3 About this Document This document serves as an end user guide for DSI s Liquid Scheduling website, not the back-end DSI Software configurations for the website itself. It is up to you to decide and document your own SOPs with the system s functionality. Its purpose is to provide enough information about the application so that you can get your job done. The intended audience is IT and supply/demand logistics staff, with beginning to intermediate knowledge of the DSI Software. Experience in a requisition or distribution logistics role within the dairy or food manufacturing business is also helpful. 4 Liquid Scheduling Module Overview Liquid Scheduling is designed to conjoin elements of Producer Payroll, Liquid Sales, and Liquid Procurement modules to schedule and track demand and supply. The software requires you to perform less data entry whenever possible, and allows you to interact and be alerted to important information within the system. It is the back-end scheduling functionality that is the heart of the system, automating numerous tasks that were previously performed manually. Another convenient feature is that you do not have to wait to enter demand or supply because the system is not dependent on the Load Entry function of the DSI Liquid Sales/Liquid Procurement modules. All back-end configuration is performed in the DSI Software. DSI Software + its companion website = the Liquid Scheduling module NOTE The web application works best using the Chrome browser. Operative System Terms & Concepts For some readers, these may be totally new terms and concepts. For others, it may simply offer clarification. They all represent new entity and process concepts for the DSI software and its companion website. Entries are in alphabetical order: Key Term, Process, or Concept Auto Dispatch Batch High-Level Explanation You control when this command runs by clicking Auto Dispatch on the Dispatch Processing screen. The system does nothing until you click this command button. After sending this command to the system, you have some time to review reports or other system results for adjustments that should be made before finalizing the schedule (Finalize Schedule). The command kicks off a system operation that automatically matches supply and demand for a Schedule based on configurations made in the DSI software. This represents a set of Supply, Route, and Demand data for a specified Dispatch Group for a specified time period and item. Rules of the road: You must give each batch a unique name/identifier and you must process it independent of other batches. Batches are created and maintained in Dispatch Processing. Schedules are created per batch. BATCH = DATE RANGE + ITEM + DISPATCH GROUP Carriers These are the trucks performing pickups and deliveries, so that supply is delivered to destinations of demand. 5 Key Term, Process, or Concept Demand Dispatch Dispatch Group Intake/Receiving Schedule Supply High-Level Explanation This is driven by the need for dairy liquids by requesting parties, such as a plant producing ice cream that needs cream. The Liquid Scheduling module allows you to enter demand from various requesting parties, and then the system works to match that demand with available supply. In this guide: Bulk Demand Entry is discussed on page 7. Demand Maintenance on page 17. Dispatch activity provides the bridge between the demand and supply entered into the system. Dispatch functions use a series of rules to match supply and demand automatically in the system, but you also have the ability to manually manipulate supply and demand data. Dispatch user types (Dispatchers) create a finalized schedule and deliver it to carriers and destinations. Changes to the schedule can be sent back to a dispatcher for updating as needed. A dispatch group represents a set of destinations, sources, and routes corresponding to one another by sales and purchase offices. Each dispatch group creates batches independent of other dispatch groups in the system, allowing multiple dispatchers to work with their supply and demand without interfering with one another. The Liquid Scheduling module relies on various parties to intake the supply delivered to each demand destination. The intake section will expand upon the current Load Entry functionality to provide a schedule to the receiving personnel and update the schedule for all users when possible based on the systems in place. The dairy liquid could be received by a plant that is their customer or it could be delivered to their own plant. Liquid scheduling provides intake (receiving) locations with information on what carriers are scheduled to arrive with what product. The schedule is a collection of dispatched supply and demands for a batch including the destination, carriers, items, weights, delivery times and bays. A schedule can be viewed for a specific destination, a carrier or as a whole, depending on user authority. Demand is fulfilled by available dairy liquid supply from various sources involved in the process. For example, dairy farms producing raw milk or plants making cream would be suppliers. The Liquid Scheduling module allows you to enter available supply, and then the system works to match that supply with the appropriate fulfillment destination where demand is met. 6 Bulk Supply and Demand These two functions are used to enter supply and demand: Bulk Supply Entry - The purpose of this function is to create supply records and their pertinent details so the system can use it to match up with demand entries in the system. Bulk Demand Entry - The purpose of this function is to create demand records and their pertinent details so the system can use it to match up with supply entries in the system. In your daily job, you may be responsible for entering one or the other, or both. In many cases, you can only perform tasks for which you are authorized (as configured in the DSI Software: Liquid Scheduling > Maintenance > Liquid Scheduling Maintenance). Bulk Supply Entry The purpose of this function is to create supply loads and their pertinent details so the system can use it to match up with demand entries in the system. The supply entries are used by Dispatchers, who are part of a Dispatch Group, to create Batches. Dispatch groups then use batch data to assemble schedules (with Dispatch Processing). Dispatchers finalize Schedules and send them out electronically to all interested parties sources, destinations, carriers, etc. Simultaneously, users at other locations can View Schedules and bay personnel can monitor Arrivals/Departures as well. After your data entry is complete, the details are displayed in the grid in the lower portion of the window (Pending Supply). Liquid Scheduling Website User Guide v1.0, June 2016 Page 3

