1 DISPLAY RULES & REGULATIONS FOR ALL EXHIBITORS BACK WALLS: Exhibitors in a standard 10x10 booth have a maximum height restriction of 8 high for the back wall, and a maximum height of 4 high in the front exhibit space area. Items displayed which are taller than 4 must be placed in the back 5 of the exhibit area (toward the back wall). These height restrictions are designed to prevent blocking and obstructing the sightline of your neighbor. PERIMETER BOOTH: Exhibitors located on the perimeter of the hall are permitted to a back wall with a maximum height of 12 since another exhibitor is not located directly behind. Items displayed which are taller than 4 must be placed in the back 5 of the exhibit area (toward the back wall). These height restrictions are designed to prevent blocking and obstructing the sightline of your neighbor. DEMONSTRATIONS: BusCon show management must pre-approve any booth display which has an audio or video demonstration. Show management has the right to refuse any display which may potentially cause disturbance to neighboring exhibitors. If an exhibitor s audio or video display disrupts other exhibitors during show hours, BusCon show management will ask for the demonstration volume to be lowered or completely muted. As a matter of safety and courtesy to others, exhibitors should conduct sales presentations and product demonstrations in a manner which assures all exhibitor personnel and attendees are within the contracted exhibit space and not encroaching on the aisle or neighboring exhibits. It is the responsibility of each exhibitor to arrange displays, product presentation and demonstration areas to ensure compliance. Special caution should be taken when demonstrating machinery or equipment that has moving parts, cooking equipment with an open flame, or any product that is otherwise potentially dangerous. Exhibitors should establish a minimum setback of three feet (3 ) and/or install hazard barriers as necessary to prevent accidental injury to spectators. Sound demonstrations should not exceed 85 decibels. Additionally, demonstrations should only be conducted by qualified personnel. BANNER HANGING: All banners must be shipped to the Advance Warehouse with hanging instructions. If you do not ship your banner to the Advance Warehouse, we cannot guarantee the hanging of your banner, as banners must be hung prior to vehicle move-in on Monday morning. Please do not ship your banner directly to show site or inside your display vehicle. It must be sent to the Shepard advance warehouse! 2 RULES AND REGULATIONS FOR VEHICLE DISPLAYS Here is a list of rules and regulations that apply to all exhibits that include vehicle displays. Please accurately measure your vehicle to ensure that your exhibit will adhere to these rules. If you need more space, please contact Dawn Norman at (858) or dawn.norman@bobit.com SPACE BETWEEN VEHICLES Exhibits with multiple vehicles must position the vehicles so there is enough clearance for pedestrians to easily walk through in case of an emergency. The fire marshal will make the determination onsite if you have allowed enough clearance so plan ahead and don t pack your space too tight; leave room (3-5 feet) to make any adjustments deemed necessary by the fire marshal. Leave enough space between vehicles for pedestrians to walk through in case of emergency. BUMPERS AND GRILLS You must take into account the full length of your vehicle including bumpers, grills and any modifications. The entire length of your vehicle must fit into your contacted exhibit space. No part of the vehicle may extend beyond the perimeter of your space. The entire length of the vehicle must be contained within your contracted exhibit space. Continued next page

3 RULES AND REGULATIONS FOR VEHICLE DISPLAYS (continued) DOORS When fully extended, all vehicle doors must still be contained in your contracted exhibit space. Vehicle doors may not open beyond the perimeter of your space into the aisles. When planning your space, include fully extended doors in the width of your vehicle. Do not plan to position any vehicle on the border of your booth space. Vehicle Doors CAN T open into the aisles. When the doors are open, the entire vehicle must still be within the borders of your booth. Shepard will double tape each booth to mark correct vehicle/display placement. Please place your vehicle within the tape, as show in the diagram on the left. All vehicles must be back at least 5 from interior booth line. ABSOLUTELY NO OVERHANG IN THE AISLES.

4 RULES AND REGULATIONS FOR VEHICLE DISPLAYS (continued) EXHIBIT PROPERTIES All exhibit properties including wheel stands, banners, plants and tables must be placed within the borders of your contracted space. No exhibit property may encroach on the aisles, please plan accordingly. All exhibit properties including plants, banners and tables must be within the borders of your booth. OVERHEAD BANNER / SIGN HANGING Indiana Convention Center will be on site to hang banners or signs above your vehicle space. Here are two important considerations when planning: 1. Delivery: It is best to plan to deliver or ship your banner to Shepard s Advance Warehouse prior to moving your vehicle into the exhibit hall. If you bring you banner in your vehicle, the Indiana Convention Center will be forced to maneuver heavy machinery such as scissor lifts and cherry pickers near your vehicle. Avoid accidents and damage by delivering your banner early. 2. Hanging Sign Height: The maximum height of your sign should be 16 from the top of the sign.

