanner. A wireless network is also required. FrameworkFlow allows users to: Perform physical inventories by scanning the products in the pharmacy and then updating the FrameworkLTC database. Verify that the drug being dispensed matches the drug on the prescription label. Track orders and shipping totes. Print packing slips from FrameworkLTC with contents assured by FrameworkFlow. Zebra/Motorola Device Configuration To connect the Motorola MC55A0 to a wireless network, follow the steps below: 1. On the main menu of the device, highlight Log On/Off. 2. Press Fusion Mode. (This option can be found in the lower-left corner.) 3. Select Options. 4. Select Regulatory from the drop-down box. 5. Uncheck Enable d (Infrastructure Mode only). 6. Press Save. Press Ok to leave the Options menu. 7. Click Fusion Mode again. 8. Click Find WLANs. 9. When the desired wireless network displays, press and hold it with the stylus. A new menu will display. Press Create Profile. 10. Press Next until the 4 th screen (4 of 8). If the wireless key is ten digits long, select WEP-40 (40/20) from the Encryption Type drop-down box. If the password is decimals, then select Hexadecimal Keys (This will be highlighted by default.) Press Next. 11. Enter the Key and Confirmation 12. Continue pressing Next through the remaining screens. Press Ok when finished. 13. The main menu will display showing the device is connected. 9/20/ P age

5 Installation FrameworkFlow supports both Honeywell and Motorola PocketPC devices. The installation procedure differs between the devices. Microsoft Windows Mobile Device Center must be installed on the workstation prior to installing FrameworkFlow. Windows Mobile Device Center is installed by default with Windows Vista or higher Honeywell 1. Connect the cradle to the workstation with the supplied USB cable and dock the device into the cradle. 2. Windows will install the device software. Follow the directions on the workstation and on the PocketPC device. 3. Download FrameworkFlow from the Application Download Center on the Customer Engagement Zone, Navigate to the FrameworkFlow Honeywell link listed under Core Products. 4. When the message, Do you want to run or save FrameworkFlowHWSetup.exe from emeeting.frameworkltc.com? displays, click Run. 5. Enter the installer password. This password will be sent from the SoftWriters Support Department when you are licensed for FrameworkFlow. If you did not receive a password, please contact SoftWriters Support at The installer will begin. 3 P age

6 Zebra/Motorola Microsoft Windows Mobile Device Center must be installed on the workstation prior to installing FrameworkFlow. Windows Mobile Device Center is installed by default with Windows Vista or higher. 1. Connect the cradle to the workstation with the supplied USB cable and dock the device into the cradle. 2. Windows will install the device software. Follow the directions on the workstation and on the PocketPC device. 3. Download FrameworkFlow from the Application Download Center on the Customer Engagement Zone, Navigate to the FrameworkFlow Motorola link listed under Core Products. 4. When the message, Do you want to run or save FrameworkFlowSetup.exe from emeeting.frameworkltc.com? displays, click Run. 5. Enter the installer password. This password will be sent from the SoftWriters Support Department when you are licensed for FrameworkFlow. If you did not receive a password, please contact SoftWriters Support at The installer will begin. 4 P age

7 7. Click Next on the Installer Welcome Screen. 8. Read and accept the License Agreement and click Next. 5 P age

8 9. Enter the User Name and Organization Name into the Customer Information screen. 6 P age

9 10. Choose the Setup Type. The Complete installation will default the installation to the Program Files directory. To move the installation to another drive or directory, select Custom. Click Next. 11. Click the Install button on the Ready to Install the Program screen. 7 P age

10 12. A Pending Application Install dialog box may display indicating that the next time a mobile device connection is made the application will download to the device. Click Ok. Note: You may need to interact with the PocketPC device and click OK on the device to get to the next step of the installation process. 13. A prompt to install or upgrade Microsoft.NET CF 2.0 on the device may be displayed. Click Yes. Check the device for further direction on completing the install/upgrade of Microsoft.NET CF A prompt to install or upgrade Microsoft SQL Client 2.0 may be displayed. Click Yes. 11 15. A prompt to install or upgrade Microsoft SQL Mobile 2005 may be displayed. Click Yes. Check the device for further direction on completing the install/upgrade of Microsoft SQL Mobile A prompt to install or upgrade Symbol Managed Class Libraries may be displayed. Click Yes. 13 Configuration FrameworkFlow will need to be configured to pass data between the device and the FrameworkLTC databases. This configuration is completed from the FrameworkFlow device. 1. Click Start and then select the FrameworkFlow shortcut. 2. On the FrameworkFlow screen, click Settings and then Config. 9/20/ P age