7 1. Click Bulk Supply Entry from the left navigation pane: 2. Select the desired supply from the Source Code [Name] drop-down list Supply source codes are defined in the DSI Software. Both commands listed below, which work with the Source Code Name, are meant to save you data entry time. Remember to double-check your work before clicking Add to add copied or imported supply batches for the selected date range (period) to the schedule. (Optional) Click Copy to copy existing, previous bulk supply batch data to the current screen. This will help save you data entry time. (Optional) Click Import to facilitate a file import of a Microsoft Excel Worsksheet (.xlsx file) containing bulk supply data. 3. Select the desired Item [Description] from the second drop-down list, which contains all the supplier s available items as defined in the DSI Software. 4. It is normal for default dates to appear in the Period Start/End fields. The system suggests future date ranges based on configurations made in the DSI Software and the availability of supply. If you need to change the default dates, use the calendar controls to select inclusive, Period Start and End dates, which define the period during which supply is available. Do this by clicking directly in the Period date fields and then when the calendar displays, select the desired dates. Dates are inclusive. Liquid Scheduling Website User Guide v1.0, June 2016 Page 4

8 5. Select the desired check boxes to associate Product Attributes to the supply item, such as BST Free or Organic, etc. You can apply all attributes at once by selecting the Include check box. 6. In the Loads field, type the number of loads associated with the item being supplied for each day (if different from the source s default). For instance: 4 loads for each day within a stated period. Default number of loads associated with your selected supplier is configured in the DSI Software. 7. In the Weight field, type the total weight of the number of loads being supplied on a given day within the Period. The default weight associated with the default number of loads is displayed here, but you can change the default weight value in the DSI Software. 8. (Optional) Type an External Order ID in the External Order ID field, if desired. This is likely an optional, external order ID particular to your business. 9 9. (Optional) Click Restore Defaults to restore Period Start/End dates, Product Attributes, Item, Loads, Weight, and External Order ID to their default settings, which may be null. 10. Click Add to add the bulk supply entry and its details to the Pending Supply schedule at the bottom of the window for a final review before saving. 11. Note the Pending Supply Details of the bulk supply addition: (1) inclusive Date Period and corresponding Days of the Week; (2) Item No. and Description; (3) Product Attributes; (4) Total Loads per Day within the time period; and (5) the Total Load Weight per Day. 12. Click Save to enter the supply you have added in step 10 above into the system. 13. (Optional) Click Refresh to clear the Pending Supply grid, so you can make adjustments and re-add again as directed in step 10 above. 14. (Optional) Click Report to run supply reports. The demand entries are used by Dispatchers, who are part of a Dispatch Group, to create Batches. Dispatch groups then use batch data to assemble schedules (with Dispatch Processing). Select the desired Item [Description] from the second drop-down list, which contains all the items available for demand. Item codes are defined in the DSI Software. 4. It is normal for default dates to appear in the Period Start/End fields. The system defaults this date range based on configurations made in the DSI Software and the availability of demand in open batches. If you need to change the default dates, use the calendar controls to select inclusive, Period Start and End dates, which define the period during which supply will be available. Do this by clicking directly in the date fields and then when the calendar displays, select the desired dates. Dates are inclusive. 5. Pricing See the Special Pricing section on page 40 for detailed information about this function. 6. For instance, 4 loads for each day within a stated period. 8. In the Weight field, type the total weight of the number of loads that are part of the demand on a given day within the Period. The default weight associated with a load is displayed here, but you can change it as needed. It is configured in the DSI Software. 9. (Optional) Type the PO Number applicable to this demand order you re entering. 10. (Optional) Type an External Order ID in the External Order ID field, if desired. This is likely an optional, external order ID particular to your business. 11. (Optional) Click Restore Defaults to restore Period Start/End dates, Product Attributes, Item, Loads, Weight, and External Order ID to their default settings, which may be null. 12. Click Add to add the demand and its details to the Pending Demands schedule at the bottom of the window for a final review before saving. Note the Pending Demand details of the bulk demand additions: (1) Inclusive Delivery period start Date and corresponding Day of the Week; (2) POs and External Orders; (3) Item Nos.; (4) Product Attributes; (4) Total Loads per Day of the demand batch s delivery date; (5) Total Weight per Day of the day s demand batch. 13. Click Save to enter the demand you have added in step 12 above into the system. 14. (Optional) Click Refresh to clear the Pending Demands grid, so you can make adjustments and readd again as directed in step 12 above. 15. (Optional) Click Report to run demand reports. 13 Supply and Demand Maintenance These two functions are used to manage existing supply and demand entries in the system: Supply Maintenance Demand Maintenance In some cases, tasks cannot be performed without required configuration in the DSI Software (noted where applicable). Window Controls Window controls 1 are command buttons, text fields, drop-down lists, ellipses, check boxes and the like. On some screens, they may be unavailable to edit (greyed out). This means the system is preventing modifications to a record in-process OR you don t have proper system permissions. The table below summarizes some of the more prominent window controls for your reference. IMPORTANT All changes you make whether they list under Edit Demand Info, Product Attributes, or Loads section are made final with the Apply command. Be sure you understand the affect your commands will have on the system before using them. 1 The Window Controls section precedes the Supply and Demand Maintenance sections because most of the controls apply to both functions. 14 Edit Demand Info contains all command buttons pertinent to changes made in bottom areas of the window Saves all changes you have made in the lower portion of the window. Click Apply after making modifications to an existing record or when creating a new record. Note this creates a new supply/demand record no. as indicated in the top grid of the window, which also applies to Bulk Supply Entry or Bulk Demand Entry. Click New to clear all fields in the lower portion of the window so that you can create a new supply/demand record. In this capacity, you are only creating a new supply/demand record entry. Simultaneously creating new supply or demand across multiple dates can only be done using the Bulk Supply Entry or Bulk Demand Entry functions. Click Refresh to clear the fields of a new record (before saving it with Apply). For an existing record, Refresh to return all field values to their previously-saved state. Authorizing a supply or demand entry is doing precisely that. For example, if the user who entered the record only has system permissions to enter data and nothing else, then the record will need to be authorized by a dispatcher or other