3 This document should be read in conjunction with the BMS version Beta 2 Trade Item Information including correction documents. This is a Beta 2.0 version of the guideline for Trade Item Information version as implemented by GS1 Sweden. This guideline is for users and solution providers.. It is important to know the difference between this two documents and how you should read the documents to avoid misunderstandings. You cannot compare the two documents in their entirety since they are based on different groupings of attributes. In the BMS the structure is strictly built upon the new data model for GS1 Trade Item Information and the guideline is based upon a more logical grouping of attributes. 11 Introduction In order to have an efficient flow of goods it is vital that the seller and the buyer have the same and correct information about the attributes of items, such as dimensions, weight, article number and shelf life. This data is sent electronically which provides an efficient flow of information. By getting item information in advance, the recipient can prepare warehouse and shelf space and update computer systems so that logistics are optimized and handling of the physical item is easier and quicker. It is essential that the information sent is correct and exactly reflects the item itself. Since the recipient prepares his systems and logistic routines in advance, considerable cost can be incurred if the item is not as described in the information sent. Remember that it is the supplier's responsibility to ensure that item information is correct. This guideline is a description of the Swedish adaption of the GS1 Trade Item and the Food and Beverage Information. The guideline is intended for suppliers sending Trade Item Information to their recipients. The content will provide the knowledge and insight you need in order to supply correct Trade Item Information. Parts of the content in the document are also intended for system developers and recipients of Trade Item Information. In addition, system developers and recipients must also read the business technical document specification for the Trade Item Information included Food and Beverage Information. The logical grouping of Trade item information, Food and beverage information and Animal feeding information in this guideline differs from ADS itemization grouping based on an adaptation of the global data model where the terms are grouped into modules. For system developers need guidance read in conjunction with the ADS. Trade Item Information - attributes The attributes in Trade Item Information are described in this section. The attributes are grouped in logical groups in a hierarchical structure. The attributes are described by an attribute number, for example T0153, an attribute name, for example Document command, a definition and sometimes additional descriptions. An example is specified for some attributes. These examples must be read independently and not in combination with other examples. 13 Note that the logical grouping in this guideline differs from ADS itemization grouping based on an adaptation of the global data model where the terms are grouped into modules. For system developers need guidance read in conjunction with the ADS. Trade Item Document The group is used for specifying Trade Item Information for a complete trade item hierarchy. T0153 Document command Code indicating if the information is an addition, deletion or a change. Code indicating if the information is for a new item, deleted item, changed item or corrected Trade Item Information. Note that the document command applies to the whole trade item hierarchy. New: Used when one or more items in the trade item hierarchy are new and are being declared for the first time. Also used when the pallet level item is new and the case and base level items are unchanged. Deletion: May be used when the information provider of trade item removes Trade Item Information from his system in order to allow the buyer to make a corresponding deletion. Only to be used when the item is known to the buyer. Only to be used when the buyer has previously received information from the supplier that the trade item is to be discontinued (given in "T4015 Discontinued date time"). Change: Used when one or more items in the hierarchy is changed, but no item has been corrected. The change does not require that the item is allocated a new GTIN, according to GTIN Allocation Rules. For example, when the storage temperature of the item changes. Correction: Used when the Trade Item Information of one or more items have been corrected. Correction means that previously submitted information was incorrect and is corrected, without any change in the item itself, for example correction of a spelling mistake in the item name. The code is always in relation to previously sent information on this item that is approved by Validoo Item. For example, if an attempt to register a new item is rejected by Validoo Item, the Trade Item Information should be corrected and resubmitted. In this case, the item is still a new item. The identity is a globally unique and unambiguous number. The information provider of trade item is the party who creates, changes, maintains and is responsible for the Trade Item Information. The Trade Item Information shouldn't therefore be changed by other parties. - M M M T3807 Information provider of trade item, name Name of the party who has created the business document. Name of the party who has created the business document. The information provider is the party who creates, changes, maintains and is responsible for the Trade Item Information. The Trade Item Information shouldn't therefore be changed by other parties. - M M M T3809 Data recipient Identity, according to GS1's identification system of the party, which is authorized to view, use, download a set of Master Data provided by a Data Source. 