In the Works Magaya POD Mobile How To Copy and Customize Documents Case Study Davidson s Freight Forwarding Magaya Cargo System In the Works Note from Editor If you want to customize your documents, Magaya has a new feature that you can use to add your company logo or an image to Warehouse Receipts, Pickup Orders, Invoices, and more. Check out the How-To Tip for details. This month s case study highlights how a Romanian freight forwarder uses the Magaya Cargo System to transport cargo within the country and across Europe. Davidson s chose Magaya to meet their needs as a small company that handles a variety of types of shipping because Magaya software is versatile and easy to use. Magaya POD Mobile The Magaya developers are currently working on a new product the Magaya POD Mobile. This application runs on wireless handhelds that truck drivers use to collect delivery information and a customer signature when delivering merchandise to the final consignee. How it Works The Magaya POD Mobile application connects to the local Magaya system to retrieve the orders pending for specific drivers so they can load their trucks. A map feature in the Magaya POD Mobile application provides the driver with maps of the delivery locations. The driver arrives at the location, selects the order and scans the barcodes of the items for that order. Then the driver electronically collects the signature of the person receiving the package. The Magaya POD Mobile application will post the collected data to the system. The information and the signature will be available for the customer to view via Magaya LiveTrack or Magaya Transaction Tracking. Magaya Logistics Software Solutions

2 Page 2 How To How to Customize Your Documents Would you like to add your company logo to your Warehouse Receipts, Pickup Orders, or other documents in Magaya Explorer? How about add a new field? A new feature in Magaya Explorer lets you do just that and more. In the April 2009 issue of the Magaya Insider we explained how to add custom fields to transactions in Magaya Explorer. This month we bring you a new tip on customization: How to Customize Your Documents. You can customize existing documents (templates) or create new ones. Copy and Customize an Existing Document For this example, let s copy an existing Bill of Lading in Magaya Explorer. Then we will customize it by adding a company logo and a new field to it. To start, follow these three steps: Click on the Document button on the main toolbar (or the Shipment Toolbar) in Magaya Explorer. 2. When the document window opens, select a document (such as a Bill of Lading) by clicking in the box to add a checkmark inside the box next to the document name (make sure the document name is highlighted as shown in the screenshot). 3. Click on the Copy button. Click the Yes button to accept. The document opens in the Magaya Document Designer (This document is the template that all your Bills of Lading will be built on). Let s look at the Magaya Document Designer interface to get familiar

3 Page 3 How To The Magaya Document Designer Interface The main screen of the Magaya Document Designer is the Design Pane, the place where the document you copied will open. It has a ruler on the top and side, and tabs on the bottom for the design pane and the code pane. The toolbars on the top have standard buttons such as Save, Edit, and Zoom and other design buttons for adding text boxes, lines, etc. On the right side is a menu with three tabs: Schema (XML), Fields, and Variables. The schema list displays all the fields that are available for the type of document you chose. Selection Tool Image Button You can click and drag schema elements from the list to the designer pane. When you select an item and drag it to the designer pane, the item becomes a field with handles on the sides so you can resize the field. You can move the field by dragging it or by using the arrows keys on the keyboard. Add Your Company Logo or an Image To add your company logo, click anywhere on the document. Click on the Image button (or click on the Insert menu and select Image): Draw a box on the Bill of Lading where you want the image to appear. A dialog box opens. Select your logo image file from your folder. Click OK to insert the graphic.

4 Page 4 How To To adjust the size or shape of the box, click on the Selection tool on the toolbar (the button with the blue arrow). Green squares will appear on the corners of the image box. Click and drag from any green box to resize the image. To delete the image, click on the Edit menu and select Undo Insert (or select the image and click the Delete key). Save the template when you are done. (Tip: As with any document you are working on, it is best to save periodically while you are working.) Next you will need to publish the document. Publish the Document To make the document available in Magaya Explorer, it needs to be published. To publish: Click on File > Publish Document. Enter your Magaya Network ID if it is not already filled in. Enter your password. (Only employees with rights to create documents will be able to publish templates from the Magaya Document Designer.) Click the Publish button. To make changes to a published document, edit it in the Magaya Document Designer application and save it. Re-publish it to make the changes available to your customers who see documents via tracking. In Magaya Explorer, click the Refresh button in the document view to see the updated version.