user in the system with appropriate permissions. Thus, the dispatcher (or more senior user) will click Authorize to move the record entry through the system. Dispatchers are a type of super user and always have the authorization role. Nondispatch users can be set up either way, depending on their permissions as configured in the DSI Software. This is a manual way of closing out a supply or demand record. Why would you have to do this? You don t have to, but might want to especially if/when you notice an excessive number of records with especially older dates. The system completes the process itself (without your intervening) so long as the supplying/demanding party finalizes their process of sending/receiving. To perform record clean-up activities using this command, select the desired record in the grid and click Complete. This will cause the entry to drop from the grid at the top of the window. (The record is archived in the system.) Canceling a supply or demand entry is doing precisely that. For example, if the user who entered the record only has system permissions to enter data and nothing else, then a dispatcher (or more senior user) will Cancel the entry to drop it from the grid at the top of the window. (The record is archived, not deleted from the system.) Demand, Status, Batch Destination, Item Purchase Order, External Order Id These are display-only for your reference: Demand is just identifying the current record you have selected in the grid at the top of the window. Status indicates the selected record s point in the process flow. If present, a Batch ID indicates that the selected record belongs to the identified batch. Select from these drop-down lists to indicate the Destination and Item IDs for the current entry (new, or selected if you are editing). If you are editing an existing record, one or both of these may not be available for editing if they have reached an authorized or locked Status. Either of these text fields can be used to further identify your record entry or edit. They are not required, but if you have the information, it behooves you to enter it so that system searches can be faster. Liquid Scheduling Website User Guide v1.0, June 2016 Page 11

15 Delivery Date This field is used to record the expected delivery date. The current date displays by default. To change it, click anywhere in the field to use a calendar control to select a future date. Loads, Weight Notes These fields are both populated by your Loads entry or entries. They cannot be modified here. This is an optional text field to be used as you see fit for brief notes. Product Attributes contains all destination-acceptable attributes of the receiving demand facility Check Boxes Product attributes permitted by the current Destination are listed here. These attributes are configured in the DSI database. Whether you are creating a new demand record or editing an existing one, acceptable product attributes for the current Destination are listed here, but not selected. You must select the desired check boxes for your record as needed. If you want to select all check boxes, simply select the Include check box. If you change your mind, simply click on the check box again to clear it. Loads contains all the loads and applicable details relevant to the current supply/demand record entry Loads already associated with a demand entry are listed here. But you can always add more. Just click Add and enter the Weight. Requested Delivery Time (HH:MM, military time), Pricing specifications, and Destination Override* are optional. The Load No. simply identifies the number of loads on the demand entry. You can remove loads at any time by clicking Remove. *Destination Overrides are performed via the Manual Dispatch function, which is why they re display-only in the example. 16 Supply Maintenance Features available through this function can only be accessed/used by authorized users such as for editing or canceling existing bulk-supply records, or for authorizing pending supply records. Note that once supply is associated with a batch, it cannot be canceled. Contact your onsite system administrator if you need assistance. The screen is designed to provide users with a birds-eye view of pending supply records and to allow authorized users to perform certain actions individually or in bulk. Supply statuses are as follows: Entered This indicates the supply load has been entered into the system. When in this state, you can still edit the load. If you are a dispatcher, with appropriate system permissions set up, you may not see the entered state and instead Authorized This means a dispatcher has authorized the load. At this stage, you can still edit Item [Description] of the load. Locked When a load is locked, the system is preparing to process dispatch of supply/demand. You can still make limited modifications if authorized (but not to the Source or Item fields). Completed Supply complete (drops off the maintenance screens). Canceled Supply canceled (drops off the maintenance screens; no longer considered for dispatch) When supply loads are part of a batch, the supply line item listed in the grid will have a batch status as well: Open the status assigned to a batch when you first create it. Locked the batch has been locked, preventing further modifications. Batches can be unlocked if necessary. Scheduling the batch is in the process of scheduling, meaning it is matching up demand and supply, and changes may or may not be applied to the schedule as needed. Finalized the schedule has been finalized and now users at other locations can view schedules and bay personnel can view arrivals/departures. Complete this is achieved by demand recipients verifying that they have received supply. If recipients at the intended location do not do this, a dispatcher can manually mark the batch as complete. You can also sort through supply records using the Filter By field BEST PRACTICE. In the bottom half of the screen, you can add new supply batches and edit them as well. 17 To get started: 1. Click Supply Maintenance from the left navigation pane (not shown in the graphic below). 2. For an exercise, search supply records by entering JPPL2 in the Filter By field and wait a moment. You don t have to click anything or hit <ENTER>. The grid dynamically returns all records containing JPPL2. To reload the original display, click Reload at the upper left of the grid. 3. You can also perform actions in bulk by first selecting the check box of the desired line items, selecting Authorize or Cancel from the Bulk Action drop-down list, and then clicking the Bulk button at the upper right of the grid. Authorize Authorizing a solo supply/demand entry or a batch supply/demand entry is doing precisely that. For example, if the user who entered the supply/demand record only has system permissions to enter data and nothing else, then the record will need to be authorized by a dispatcher or other user in the system with appropriate permissions. Thus, the dispatcher (or more senior user) will click Authorize to move the record entry through the system. Dispatchers are typically automatically permitted to authorize entered records to be used in a batch. That is, the record may reflect a status of entered when the authorize command is used. But if you are a dispatcher with rights to authorize and you re entering the data, the record will go straight to authorized. Cancel Canceling a solo supply/demand entry or a batch supply/demand entry is doing precisely that. For example, if the user who entered the supply/demand record only has system permissions to enter data and nothing else, then the cancelation will need to be authorized by a dispatcher or other user in the system with appropriate permissions. 