UTILITIES Electrical, plumbing and telephone service will be turned off shortly after the official close at 1:00pm on Friday, November 2. Exhibitors requiring service beyond this time must make

SECURITY GUIDELINES Security should be a primary concern of the exhibitor from the time the exhibit is prepared for shipment to the show until the moment the exhibit is dismantled and shipped out. Exposition Centers are public buildings to which hundreds of individuals have access let alone the number of individuals involved in the shipping of your product to and from the show. Therefore, it is critical that each exhibitor work closely with show management in making every effort to safeguard their investment in the exposition. The best security plans are dictated by common sense. At some point in the preparation of your exhibit before you ship your material it will help to take a minute to review everything with security in mind. To begin with, we strongly encourage you to insure your property from the time it leaves your facilities until it is returned after the show. In most cases, a rider can be added to your present policy for a nominal cost that will protect your property while it is out of your control. Remember, it is the responsibility of the exhibitor to insure their property. EMS World Expo, HMP, their agents, the exhibit hall and their respective agents, will not be responsible in any way for the safety of any exhibit or material against theft, fire or accident. Please be security conscious at all times during your stay. Do not leave items of value in your booth overnight during the installation period or on show days without taking security precautions. Remember, the security of your product is your responsibility don t take chances! We suggest you consider the following: PREPARATION OF EXHIBIT MATERIAL FOR SHIPMENT TO THE SHOW If you ship by common carrier, do not use cartons which identify the contents, but group and ship all products in crates. Be sure to list the number of pieces in your shipment on the bill-of-lading and carefully specify the number of crates, cartons, etc., but do not identify the contents. ARRIVAL OF EXHIBIT MATERIALS AT SHOW SITE Assign people to be present at the booth to receive shipments and take inventory. (Keep in mind that material shipped in advance to the warehouse will be delivered to the booth prior to or during the early part of move-in). Be sure to send copies of all shipping information to your set-up people (this includes exhibitor appointed contractors) so that they know how many pieces should arrive. Report immediately to the general contractor any discrepancies between quantities shipped and quantities received. At any time during the show, any missing items should be reported to security and show management. INSTALLATION Pay special attention to prototypes, irreplaceable articles and small, easily carried items. When appropriate, place them in locked containers, or take them from the hall with you at night. Do not put any article of value in a container marked Empty Storage. Empties are not guarded in any way and are not secure. Consider using a private guard overnight in your booth. Don t leave exposed or unguarded such personal items as handbags, wallets, laptops or attaché cases (this is true throughout the show). Check with security or show management personnel to place vulnerable items in overnight secured storage.

EXPOSITION DAYS Personnel from your company should be in the booth all hours that the expo is open. This includes time in the morning before show attendees are allowed on the floor. LOCKED STORAGE AREA EMS World Expo will provide an overnight storage room, located in the Show Office at the Music City Center. Exhibitors may store valuables during non-show hours. Plan to bring your merchandise to this area for storage each night before leaving the convention center. There is no charge for this service, so don t take the chance of leaving valuable merchandise in your booth. SAFETY CONTAINERS If you cannot carry your product to the Locked Storage Area, we suggest you rent a Safety Container for the locked storage of your product each night in your booth. These safety containers can be rented by contacting Shepard. INDIVIDUAL GUARD SERVICE If your merchandise cannot be easily stored, consider individual guard service for all hours that you are not at your booth. The value of your product and the extreme inconvenience experienced when equipment and product are lost or stolen make this a very worthwhile investment. To order your guard service, return the order form, which you will find in the VENDOR SERVICES section of this manual. DISMANTLING Dismantling, including the removal of merchandise, must not begin until the official close of the exposition. Pack as quickly as possible. Under no circumstances should you leave your exhibit unattended during this time. It is recommended that a person from your company be present until your exhibit materials are loaded out of the exhibit hall.

