Handling high freight volume with few employees and getting it done right: This month s case study shows you how the Miami-based international freight forwarder Next Day Cargo uses the Magaya Cargo System to help them serve their many customers in Venezuela and other countries. Enhanced Magaya Software Provides Greater Flexibility Version 7.0 of Magaya Software will be available this month. Here is a summary of the new features available in this release: Create your own Templates: The newly enhanced Magaya Document Designer will enable you to create templates for any documents you need. Simply click and drag from a list of available Magaya transaction fields to create a document specific to your business. You can publish the templates to the Magaya Network. You can use JavaScript to create more complex documents and connect to the Magaya Database and retrieve information of related transactions. Add Custom Fields to Transactions: Now you can add custom fields of different types to any transaction and use them in templates, lists, reports, combo boxes (dropdown menus), filters, when transmitting or converting transactions, export/import, etc. Magaya LiveTrack Enhanced: Magaya LiveTrack has been enhanced to support the custom fields and the new templates. Advanced Filters: Newly enhanced filtering capabilities are available from every screen in Magaya software with a Filter button. You can filter by any criteria you desire. Enhanced Credit Limits Verification: Enhancement to the credit limits verification gives you more options when setting the Payment Terms for a customer. Send Documents in PDF: Now you can send any document (existing or new templates), any list, or report in PDF format. When your customer receives the PDF via Magaya LiveTrack, they can view and save the PDF. This feature does not require any additional installation. Find VINs Quickly: The software has been improved to help you find quickly a Vehicle Identification Number (VIN). These enhancements were added based on extensive research and customer feedback. 2 Page 2 How To? How to Use Advanced Filters This how-to tip explains the new Advanced Filter available in Magaya software. Previously, the Filter button had one option that listed a preset number of ways to filter your lists. Now the Filter button has two options: A Standard Filter and an Advanced Filter. The Advanced Filter screen has a list of Available Fields on the left, Conditions on the top, and results of the Condition(s) you apply on the bottom. The list of Available Fields changes based on the transaction you are filtering. For example, in Bookings the available fields include the Booking Number, Carrier, Cut Off Date, Arrival Date, and more. The available fields in the Pickup Orders advanced filter include Delivery Date, Pickup Address, Driver s Name, and more. Many of the same fields are available in all the advanced filters such as carrier, date, etc. The Available Fields are listed in alphabetical order. The Available Fields also have a Type associated with them: Text, Date, Yes/No, Integer, and Decimal. These Types are defined as follows: The Text type of field allows text to be entered. Available Fields that accept text include Carrier and Shipper. The text field is not case sensitive. The Date field has a calendar for choosing the date and conditions such as On for on this date or On or Before for on or before this date. There are many options for using the date field. The Yes/No field type is used for questions that can be answered as Yes or No. It uses logical (or Boolean) operators that help refine a search. It is used to answer Yes/No questions such as Has a shipment been liquidated? or Is it excluded from tracking? If you use Equals, then select Yes or No. The Integer field allows a number to be entered. If you select the available field of Pieces, you can enter a number (an integer) for the number of pieces. Enter a whole number, not a fraction. Integer is often used for overstock pieces or pieces on hand. The Decimal type allows a number with as many decimal point places as needed. The Decimal field type can be used for weights, values, currency, and more.

3 Page 3 How To? When you select an available field, it is displayed in the Conditions section of the screen. For example, if you select Arrival Date, the Conditions are the date range that you can change with a dropdown menu and the conditions of the date. The following screenshot shows the Booking Number and the text field that is available: ENTER TEXT HERE If you select the condition Equals, enter the full booking number. If you only have part of a booking number, select Contains. For example, if you enter 123 in the text field, the filter will only show booking numbers that contain 123. (The terms Contains Data and Does Not Contain Data are to find blank fields or ones with data.) Then click the Add button. The filter condition you just set up will be added to the filter list. For example: Booking # (Text), Contains, 123. You can add more conditions to refine the filter further. The additional condition will appear below the resulting conditions.

4 Page 4 How To? Conditions can be nested under the first condition to narrow your list results even more. Example of a Filter: To find a cargo release from March 6, 2009 or earlier that was released to Enrique. 1. Select the Available Field. In this example, select Released to. 2. In Conditions, select Contains. (This will allow you to enter a first name or just a last name. If you select Equals you must enter the exact name.) 3. In the field next to Equals enter in the person s name you are searching for: Enrique. (The text field is not case sensitive.) 4. Click the Add button. 5. Select another Available Field: Date. 6. In Conditions, select On or Before. 7. Enter today s date (the default). 8. Click the Add button. 9. Click OK. The result list will display in Magaya Explorer. If the result is found, you will see the transaction you are looking for, but if not, refine your search by clicking the Unfilter button and then return to the Advanced Filter to change the terms, or refine the search by removing a condition and adding a different one. Tips: As with the Standard Filter, the filter applied will remain on that list until it is cleared by clicking the Unfilter button. Clicking the Cancel button will cancel the filter, but it will not clear an existing filter or return your list to its previous status. Click the Unfilter button to clear the filter. Explore how the Advanced Filter can give you increased visibility into your business information.