18 For example, if the user who entered the supply/demand record only has system permissions to enter data and nothing else, then a dispatcher (or more senior user) can Cancel an entry to drop it from the grid at the top of the window. (The record is archived, not deleted from the system.) NOTES Do not use these commands until you are comfortable with how they work. You can Authorize or Cancel solo supply/demand entry or a batch supply/demand one-at-a-time using the Window Controls discussed on page In the upper portion of the window, select (highlight) the JPPL2 line item containing the External Order ID, Ext Ord 75, as shown below. The lower portion of the screen is now relative to the selected line item in the grid above: Use the Edit Supply Info area to make edits to a selected supply record or create a new one on-thefly (system permissions may apply; see your onsite system administrator). Include/Select or clear Product Attributes as desired. Add or remove Loads to the supply as desired by clicking the Add button at the far right of the screen where Loads are listed. You can furthermore enter alternate Weight and Available Time (HH:MM, military time). You might add/remove loads for any number of reasons: a plant could call and relay that they need more than they thought for a day because of some incident; you could have a vendor produce more supply than expected and now needs to find a place to deliver it; and so on. NOTE A supply record must always contain at least one load, and the weight for a load must always be greater than zero. 19 NOTES You cannot create a NEW load and give it a date prior to the current day. Some fields and command buttons may not be available, depending on their place within the scheduling process. Edit Supply Info You can use the lower portion of the screen to make modifications to supply records in the grid at the top of the window: Use the Edit Supply Info area to make edits to a selected supply record or create a new one on-thefly (system permissions may apply; see your onsite system administrator). Include/Select or clear Product Attributes as desired. Add or remove Loads to the supply as desired by clicking the Add button at the far right of the screen where Loads are listed; Or Remove to remove them. You can furthermore enter alternate Weight, Requested Delivery Time (HH:MM, military time), view Destination Overrides, and change Special Pricing. 20 If a supply record you are trying to edit is part of a batch that has already been scheduled through dispatch, the system provides an error message. In general, system messages indicate the process preventing your actions, which you can use to proceed accordingly. Demand Maintenance Features available through this function can only be accessed/used by authorized users such as for editing or canceling existing bulk-demand, or for authorizing pending demand. Contact your onsite system administrator if you need assistance. The screen is designed to provide users with a birds-eye view of pending demand. Based on an authorized user s analysis, they can perform certain actions in bulk or individually. Demand record statuses are as follows: Entered This indicates the demand load has been entered into the system. When in this state, you can still edit the load. (If you are a dispatcher with the appropriate system permissions, you may not see the entered state and instead, see only the Authorized state.) Authorized This means a dispatcher has authorized the load. At this stage, you can still edit Item [Description] of the load. Locked When a load is locked, the system is preparing to process dispatch of supply/demand. You can still make limited modifications if authorized (but not to the Source or Item fields). Completed Delivery complete (drops off the maintenance screens). Thus, the dispatcher (or more senior user) will click Authorize to move the record entry through the system. Dispatchers are a type of super user and always have the authorization role. 22 Cancel Canceling a demand entry is doing precisely that. For example, if the user who entered the demand only has system permissions to enter data and nothing else, then the cancelation will need to be authorized by a dispatcher or other user in the system with appropriate permissions. NOTES Do not use these commands until you are comfortable with how they work. You can Authorize or Cancel records one-at-a-time using the Window Controls discussed on page At the upper portion of the window, select (highlight) the SWEET CREAM line item containing a date of 05/07/2016, as shown below. The lower portion of the screen is now relative to the selected line item in the grid above: Use the Edit Demand Info area to make edits to a selected demand record or create a new one onthe-fly (system permissions may apply; see your onsite system administrator). Include/Select or clear Product Attributes as desired. 5. Add or remove Loads to the demand as desired by clicking the Add button at the far right of the screen where Loads are listed. You can furthermore enter alternate Weight, Requested Delivery Time, view Destination Overrides, and change Special Pricing. You might add/remove loads for any number of reasons: a plant could call and relay that they need more than they thought for a day because of some incident; you could have a vendor produce more supply than expected and now needs to find a place to deliver it; and so on. 23 6. Click directly in the Delivery Date field to open the calendar control, where you can select a different date. (default is current date) IMPORTANT You cannot create a NEW load and give it a date prior to the current date. Some fields and command buttons may not be available, depending on their position in the scheduling process. Edit Demand Info As stated on page 15, you can use the lower portion of the screen to make modifications to demand records in the grid at the top of the window: Use the Edit Demand Info area to make edits to a selected demand record or create a new one onthe-fly (system permissions may apply; see your onsite system administrator). Include/Select or clear Product Attributes as desired. Add or remove Loads to the demand as desired by clicking the Add button at the far right of the screen where Loads are listed; Or Remove to remove them. 25 Route Supply Maintenance Route Supply comes from recurring supply loads that adhere to a fixed route/schedule. This function differs from Bulk Supply and Supply Maintenance in that a template for the supply is created in Route Master (Liquid Scheduling > Cross Application Maintenance > Route Master Maintenance). The system automatically creates supply based on the active route templates when a batch is locked. This means that after initial setup of the Route Master, there is no need to enter supply on a week-to-week basis. The system automatically does it based on the routes. Once created, a route supply load is used to meet demand in a batch (just as in supply created by Bulk Supply or Supply Maintenance functions). Reload as desired to ensure you are seeing the most current data in the system The only Bulk Action available is to Cancel a route. You can search for specific route attributes by using the dynamic filtering of the Filter By field. Select (highlight) a route in the upper window to populate the fields in the lower window with its details. When you edit an existing route supply load, you can: Adjust its Available Date/Time Adjust its Weight Make brief Notes Cancel it, excepting Finalized Batches Flag it as Complete Adjust its Sources and Product Attributes Liquid Scheduling Website User Guide v1.0, June 2016 Page 22