BOOTH INSURANCE REQUIREMENTS LIABILITY AND INSURANCE Show Management, EMS World Expo, HMP, Music City Center, and all organizations and individuals who are employed by or associated with them in connection with the exposition will not be responsible for injury that may occur to an exhibitor or an exhibitor s employees or agents, nor for the safety of any exhibit or other property against robbery, fire, accident or other destructive causes. Please review the exhibit space contract for further details. HMP requires that each exhibitor maintain general public liability insurance against claims for personal injury, death or property damage incident to, arising out of or in any way connected with the exhibitor s participation in the exhibition, in an amount of not less than one million dollars ($1,000,000) for personal injury, death or property damage in any one occurrence. Such insurance maintained by the exhibitor must be issued by an insurance company reasonably acceptable to Show Management, include coverage of the indemnification obligations of the exhibitor under the rules and regulations, and shall name EMS World Expo, HMP, and Music City Center as additional insured. Each exhibitor acknowledges that it is responsible for obtaining, for its protection and entirely at its expense, such property insurance for its exhibit and display materials as the exhibitor deems appropriate. Any policy providing such property insurance must contain an express waiver by the exhibitor s insurance company of any right of subrogation as to any claims against EMS World Expo, HMP, and Music City Center. Do not send a copy of the general public liability insurance to Show Management unless the exhibitor chooses to employ the services of an EAC or non-official contractor to set-up and/or dismantle their booth. responsible in any way for the safety of any exhibit or material against theft, fire, water, accident, or any other cause, nor for the loss or damage of goods consigned to its care. Exhibitors are responsible for damage to uncrated or improperly packed shipments, concealed damage, loss or theft of material after delivery to the booth or before material is picked up for return shipment. EXHIBITORS ARE REQUIRED TO FILE ANY REPORTS OF DAMAGE WITH THE FREIGHT FOREMAN PRIOR TO LEAVING THE SHOW. Damage to Property Exhibitors are liable for any damage caused to building floors, walls, or columns, to standard or rented booth equipment, and to other exhibitors property. Exhibitors may not apply paint, lacquer, adhesive or other coatings to building floors, walls, or columns, or standard or rented booth equipment. Holes may not be drilled, cored or punched in any part of the building. 9 STANDARD BOOTH One or more standard units in a straight line. HEIGHT Exhibit fixtures, components and identification signs will be permitted to a maximum height of 8 3 (2.5m). If a portion of an exhibit booth extends above 8 3 (2.5m) high, the exhibit booth background will detract from the overall impact of the exhibit directly behind that booth regardless of how the rear of the offending exhibit is finished. SET-BACK All display fixtures over 4 0 (1.22m) in height and placed within 10 lineal feet (3.05m) of an adjoining exhibit must be confined to that area of the exhibit space which is at least 5 0 (1.52m) from the aisle line. Each exhibitor is entitled to a reasonable sightline from the aisle regardless of the size of the exhibit space. Exhibitors with larger space 30 lineal feet (9.14m) or more should also be able to effectively use as much of the total floor space as possible as long as they do not interfere with the rights of others. The limitation on display fixtures over 4 0 (1.22m) and within 10 lineal feet (3.05m) of a neighboring exhibit is intended to accomplish both of these aims. IMPORTANT Space dimensions shown on floor plan are from center line of booth equipment, such as side rails and/or back drape. Exhibit structures must be constructed to allow sufficient tolerance on each side for this equipment and for utility service at the rear of the booth. Display fixtures over 4 (1.22m) high must be confined to that area of the booth that is at least 5 (1.52m) from the aisle line.

PERIMETER BOOTH Outer-perimeter wall of the exhibit floor. HEIGHT Exhibit fixtures, components and identification signs will be permitted to a maximum height of 12 0 (3.66m). Because the outer perimeter booths are not backed up against another exhibitor s booth, display back walls and materials over 8 3 will not interfere with or distract from any other exhibit booth. Exhibitors considering a perimeter-wall booth in order to take advantage of the extra height should design their exhibit so that it can be used either at the 8 3 (2.44m) height or the 12 0 (3.66m) height so that it can be used in all future shows even if a perimeter-wall space is not available. Display fixtures over 4 (1.22m) high must be confined to that area of the booth that is at least 5 (1.52m) from the aisle line.

PENINSULA BOOTH Exhibit space, 400 sq ft. or greater, with aisles on three sides. HEIGHT Exhibit fixtures and components will be permitted to a maximum height of 16 0 (4.88m). When an exhibit in a peninsula booth configuration exceeds 8 3 (2.5m), it does not interfere with other exhibitors because it does not back up against another exhibitor s back wall. The extra height is often needed to permit the open walk-through approach normally used in this type of location. The 16 0 (4.88m) height limitation has been set to avoid undue competition between exhibitors to see who can go higher or be seen farther with each negating the others efforts. Also, the 16 0 (4.88m) high exhibit will fit into almost any exposition center, thus permitting each exhibitor to get maximum use of his or her exhibit. SET-BACK All display fixtures over 4 0 (1.22m) in height and placed within 10 lineal feet (3.05m) of an adjoining exhibit must be confined to that area of the booth that is at least 5 0 (1.52m) from the aisle line to avoid blocking the sightline from the aisle to the adjoining booth. Exhibitors adjoining peninsula exhibits are entitled to the same reasonable sightline from the aisle as they would expect if they were adjacent to an exhibitor with a standard booth. STRUCTURAL INTEGRITY Exhibit fixtures and components exceeding 12 0 (3.66m) in height must have drawings available for inspection during the time the exhibit is being erected, exhibited and dismantled at the show site. Drawings must include a signature or stamp of a reviewing structural engineer indicating that the structural design is properly engineered for its proposed use, and a signature of an authorized official of the exhibit building company indicating that the structure is built in compliance with the details and specifications set forth on the drawing. Exhibitors in the vicinity of peninsula exhibits are entitled to the same reasonable safety precautions they would expect if they were adjacent to a standard booth. IMPORTANT Peninsula booths are normally faced towards the cross aisle. Any portion of the exhibit bordering another exhibitor s booth must have the back side of that portion finished and must not carry identification signs or other copy that would detract from the adjoining exhibit. Exhibitors are cautioned when installing a display with a ceiling to check with the local fire department to insure their display meets with the necessary fire safety precautions involving smoke alarms, fire extinguishers, sprinkler systems, etc.