15 - M M M T3806 Effective date time Date and point of time from which the information in this business document is effective. The date on which the Trade Item Information for this item is effective. This effective date can be used for initial trade item offering, or to mark a change in the information related to an existing trade item. This date would specify when these changes take effect. Note that the information in the attribute may vary depending on the recipient T15:45:00 - M M M T4008 Last change date time Date and point of time on which the Trade Item Information last was changed in the information provider's system. When the attribute is used it allows the data pool to control the trade item data version. The date and time is not allowed to be a date and time in the future. Note that the last change date time can be different date and point of times for different items in a trade item hierarchy T09:10:15 - M M M T4009 Publication date time The date and point of time on which the Trade Item Information is sent to the intended recipient. If the publication date is today's date, or is a date that has passed, the information is sent to the intended recipient. If the publication date is a date in the future the information is not sent to the recipient until this date is achieved. 16 T14:50:00 - M M M T4200 Community visibility date time The date from which the neutral trade item information (i.e. not the private information, not relationship-dependent data and not price data) is available to all members of the target data pool, without restriction. Until this date only the data recipients to whom the data source has explicitly published the data can have access to the data. By setting this date a data source gives permission for wider publication of the generic item data T13:35:14 M = Mandatory C = Conditional - = Not used - M M M Trade item identities The group is used for specifying information that identifies the trade item. This includes GTIN, item name, brand, shelf-edge and till-roll texts, and the hierarchical level of the trade item. - M M M T0154 Trade item, GTIN Identity of the trade item according to GS1's identification system. GTIN is a globally unique and unambiguous number. Every trade item must have a unique GTIN for ordering and statistical purposes. GS1 has a set of rules governing which changes on a trade item that require a new GTIN and which are permitted without the GTIN being changed. 17 Code Value Code list T3799 The number is not a GTIN (Global Trade Item Number). The attribute may only be used if the trade item is an orderable unit for the wholesaler. This identification must be unique, that is, it may not be used on any other trade item or trade item hierarchy from the same supplier. The recommended length for the supplier s article number is maximum 10 characters, but if the supplier needs to specify a longer number (up to 14 characters), then the supplier should verify that the buyer can read the information. Choose code value SUPPLIER_ASSIGNED for T0172 from code list T3799 Additional trade item identification type code is specified according to code list T3799 See T0018 Functional name Note! The name of this trade item. The item name of the trade item may not contain data about e.g. brand, size or weight. The name should be used as a search term and to identify the item in an online store. Always specify the information in Swedish. s of approved item name: Breakfast cereals. s of non-approved item name: Breakfast cereals 500g Allows for the representation of the same value in different languages but not for multiple values. - M M M T3810 Trade item description An understandable and useable description of a trade item. Trade item description that can be understood by consumers and be used as a searchable product name. One recommendation is to use brand name, sub brand, functional name, variant, net content and, where applicable on case level, quantity of next lower level trade item. Variation of writing rules may apply depending on sector and product group. Use as few abbreviations as possible. The prescribed, regulated or generic product name or denomination that describes the true nature of the food and is sufficiently precise to distinguish it from other foods according to country specific regulation. Always specify the information in Swedish. Mandatory for food and beverage products. Allows for the representation of the same value in different languages but not for multiple values. T0143 Brand name Supplier's brand name for this item. For internal use and on shelf-edge labels. If the trade item consists of several different trade items with different brand names, one of these should be chosen. Brand name is not permitted to be changed without assigning the trade item a