26 Edit Route Supply Info commands and areas of the Route Supply Maintenance window Sources Use this command when you are finished editing a selected route supply load so that your changes to the Item, Available Date/Time, Weight, and/or Notes can be saved. You must also use this command button when finished creating a new route supply load ad hoc (or the record will not save). Recall that route supply loads are defined in the DSI Software. But you can use this screen to create a new one ad hoc. Route supply loads created in this fashion are coded with a preceding MR, which can help you distinguish it in the route supply list in the top portion of the window. To create an ad hoc route supply load: 1. Click New to clear the fields in the lower portion of the window. 2. Select the one or more Sources from which your route supply will originate. 3. Select the Item and Product Attribute(s). 4. Enter Available Date/Time. 5. Enter the Weight and any applicable Notes, if desired. 6. Click Apply. (Ad hoc route supply loads are not added as a route master in the back-end DSI Software.) Click Refresh to clear the fields of a new record (before saving it with Apply). For an existing record, Refresh to return all field values to their previously-saved state. This is a manual way of closing out a route supply load. Why would you have to do this? You don t have to, but might want to especially if/when you notice an excessive number of records with especially older dates. The system completes the process itself (without your intervening), so long as the demand source finalizes their process of receiving. Only route supply loads with a batch status of Finalized can be Completed. To perform record clean-up activities using this command, select the desired record in the grid and click Complete. This will cause the entry to drop from the grid at the top of the window. (The record is archived in the system.) Canceling a route supply is doing precisely that. For example, if the user who entered the record only has system permissions to enter data and nothing else, then a dispatcher (or more senior user) can Cancel the entry to drop it from the grid at the top of the window. (The record is archived in the system.) You cannot cancel a route supply load that has a batch status of Finalized. The system makes Items available based on the source(s) you select. You must first select one or more sources before you can proceed with adding a new route supply load. Liquid Scheduling Website User Guide v1.0, June 2016 Page 23

27 Product Attributes Select the Product Attribute(s) as they pertain to the Item for which you are creating a route supply load. These attributes are configured in the DSI Software. Whether you are creating a new route supply record or editing an existing one, acceptable product attributes for items manufactured at the current Source are listed here for you to select as desired. To select all check boxes, simply select the Include check box. If you change your mind, simply click on the check box again to clear check boxes. 28 Dispatch Processing This function is the central hub for dispatch-related functionality. You can create new batches, delete them, and make modifications as needed (so long as the schedule isn t finalized yet). Use the Filter By field to dynamically search through multiple batches as needed. This window also displays batches that could not be matched via Auto Dispatch Demand/Supply entries are used by Dispatchers, who are part of a Dispatch Group, to create Batches. Dispatch groups then use batch data to assemble schedules. Dispatchers finalize Schedules and send them out electronically to all interested parties sources, destinations, carriers, etc. Before the schedule is finalized, you have opportunities to make modifications using the Manual Dispatch function. Batch statuses are as follows: Open the status assigned to a batch when you first create it. Locked the batch has been locked, preventing further modifications. Batches can be unlocked if necessary. Scheduling the batch is in the process of scheduling, meaning it is matching up demand and supply, and changes may or may not be applied to the schedule as needed. Finalized the schedule has been finalized and now users at other locations can view schedules and bay personnel can view arrivals/departures. Complete this is achieved by demand recipients verifying that they have received supply. If recipients at the intended location do not do this, a dispatcher can manually mark the batch as complete. 29 Creating a New Batch 1. To create a new batch from this screen, open the Dispatch Processing function, select a Dispatch Group from the Dispatch Group drop-down list, and then click Reload. (You will only see the one or more dispatch groups to which you belong, as configured in the DSI Software.) 2. Click New and enter a Batch Name. (To make changes to an existing batch, simply select it from the list in the upper window, change batch details in the fields below the list (Batch Name, Item, Dates), and click Apply.) 3. Select the batch item from the Item [Description] drop-down list. 4. Accept the default Batch Start/End dates and click Apply or click in the date fields and enter alternate dates. The default batch date range is suggested based upon configurations made in the DSI Software. The system validates that the current batch period does not conflict with another batch period in order to ensure a unique batch ID. If you change the date range, you may receive a system warning about it. In most cases, you can acknowledge and ignore it. Otherwise, tend to the indicated issue and try again. 30 Once the batch is successfully added, it lists in the grid at the top of the window with a status of Open 2. It is only at this point that you can Delete a batch. With your batch entered, you can now process it (See Process Steps below). Use the New command to start entering a new batch, Delete an existing batch if needed (as long as its status is Open), or use Refresh to clear fields when you might want to start over before saving new records or edits with Apply. Process Steps These steps assume you have existing batches to lock, dispatch, schedule, and finalize. For this example, we created batch Carrie Batch 2. The command buttons associated with creating or editing batches has been crossed out so as to avoid confusion; because when you process batches, you work with the available command buttons listed under Process Steps at the bottom left of the window. Carrie Batch 2 is selected in the grid in the upper portion of the window and its details populate fields at the bottom of the grid/batch list this is to aid in making edits as discussed above in Creating a New Batch. 