2 What is RFID Radio Frequency Identification is a wireless use of electromagnetic fields to transfer data, for the purposes of automatically identifying and tracking tags attached to objects.

3 What are the benefits of RFID? Ability to take inventory without having to search for barcodes. Collect inventory status more easily and efficiently. Ability to add physical data to an existing asset.

4 What are RFID tags? RFID tags are barcode tags that have a radio frequency identification chip which has physical data collected for assets. The tags have radio waves to identify an object. All GT equipment > 3k will have to receive a new barcode tag. GT is converting to 4 styles of RFID Tags.

6 RFID Hang tag Use for the following: Equipment that does not have a space for a decal.

10 Motorola MC3190Z Handheld Scanner Distribution of Handheld Scanners The distribution of the scanners is based on the total population of assets in your care. Departments with assets - 2 scanners Departments with 100 to 999 assets 1 scanners Departments with less than 100 assets will sign out a scanner through Property Control. If you need additional scanner, we have an active contract with the vendor for a group rate until December 31, 2015.

11 RFTrack.net Software The application provides users with an interface for: Managing users Importing/Exporting data Maintaining location information Maintaining asset information Managing locations and assets to synchronize with the Mobile Edition Viewing Tracking Information Running reports

12 Getting Started What will you need to get started? Motorola MC3190Z Handheld Scanner and accessories Username and Password to log into RFTrack.NET Software on your computer and handheld My Mobiler installed on your computer. ( Windows Mobile Device Center 6.1 installed on your computer. ( Windows Firewall Configuration Provider set to communicate with your My Mobiler and Windows Mobile-Based Device

13 Logging in Place handheld into base A splash screen will load initially, which indicates the version of RFTrack.NET Mobile is loading. Note: Uncheck all boxes

14 Logging in You will only have to sync your device once and you never have to leave out of the application.

15 Logging in -Launch MyMobiler -Launch RFTrack.Net Mobile on your handheld, select the RFTrack.Net Mobile icon on the Start Menu of the handheld.

16 Logging in Once the program is opened on your screen, select Sync Users, verification box will appear, select Yes. Once you have sync your user name, you may now enter your Username and Password to access the RF.net application. (Note: You must hit the Login button for the device to accept your command. The enter key will not work).

17 Logging in Before conversion of tags, you must first load the handheld with the entire inventory population. This process is handled through synchronizing your handheld. Choose Sync and then Download data. Please allow at least 5 to 7 minutes for the download. The download will consist of In service and Missing 2 assets.

18 Tag Conversion All tags must be converted to one of the new GT RFID or barcode shown in the earlier slides. The old tags must be removed and replaced with the new tags. The conversion of the tags will serve as the Annual Inventory for FY16. Conversion started September 14, Completion date is as follows Total Number of Due Date Assets /1/ /15/ /29/ /15/2016

19 Tag Conversion - Tools needed Tools needed for Conversion 1. Handheld scanner and its accessories 2. New RFID tags and barcodes 3. Two hard copies of current inventory list in the following formats a) By building and room b) By tag number 4. Scotch tape 5. Cleaning solution and cloth (suggestion)

20 Tag Conversion - Procedure 1. Conduct tag conversion for each asset in your authorization. 2. New Tag Assignment- from the scanner, perform the following: Select Assign Tags Scan Old Barcode Tag Scan New Barcode Tag 3. Tap the Save button to associate the new Tag ID with the selected asset.

21 Tag Conversion - Procedure As you are going around and you locate an asset that has missing physical information such as serial or description, you can make the corrections through the scanner after you have scanned the old tag number. Click View Asset Details and make the correction to the appropriate field. Since your computer and the scanner will be sync, you can make the corrections to the asset from the computer if you do not want to do it on the scanner.

22 Tag Conversion - Procedure You can make changes to the following fields that will transfer over to the PeopleSoft system: 1) Description 2) Serial number 5) Location 6) Sub-location 7) Sub-location detail 8) Asset offsite 9) Custodian Note: Any other changes that you make, even if the field is showing enterable on the scanner, will not transfer into the PeopleSoft system. Once you have made the change, proceed to scanning the new tag and saving the data.

23 Tag Conversion - Procedure Placement of new RFID tag It is important that you place the tag in the right place so it will pick up when you are conducting your inventory next year. The location of the old tag may not be the best location for the scanner to pick up the radio signal. You can test the tag prior to permanently applying it through the Proximity Locator function and the scotch tape. Once you know you have a good location for the new tag, you can apply it permanently.

24 Tag Conversion - Proximity Locator Select Tag Reader Scan Tag (Make sure you use RFID) Hold down stylus on Asset until another window appears Select Proximity Locator Hold down Trigger walk back and forth The range of the tag reader depends on the tag selected by you, obstructions and the type of surface.

25 Loading Data Before closing out of each day, you must load the information from the handheld into the RFTrack.net application. Choose Sync and then Upload data to complete this task.

27 Tag Conversion - Procedure More points on tag conversion Disposed assets will still have to be handled by Property Control. Depts (<25 assets) Can perform manual audit conversion without the handheld scanner; however, we want to encourage all departments to use the handheld scanners. New room labels needed Notify Property Control when a new sub-location needs to be added. Equipment outside Will have to be associated with the sub-location closest to its location. During tag conversion, missing assets will be handled through the Disposal Worksheet in Peoplesoft (still need to run Missing Report). Home based, No-tag equipment and offsite equipment still need to receive the new RFID tags and will have to be manually converted.

29 Manual Conversions After entering your computer id and password, you will see the Home screen for the RFTrack.NET application

30 Manual Conversions Step 2. To perform the tag conversion, Click on Asset found in the Maintenance Section on the screen.

31 Manual Conversions In the Tag Id field, enter the old tag number from your printed report. Then hit the Search button.

32 Manual Conversions Step 3. Select the Pencil Icon next to the tag number. This will take you into Edit mode.

33 Manual Conversions Step 3. Highlight the old tag number in the Tag ID field (make sure you include the leading 0) and then replace it with the new Tag ID number. Note: In order for the information to transfer properly to PeopleSoft, you must have leading zeroes (13) preceding the new RFID tag number. EX: CAE Step 4. Save the record.