5 Page 5 How To Add a Field Another customization you can make to your documents is to add a field. For this example we will delete the FMC field in a Bill of Lading and add the SCAC field in its place. 1. Click on the field you want to delete and click the Delete button (or right-click and select Delete ). 2. Click on the Schema that you want to use. In this case, select the SCAC field by expanding the plus sign next to the Schema IssuedBy. Then expand Carrier Info. Select SCACNumber Click and drag the SCACNumber schema to the Bill of Lading and place it where you want it. You can resize the field or move it to adjust the location. They import and export, offer customs support services, and provide local and international trucking in and out of EEC (a European Union directive) bonded and non-bonded storage facilities. Davidson s is headquartered in Otopeni, near Bucharest, Romania. CHALLENGE Romania is full of opportunities and challenges. As the country transitions from communism to capitalism, the transportation industry is one of many moving from old ways to new. Romania joined the European Union in January 2007 and is working on bringing the country up to modern standards. There are road projects scheduled. The seaport of Constanza has undergone improvements to the infrastructure. The freight forwarding business in Romania is mostly done by small and medium-sized businesses. One of them, Davidson s, opened near the capital city of Bucharest two years ago and has been growing by combining old methods with new technology. The General Manager Ofer Sokal knew getting the right software would improve his operations and give Davidson s a competitive advantage in a country where many companies still do not use software programs for shipping procedures. After evaluating other programs, Mr. Sokal chose the Magaya Cargo System. It s very user friendly software, Mr. Sokal said. It s very easy to understand. Davidson s is headquartered in the southeastern part of Romania, in the town of Otopeni, near Bucharest. They have a custom brokerage house and a bonded warehouse inside the airport, another warehouse in Bucharest, and a free-zone warehouse at the seaport of Constanza. They ship many different items, including importing clothes from China into Romania and exporting to Europe. They process approximately 150 containers per month. 70% of their business is international trucking to European countries such as Poland, Germany, France, Turkey, and Scandinavian countries. There are so many trucks at night, you could ride a motorcycle on the tops of the trucks for 1,000 kilometers, he joked. The other 30% of their business is air and ocean transport. Containers arrive at the Constanza seaport, are trucked to the Bucharest warehouse, and opened to process the items. Since they ship to so many countries in Europe, they work in multiple currencies and need to calculate the exchange rate daily so the correct amount can be invoiced. In addition to their core business of freight forwarding, Davidson s provides customs clearance, which is another challenge in Romania. Customs clearance is the name of the game in Romania. The paperwork must be perfect before you can even begin to get your shipment processed. We have the experience because we have worked in Romania for years. I have a good staff who understand the both the old Eastern European way of doing business and the new, Western European attitude and technology. SOLUTION Mr. Sokal explained what he liked about Magaya software: I got very excited about Magaya from the beginning. It was easy to get started with and to train others to use, Mr. Sokal said. Other companies make you meet with them or mail you a disk. The Magaya software was easy to download, and it is easy for me to explain to others how to use it. We did not need expensive seminars or training. Mr. Sokal is from Tel Aviv, Israel, where there are many software companies. He spent six months evaluating different programs to choose the right one for Davidson s operations in Romania. I have seen many logistics software programs, and I chose Magaya because it meets our needs as a small- to medium-sized freight forwarder. It is very versatile. We are doing all kinds of shipping now; we ship cars, clothing, you name it. We re doing air, ocean, and ground, import and export. And Magaya has it all. Other software programs were too specialized, and we needed more flexibility, Mr. Sokal said. Magaya Cargo System is perfectly suited to us. Mr. Sokal wanted a system that can store their data, provide quick and reliable information about what business they have done, and what they need to do.

I could see what was coming in, what was due and in different currencies, and for the first time, it was clear to me. We also use the customization features in Magaya to customize our invoices, he said. When I saw that, I couldn t believe it Davidson schedules pickup orders in the Magaya Cargo System and gives their customers a detailed quote of all the prices. Davidson has built a reputation on reliability. There are no surprise charges, he said. We are very open. We do not hide anything from our customers. This is very new in Romania. During the current economic downturn, Davidson has actually seen an increase in their business because small shipments have replaced large shipments. We have built a reputation for reliable service, and people have come to count on us because of our experience, service, and availability. RESULTS IN CLOSING We get calls from other software providers who offer their services, and we tell them we are happy with Magaya, he said. When Mr. Sokal and his partner Mr. Raphael Nachmany opened the office two years ago, they had three people. Now they have 18 people working in Bucharest, and they are opening another office in the city of Timişoara to service northern Romania. The need for the service is so great there that when Davidson placed a sign in front of the new building, they started receiving phone calls from customers before the business even opened. Future plans for Davidson s include using Magaya software in their new office, implementing the warehousing and task features, and they are considering adding the Magaya WMS program to their current Magaya system.