14 3. Enter the name of the SQL Server where the FrameworkLTC databases are held. Enter a valid User ID and Password that has access to the databases. Click Save. 3 P age

15 System Options An application timeout can be set for FrameworkFlow. This time can be configured in System Options in FrameworkLTC. The system option is FrameworkFlow Application Timeout (in seconds) listed under Interfaces > FrameworkFlow. This option will cause a timeout screen to be displayed if the application is open to the Packaging, Final Review, Add to Shipping Tote (by Order) or Add to Shipping Tote (by Tote) screens without any action for the amount of time specified in the Value field for the system option. 9/20/ P age

16 Sending Formulary to the Device The pharmacy formulary must be sent to the PocketPC device prior to using FrameworkFlow. The formulary can be sent after FrameworkFlow has been installed on the workstation and the device. The FrameworkFlow configuration on the PocketPC must be completed prior to sending the formulary. 1. Connect the PocketPC device to the workstation. 2. In FrameworkLTC, select Utilities > FrameworkFlow. 3. Click Send Pharmacy Formulary to FrameworkFlow Device. 4. The Temporary Folder (on workstation) and Destination Folder (on device) fields can be changed. Verify that FrameworkFlow is closed on the device. Click Send. 9/20/ P age

17 5. FrameworkLTC will begin adding the formulary to a temporary text file located in the path indicated in the Temporary Folder (on workstation) field. 6. When the temporary file is completed, FrameworkLTC will send the file to the device. 7. The Send Formulary to FrameworkFlow screen will show as Done when the file transfer to the device has completed. Click Exit to close the window. 3 P age

18 Inventory Scans Utilities Sheet The FrameworkFlow Inventory Utilities Sheet contains barcodes that can be scanned while using the Inventory Collector function. Using the Inventory Scan Utility Sheet is more efficient than using the device stylus or the device s on-screen keyboard. The Inventory Scan Utilities Sheet has two sections, Partial Quantities and Actions. Each section contains barcodes with related descriptions of numbers. To print the FrameworkFlow Inventory Scan Utilities Sheet, follow these steps: 1. In FrameworkLTC, select Utilities > FrameworkFlow from the menu bar. 2. The print location of the sheet will default to the workstation default printer. To change the print location, click the Printer Select button to choose an alternate print location. 3. 20 Inventory Collector The Inventory Collector function assists users in performing a physical inventory by scanning the manufacturer s barcode on the label with FrameworkFlow. The device allows users to take inventory efficiently by scanning the manufacturer s barcode on the product packaging. Each successful scan will result in an increase or decrease in the recorded inventory of the product scanned. If the inventory is increased in error, the error can be rectified within FrameworkFlow through the Reduce Count function. Once the FrameworkFlow Scan Utilities Sheet has been printed, a user can open FrameworkFlow on the device and begin taking a physical inventory. Please review the Inventory Scans Utilities Sheet section in this document to print the sheet. Note: Instructions for this section will be written to incorporate the scan feature where possible, though many of the same steps can be performed with the stylus, keyboard, or other function of the PocketPC. For more information on other input methods, see the PocketPC manufacturer s documentation. Increase Inventory The Increase Inventory function will increase the recorded inventory for a full or partial package of a product on the device. This is the default setting on the Inventory Collector screen. The steps outlined in the Inventory Collector section of this document assume the FrameworkFlow main screen is visible on the PocketPC device. Full Packages 1. Click Inventory Collector from the main FrameworkFlow screen. 9/20/ P age

21 2. Select the pharmacy where the physical inventory count is being conducted by highlighting the pharmacy name in the list. Click Next. Note: The Pharmacy screen will only be displayed if there are multiple pharmacies defined in FrameworkLTC. If there is only one pharmacy defined, then the Inventory Collector screen will be displayed. 3. Select a Zone and Bin. The screen will default to Increase Count. This zone and bin entry will he held until the user manually changes it/ 3 P age