2 Batches that are locked or scheduled CAN be reverted back to an Open status. 31 1. To begin processing, select a batch from the batch list and click Lock Batch, which prevents other users from changing items or date ranges already associated with your batch. Because nothing has yet been done with Carrie Batch 2, the only command available for it is Lock Batch. The Lock Batch command: Associates all demand and (non-route 3 ) supply within the time period to the batch. Demand and supply associated with the batch is henceforth locked from further changes via other screens. So long as an Auto Dispatch command has not yet been applied (step 4 below), all demand and supply records currently active in the system are up-for-grabs. Scans all active routes that fall within the time period and creates a record ID for the batch. Any routes not connected to a specific dispatch group are included in the first batch created for that period. Incorporates existing routes within a batch. The system presents the following message: 2. Click Yes to pull in unmatched supply that is within 72 hours of your batch start date. Otherwise, click No. 3 There are two types of supply that end up being used the same way... non-route supply is supply created through the Bulk Supply Entry or Supply Maintenance functions; route supply is supply automatically created from a route master when a batch is locked or from the Route Supply Maintenance window. 32 3. Click OK on the confirmation message: Now Carrie Batch 2 is locked, demand and supply records are matched, and additional Process Steps become available as shown below. (Note you can Unlock Batch at this point if necessary, which changes the batch status back to Open.) 4. Click Auto Dispatch on a selected Locked batch to match system supply and demand records and to schedule the loads. (This changes the selected batch status from Locked to Scheduling. ) It is possible to move (begins to narrow search) a batch status from Scheduling back to Locked. See the Manual Dispatch function for more information. If you run into issues matching supply with demand, the system will notify you with a pop-up message. In addition, the mismatch will show on the report when you click the View Schedule Liquid Scheduling Website User Guide v1.0, June 2016 Page 29

33 Report button. The batch remains locked, but you may then want to use the Manual Dispatch function to make adjustments so that a match can be made and a schedule assembled. After performing the Auto Dispatch command, you have some time to review the schedule (View Schedule Report) and make desired adjustments before finalizing the schedule: Liquid Scheduling Website User Guide v1.0, June 2016 Page 30

34 Just so you can see what it looks like to have unmatched supply in a report, here s an example of one for a different batch: Once adjustments have been made to your satisfaction, you can click Auto Dispatch again; which will clear current dispatch data for the period (batch must be in a Locked or Scheduling status). Note that when you click Auto Dispatch a second time, the system clears all matched data and re-processes the dispatch but the batch status remains as Scheduling. 35 5. Click Finalize Schedule when you are satisfied that the Batch is accurate enough to publish for authorized personnel using the Schedule to organize loads. 6. Click Yes to proceed (can t be undone!). Click No cancel the finalization and return to the Dispatch Processing window. After you finalize the schedule, you can make changes to it using the Manual Dispatch function; you can also Send Notifications to affected personnel regarding updates, as desired. To whom and how notifications are sent is configured in the DSI Software. Notification delivery systems are configured as mobile text, phone voice mail, and/or with a dispatch schedule attached. Recipients receive only those notifications that are pertinent to them be they a source, a destination, a carrier, etc. A sample of an notification is shown below. For recipients, a link is included in the that allows them to log in to the Liquid Scheduling website and View Schedules and/or any other functions to which they might have access. 37 7. Click Send Notifications to system-generate relevant schedule information to DSI-configured recipients. 8. Last steps are up to you and your company SOPs. That is, you can Send Notifications (when schedules are new or updated) and/or View Schedules as desired. 9. As you get more familiar with the system, you will quickly spot batches that have not been processed on intake as received. As the calendar advances, you will likely want to perform cleanup tasks using Close Batch. When you use this command, the batch record is archived, but is dropped from the batch list in the top area of the window. Process Summary Just like the above graphic indicates, the process at its most basic is: 1. Lock Batch To begin processing, select a batch from the batch list and click Lock Batch, which prevents other users from changing items or date ranges already associated with your batch. 2. Auto Dispatch Click Auto Dispatch on a selected Locked batch to match system supply and demand records and to schedule the loads. This command will work so long as there is at least one match. If there are matching issues, they will manifest both via the View Schedule Report command button and in the interface of the selected batch via the Manual Dispatch function. 3. Finalize Schedule Click Finalize Schedule when you are satisfied that the Batch is accurate enough to publish for authorized personnel using the Schedule to organize loads. You cannot revert a batch s schedule from finalized, but you can use the Manual Dispatch function to make modifications so long as you have the proper system permissions to do so. 4. Close Batch As you get more familiar with the system, you will spot batches that have not been processed as closed on intake. As the calendar advances, you will want to perform cleanup using Close Batch. Liquid Scheduling Website User Guide v1.0, June 2016 Page 34

38 In the case of a batch having open supply and demand, the system will notify you to this affect and that closing the batch will complete all related records. Click Yes or No on the system pop-up message. Other Command Buttons Do this Unlocks a batch from a Locked status Can only be used on a locked batch. Use this command on a selected, locked batch to copy its previous route supply weights to the current/selected one. Opens a second browser window to display the full schedule by batch as shown under step 4 on page 29 above. Based upon your analysis of this report, you may want to make adjustments using the Manual Dispatch function. Click to Send Notifications to affected personnel regarding new schedules or updates to existing schedules. The system asks you to confirm by click OK on a pop-up Notifications message. To whom and how notifications are sent is configured in the DSI Software. Liquid Scheduling Website User Guide v1.0, June 2016 Page 35