new GTIN (Global Trade Item Number). Read more about GS1s GTIN rules on - M M M T2230 Subbrand Second level of brand. This attribute is mandatory if the trade item is a consumer unit with a barcode intended for retail sale. short should ideally be exactly the same text as on the package, but must not contain the brand or size. If there are variants that the supplier wants to distinguish, then the distinguishing characteristic should be placed last in the text. Always specify the information in Swedish. : " Chorizo grovkornig" The content of the attribute should be equivalent to "T0018 functional name" but be limited to 18 characters. If the text on the package contains more than 18 characters, the text must be shortened. This attribute is mandatory if the trade item is a consumer unit with a barcode, and if it is intended for retail sale. Certain types of items, for example small cosmetic trade items, are excluded from the rule. Always specify the information in Swedish. See print rules for T3337 short. Allows for the representation of the same value in different languages but not for multiple values. - C C - T3815 Context identification Code list T3815 The unique identifier established for the context managed by GS1. A certain context of a trade item have a set of modules and this is a way to prepare for further validations. Different contexts can share the same modules of attributes but have different business needs and different validations. 21 C C C C T3849 Import classification type code Code Value Code list T3849 Imports and exports of trade items typically require classification codes to determine appropriate duties and tariffs. Import and export of articles usually requires classification codes to determine the customs tariffs and tariffs to be applied. is specified according to code list T3849 See - C - - T3302 Import classification value Customs product code. The attribute is required for imported items. The number is issued by the Swedish Customs. Code Value Code list Choose code values from external code list: external - C - - T4011 Target market country code Code indicating the country level or higher geographical definition in which the information provider will make the trade item available to buyers. The target market country does not in any way govern where the buyer may resell the trade item to consumers. The attribute must be used once per item. If the item is intended for more than one target market item information must be sent once per target market. 22 - M M M Reference to trade item This group refers to trade item, not in the trade item hierarchy, that is referenced for a specific purpose for example substitute, replaced, equivalent trade items. - C C - T3793 Referenced trade item, GTIN The identification of the referenced trade item, GTIN. The identity is a globally unique and unambiguous number. The attribute can be used when a new trade item replaces a discontinued one. Note that the information in the attribute may vary depending on the recipient It can also be used when the trade item is a variant of a previously specified trade item in the buyer's line. : A new flavour of an existing soft drink. The attribute may be used when the trade item has identical package type, physical dimensions and brand name as the item variant master trade item. This attribute only creates a logical link to a similar product. All Trade Item Information for the item must still be sent. Another name for the new item, which is a variant of the item variant master, is line extension. Enter the current GTIN and then select the type of article that is referred to by selecting the type in the code list T M M - T3794 Referenced trade item type code Code list T3794 A code depicting the type of trade item that is referenced for a specific purpose. For example replaced by. s in code list T3794 for the Swedish market: Choose either REPLACED Indicates the trade item identification of an item that is being permanently replaced by this trade item or ITEM_VARIANT_MASTER - Another trade item of which this trade item is a variant. 23 is specified according to code list T3794 See - M M - Additional Identities This group refers to other alternatives to the Global Trade Item Number to identify a trade item. - C C - T3798 Additional trade item identification An identification depicting the type of trade item that is referenced for a specific purpose. If there is no other specific fields for additional trade item identification this attribute can be used in combination with T3799 Additional trade item identification type code. All pharmaceuticals marketed in Sweden must have a Nordic item number on the package. The six-digit code is unique for a given package. Its purpose is to enable identification of the package in every part of the chain of distribution, from the companies to distributors, pharmacies and authorities. Choose code value in code list T M M - T3799 Additional trade item identification type code s Code list T3799 Code specifying an additional trade item identification type. s in code list T3799 for T3798 in the Swedish market: PLU PLU-number NAN - Nordic Article Number SUPPLIER_ASSIGNED - Supplier Assigned NAN is a 6 digit identification number needed on all human and veterinary pharmaceuticals licensed in Sweden. The number is unique for a certain packages.