22 If it does not default, then scan the Increase Count barcode located at the bottom left of the FrameworkFlow Scan Utilities Sheet. 4. You can increase the quanitty by a Full Package or by a Partial Package. The drop-down menu for full or partial packages on the device screen should default to Full Pkg(s). If it does not, then select Full Pkg(s) using the device stylus. 5. The cursor should be positioned in the Scan manufacturer s barcode field. If it is not, then select the field with the stylus. 4 P age

23 6. Scan the barcode from the full product package. Or manually enter the NDC into the barcode field and click Add. 5 P age

24 7. After the scan is completed or the Add button is clicked, the Inventory Collector screen will display the drug description, and the current inventory level for the product scanned. The current inventory level will include the newly added package. 8. Repeat steps 4 through 8 to scan additional packages of this product or to increase the inventory count of a different product. Partial Packages 1. Click Inventory Collector from the main FrameworkFlow screen. 6 P age

25 2. Select the pharmacy where the physical inventory count is being conducted by highlighting the pharmacy name in the list. Click Next. 3. Select a Zone and Bin. The screen should default to Increase Count. If it does not default, then scan the Increase Count barcode located at the bottom left of the FrameworkFlow Scan Utilities Sheet. You can also use the stylus to select Increase Count from the drop down menu. 7 P age

26 4. The cursor should be located in the Scan the manufacturer s barcode field. If it is not, select the field with the stylus. 5. From the Partial Quantities section of the FrameworkFlow Scan Utilities Sheet, scan each barcode that represents the number of items in the partial container. Example: If there are 42 labels left in a bottle, scan the barcode labelled 4 and then scan the barcode labelled 2. 8 P age

27 Note: The drop-down will change to Partial Pkg when the first barcode representing the bottle quantity is scanned. If using the stylus to enter the quantity, you will need to select Partial Pkg from the drop-down menu. 6. The cursor should be located in the Scan the manufacturer s barcode field. If it is not, then select the field with the stylus. Scan the barcode from the product package to increase the inventory count. Or manually enter the NDC of the product into the field and click Add. 9 P age

28 7. After the scan is complete or the Add button is clicked, the Inventory Collector screen will display the drug description, and the current inventory level for the product. The current inventory level will include the newly added partial quantity. 8. Repeat steps 3 through 6 to scan additional partial packages of the product or to increase the partial inventory of a different product. Reducing Inventory The Reduce Inventory function in the Inventory Collector allows users to lower the recorded inventory level of a drug product. This function allows the recorded inventory level to be reduced for a full package or for a partial package. 10 P age

29 Full Packages 1. Click Inventory Collector from the main FrameworkFlow screen. 2. Select the pharmacy where the physical inventory count is being conducted by highlighting the pharmacy name in the list. Click Next. 11 P age

To change the task from Increase Count to Reduce Count, scan the Reduce Count barcode located at the bottom center of the FrameworkFlow Scan Utilities Sheet. Or, use the stylus to select Reduce Count from the drop-down. 4. You can decrease the quantity by a full package or by a partial package. The drop-down menu for full or partial packages on the device screen should default to Full Pkg(s). If it does not, then select Full Pkg(s) using the device stylus. 12 P age

31 5. The cursor should be positioned in the Scan manufacturer s barcode field. If it is not, then select the field with the stylus. 6. Scan the barcode from the full drug product package. Or manually enter the NDC from the packaging into the barcode field and click Add. 13 P age

32 7. After the scan is completed or the Add button is clicked, the Inventory Collector screen will display the drug description, and the current inventory level for the product scanned. The current inventory level will exclude the drug product that was removed. Note: The inventory task type will default to Increase Inventory as soon as the inventory count is reduced. 8. Repeat steps 3 through 6 to reduce the inventory of additional packages of this product or a different product. Partial Packages 1. Click Inventory Collector from the main FrameworkFlow screen. 14 P age

33 2. Select the pharmacy where the physical inventory count is being conducted by highlighting the pharmacy name in the list. Click Next. 3. Select the Zone and Bin. The screen will default to Increase Count. To change the task from Increase Count to Reduce Count, scan the Reduce Count barcode located at the bottom center of the FrameworkFlow Scan Utilities Sheet. You can also use the stylus to select Reduce Count from the drop down menu.. 15 P age