5 Vehicle Specifications Deadline: August 17, 2018 Complete this form by clicking on the link below Click here to complete your Vehicle Specifications form. This form is mandatory if you plan to display a vehicle. If you do not submit this form, your vehicle may be turned away at the show and you will not be permitted to move it into the exhibit hall. Exhibitors that are not displaying a vehicle may skip this form. If you are displaying more than one vehicle, please submit specs for each vehicle. As a courtesy to your neighbor, we ask that any large vehicles be placed at least 5 in from the perimeter of your booth. Please refrain from creating a walled-in area as your booth display. VEHICLE MOVE-IN CHECK-LIST Prior to driving your vehicle into the exhibit hall your fuel-levels will be verified against the requirements below. Make sure to get this information into the hands of your vehicle supplier/driver. Please verify against this checklist below in preparation for fire marshal inspection. ALL vehicles must pass fire marshal inspection in order for the exhibit hall to open! Important Motorized Vehicle Display Regulations: The maximum amount of gasoline permitted to remain in the tank is less than one-fourth (1/4) tank. Fuel tank caps must be locked, taped or sealed and any shutoff supply valves closed. All connections must be removed from the battery upon termination of move-in until commencement of the move-out. Both positive and negative cable ends must be taped to avoid any chance of sparks. Fueling and de-fueling of vehicles must occur outside of the convention center (ICCLOS). Fuel should be removed with the appropriate safety equipment and may never be dumped on ICCLOS property. Indiana Fire Department permits CNG and other alternative fuel vehicles under the following conditions: Fuel tanks are kept to maximum 1/4 tank or 5 gallons, whichever is less. Batteries are disconnected. Fuel tanks are sealed shut, and any shutoff supply valves are closed.

6 Any act involving movement of a vehicle using its fuel as a propellant, or use of the electrical system to demonstrate parts of the vehicle during a show is prohibited without prior written approval of the State of Indiana Fire Marshal and City of Indianapolis Fire Department, and ICCLOS Facility Management. Vehicles cannot be moved, removed or started during show hours. Visqueen must be placed under each vehicle to protect the carpet provided in the exhibit hall. Booth Layout Guidelines: Allow for a minimum 2 margin on all four sides of the vehicle. Doors may not open into the aisle when fully extended. Place all vehicles at least 5 ft. in from the perimeter. Please refrain from creating a walled-in display in your booth space as a courtesy to your neighboring booths. Shepard Expo Services must have access to vehicles, and exhibitor personnel must be available via cell in case of emergency. Provide contact info. on the required Vehicle Specifications Form in this service kit. Keep your keys at the booth at all times. In preparation for inspection, the hood (or access to battery compartment) must be left open and the driver door unlocked when the vehicle is unattended. If you plan to leave your vehicle unattended you must leave the hood open and driver door unlocked so the fire marshal can access the vehicle. Vehicle wash service is available at the facility and arranged through Shepard Exposition Services. Please see the VEHICLE PRESSURE WASH form in the Shepard portion of this service kit for more information. A round trip spotting fee of $150 will apply per vehicle placed inside the exhibit hall. This mandatory fee will be charged by Shepard Exposition Services. REQUIRED! Please submit a vehicle layout to dawn.norman@bobit.com by Friday, August 17th. Remember the vehicle safety requirements listed on the RULES AND REGULATIONS FOR VEHICLE DISPLAYS section of this service kit (including the vehicle move-in check-list). VEHICLE WASHING: The official bus washer will be on hand Monday, October 1, to prep show vehicles. You MUST reserve your detailing time in advance (see Shepard Vehicle Wash form in this service kit).

7 RULES AND REGULATIONS FOR ALL BOOTH TYPE DISPLAYS AS OUTLINED BY IAEE If you are unsure about your booth type please call Exhibitor Customer Service at (858) IN-LINE (LINEAR) BOOTH Arranged in a straight line 10ft wide X 10ft deep 8ft high back wall/drape 4ft high side rail/drape One side is exposed to the aisle Adjoining booths to the right and left and shares a common back wall with another in-line booth Can be combined to create larger in-line booths, e.g. 10ft X 20ft or 10ft X 30ft DISPLAY RULES Line of Sight Obstructing the line of sight to other booths is prohibited. Displays and objects that create a visual wall over 4ft tall must be placed within in the back half (i.e. back 5ft) of an in-line booth. Materials that create a visual wall are at the discretion of show management and include, but are not limited to items such as pop-up displays, banners, backdrops, shelving units, large machinery, and large plants/shrubbery. Materials that do not create a visual wall are at the discretion of show management and may include items such as literature racks and floor lamps. These items are OK in the front 5ft of an in-line booth. Prohibited items Hanging banners Objects taller than 8ft