39 Manual Dispatch This function is used to review Auto Dispatch content as processed on the Dispatch Processing function and make adjustments if necessary for instance, after people have reviewed the schedule upon receiving it or other notifications. Use this screen to make modifications to scheduled, locked, or finalized batches. If you are making changes to a locked batch, it s likely because you want to perform dispatch activities manually rather than use the Auto Dispatch command (step 4 on page 29) of the Dispatch Processing function. Note you must have system permissions to perform these actions. BEST PRACTICE After you make pertinent changes, return to Dispatch Processing to select the applicable dispatch group and then Send Notifications to recipients so they can be made aware of the change. Only persons affected by the change are notified. For instance, there may be a rule that allows a certain weight, plus or minus a 5% variance. You may want to override a variance rule to allow the load to move through the system nonetheless. Another example could be that there is extra milk in supply; so the dispatcher may call around, trying to find demand for it. The system retains historical information of all changes made (e.g., destination changes or carrier schedule changes/times). Changes can be viewed via the Changes button in the View Schedules function. In the example that follows, Dispatch Group, West Coast Dispatch and Batch Name, RICK have been loaded. You have an option to filter what is loaded by selecting the desired check box(es) in the Show box: Matched, Over Matched, Unmatched, Drop Location. (Default = all options) 1. Once you Load ( ) your desired demand, you can quickly recognize status by clicking Color Info ( ) to see the color legend. (Optional) Once records are loaded, you can filter them further using the Filter By field for each: Demand and Available Supply. For instance, it might behoove you to filter records by Load Weight or Allow % Over or Requested Date. (Optional) To the left of the Filter By field is the Bulk Action command. To use this command, select check boxes associated with the desired demand to either Unmatch or Override Destination and click Bulk. The sample shown below illustrates how this works. 40 In the following example, nothing has been filtered. But you can see there are several demand loads with Unmatched Supply as evidenced by the presence of the orange button ( ). Click it to reduce the upper window to showing only those unmatched loads. If everything matches, then this button does not appear on the screen. In the above window, a load for which Demand has not been fully matched has been selected (a dark blue outline surrounds a selected record). Once selected, available supply for it lists in the Available Supply window, as shown above. NOTES It is possible to select any demand record to see details of its possible matched supply. If there is no Available Supply to match with Demand, then you would likely contact your suppliers and find one that has some extra supply they can provide, after which you would enter that supply in one of the supply screens and match it here in Manual Dispatch. 2. Click on the Match Weight field of the desired Available Supply record and type the quantity you want to use from the Available Supply to meet the selected demand record directly into the field, and then press TAB on your keyboard. This same method is used to REMOVE a match as well. Just zero out the Match Weight and click Save ( ). Liquid Scheduling Website User Guide v1.0, June 2016 Page 37

41 This opens the Schedule Detail for the selected supply. (If you re not changing weight, you can also double-click on the line item to open Schedule Detail.) a. Enter Desired Date/Time. b. Enter Carrier and click Look Up. The system automatically searches for available bays based on your entries. c. Select from the available Bays and click OK. d. Repeat as necessary until the selected Demand is met by available supply per your needs. Default Contracts and Special Pricing Pricing is directly related to contracts as configured in the DSI Software s Contract Master (Liquid Sales/Liquid Procurement > Order Processing > Contracts), and can be flagged as one of the following: Default Contract always used as the default. Contract Template a template from which one-time special pricing contracts can be created and reused. To create one of these, open the Create From Template tab on the Special Pricing window (page 40). One-Time Contract a special pricing contract based on an existing template that can be reused. To create one of these, open the Choose Existing tab on the Special Pricing window. NOTES Contracts, pricing, and premiums and deductions can be complex topics to understand, and are covered in our Liquid Sales/Liquid Procurement documents. If you need more detailed information than is provided here, see your onsite administrator or supervisor for guidance. If there are no contract templates available for the match for which you are trying to change pricing, the system will alert you. Also, the system will alert you if special pricing is already in effect meaning you must edit special pricing from the Contract Master in DSI, or confirm that you want to create a new Contract Liquid Scheduling Website User Guide v1.0, June 2016 Page 39

43 Template or One-Time Contract using the web interface. The system will only shows contracts applicable to the current match (or template). Click the ellipsis button to select a contract template to work from. Conversely, if Special Pricing has already been applied, click the subtraction button remove it and revert back to the Default Pricing. to Default Contract This means that 1) the Default Contract option in the DSI Software has been selected, and 2) Default is displayed in the Pricing column for the selected supply match. You can leave as is, allowing the match to use the default pricing as configured in the database; or you can apply Special Pricing. Special Pricing This is a special pricing contract function, from which one-time contracts can be created and reused. This function supports both Market and FMO type contracts, whose screens appear slightly different from each other. 1. Click the ellipsis button to begin the special pricing process: This opens the Special Pricing window, where tab content for Create From Template is displayed. Via this tab, you can create a new one-time contract based on a DSI contract template. To use a previously-created one-time contract, click the Choose Existing tab. Via this tab, you can choose an existing one-time contract to associate with the match. One-time contracts, no matter the method you use to create/apply them, are saved in the DSI database. 45 2. To create a special pricing using one of the existing DSI templates displayed, select it and click OK. This opens the List Market Prem & Deduction Detail window as shown below. Note that the FMO contract screen appears slightly different from that of market-type contracts. 