From the Partial Quantities section of the FrameworkFlow Scan Utilities Sheet, scan each barcode that represents the number of items to be removed from the inventory count. 16 P age

35 Example: If there are 54 tablets left in a 100-count bottle, but it was entered as a full package, then the count will need to be reduced by 46. Scan the barcode labelled 4 and then the barcode labelled 6. Note: The drop-down will change to Partial Pkg when the first barcode representing the bottle quantity is scanned. If using the stylus to enter the quantity, you will need to select Partial Pkg from the drop-down menu. 17 P age

Or enter the NDC of the product into the field and click Add. 7. After the scan is complete or Add is clicked, the Inventory Collector screen will display the drug description and the current inventory level for the product and the amount it was reduced. 18 P age

37 Adding Items FrameworkFlow will prompt for an NDC and product name for any barcode it cannot match with an NDC in the Medi-Span database. This will allow you to inventory products that have not been added to the formulary. FrameworkFlow will display this prompt if the barcode is scanned and not reconciled when trying to increase, decrease or view the count of inventory. 1. Click Inventory Collector from the main FrameworkFlow screen. 2. Select the pharmacy where the physical inventory count is being conducted by highlighting the pharmacy name in the list. 38 3. Select a Zone and Bin. The screen will default to Increase Count. Scan the barcode for the inventory task you are trying to complete located in the Actions section of the FrameworkFlow Scan Utilities Sheet. You can also use the stylus to select Increase Count, Reduce Count, or View Count from the drop down menu. 4. The screen will default to Full Pkg(s). If you will be scanning a partial package, then select Partial Pkg from the drop-down menu. 20 P age

39 5. Scan the product barcode or manually enter the numeric code from the barcode and click Add. If FrameworkFlow cannot determine the NDC from the barcode or numeric entry, then it will prompt you to enter an NDC and Name for the item. 6. Enter the product s 11-digit NDC (without hyphens) into the NDC field. Enter the name of the product in the Name field. Click Ok. 7. The drug product will be increased or decrease depending on the task selected prior to adding the new item. Note: The drug product has not been added to the formulary. It will be added to the pharmacy formulary when the collected inventory is imported into FrameworkLTC. 21 P age

40 The scanned barcode will be added to the RawBCs table in the FwLTC database and associated with the NDC and Drug Name entered. This will allow the barcode to be recognized for subsequent scans. 8. Click Exit to return to the FrameworkFlow main screen. View Inventory Count The FrameworkFlow View Inventory Count function will display the current inventory for a particular drug product. 1. Click Inventory Collector from the main FrameworkFlow screen. 22 P age

42 4. The cursor will default to the Scan the manufacturer s barcode field. Scan the product package barcode. Or manually enter the product NDC into the field and click Add. 5. The dialog box will display the product name and the current recorded quantity. 24 P age

43 Managing the Inventory After a physical inventory has been completed, the FrameworkFlow inventory will need to be compared to the FrameworkLTC inventory. The FrameworkFlow inventory levels can be imported into FrameworkLTC using the Import from FrameworkFlow utility. After the import is complete, an Inventory Variance Report can be used to view and reconcile any discrepancies between the current formulary inventory level and the current inventory level in FrameworkFlow. After the inventory has been reconciled, it can be updated. Prepare for Upload Prior to importing the current inventory levels from FrameworkFlow into FrameworkLTC, the inventory in FrameworkFlow must be prepared for upload. Each device used for inventory collection MUST be prepared for upload. 1. From the FrameworkFlow main screen, click File and select Prepare for Upload. 2. Click Inventory. 9/20/ P age

44 This process will create a file on the device that will be used to import the scanned inventory into FrameworkLTC. The file is located at the following location path: \\<DeviceName>\My Documents\Business. The file created is named inv.txt. It will contain the NDC, Zone, Bin, the number of full packages and the number of partial packages for all products scanned. When the upload complete, the inventory quantities on the device for the items in the upload will be set to P age

