1 Questions from bidders Responses from UNICEF 1 Request to extend the bid closing date 1. The bid closing date is extended from 15 February to close on 28 February Where can I get the bidding documents, the list of requirement and the eligibility criteria 3 The RFP instructs bidders to quote unit prices associated with delivery to the free carrier nearest Airport (FCA) as well as CPT (Carriage paid to) 3 UN Plaza, New York, USA a) In this context what does this mean? b) With the FCA delivery, is it possible to nominate two FCA locations (e.g. Europe and USA)? c) Will orders be delivered to a single FCA point? d) Will bidders be permitted to adjust freight costs to reflect associated shipping cost to different locations? 4 Can a bidder quote for only the countries where they are registered or for selected regions? 5 Can a Vendor submit a partial proposal for some of the items 2. Please refer to the RFP announcement at The bid documents including the eligibility criteria and the list of requirement are contained therein. 3. Refer to RFP page 12 of 18, Clause no. 5 on Incoterms and Clause no. 6 on Deliveries requirements a) In this context, FCA (Free carrier) nearest Airport means that the winning bidder will deliver goods to UNICEF s appointed Freight Forwarders at the nearest specified airport which the bidder will propose in responding to this RFP. This is usually the nearest international airport from the vendor s dispatch point. With regards to CPT (Carriage paid to) the winning bidder will deliver goods to UNICEF House, 3 UN Plaza, New York, USA for the requirement of UNICEF Office, New York. b) Yes, bidders can propose a maximum of 2 FCA nearest airport locations. The CPT location is the third location for shipments to UNICEF New York only. c) Please refer to (a) and (b) above. d) No. (Please refer to a & b above) Once a vendor is awarded an LTA, the vendor is required to submit a firm price list based on which UNICEF offices will issue Purchase Orders. The price list is expected to remain valid at least for the period. It can only charge if the price goes down with the introduction of a new product or when the products reach End of Life. At that time, LTA holder will be required to submit an updated price list for those specific products. 4. No. The Long Term Arrangement will be awarded for the supply of equipment to all UNICEF Offices globally. 5. Vendor can submit complete proposals for either a) All Hardware b) All Software c) Both hardware and software. P a g e 1 6

2 6 Which countries are eligible to bid? 6. Vendors from all countries are in principle eligible to bid provided they meet the requirements and terms and conditions set out in the solicitation document. 7 Can bidders quote for other brands products like Dell? 7. No, Bidders should only submit proposals per the standard list of IT computer hardware provided in the RFP document Annexes 1-11: 8 How often are the evaluation units required? 9 a) What does it mean that prices should include testing and installation of hardware drives and memories? 8. Refer to Annex A: - Statement of requirements Section no. 7. on Evaluation Unit Evaluation units are requested only on those occasions when HP and Lenovo are changing desktops or Laptops which usually occurs once in months, and UNICEF will request one evaluation unit for testing preferably two months before a new model is to be introduced by the original equipment manufacturer. a) Refer to Annex A- Statement of Requirement and page 4 of 7 section 11- Diagnostic check and voltage setting. All equipment will undergo diagnostic checks prior to shipment. Equipment must be set to the voltage, amperage and frequency prevalent in the country of final destination to avoid sending wrong equipment which will mean the vendor incurs additional replacement cost. b) What do you mean by testing? c) What requires installation on hardware? d) Does it mean that vendors should make the installations whenever hardware is delivered? b) Please refer to (a) above. c) Refer to Annex A- Statement of Requirement and page 4 of 7 section 5- Imaging Services: The supplier will manage and install UNICEF s customized standard operating system that will be provided by UNICEF on all desktops, notebooks and tablets ordered for UNICEF use only. In addition, please refer to (a) above. d) Vendors will make installations on all desktops, notebooks and tablets ordered for UNICEF use only prior to delivering the order to UNICEF appointed Freight Forwarder. There is no installation requirement for orders placed on behalf of UNICEF Partners. All Orders issued will indicate whether they are for UNICEF or a Partner. In addition, please refer to (a) above. Please provide the relevant requested parts UNICEF required for G2 model. 15 Annex 3 Laptops The requested x250 and x450 notebooks are soon to become End of Life. Will UNICEF request to have the replacement x260 and x460 model offered? If so, kindly provide the required configurations, ensuring that we offer the compliant model. 16 Under Annex 4 Microsoft Surface o Both the Microsoft Surface Pro 3 and 4 can only be delivered with Windows 10. Is this acceptable solution? 17 Under Annex 7 Scanners o G-1: The requested model L1975A is going to be End of Life in February 2016, will UNICEF accept the replacement model #L2749A? Refer to Annex 2, lines B5, B6 and B7 deleted and updated in the Pricing template as 8GB is now the standard memory. Computer accessories updated. For the CAT6 cable listed, do you need stranded or solid, PVC or Plenum, shielded or unshielded? 2. For the wall plates, we have them in ivory, office white or white. Any color preference for the wall plates? 3.