ISLAND BOOTH Exhibit space, 400 sq ft or greater, with aisles on all four sides. HEIGHT Exhibit fixtures and components will be permitted to a maximum height of 20 0 (6.1m). When an island booth exceeds 8 3 (2.5m) high, it does not interfere with other exhibitors because it obviously does not back up against another exhibitor s back wall. The extra height is often required in an island booth exhibit to permit the open walk-through approach normally used in this type of location. The 20 0 (6.1m) maximum height limitation has been set to avoid undue competition between exhibitors to see who can go higher or be seen farther negating the other s efforts. Also, the 20 0 (6.1m) high exhibit will fit into most exposition centers, thus permitting each exhibitor to get the maximum use of his or her exhibit. SET-BACK Because an island booth is automatically separated by the width of an aisle from all neighboring exhibitors, there is no set-back regulation. STRUCTURAL INTEGRITY Exhibit fixtures and components exceeding 12 0 (3.66m) in height must have drawings available for inspection during the time the exhibit is being erected, exhibited and dismantled at the show site. Drawings must include a signature or stamp of a reviewing structural engineer indicating that the structure design is properly engineered for its proposed use, and a signature of an authorized official of the exhibit building company indicating that the structure is built in compliance with the details and specifications set forth on the drawings. Exhibitors in the vicinity of island exhibits are entitled to the same reasonable safety precautions they would expect if they were adjacent to a standard booth. IMPORTANT Exhibitors are cautioned when installing a display with a ceiling to check with the local fire department to insure that their display meets with the necessary fire safety precautions involving smoke alarms, fire extinguishers, sprinkler systems, etc.

CANOPIES & CEILINGS An exhibit component supported over an exhibitor s space for decorative purposes only. HEIGHT Canopies, false ceilings and umbrellas will be permitted to a height that corresponds to the height regulation for the appropriate exhibit configuration of which they are a part. For example, canopies will not exceed 8 3 (2.5m) in height in a standard booth configuration. Furthermore, the canopy or false ceiling will not exceed 1 0 (30cm) in depth and cannot be used for identification or display purposes. Exhibitors requiring canopies or false ceilings to create the desired exhibit environment within their booth space should be allowed to do so as long as the canopy and its support structure does not violate the intent of the height or set-back regulations. SET-BACK Canopies may extend out to the aisle line and up to the booth line on either side of an exhibitor s space provided that the support structure will not exceed 3 (7.62cm) in width when placed within 10 lineal feet (3.05m) of an adjoining exhibit and not confined to that area of the exhibit space which is at least 5 0 (1.52m) from the aisle line. Furthermore, canopies, false ceilings or umbrellas will not be used for identification purposes except as would normally be allowed for any exhibit component within the regulations set forth for the exhibit configuration. Exhibitors adjoining exhibits with canopies are entitled to the same reasonable sightline from the aisle as they would expect if they were adjacent to an exhibitor with a standard booth. IMPORTANT Exhibitors are cautioned when installing a display with a ceiling to check with the local fire department to ensure that their display meets with the necessary fire safety precautions involving smoke alarms, fire extinguishers, sprinkler systems, etc.

TOWERS A free-standing exhibit component separate from the main exhibit fixture that is used for identification and display purposes only. HEIGHT / DEPTH Towers will be permitted to a height and depth that corresponds to the height and set-back regulations for the appropriate exhibit configuration, of which they are a part. For example, towers that are a part of a peninsula exhibit will not exceed 16 0 (4.88m) in height, and will not be placed within 10 lineal feet (3.05m) of a neighboring exhibit unless they are confined to that area of the exhibitor s space which is at least 5 0 (1.52m) from the aisle line to avoid blocking the sightline from the aisle to the adjoining booth. Towers are part of the overall exhibit presentation and, therefore, must be treated as a component of the total exhibit configuration. The height and set-back regulations have been set to avoid undue competition between exhibitors to see who can go higher or be seen farther, while also assuring neighboring exhibitors the same reasonable sightline from the aisle as they would expect if they were adjacent to an exhibitor with a standard booth. STRUCTURAL INTEGRITY All towers in excess of 12 0 (3.66m) must have drawings available for inspection during the time the tower is being erected, exhibited and dismantled at the show site. Drawings must include a signature or stamp of a reviewing structural engineer indicating that the structure designed is properly engineered for its proposed use, and a signature of an authorized official of the exhibit building company indicating that the structure is built in compliance with the details and specifications set forth on the drawings. Exhibitors adjoining exhibits with towers are entitled to the same reasonable safety precautions they would expect if they were adjacent to a standard booth.