45 Import to FrameworkLTC The inventory from FrameworkFlow will be imported into FrameworkLTC from the Import from FrameworkFlow function on the Formulary Builder screen. 1. Connect the PocketPC device containing the scanned inventory to a workstation where FrameworkLTC is installed. 2. Open FrameworkLTC. 3. Click File > Pharmacy > Formulary > Formulary Builder. 4. On the Formulary Builder screen, click Import from FrameworkFlow. 5. The Import Inventory from FrameworkFlow screen will be displayed. It will show all of the items in the pharmacy s formulary with each items package quantity, the current on hand amount and the average unit cost. Click Import. This will transfer the data from the inv.txt file located on the device to FrameworkLTC. 6. When the transfer is complete, the field below the Import button will display Import completed successfully. The grid will update. The Pkgs. Imported, Partial Imported and Total Imported columns will display the data from the device. 9/20/ P age

46 7. Disconnect the device. 8. Repeat steps 1 through 6 to import inventory from additional devices. As the inventory from additional devices is transferred, the quantities displayed in the Pkgs Imported, Partial Imported and Total Imported columns in the grid will increase. After all device data has been imported the Total Imported and Current on Hand columns should contain the same quantities. A discrepancy between the quantities in these two columns for any NDC indicates a variance between inventory recorded in the formulary and inventory recorded on the device. If there are variances, then you should print the Variance Report. This report should be used to re-inventory the items with variances to ensure the correct amounts are used when updating the inventory. Printing the Variance Report 1. From the Import Inventory from FrameworkFlow screen, click Print Variance Report. 28 P age

47 2. The Inventory Variance screen below will display. The report contains the same data as the Import Inventory from FrameworkFlow screen with the addition of the Variance column. This column calculates the difference between the On Hand (formulary) and Scanned (device) columns as a dollar amount based on the Avg Unit Cost for each drug. 3. Click the Print button from the menu bar. 4. After the report has been printed, close the report. DO NOT close the Import Inventory from FrameworkFlow screen. Variances will need to be reconciled and the inventory updated prior to closing the screen. Note: The Inventory Variance report can be saved by clicking the Save button from the menu bar on the report screen. Reconcile Variances Before updating the formulary you will want to be certain the scanned inventory is accurate. When the formulary is updated, the on hand amount for an item showing a variance will be updated to show the scanned amount. For example, the Total Imported quantity of an item is 72 and the Current on Hand quantity is 0. When the update is completed the Current on Hand quantity will be changed to 72. When there is a variance: Increase the inventory count using the Inventory Collector in FrameworkFlow. Reduce the inventory count using the Inventory Collector in FrameworkFlow. Accept the variance by running the Update from the Import Inventory from FrameworkFlow screen. To increase or reduce the count for an NDC with a variance, follow these steps: 1. Select a PocketPC device that does not have any scanned inventory on it, or select a device where the inventory has not been prepared for upload. 2. Open FrameworkFlow on the device. 3. Click Inventory Collector from the FrameworkFlow main screen. 4. For each NDC on the Variance Report, increase or decrease the inventory by following the steps in the Increase Inventory or Reduce Inventory sections of this document. 29 P age

48 5. After all of the items on the Variance Report have been reconciled, prepare the device for upload. Please see the Prepare for Upload section of this document. 6. Import the current inventory from this device to FrameworkLTC. Please see the Import to FrameworkLTC section of this document. 7. Proceed to the Update the Formulary section below to up the inventory quantities in FrameworkLTC. Update the Formulary When the formulary is updated, the inventory quantities in FrameworkLTC will be changed to reflect the quantities on the device in FrameworkFlow. Note: The state of the ACA Short Cycle Drug field will default based on the Medi- Span definition for each drug. 1. Click the Update button on the Import Inventory from FrameworkFlow screen. 2. FrameworkLTC will prompt for a confirmation to proceed with the update. Click Yes to continue. If No is clicked, then the update will be cancelled. 30 P age

49 3. FrameworkLTC will prompt to update products that were not scanned. Clicking Yes will result in setting the On Hand quantity to zero for all products not scanned into FrameworkFlow. Click No to leave the On Hand quantity of drug products not scanned as they were prior to the import. 4. When the update completes, the field below the Import button will display Update has completed successfully. 31 P age