3. Enter applicable data: Type a Contract Description. The above example shows CarriesTemplate. Select a Basis For Components: Producer Payroll, Agreement, Source Load, or Destination Load. Select a Basis For Weight: Producer Payroll, Agreement, Source Load, or Destination Load. Select a Premium/Deduction Name from the drop-down list (configured in the DSI Software). Enter a Date and Minimum Weight. These cannot be edited once the Prem/Ded is saved. (Required) Enter only one of the following: Amount, Rate, or Mkt Price Percent. (Required) Enter a Print Sequence Number to control how the item should display on an invoice. (Optional) You can click Refresh on the right beneath the Prem/Ded attributes to clear those attributes for the selected Prem/Ded. 46 4. Click Create. 5. Click Add to add multiple Prems/Deductions to the current contract, repeat steps 3 and 4 above. 6. Click Save when finished adding premiums/deductions. 7. (Optional) To change the data of a Prem/Deduction you have created: Select the Prem/Ded record and make desired changes in its fields at right. Click Change when finished with all changes to the selected record. 8. IMPORTANT: Click Save, again, on the Manual Dispatch window to save all contractual changes or additions. This button is situated on the right side, in the middle between the Demand record list and the Available Supply record list. (Optional) You can delete premiums/deductions as needed by selected one and clicking Delete. (Optional) You can select from an existing, contract template modification by clicking the Choose Existing tab from the Special Pricing window. 47 Status/Status Details This optional feature allows you to change a matched supply s status from its default of Scheduled to one configured in the DSI Software. (Liquid Scheduling > Maintenance > Source Destination Maintenance, Dispatch Statuses tab) For each pre-configured status, you can associate the match s status with additional data. To do this, click the ellipsis next to the corresponding Status. Read more about Status/Status Details under the Arrivals/Departures section on page 54. 48 View Schedules This function is used for the monitoring of scheduled, departure and arrival loads for Sources, Destinations, and Carriers. Typical users are bay personnel and others at a plant, as well as farm and carrier personnel. In addition, Changes can be confirmed using this function, Notifications sent, and a Dispatch Schedule Report run, but these are all optional features. NOTE While this document attempts to cover all bases, your particular user permissions as configured in the DSI Software determine which schedule data are displayed to you. 1. From the Choose drop-down list, select the Source, Destination, or Carriers with which you are concerned and click Load. Source = view of schedule details for loads/batches shipping out. Destination = view of schedule details for loads/batches that are arriving. Carrier = view of schedule details for carriers responsible for carrying the loads/batches. Schedule Details display in the bottom of the window for a selected Available Schedule in the top of the window. In the following example, Available Schedules for CARR2 carrier have been loaded and one of the schedules has been selected so the CARR2 Schedule Details are displayed. Note the selected schedule has a Changes indicator: 2. (Optional) View and confirm changes by selecting the Schedule with a Changes indicator and then clicking Changes. 54 Arrivals/Departures This function displays outbound and receiving loads from a selected Source or Destination, and Arrival or Departure Date. The Date field and Refresh Interval Minutes default to today s date and five minutes respectively. In this example, the shipping (Source) facility, WCMP, with a Departure Date of May 24, 2016 has been Load(ed). Filter By this is a dynamic field used to filter through Arrival or Departure records for things like Weight or Bay ID, etc. Both Arrivals and Departures have their own Filter By feature. Process this command button operates on a selected Arrival or Departure record (each list has its own Process command). You can tell a record is selected by the thin green line surrounding it. Once you click Process, you ll receive a confirming system message. Processing a records means that you are marking it as either shipped or received depending upon which list you are operating in. Click OK to return to the Arrivals/Departures screen, where your processed arrival (or departure) is now highlighted in green and drops to the bottom of the list as shown below. 55 Status this feature allows you to use a drop-down list to make changes to a departure record s status. You cannot change an arrival s status as it is always Scheduled. Get more information about Status/Status Details below. Status Details this information is recorded and accessed via the ellipses found next to the corresponding Status. Recall that you cannot change the status of Arrivals, but you can still attach custom, Schedule Status Details to the record (as discussed in the Status/Status Details section below). Indeed you can do the same for both Arrivals and Departures with regard to statuses and their details. Additionally, you can change the Status of a departure record by using the Status dropdown. Some Schedule Status Details windows will require specific information (see page 55) and others will be completely custom it just depends on the Status Detail Configuration in the DSI Software. Report this command button launches a secondary window for the currently-selected Source/Destination. 56 Save Use this command button to save any changes related to status and/or status details that you ve made on the screen whether for Arrival or Departure records. If there have been NO changes to status and/or status details, then this button remains disabled. For any change made, it becomes enables and you MUST use it to save your statuses and/or status details. 57 Status/Status Details This optional feature allows you to change a matched supply s status from its default of Scheduled to one configured in the DSI Software. (Liquid Scheduling > Maintenance > Source Destination Maintenance, Dispatch Statuses tab) For each pre-configured status, you can associate the match s status with additional data (status details): 1. 58 2. Add as many custom attributes for the selected status as desired. (You can also Remove Schedule Status Details as desired.) 3. When finished, click OK (or Cancel out of the operation). 4. Click Save on the Manual Dispatch screen to ensure content associated with matched supply is kept as part of the match record. Status Detail Configuration You can define special Status content requirements configured in the DSI Software as shown below. 59 In the above DSI configuration window, you can see that two Content Types exist for the selected Dispatch Status, Arrived meaning they (Check In Time/Weight) are required. Thus, when you select the status of Arrived from the drop-down list, the following Schedule Status Details window displays with the required content. The Add button displays only for your convenience of adding any desired, custom content. (You can also Remove custom content fields) Remember to click OK to save your Schedule Status Details (or Cancel out of the operation); and again to click Save on the Manual Dispatch screen to ensure content associated with matched supply is kept as part of the match record. NOTE Just as reference, see below that another status, On Hold, does NOT have any Content Type(s) listed and therefore, no details are required as they are with the Arrived status discussed above.