HANGING SIGNS Hanging signs are permitted over Peninsula and Island Booths only. HEIGHT Hanging identification signs and graphics will be permitted to a maximum height of 16 0 in Peninsula booths (4.88m) and 20 0 (6.1m) in Island booths provided written approval is received from exposition management (detailed plans must be submitted) at least 60 days prior to the show. Hanging signs are part of the overall exhibit presentation, and, therefore must be treated as a component of the total exhibit configuration. SET-BACK Hanging signs over Peninsula Booths must be set back at least 25% of the booth width dimension from the back line of the booth (adjacent to adjoining booths). Hanging signs, whether double-faced or not, should be set back within the exhibitor s space so as not to detract from the overall impact of the exhibit that is directly adjacent. SIZE Hanging signs and graphics will be permitted to a total length on each side of the exhibitor s space that does not exceed 50% of the corresponding dimension of the booth. The size and number of hanging signs must be limited in order to minimize the stress to the facility ceiling structure on the part of any one exhibitor. STRUCTURAL INTEGRITY All hanging signs must have drawings available for inspection during the time the component is being hung, suspended and removed at the show site that includes a signature or stamp of a reviewing structural engineer indicating that the stress points for hanging the sign have been properly engineered, and a signature of an authorized official of the exhibit building company indicating that the structure is built in compliance with the details and specifications set forth on the drawing. (Note: exhibitors are encouraged to use lightweight materials in the construction of a hanging sign to eliminate excessive stress to the facility ceiling structure). Exhibitors adjoining booths with hanging signs are entitled to the same reasonable safety precautions they would expect if they were adjacent to a standard booth.

DEMONSTRATIONS The interaction of exhibit personnel and their audience through presentations, product demonstrations or sampling. REGULATION Demonstration areas must be organized within the exhibitor s space so as not to interfere with any traffic aisles, and sampling or demonstration tables must be placed a minimum of 2 0 (60cm) from the aisle line. Should spectators or samplers interfere with the normal traffic flow in the aisle or overflow into neighboring exhibits, exposition management will have no alternative but to request that the presentation or sampling be eliminated. The aisles are the property of the entire show and each exhibitor has the responsibility to assure proper flow of traffic through the entire show. When large crowds gather to watch a demonstration or for sampling, and interfere with the flow of traffic down aisles, or create excessive crowds in neighboring booths, it is an infringement on the rights of other exhibitors. Aisles must not be obstructed at any time. SOUND Exhibitors must police their own booths to be sure the noise levels from demonstrations or sound systems is kept to a minimum and does not interfere with others. Remember the use of sound systems or equipment producing sound is an exception to the rule, not a right. Show management reserves the right to determine at which point sound constitutes interference with others and must be discontinued. SAFETY PRECAUTIONS All product demonstrations involving any moving and potentially hazardous machines, displays or parts must have hazard barriers to prevent accidental injury to spectators. Demonstrations must always be supervised by exhibitor personnel who can stop the demonstration in the event of an emergency and all demonstrations involving potentially hazardous by-products, such as dust, fumes, sparks or flames must be approved in writing by show management 60 days prior to the show.

COVERED and/or MULTI-LEVEL An exhibitor planning to have solid walls, 2 story exhibits, or canopies over 400 sq. ft. shall adhere to the following guidelines: These are allowed by permit if the Exhibitor files with the Fire Department plans of the structure along with a copy of certification of the flame proofing of the material. Temporary sprinkler systems may be required. Installation and equipment expenses to be paid by the Exhibitor. A smoke detector with audible alarm and a visible 2A10BC fire extinguisher are required for every unit up to 400 sq. ft. of covered floor space or fraction thereof. Operation of smoke detectors must be verified after installation. The data specification label must be permanently attached to the fabric with a NFP-701 certification. Multi-story Exhibit is a booth where the display fixtures exceed twelve feet (12 ), including double-decker and triple-decker booths. Multi-storied exhibits require prior approval by the facility and local government agency because they are deemed to be structures for building purposes. The city department generally needs to issue a building permit based on an application and drawing prepared and submitted by a licensed architect or engineer. Exhibitors should obtain local building regulations early on to ensure that all time constraints are met. Floor plans must be submitted one (1) month prior to the first move-in day to the Music City Center Event Manager. All drapes and materials that are used for booth separation are required to be flame retardant. Canvas tents, canopies awnings, curtains, straw, hay and similar materials are also required to be flame retardant.