50 Packaging FrameworkFlow provides functionality to ensure the medication being dispensed matches the prescription label. The package barcode is validated against the prescription label barcode. The application will validate with one of the following responses: NDCs match, NDCs do not match and NDCs do not match but they do represent the same DRUG FORM and STRENGTH. Packaging in FrameworkFlow requires a user to login to the application. The User ID can be scanned from a Badge ID printed from FrameworkLTC or it can be manually entered into the device. For more information about Badge IDs, please see the Printing Badge ID section of this document. The directions below assume a Badge ID has been printed and FrameworkFlow is open to the main screen. Prescriptions MUST have gone through the initial review step prior to performing the packaging function. 1. Click Packaging from the main FrameworkFlow screen. 2. Scan or manually enter the user s ID into the ID field. Enter the password associated with the user s ID. Click Ok. (Note: If the system option, Use daily barcodes on pharmacist ID bades, is set to Yes, Then FrameworkLTC will validate that the barcodes contains the current date.) 9/20/ P age

51 Note: The ID can be located in the Pharmacist NPI field of the Pharmacists screen in FrameworkTLC. The password is also located on this screen in the FrameworkFlow Password field. 3. Scan the prescription label barcode. Or, manually enter the prescription or reorder number and then click Find. Note: The reorder number will need to be entered with the patient s initials as a prefix. The prescription number should be entered without the patient s initials. Example: Reorder number 693 for George Washington has a prescription number of To enter the reorder number, enter GW693. To enter the prescription number, enter P age

52 4. To view an image that represents the product associated with the NDC contained in the prescription label, click Show. When clicking the Show button for the first time, FrameworkFlow will require you to enter logon credentials to access the Medi-Span Drug Images. You may fill the script. Click Fill or Don t Fill to proceed. Note: If FILL is selected, then the Workflow tab for the prescription in FrameworkLTC will be updated to show the Packaging step has been completed. 8. If the prescription label barcode does not match the product package barcode, then FrameworkFlow with display the message, The NDC on the label does not match the NDC on the product package. If the prescription label barcode does not match the product package barcode and the product package is for the same drug, form and strength, the FrameworkFlow will display the message The NDC on the label does not match the NDC on the product package, but they do represent the same Drug Form Strength. Click FILL or DON T FILL. Note: This will only occur if the system option, Do not allow GPI Equivalents during packaging step is set to No. Otherwise, the screen in step 8 above will be displayed. 37 P age

56 Final Review After a prescription has been packaged a user, that has permission to review prescriptions, can final review the prescription in FrameworkFlow. The prescription label and medication being dispensed can be validated against the drug information for the NDC from Medi-Span. Final Review in FrameworkFlow requires a user to login to the application. The User ID can be scanned from a Badge ID printed from FrameworkLTC or it can be manually entered into the device. For more information about Badge IDs, please see the Printing Badge ID section of this document. The directions below assume a Badge ID has been printed and FrameworkFlow is open to the main screen. Prescriptions MUST have gone through the initial review and packaging steps prior to performing the final review function. 1. Click Final Review from the main FrameworkFlow screen. 2. Scan or manually enter the user s ID into the ID field. Enter the password associated with the user s ID. Click Ok. (Note: If the system option, Use daily barcodes on pharmacist ID bades, is set to Yes, Then FrameworkLTC will validate that the barcodes contains the current date.) 9/20/ P age

When clicking the Show button for the first time, FrameworkFlow will require you to enter logon credentials to access the Medi-Span Drug Images. 59 6. Once the network logon credentials are received, FrameworkFlow will display the image of the drug product. 7. If you do not want to proceed with the Final Review, click the Cancel review of this order button. This will remove the information from the screen and a new barcode can be scanned. Note: This option DOES NOT undo the Final Review of an order. 8. To proceed with marking the order for final review, click the Mark this order reviewed button. When the final review has been recorded, the order information will be cleared from the screen. 41 P age

60 To process the final review on orders as they are scanned, select the Auto Mark Reviewed on Scan check box. Checking this box will not allow you to view the drug images or cancel the final review for an order. 9. The order will be marked as final reviewed if there are no validations errors. (Not initial reviewed, not pacakage, etc.) If validation errors are encountered, then the order will not automatically be marked as Final Reviewed. However, the order can still be marked as reviewed by clicking the Mark this order reviewed button. 10. After marking the order as final reviewed, the Final Review screen will be cleared of all order information. To mark another order for final review, scan the prescription label barcode and continue through the steps outlined above. To close the Final Review dialog box, click Exit. 42 P age