6 NEXT DAY CARGO AT A GLANCE Next Day Cargo INDUSTRY International Freight Forwarders SOLUTION Magaya Cargo System Magaya LiveTrack Next Day Cargo handles hundreds of door-to-door freight shipments and ocean consolidations from the 30,000 square-foot warehouse to Venezuela with a staff of only 10 employees. They also provide air and ocean courier services to the Caribbean and South America. Started in 1992, they ship a variety of goods, including electronics, auto parts, building supplies, furniture, medical supplies, refrigerated freight service, and more. Their website offers many conveniences for their customers such as a web form to schedule pickups, shipment tracking, and payments. CHALLENGE How can a company with fewer than 10 people working in the warehouse and the office handle over 700 house Bills of Lading per shipment? Add to that workload registering about 20 new customers per day and you get a company that uses Magaya Cargo System to its fullest capabilities. Next Day Cargo started in Miami handling shipments to Venezuela and other countries. They wrote all the package labels by hand and typed all the Bills of Lading on a typewriter. Cargo was building up, Next Day Cargo president Andy Abreu said. As the company continued to grow, they tried another software program but then learned about Magaya. They became one of Magaya s first customers. SOLUTION Today they have a 30,000 square foot warehouse in Miami, two warehouses in Caracas, Venezuela one for ocean shipments and one for air shipments, and are IATA certified to handle dangerous goods. The Magaya Cargo System provides all the operations and accounting functions they need to manage their high volume and continued growth. We receive over 500 packages a day, some as small as one-pound padded envelopes to big boxes containing televisions, computers, and other large items, Andy said as he sat in his office next to a new mount of a Wahoo he caught while fishing another reward for a man who used to be tied to his desk but now the Magaya Cargo System does a lot of the work for him. Ninety percent of Next Day Cargo s shipments go to Venezuela. Customers buy items online, mainly from Amazon.com. Next Day Cargo linked its website to the Magaya Cargo System to offer customers many convenient features, including tracking their items. Customers log in to the tracking page on Next Day Cargo s website that gathers information from the Magaya Cargo System s LiveTrack feature. They can see the status of their items at any time. Other customer-friendly features on Next Day Cargo s website include a registration page that customers use to sign up and begin using Next Day Cargo as their shipping address. About 20 new customers register per day. Customers can also pay on the website. When the customer s package arrives at the Next Day Cargo warehouse, the staff receives it, creates a Warehouse Receipt in the Magaya Cargo System to assign the package a location in the warehouse, and they print a label for each package. Then the Magaya Cargo System automatically sends the customer an notifying the customer that the cargo arrived in the warehouse and the shipping choices and costs. Next Day Cargo customized the text of the message in the Magaya Transaction Tracking option. This is the best thing in Magaya the automatic transaction tracking that sends a message to the customer about their order. Otherwise we d have to make 700 phone calls per day to ask customers how they want their shipment sent and how they will pay for it, Andy said. It works great for us. Once the items arrive in Caracas at one of their two warehouses, they use motorcycles and vans for deliveries. They can deliver 100 different items in one day. They also ship to other cities outside Caracas. RESULTS Next Day Cargo prides itself on its quality customer service. The proof is in their growth and the positive feedback on Amazon.com posted by customers who write about the good service they receive from Next Day Cargo. The number of customers shipping to Venezuela has increased recently due to government-set limits on credit cards and restrictions on the number of dollars a person can have. All this adds up to more customers for Next Day Cargo. Another positive result of Next Day Cargo choosing the Magaya Cargo System is the money saved by not having to buy another software program to process their accounting needs. Magaya provides such a complete solution that Next Day Cargo can rely on the accounting features in the Magaya Cargo System to the extent that they do not use any other accounting software. Integrated accounting features in Magaya that they use include the liquidation function to generate the invoices for their customers and the reporting functions to create income statements and other reports to give to their accountant.

7 NEXT DAY CARGO RESULTS (cont.) Next Day Cargo also uses the communications capabilities in Magaya Cargo System to chat with their office in Venezuela and to send the shipment information to them. The communications function in the Magaya Explorer will send a master shipment containing all the houses for a shipment, especially useful when many of their daily shipments often contain over 700 houses. The agent at the destination uses the Magaya Cargo System to receive the cargo in their warehouse, and then the inventory status is updated in the Magaya Explorer, also saving them time and work. In January 2009, Next Day Cargo added refrigerated service to its offerings. Customers can order items such as frozen foods and have them shipped to Venezuela via ocean shipment in a refrigerated container. The Magaya Cargo System offers a tab for Refrigerated commodities. Users can enter temperature and ventilation information when they create a shipment or other transaction that requires refrigeration. IN CLOSING In the future, Next Day Cargo is looking to implement the Magaya WMS solution and handheld devices. Since their warehouse staff handles so many packages per day, the ability to scan each one and have the information entered in the system automatically would improve the speed of handling such large quantities. During the peak shopping season, we receive about 5,000 packages a week, Andy said. That s a lot to track. With Magaya WMS, they will be able to build a pallet by scanning the items to a pallet so they will know what items are in each pallet.