9 SPLIT ISLAND BOOTH 20ft X 20ft or larger Exposed to the aisle on 3 sides May share a common back wall with another split island booth DISPLAY RULES Booths with a vehicle must adhere to all rules and regulations for vehicle displays. Back wall structure must be finished on the backside and cannot show images, copy, or content of any kind. A maximum height range of 16ft is permitted for floor standing items. Banner hanging is permitted and will be hung at the height of 16ft from the floor to the bottom of the banner. The banner must be hung directly over the booth and back 10ft from neighboring booths. Double-sided or rotating banners, signs, and graphics must be set at least 10ft away from other booths. Do not remove the tape marking your booth space. A representative from the general contractor will remove the tape or must give you approval to remove it. 9

10 ISLAND BOOTH 20ft X 20ft or larger Exposed to the aisle on all 4 sides DISPLAY RULES Booths with a vehicle must adhere to all rules and regulations for vehicle displays. A maximum height range of 16ft is permitted for floor standing items. Banner hanging is permitted and will be hung at the height of 16ft from the floor to the bottom of the banner. The banner must be hung directly over the booth and back 10ft from neighboring booths. Double-sided or rotating banners, signs, and graphics must be set at least 10ft away from other booths. MULTI-STORY EXHIBIT, TOWERS, CANOPIES, CEILINGS AND SIMILAR COVERINGS Fire and safety regulations vary from facility to facility and these structures may not be permitted. Please contact show management for further information. All multi-story exhibits, towers, canopies, ceilings and similar coverings must be approved by show management. 10

11 AMERICANS WITH DISABILITIES ACT (ADA) All exhibiting companies must be compliant with the ADA. Compliance information can be found at Exhibitors should be sensible and accommodating. Examples include: o Raised flooring should be wheelchair accessible by a ramp with a grade no steeper than 1:12 and does not extend into the aisle o Interactive displays, such as touch screens, should be positioned to accommodate a person in a wheel chair o Provide the same attendee experience in all areas of the exhibit space (including multi-story exhibits) o Have printed copies of audio presentations for those who are hearing impaired o Have audio presentations available for those with sight impairment BANNER HANGING Banner hanging is permitted for island and split island booths (see pages 10-11). Banners will be hung at the height of 16ft from the floor to the bottom of the banner, directly over the booth, and back 10ft from neighboring booths. Banner Delivery: 1. Overhead hanging signs should be shipped in a separate container directly to the Advance Warehouse using the Advance Hanging Sign shipping label included in the service kit. 2. The container must arrive no later than the Advance Warehouse shipping deadline of September 24, If these procedures are not followed the hanging of your sign cannot be guaranteed. DEMONSTRATIONS AND SOLICITATIONS All sales presentations, product demonstrations, etc. must be conducted within the confines of the contracted space so that both exhibitors and attendees are fully in the booth and do not spill into the aisle or other exhibit space. This includes setting tables and chairs away from the front of the booth so all business takes places within the contracted space. For demonstrations involving moving parts or are otherwise potentially dangerous, exhibitors must establish a minimum distance of 3ft between the product and spectators or install hazard barriers to prevent accidental injury. All exhibitors, including hired talent, must remain in the contracted booth space and are not permitted to solicit business or distribute sales materials, literature, or promotional items outside of the contracted booth space. Exhibitors are prohibited from placing product, literature, and promotional items on tables and other surfaces outside of their contracted booth space. Items found outside of the contract booth space will be discarded. 11

12 EXHIBIT PROPERTIES All exhibit properties including tables, banners, plants, and literature racks must be placed within the borders of your contracted space and cannot encroach on the aisles. LIGHTING Lighting fixtures, trusses, and overhead lighting must be placed within the contracted exhibit space. Hanging lights must be approved by show management. Gobos and other lighting projections must be aimed toward the contracted booth space and not onto the aisle or other exhibits. Potentially harmful lighting that can trigger photosensitive epilepsy must be approved by show management. This includes lasers, ultraviolet lights, strobes, and flashing lights. Specialized lighting effects should be in good taste and cannot interfere with neighboring exhibitors or detract from the general atmosphere of the event. Quartz halogen lighting fixtures may not be permitted. Check with show management to prevent any issues upon move-in. SOUND/MUSIC Sound and music equipment are permitted as long as it does not disrupt neighboring exhibitors. The sound level is at the discretion of show management and you may be asked to turn down the volume. Speakers must be placed to direct sound into the contracted booth space and not into the aisle. STORAGE Exhibitors are prohibited from storing excessive product, literature or empty packages behind drape and under tables. You may store a small quantity under a table if it is out of eyesight for attendees. Exhibitors must store empty packages and excess materials that cannot fit under the table and out of eyesight with the general contractor. Storing empty crates and boxes is included with your material handling feesimply obtain an Empty sticker from the service desk and affix it to your empty crate or box. STRUCTURAL INTEGRITY All exhibits must be able to endure normal contact and vibrations imposed from other exhibitors, hall laborers and installation/dismantle equipment. This includes moderate wind that may be caused by open freight doors. It is the responsibility of each exhibitor to ensure their display fixtures are installed properly and can adequately withstand its intended use. All exhibitors agree to adhere to local fire, safety and environmental regulations. 12