61 Shipping Tote Labels Shipping Tote Labels are printed from FrameworkLTC. You will need to print the Shipping Tote labels prior to adding orders to the totes. 1. In FrameworkLTC, select Utilities > Print Shipping Tote Labels. 2. Select the Pharmacy. 3. Enter a Starting ID Number. This will be the first Tote ID in the range to be printed. 4. Enter the Number of labels to print. The labels will start with the Starting ID Number from the previous field and print the next in sequential order. 5. Select the Type of Labels to print, Laser or Thermal. 6. Select a Printer to send the labels for printing. 7. Click Ok. 8. When the labels have printed, a message will display showing they are done. Click Ok to close the message. 9. Click Cancel to close the Print Shipping Tote Labels dialog box. 9/20/ P age

62 Add to Shipping Tote (by Order) Orders can be added to a shipping tote using the Add To Shipping Tote (by Order) function in FrameworkFlow. FrameworkFlow will verify if the tote and order destinations match and then add the order to the tote. If the destinations do not match, then the order will be blocked from being added to the tote. 1. Click Add To Shipping Tote(by Order) from the main FrameworkFlow screen. 2. Scan or manually enter the user s ID into the ID field. Enter the password associated with the user s ID. Click Ok. If the tote is not valid for the order, then FrameworkFlow will display a message stating the tote is destined for a different location and the DON T ADD button will display. 6. If the Tote ID is manually entered and the tote is valid for the order, then FrameworkFlow will display a message indicating the order can be added to the tote. The Shipping Totes dialog box will contain different fields based on the Tote Level set on the Misc tab of Facility Setup in FrameworkLTC. Tote Level set to Facility (F). 69 Select the date the tote will be delivered to the destination from the Ship Date calendar. The tote status will default to Open. Leave the status set to Open until all of the orders have been added to the tote. Click Save. 5. Scan the prescription label barcode into the Rx/Ro # field. If they match, then the order will be added to the tote and the reorder number and drug name will display in the grid. If they do not match, then the order will be blocked from the tote. Click Ok to go back to scan a different Tote ID or order. If the system option, Display a warning when adding prescription to a tote if not adjudicated is set to yes, then a warning will be displayed after scanning or manually entering the Rx/Ro #. 52 P age

72 Manage Shipping Totes The Manage Shipping Totes function in FrameworkFlow will allow users to designate totes for each facility, assign a ship date to the totes and to review and update the status of totes. Barcodes for the totes can be created in FrameworkLTC. Adding/Updating Shipping Totes 1. Click Manage Shipping Totes from the FrameworkFlow main screen. 2. Scan a Tote ID from the Shipping Tote Label Sheet. Or, enter a Tote ID. Click Find. 9/20/ P age

73 3. FrameworkFlow will search for the Tote ID. If the Tote ID is found, then the Shipping Totes dialog box will display the information associated with the tote. The Facility, Nurs. Stat., Ship Date can be updated. The status of the tote can be changed by selecting the radio button for the designated status of Open or Closed. After all changes to the tote have been made, click Update. Note: The Nurs. Stat field will only be seen if the facility Tote Level is set to Nursing Station. If the Tote ID is not found, then the screen below will be displayed. Select a Facility and Ship Date. The status of the tote will default to Open. It can he changed to Closed, however, you will not be able to add any orders to the tote. After the fields have been completed, click Save. Note: If the facility is set to Nursing Station, Nursing Station Group or Patient Tote Levels, then a drop-down menu to select that option will display after selecting the facility. 55 P age

74 4. When you have completed adding or updating totes, click Exit. Closing Shipping Totes This function is performed after prescriptions are added to shipping totes. Once the final review has been performed and all prescriptions have been added to the tote(s), then the tote(s) will need to be closed. 1. Click Manage Shipping Totes from the FrameworkFlow main screen. 2. Scan a Tote ID from the Shipping Tote Label Sheet. Or, enter a Tote ID. Click Find. 56 P age
